All the information you need regarding access policy and procedures for film equipment and studios is detailed in this handbook. Read it thoroughly and carefully as you will be required to sign an attached User Agreement Form stating that you have done so.

PLEASE take advantage of the staff and faculty for advice. The film office is always open to questions and concerns about your work. Let us help you find the appropriate equipment to make your work be the best that it can be.

I. General Policies and Procedures

1. The purpose of the San Francisco Art Institute Film Checkout Office is to provide equipment for all classes and students enrolled in classes for the Fall 2011/Spring 2012 academic term. All classes have priority for equipment/studio reservations over individual students.

2. Students wishing to check out equipment who are not currently enrolled in an classes for the Fall 2011/Spring 2012 academic term but are still registered at SFAI must have successfully completed a equipment certification and have a slip on file. SFAI alumni and non-registered students may not checkout any equipment or use any studios.

3. Film Student Monitors are present to uphold these policies and procedures in addition to helping facility users with equipment and facilities. If you are having problems with the equipment or are running into any other difficulties, ask for help and a monitor or staff member will try to assist you as best as possible. Please be curious and patient with student monitors, tutors and staff members. This a tightly knit community, don’t burn bridges!

4. Students borrowing equipment must have read and abide by all Film Department access policies and procedures in addition to being familiar with proper equipment use and safety measures.

5. All Film Department equipment is for use in the State of California only. Both the Film Equipment Supervisor and the Area One Manager must approve use of Film Department equipment out of State, and the student must show proof of insurance to cover the replacement cost of equipment borrowed.

6. The Film Equipment Supervisor shall make final decisions regarding any schedule conflicts, equipment use, studio use, hours of operation, etc.

7. The Film Department studio facilities have been designed to accommodate the general needs of the students it services. The staff request that NO HARDWARE and/or SOFTWARE CHANGES be made to any system. Should you need assistance, please feel free to ask an Area One Staff member who will try to assist you as best as possible.

8. Any individual may be denied use of the Film Department equipment and/or access to its facilities at any time if any misuse or abuse of any equipment, reservation privileges, and equipment use policies, improper conduct or behavior which is hazardous or disturbing to others occurs.

9. Students wishing to shoot on campus outside of a designated Film Studio must clear any production with the Area One Manager.

II. Equipment & Studio Certification (Training Session + Certification Exam)

1. In order to reserve or use the Film Department’s equipment & studios, all students must obtain Certified Status on every piece of equipment or studio they wish to checkout or use. This is done by a SFAI staff member and/or qualified student tutor.

2. Certified Status can be obtained after attending a Training Session and the passing of a practical, hands-on Certification Exam demonstrating knowledge of proper equipment use and function, general maintenance and safety measures.

3. Sign up during business hours at the Film Checkout Office Front Desk Training/Certification Calendar. Sessions are held Tues-Thurs during the day and you may sign up to 2 weeks in advance. (Sessions are subject to cancellation or postponement at any time in which case we will notify you as far in advance as possible by email.)

4. All certifications stop on Friday, October 28 for Fall 2011. Please plan ahead as there will be no certifications available until the next semester! (Specific equipment or studio certification sessions will vary widely daily & weekly. Please see the film checkout office Training/Certification Calendar for available sessions.)

5. After the cut-off period we will focus our attention & resources to Technique Workshops. These are not required certifications to checkout equipment. Rather these workshops are sponsored by SFAI Graduate Students who will demonstrate how to apply technical knowledge and specific techniques to their own art practice. (Please see the film checkout office Technique Workshop Calendar for available sessions after October 28th 2011)

6. All sessions are done in groups of up to (5) five students maximum per session, No Exceptions. (There will be a wait-list available next to the calendar if someone cancels.)

7. Sessions can last from 1-2 hrs including Training (1-1.5 hrs) & Certification Exam (0.5- 1hr) Please allow proper time to complete this process as we will not rush to meet each students various schedules.

8. You may sign up for (1) Equipment Session and (1) Studio Session per week. Please do not procrastinate or cram sessions right before the training session cut-off of Oct. 28th 2011. This only adds strain to our limited resources and staff.

