OVERVIEW

Welcome to the Catholic School Athletic Program. Through our programs of sports participation, it is hoped that every child athlete will develop a sense of teamwork, pride of accomplishment, and respect for one another.

This handbook is meant to be informational for athletes, parents, and the coaching staff. All Saints athletic teams are school sponsored and guided by the rules of the Catholic Youth Organization (CYO) and All Saints Catholic School.

MISSION STATEMENT AND PHILOSOPHY

The mission of the All Saints Athletic Department is to promote school spirit and comradeship through athletic competition, to promote sportsmanship through respect, responsibility, discipline, and teamwork, and to promote physical development and fitness across the three sports seasons through intramural sports and CYO school-sponsored teams. This experience will provide for safe and enjoyable athletic opportunities for our students with the emphasis on fostering a competitive and fun athletic environment.

Scope Statement - Sports in our School

If the Catholic experience can be summarized as men and women living their lives for others, then we believe that sports are an integral part of the ministry of our school. Coaches, parents, and administrators have a unique and significant influence on our Catholic student athletes. The interaction of coaches, parents, and children in the Catholic sports experience should be a positive influence in the way our children feel about themselves. Improving self-esteem is an everlasting gift.

Pope Paul VI said:

“Our athletics should go hand in hand with our youth ministry. We are trying to achieve a sense of quiet confidence and humility that is rooted in discipline and perseverance. Christian maturity comes from a process of inner growth. Athletic maturity envelops a process of inner growth. Sports well understood and practiced contributes to the development of the whole person because it demands generous effort, careful self-control, mastery of self and respect for others, complete commitment and team spirit.”

Exceptions to the norm necessitate such things as codes of conduct for student athletes, coaches and parents. We focus on the positive - a combination of Catholicism and sportsmanship. Our immediate goals are to teach our student athletes to have fun at sports; play hard and fair; respect coaches, officials and parents; and to win with humility and to lose with grace. Our longer-term objective is not to win but to create significance.

Our entire athletic program must operate at all levels with common courtesy, patience, pride, and respect. Our coaches, parents, and administrators should act as educators and transmitters of Catholic values. The job is to integrate sportsmanship and Christian values so that our children come away with a heightened sense of themselves as people who can strive for great things. We embrace the following for our athletic program:

As sports men and women of Catholic faith, we want to operate our sports programs with the highest integrity. Our efforts are whole, not one-dimensional. Our programs are honorable, not just honest. Our programs reflect its members - people of Christ “with convictions, with boldness to try, compassion to comfort, patience to wait, persistence to endure, and poise to give in.”

GENERAL POLICIES APPLICABLE TO ALL SPORTS

PRIMARY OBJECTIVES

Purpose and Function

The purpose and function of this organization will be to encourage, model, and teach sportsmanship in a learning Christian environment.

Education and Learning

Athletic Advisory Committee, Athletic Director, school administrators, coaches, and parents must be dedicated leaders and teachers of our student athletes. Specifically, the learning and teaching objectives are as follows:

• An understanding of the game - rules, positions, equipment, offense and defense, terminology, etc. • The importance of teamwork - how the individual player relates to the team as a whole. • The importance of practice and preparation. • The significance of following rules - league, team and program rules. • Teaching and exhibiting sportsmanship.

Individual Development

Student athletes want to develop as players. Comparing oneself to another player is not as important as the child’s own perception of his/her improvement. Individual development goals are as follows:

• Improve individual strength, speed, endurance, and self-image. • Be positive rather than critical. • Create a feeling of success and significance.

Active Participation of Parents in Sports

Parents must understand that all children physically and emotionally mature at different rates. This relates to sports as well. The following are suggested standards for parental involvement in our sports programs:

• Parents should choose the proper sports climate for their child including age and maturity for participation, type of sport, and physical and emotional stress level. • Parents need to tell themselves and their child that sports is only a small part of life. • Parents should make an effort to be active in a positive fashion for their child - positive as a spectator, coach, director, or caring parent.

