Importance of Employee Handbook

This handbook serves as your guide to general policys of Five College Movers LLC, refered to in this document as FCM. When issued the handbook, you are exspected to read it, understand it and be governed by it. With that said, FCM will always be a organization that is flexible and listens to its employees. If you ever have an issue with a policy or something about FCM, we want to hear from you. Contact Pat with any questions, concerns or suggestions.

Changes to Employee Handbook

Any changes to this handbook will come in MEMO form and given to each active employee.

Background of FCM

Five College Movers LLC began operating as Strong Men Movers in August, 2006. Initially, FCM operated as a moving labor provider, soley loading/unloading clients rental . In 2010, FCM became a full service mover and became licensed to operate within Massachusetts and throughout the contiguous 48 states. Five College Movers is a member of the Amherst Area Chamber of Commerce and the Pioneer Valley Local First Organization. FCM is a registered Limited Liability Corporation operating out of Amherst, MA.

Licenses

Our licensed allow us to operate both locally within Massachusetts, and throuhgout the contiguous 48 states.

US DOT # 1947212 - United States Department of Transportation.

MC # 692772 - Federal Motor Carrier Safety Administration. Arm of the DOT that regulates the moving .

MDPU # 31542 - Massachusetts Department of Public Utilities.

Insurance

FCM is required to maintain a BIPD Policy(Commerical Auto Policy: Bodily Injury Damage) of $750,000 by the US DOT. FCM is also required to have a policy in the amount of $10,000 per vehicle. FCM maintains a General Liability policy ($1 Million) and a workmans comp policy.

Understanding Insurance Options

FCM offers 2 different insurance options to clients, described below. Few clients understand that even though were fully licensed and insured, we simply cannot take on $30k in liability (average declared value) everytime we move. This is true throughout the moving industry.

Standard Insurance - $0.60/pound per item. This insurance is selected 95% of the time by clients, it is included free with all of our services and is required by law. Basically, this insurance values each item, regardless of what it is at $0.60/pound. If you drop a flat screen TV that weighs 40 pounds, FCMs liability would be 40 X $0.60 or $24.

If they wish to purchase additional insurance, FCM charges them a premium of $25/$1,000 of declared value ($250 deductible). Minimum declared value is $10,000.

Uniforms

Each employee will be issued 1 polo shirt uniform. Employees are required to wear this, tucked in to either kaki shorts with a belt, or kaki pants. Employees can purchase additional polos for $20 each. From time to time, employees will also be given t-shirts, etc. Any employee who fails to wear any part of the below uniform for a job will be paid at minimum wage for that job. FCM must maintain a professional, clean cut appearance at all times.

REQUIRED UNIFORM:

Hat - Optional, must be appropriate. No beer hats, etc. Shirt - FCM Polo, tucked into shorts. Shorts - Kaki shorts, belt is required. Socks and Athletic shoes or boots.

Schedule

Each employee will be required to submit an “availability schedule” once a month. You can print the availability schedule at fivecollegemovers.com/schedule. You must submit this at least 1 week before the 1st of each month. Normally, you can hand it to Pat at Wing Night, the 3rd Tuesday of each month at the Hangar. The schedule can be viewed online. If you are scheduled for a day you submitted as available and cannot work, it is your responsibility to find a replacement. Fellow employees contact information will be listed on the schedule page.

Payroll

Payroll is run every 2 weeks with the week ending on Sunday. Checks will be delivered to employees on the Thursday following the payroll period end date.

Pay Rate

FCM will inform you of your rate upon being hired, and award raised as FCM sees fit. We ask that each employee keep their pay rate private.

- For jobs starting within 30 minutes of Sunderland, MA (where our crew leaves from) we begin paying our employees once they arrive on he job site until they return to Sunderland, MA.

- If the travel time to a job is over 30 minutes, we begin paying our employees then. For instance, if we left at 9am for a 10am job in Hartford, you would be on the clock at 9:30am, until we returned to our storage in Sunderland, MA.