9. Certifications may be provided in class if a Faculty/Professor has arranged it with the Film Equipment Supervisor and is based on resource availability. Please ask Faculty for details.

10. Students who have been certified on a piece of equipment/studio do not need to renew certification for the duration of their time at SFAI unless they feel they need a refresher orientation.

11. If you feel you have sufficient previous experience in a specific piece of equipment from another school/job and you are a Sophomore level student or higher, you may “test out” on that item. If you do not pass the certification exam you will be require to reschedule on another day. Studio Certifications does not apply. Please see Film Equipment Supervisor for details.

III. Limitations

1. Most equipment is available to any SFAI student from any major (undergrad & graduate) with a few exceptions.

2. The following equipment items are restricted to students of Sophomore standing & above. No exceptions. ● Sony EX-1 ● Panasonic AF-100 ● Aaton LTR ● Redrock Micro Follow Focus

3. There is a Tiered Access Level that you must follow in order to checkout equipment:

● LEVEL I - No Certification Required ● LEVEL II - Requires Certification ● LEVEL III - Requires Certification + at least (1) previous LEVEL II item certification (In the same category i.e. film, or audio) *Levels will be listed next to each item in the Equipment Inventory Section.

4. You may not checkout more than (1) one piece of the same type of equipment in the LEVEL II or III Tier (excluding accessories) unless you get permission from the Film Checkout Supervisor in advance. ● i.e. you may not checkout (2) EX1’s or (1) EX-1 & (1) AF100 in one checkout period. ● You may checkout (1) EX-1 and (1) Vado HD Camera or (1) AF100 plus lights, audio etc. ● The exception is that you may team up with other certified students and form a crew of 3 or more for a larger shoot. (See Sec. III #7 bellow)

5. Studio 8 is a heavily used classroom/shooting facility and is restricted to students who have completed certification in a previous semester or are currently enrolled in a class held in Studio 8. MFA, MA & Post Bacs are exempt from this rule. No exceptions. *New Genres Studio 9 and Photography Studio 16A are good alternative shooting spaces.

III. Reserving Equipment & Studios

1. All Equipment & Studio reservations start on Tuesday September 6th. It is highly recommended that you reserve overnight equipment at least (1) one day in advance.

Certified students may only reserve 2. Equipment & Studios. Reservations must be made no more than 2 weeks in advance. The Film Department Staff has the right to refuse service to student(s) if reservations are not made (1) day in advance.

3. Students must present a current SFAI student ID when checking out and reserving equipment.

4. Any equipment requiring certification may not be reserved until student has been certified for that specific piece of equipment.

5. All reservations are to be made with the assistance of a Film Checkout Monitor by either signing up in person, by phone or email in advance.

6. For phone & email reservations; if a Film Department Monitor is unavailable the message system will time stamp the reservation but the reservation must be confirmed by the Film Checkout Supervisor before the reservation becomes valid.

7. Projects with a crew of 3 or more (Director, DP, Gaffer, 1st AC, etc.) may reserve a greater quantity of equipment for a longer period; up to a 1 month in advance with authorization from the Film Checkout Supervisor.

● Each Technical Crew Position must have completed certification on all gear that they will be using. ● Please be prepared to submit a rough treatment, script, locked locations and schedule of the entire shoot.

IV. Canceling Reservations

1. An equipment reservation will be held up until 5:00 pm on the reserved day. ● If the equipment is not picked up by 5:00pm, the equipment will be released for checkout to students without reservations in the Last Call Period. (see Sec V, #4 bellow)

2. If a student is unable to pick up equipment he/she must contact a Film Department staff member no later than 15 minutes prior to the reserved time to cancel the reservation. ● In the event that the student fails to pick up reserved equipment by 5:00pm and/or doesn’t cancel the reservation, the student will be penalized one mark.

V. Checkout/Check-In

1. Student(s) checking out Film Department equipment must inspect the equipment together with a student monitor or staff member to verify that the equipment is operational and note on the checkout sheet any damage that the equipment has already sustained.