• Parents should be a positive role model - being a good sport at games, practices, and home while giving positive reinforcement to their child and support to their child’s coaches.

Positive Competitive Experience

All players want to win. Winning is important and winning games should be an important part of the player development. Losing is just as important. Losing a game doesn’t make the players losers, but understanding how to lose is a sign of player maturity. Everyone should strive to win with humility and lose with grace.

Christianity and Sportsmanship

This program operates with Christ as our central focus. Each student athlete will be encouraged and called upon to recognize the needs of others, respect the rights of others, and respond in a Christian way to others including teammates, opponents, parents and coaches.

SPORTS OPPORTUNITIES/POLICIES

Fall Sports

Volleyball - evaluations are required of this sport for females in grades 4 through 8 who comprise junior varsity and varsity teams with a maximum of 12 athletes. The season begins in mid-August and runs through early late October with practices two (2) to four (4) times per week and one (1) to two (2) matches each week.

Cheerleading - evaluations are not required of this sport for females in grades 3 through 8 who comprise junior varsity and varsity squads a maximum of 12 athletes. The season begins at the start of school through March with practices two (2) to three (3) times per week and cheering at and boys’ and girls’ basketball games. There are pre-season and post season competitions in October and March.

Soccer - evaluations are required of this sport for males and females in grades 4 through 8 who comprise junior varsity and varsity boys and girls teams with a maximum of 18 athletes per team. The season begins in mid-August and runs through late October with two (2) to three (3) practices per week and one (1) or two (2) games per week.

Cross Country - evaluations are not required of this sport for males and females in grades 4 through 8 who comprise junior varsity and varsity boys and girls teams with no cap on the number of athletes per team. The season begins in mid-August and runs through late October with two (2) to three (3) practices per week and one (1) or two (2) games per week.

Winter Sports

Boys Basketball - evaluations are required for this sport for male athletes in grades 4 through 8 who comprise junior varsity and varsity teams with a maximum of 12 athletes per team. The season begins late October through early March with two (2) to four (4) practices per week, 10 league games and two (2) to three (3) tournaments.

Girls Basketball - evaluations are required for this sport for female athletes in grades 4 through 8 who comprise junior varsity and varsity teams with a maximum of 12 athletes per team. Fourth grade participation will be allowed based on team availability. The season begins at late October through early March with two (2) to four (4) practices per week, 10 league games and two (2) to three (3) tournaments.

Bowling - evaluations are required of this sport for males and females in grades 4 through 8 who comprise junior varsity and varsity boys and girls teams with a maximum of 6 athletes per team. Team formation, from a number of teams perspective, will be on a first come, first served basis and the number of teams will be capped based on the amount of athletes registered to form complete 6 member teams. Fourth grade participation will be allowed based on team availability. The season begins in January and runs through February with one (1) to two (2) practices per week and one (1) or two (2) games per week.

Spring Sports

Girl’s Fast Pitch Softball - evaluations are required of this sport for athletes in grades 5 through 8 who comprise junior varsity and varsity teams with a maximum of 15 athletes. The season begins in mid-March to late May with two (2) to three (3) practices per week.

Boy’s Baseball - evaluations are required of this sport for athletes in grades 5 through 8 who comprise junior varsity and varsity teams with a maximum of 15 athletes. The season begins in mid-March to late May with two (2) to three (3) practices per week.

PRACTICE AND PLAYING TIME

Practice Time Policy

Practice is valuable in a player's development and attendance at practices is important and necessary. Players are required to attend all practices scheduled by the coaches. Players must contact coaches in advance if they cannot make a practice. Excused absences may or may not affect playing time and this decision is left to the coaches. Unexcused absences will affect playing time, up to and including non-participation in games.

Game Day Playing Policy

Junior Varsity athletics follow the CYO stated mission of participation, which requires the coach to include all players in each game. For basketball, the CYO rules dictate that all players make an appearance in two quarters and may not appear in more than three. The amount of playing time is determined by a number of factors including: attendance, work ethic, and skill level. CYO Varsity athletics are a competitive based league. The objective is to develop the

Version 3.3 11 September 25, 2018 student athlete to compete at the high school level. There is NO guaranteed playing time at the varsity level.