- For long distance, overnight jobs: Paid at day rate @ 14 hours. + $30/day for food and all hotel expences.

Tips, Free Items, Food, Drink

When we recieve tips, free items from the customer, food or drink it must be split evenly amongst the crew working. Obviusly we cant split a couch 4 ways, but each crew must work together to appropriatley and fairly divide tips and other additonal compenation. And remeber, to always say THANK YOU to clients who tip you!

Representing FCM

1. When you wear FCM apparel - You are a walking, breathing billboard for FCM. Consider yourself a spokeperson/ model and be ready to talk about FCM when asked. When you are wearing FCM apparel, people take notice and they make assumtions. Always be sure to smile, say hello and be personable. Never do anything that will reflect

Wether you are wearing your uniform working, or wearing a shirt walking around town, you are wearing the Five College Movers brand and must represent it loudly and proudly.

2. Talking to your family, friends - When people ask you about where you work, be proud of your job. You work hard. You dont just work for your buddys moving company. “I work for Five College Movers. Were a young, up and coming organization. Its hard work, but its a fun team atmosphere and we get paid really well.”

3. When someone approaches you - Often times, people will approach you out of nowhere if you are wearing a Five College Movers shirt. Even if your just at the gym, grocery store or walking around town. This is an extremely valuable (and important) time to make a lasting impression. Common questions: - Whats Five College Movers all about? FCM is a licensed & insured moving company based out of Amherst, MA. While most of our moves are local, we also preform several long distance moves a year. Although most of the employees are students like myself, we are fully licensed, insured and professional. As a small company we specilize in providing personalized, stress free moving services. - Im moving soon, how much do you charge? Great! We would be happy to help! We offer free in home estimates with no obligation. Since every move is unique, we would be happy to come out and discuss your move with you. 4. While at work - Often times we will stop in at Dunkin Doughnuts, or take lunch at Subway. When people see FCM in our uniforms, they take notice. Always be positive, say hello to everyone, make eye contact and smile.

Summary - Be proud of where you work. Be the guy FCM hired, a strong, inteligent personable guy.

Interacting With Clients

When FCM arrives on the job, it is important for the team to introduce themselfs to the client. Throughout the job, when talking to the client maintain strong eye contact, speak clearly and address them as sir or mam. If they wish to be called something else, thats fine. But refer to them as sir or mam when the job begins. Furthermore always be sure to be saying please, thank you and pardon me instead of “what”.

Dealing with Conflicts - Positive Emotion > Negative Emotion

While FCM does everything we can to please each and every client, situations do arrise where there is a conlict with the client. When dealing with a client, it is important to remember the relationship we enter each time we begin a job. We are moving very personal belongings at a very stressful time. People dont always act rationally under stress. Most of the time, you have done nothing wrong when a client gets upset. However, as a FCM employee you need to have tough skin. Never criticize a client. Find common ground, acknoledge a minor point to appease them. Apoligize and stratigize. POSITIVE EMOTION ALWAYS TRUMPS NEGATIVE EMOTION. A client says “fuck you”, you respond by saying “Im here to help. Please let me know what I can do to help.” Dont take anything but compliments to heart. Smile and move on.

Bad, Tough, Long Jobs Anyone who has worked with me knows, I am the king of flip out artists. Not proud of it, not being a good leader and thats something that I need to change.

As a group we need to support eachother, be able to laugh off tough situations and concentrate under stress. Remember, we get paid by the hour. Long jobs, tough jobs take a toll. We all know it. Take a break if you need one, ask someone for help when needed. The clients look to us as leaders and we must always present ourselfs as calm, confident and in control.

Standards of Conduct

Body Languae - Maintain confidnt posture, smile and walk tall. Never slouch or display any displeasure. Interacting with Co-Workers - Respect eachother. When tackling a tough task, take eachothers input, constructive critism, but listen to the crew lead. NEVER ARGUE IN FRONT OF A CLIENT.