● The student(s) and the Film Checkout Monitor will then sign the checkout sheet for mutual agreement of the condition of the equipment. ● Should, for any reason, the student(s) take the equipment from the Film Checkout area without verifying the operation of the equipment, they will be held wholly responsible for any damage and operational defects to the equipment. ● No equipment shall at any time be stored overnight in the Film Checkout Office or any Studio.

2. OVERNIGHT CHECKOUT - equipment will be available for overnight checkout between 2:00pm and 5:00pm, Monday through Friday after which the equipment will be released on a first come first served basis.

3. SAME DAY CHECKOUT - You may checkout equipment for class from 9am to 3pm and return same day by 5:30 pm based on availability. It is recommended that you reserve in advance to avoid conflicts with certification sessions, other classes and other reservations as they have the priority. If it is not returned by 3pm you will be penalized one mark. No Exceptions. Please reserve in advance if you have a class that is after 3pm.

4. LAST CALL CHECKOUT - Between 5:00pm & 5:30pm daily you may checkout an item overnight that was not reserved (1) day in advance and is still in the equipment cage. This is the only time you may checkout an item overnight without an advanced reservation.

5. CHECK-IN - equipment must be returned between 9:00am & 11:00am, Monday through Friday & 12:00-1:00pm Saturday)

● You will be held accountable and subject to late/damage/lost penalties if not returned by 11am weekdays (1pm Sat). If you are running a few minutes late, please call us to let us know that you are on your way.

● Equipment must be returned to a Film Department Staff Member in the Film Checkout Office. Do not leave equipment unattended on or off campus ever!

● Do not leave any equipment with security after hours, please return the next day and accept the consequences in person.

6. Standard overnight checkouts are for a period of up to (2) two nights M-TH & (3) three nights for the weekend (Friday-Monday) but you may return earlier after (1) one night.

If you check out a piece of equipment on... ● Monday afternoon, it must be returned by Wednesday morning.

● Tuesday checkouts must be returned by Thursday morning.

● Wednesday checkouts must be returned by Friday morning.

● Thursday checkouts must be returned by Saturday afternoon.

● Friday checkouts must be returned by Monday morning.

VI. Infraction Penalties

NO-SHOW PENALTY AND LATE PENALTY Students will receive an Infraction mark each time a reservation is neither utilized nor canceled, and also when equipment is returned late or checked in improperly.

1st INFRACTION You will receive a verbal warning from staff.

2nd INFRACTION You will lose 1 week of privileges, which may include studio access, reservation privileges or checkout privileges.

3rd INFRACTION You will lose 2 weeks of privileges, which may include studio access, reservation privileges or checkout privileges. After these two weeks are up, you must meet with Student Affairs before having access to these areas. After three infractions, each additional infraction will receive the maximum loss of privileges.

These infractions are not department specific – they apply to all areas of checkout, reservation and studio space throughout SFAI. Infractions are tracked across the entire academic year.

MISUSE / ABUSE PENALTY Any individual, at any time, may be denied use of the SFAI equipment and/or access to facilities if any misuse or abuse of any equipment, reservation privileges, and equipment use policies, improper conduct or behavior, which is otherwise hazardous or disturbing to others, occurs.

LIABILITIES Users/students are liable for lost or damaged equipment. Failure to pay for repair or replacement of lost or damaged equipment in an expeditious manner can result in legal action, failing the class and, in extreme cases, expulsion from class, withholding of degree, transcripts not tendered, and a hold placed on your account that will prevent you from registering until restitution is made.

VII. Using Film Studios

1. Film Studio access is 24/7 and shifts are often in (12) twelve-hour intervals, but you may stay longer if no one shows up after you. Students who arrive for their shift when your shift has ended should allow 15 minutes for you to finish.

2. During Film Office hours 9-6pm M-F you may have a Film Department Staff Member open the studio door that you reserved.

3. For after hours studio use, you will be issued an interior room key and sign for it (not the main door key) during Film Office hours on the day your studio time is reserved. Present your student ID and key to the security guard on duty to open the door for you. Pick up Keys from Film Equipment Checkout.

4. Keys for weekend bookings can be picked up on Friday. All keys for Monday morning shifts can be picked up after 9 a.m. on Monday. When you are finished working, you must return the key to the metal drop box outside the Film Checkout Office door. If something in the room is not working for you, please let us know as soon as possible.

5. Remember to close all doors (they lock behind you), shut off all equipment/lights and do not leave food or drinks in any rooms. Clean up after yourself, almost all film studios are used as classrooms all day and you will be held accountable if the room is not returned to the proper orientation.

VIII. "Safety Principles" of Film Equipment Checkout

1. NEVER FORCE ANYTHING. If something you are attempting to do requires any amount of excessive force, STOP and review your methods.

2. NEVER OVER TIGHTEN. This may cause the stripping of threads and/or the use of excessive force can damage the equipment. (See Rule #1)

3. NEVER LEAVE EQUIPMENT UNATTENDED. Camera and other video equipment are prime targets for theft especially in parked cars and on San Francisco public transit systems!

4. NEVER LEAVE EQUIPMENT EXPOSED TO ANY HEAT SOURCE. This includes never leaving the equipment in the trunk of a car. Heat will damage the equipment and ruin your videotapes, so remember to remove the videotape from the camera before transporting.

5. NEVER TAKE FILM DEPT EQUIPMENT TO THE BEACH OR NEAR SHORELINES. Sand and salt air/spray can clog and damage the sensitive equipment.

6. NEVER USE THE EQUIPMENT IN "RISKY" ENVIRONMENTS. "Risky" locations are defined as, but not limited to any time of airborne devices or locations including airplanes, helicopters, skateboards, motorcycles, rollerblades, etc., anywhere near sand or the beach, and/or unsafe areas, and "remote" areas which require transport of equipment over rough terrain. Final determination of "risky" environments shall be at the sole discretion of the Area One Manager.

7. NEVER TOUCH OR ATTEMPT TO CLEAN THE LENS WITH ANYTHING OTHER THAN THE SUPPLIED CLOTH AND SOLUTION. There is a high probability of scratching and permanently damaging the lens without the proper cleaning materials. Either use the supplied cleaning materials or have a Film Checkout Monitor clean the lens for you.

8. NEVER AIM THE CAMERA'S VIEWFINDER, LCD SCREEN or LENS DIRECTLY AT A STRONG LIGHT SOURCE or LASER. This includes the sun, the reflection from the sun off an object, a strong lamp, or other lighting element(s).

9. ALWAYS EJECT TAPE, BATTERY, and CARDS BEFORE SHUTTING OFF THE CAMERA! Tape can become slack and ruin the tape recording heads. Battery will lose its charge and shorten its useable life!

10. NEVER PLACE THE CAMERA NEAR A MAGNETIC FIELD! The magnetic field will erase your media and damage the camera.

11. NEVER LEAVE THE SxS or SD CARDS OUT! Cards belong in the camera or card reader when in use or in the card holder, stored in the camera equipment bag. Please do not force any card into the slot, it may be backwards or upside-down. These cards are precision instruments that can be damaged very easily if not handled correctly. Data loss is possible for you or the next person checking out the card in the future.

Film Department Studios

Studio 8 shooting studio

Studio 8 is located by the vending machines on the Main Level of the Chestnut Campus. Its purpose is for small or large photo, film and video shoots. It is equipped with a lighting grid, continuous lights, a green screen, seamless backgrounds, large screen and HD projector. It also serves a classroom for production classes most of the week, which makes it a popular and heavily used space.

Studio 26 screening & multi-track recording studio

Studio 26 is located between Studio 30 & Studio 25 on the Mezzanine, Chestnut Campus. This is a multi use classroom/studio that can screen a variety of formats including 16mm, super 8, HD and VHS. This room can also be used as a space for auditions, production meetings, multi-track recording of bands and 16mm editing. There is a 16mm Steenbeck editing table as wheel as a number of light tables for drawing on film.