Non-Disclosure Agreement and Non Compete- Read, sign forms.

About our Alcohol Policy - FCM takes drug/alcohol abuse very seriously. We are all young, like to go out, party, etc. However, it is unaceptable for this to effect work. As an employee of FCM, if you are scheduled to work, you are expected to show up ready to work, not hungover or in poor condition as a resuly of partying. If you need a day off, request it on your availabilty sheet. If you are scheduled, you are expeted to be ready to work. Take it easy the night before. If you show up hungover, smelling like alcohol, etc you will either be placed on proabtion (see below) or be terminated permanatley.

Five College Movers takes drug/alcohol abuse seriously. It is unnacptable to show up and represent Five College Movers in a hungover or tired state. It effects our image and more importantly the safety of our employees and customer belongings. If you cannot adhere to the rules below, you will be terminated from Five College Movers LLC.

1. 8 hour rule - Your last alcoholic beverage must be more than 8 hours before the start of your scheduled work. Example: Scheduled to work at 8am, you must stop consuming alcohol at 12am the evening before. Scheduled to work means when you are scheduled to leave! Not when your job starts. 2. Adequette sleep - You are required to have a minimum of 6 hours of sleep before you work. Example: Scheduled to work at 8am, you must sleep from at least 1am-7am.

Probation Any employee who violates any policy of FCM will be placed on probation for a time determined soley by FCM. The lenght, terms and conditions of the employees probation is determined on a case by case basis.

Example 1: John violates FCM’s drug/alcohol polciy by showing up to work reaking of alcohol and in a poor condition to work. Consequence: John may be asked to leave work for the day and be placed on probation for the next 2 jobs. During this time, John will be paid at minimum wage. The terms of Johns probation may also indicate if he shows up in this condition again, he will be permanitley terminated. Example 2: John and Bob show up 45 minutes late to a job. They failed to call the customer and the customer indicates they are disatisifed with the employees effort. Consequence: John and Bob are placed on probation by FCM which includes being paid at minimum wage for the next 2 jobs. If they are ever this agregiously late again, they will be terminated permanatley.

The contents of this handbook may be changed at any time at the discretion of Five College Movers, LLC. Please read the following statements and sign below (return this page) to indicate your receipt and acknowledgement of the Five College Movers, LLC, Handbook. I acknowledge that I have read this handbook and understand that the policies, rules and benefits described in it are subject to change at the sole discretion of Five College Movers, LLC, at any time. I understand that, should the content of this Policy and Benefit Book be changed in any way, Five College Movers, LLC, may, but is not obligated to, require an additional signature from me to indicate that I am aware of and understand any new policies. I understand that my signature below indicates that I have read and understand the above statements. I hereby certify that on the date shown below I received and read a copy of Five College Movers, LLC Driver Safety (if applicable), Operations Policy, Non-Disclosure, Non-Compete and the Alcohol and Drug Policy. I understand and agree to comply with these policies. I further understand that I may be permanently released from my employment with Five College Movers, LLC if I do not comply with these policies. If any provision of this Agreement shall be held to be invalid, illegal, or unenforceable, the validity, legality, and enforceability of the remaining provisions shall in no way be affected or impaired thereby and, if possible, any invalid, illegal or unenforceable provision shall be limited or interpreted to the minimum extent necessary to cure its defect. I FURTHER UNDERSTAND THAT MY EMPLOYMENT CAN BE TERMINATED AT WILL, EITHER BY MYSELF OR Five College Movers, LLC, REGARDLESS OF THE LENGTH PRINT NAME ______OF MY EMPLOYMENT. NO CIRCUMSTANCES ARISING OUT OF MY EMPLOYMENT WILL ALTER MY “AT WILL” SIGNATURE ______EMPLOYMENT RELATIONSHIP UNLESS EXPRESSED IN WRITING, WITH THE DATE ______UNDERSTANDING SPECIFICALLY SET FORTH AND SIGNED BY MYSELF AND THE COMPANY’S PRESIDENT.