Studio 30 animation stand

Studio 30 is between the restrooms & Studio 26 on the Mezzanine Level, Chestnut Campus. Traditional cell animation onto 16mm film and digital raw format is supported as well as creation of titles and mattes. There is also a 16mm Steenbeck editing table in this room.

Studio X motion picture processing & film editing

Studio X is located across from the photo lab in the basement of the Chestnut Campus near the Jones Street Exit. This is the “Analog Dungeon” which contains unique facilities for hand processing motion picture film as well as film editing benches, 16mm & Super 8 editing tools & supplies and a 16mm contact printer for print duplication. Machine processing of B&W Reversal 16mm is also done by staff as well as free B&W Reversal Chemistry dispersed when you bring your own (1) qt chemistry bottles.

Film Department audio recording suite

The studio contains a control room with a window and door to a sound booth. Recording voice-overs, ADR, mixing, dubbing, multi-tracking and Foley are supported in both the digital & analog realms. *You must reserve microphones separately. Color Suite

The Color Suite is a digital editing room equipped with a high-end color corrected monitor and Mac Pro Computer designed for post-production finishing. There is also a dub rack with many analog video decks that can be digitized for editing.

Optical Printer Suite

The Optical Printer Suite is located on the left side of the Photography Lab on the mezzanine above the printing darkroom, Chestnut Campus. Re-photography from 16mm, Super 8 & Reg 8 to 16mm on two units. Classic optical effects such as fades, dissolves, zooms, pans, tilts and time ramps can be created on film in this unique and rare faculty.

Projection/ Suite

The Projection/Telecine Suite is located on the left side of the Photography Lab on the mezzanine above the B&W printing darkroom, Chestnut Campus. There is a digital optical printer mounted with a DSR that can be used as an RAW HD Telecine (frame by frame) as well as a real-time Elmo 16mm Telecine machine. Film projectors are provided to shoot a film image off the screen with a video camera.

SMALL FORMAT FILM ACCESSORIES ● Canon C-8 Tele Converter 1.4X: (LEVEL I) for 814XL-S and 1014XL-S - extends telephoto range 1.4 times. ● Canon C-8 Wide Attachment: (LEVEL I) for 814XL-S and 1014XL-S - extends wide angle to about 5mm.

MISUSE / ABUSE PENALTY Any individual, at any time, may be denied use of the SFAI equipment and/or access to facilities if any misuse or abuse of any equipment, reservation privileges, equipment use policies, improper conduct or behavior which is otherwise hazardous or disturbing to others occurs.

LIABILITIES Users/students are liable for lost or damaged equipment. Failure to pay for repair or replacement of lost or damaged equipment in an expeditious manner can result in legal action, failing the class and, in extreme cases, expulsion from class, withholding of degree, transcripts not tendered, and a hold placed on your account that will prevent you from registering until restitution is made. Please make note of anything that requires staff attention.

KEYS Keys must be picked up on the day of your reservation. Return Film keys to the Film Equipment Checkout Office or drop them in the drop box outside the door. Return Photography keys to the Photography Studio Coordinator, lab monitors or drop them in the drop box. DO NOT TAKE KEYS HOME WITH YOU. The keys must be returned by 9AM on the day they are due. No exceptions! Late fees will apply. If you fail to return the keys within 12 hours of its due date you will be charged a late fee of $25.

NO-SHOW PENALTY AND LATE PENALTY Students will receive an Infraction mark each time a reservation is neither utilized nor canceled, and also when equipment is returned late or checked in improperly.

1st INFRACTION You will receive a verbal warning from staff.

2nd INFRACTION You will lose 1 week of privileges, which may include studio access, reservation privileges or checkout privileges.

3rd INFRACTION You will lose 2 weeks of privileges, which may include studio access, reservation privileges or checkout privileges. After these two weeks are up, you must meet with Student Affairs before having access to these areas. After three infractions, each additional infraction will receive the maximum loss of privileges.

These infractions are not department specific – they apply to all areas of checkout, reservation and studio space throughout SFAI. Infractions are tracked across the entire academic year.

I've read the user agreement guidelines for the use of equipment checkout and I agreed to comply with all rules and regulations as stated above.