Note: Additional practices in excess of 4 times /week are allowed prior to beginning of the regular game schedule with agreement between coaches / parents.

THE STUDENT ATHLETE

Each sport is reviewed to determine the number of teams we can enter into CYO competition at the junior varsity and varsity level. The three most important factors in this decision include the number of volunteer coaches, number of student athletes participating, and the amount of practice and game space available to our program.

A. Varsity - The primary goal is to give more experienced and talented athletes the opportunity to participate at a competitive level, which meets and challenges their skill level to prepare them for participation in high school athletics. B. Junior Varsity - the primary goal of junior varsity athletics is to promote participation and the development of athletes for the well-being of all participants. C. A secondary goal for both levels of play is to promote school spirit for the athletes and for the whole student body.

Registration and Team Formation Process

The following outlines the registration and team formation processes for each sport:

1. Registration is open to all student that meet the eligibility requirements as outlined in the eligibility section of this handbook. Eligibility priority is outlined in the eligibility section below. 2. You may cancel your Fall, Winter, Spring, or Booster Club registration and receive a refund as long as you do so prior to the start of season competition (Booster Club refund requests will be honored if you have not registered for a prior season sport for a given school year). No refunds will be granted for cancelations made after the first game. This includes pre-season tournament play. Cancelation requests should be submitted by e-mail to the athletic director. All refunds will be processed using the same method you used to remit payment and are generally processed within two weeks. All refunds will be made in full with the exception of refunds from registrations that are more than 60 days old. Those registrations will be assessed a $10 processing fee. 3. Determination of the number of available coaches. 4. The athletic director announces at the preseason meeting the selection criteria for that season/sport, before evaluations are held. The selection criteria may vary from sport to sport, season to season. 5. If evaluations are necessary they will be held for all registered students wishing to participate. In order to be appropriately placed onto a team, each student athlete must participate on the scheduled date for player evaluations. If a student athlete does not attend evaluations, that student will be placed onto a team based on team availability, after teams have been created. 6. Varsity: Evaluators meet with the athletic director and based upon player evaluations, a #1 team roster is filled consisting of the most skilled athletes as they pertain to the team structure, thereafter the remaining teams. For remaining teams, rosters will generally be filled by grade level.

JV: Evaluator meet with the athletic director and based upon criteria that include the players’ skill level and number of players by grade, a #1 team roster is filled, thereafter the remaining teams. For remaining teams, rosters will generally be filled by grade level, for example a #2 team will consist of 5th graders while a #3 team will consist of 4th graders. 7. Whenever the number of players does not divide equally by the number of teams, the athletic director will determine which roster will retain the additional player(s). 8. Immediately after team rosters are preliminarily or tentatively filled, the athletic director will peruse rosters to see if any adjustments are required to comply with criteria. 9. Head coaches and assistant coaches are assigned only after teams are selected. 10. Team rosters will be announced to players and parents by the athletic director via e- mail. Rosters will also be made available via the All Saints CYO website. Coaches will notify parents at the varsity level. 11. Varsity Team Participation Protocol - "Playing up." CYO varsity athletics is designed for participation from 7th and 8th grade students within the school (All Saints). This mirrors the CYO Archdiocese program for varsity team participation from parishes and Catholic schools.

Participation by children not enrolled at All Saints and children at the JV level of play enrolled at All Saints will adhere to the following protocol for filling vacancies on a varsity team:

a. Once a need is determined to fill vacancies for an All Saints varsity team roster an appeal can be made to the founding four parishes seeking 7th and 8th grades students to play on an All Saints varsity team. b. The vacancies will be filled on a first come first served basis. c. If more than one team is being formed, then interested non-All Saints students will participate in the team selection process to determine team placement. d. Alternatively, the athletic director, at his discretion, can extend an invitation to specific JV level students at All Saints for participation on a varsity team. This invitation can be extended based on evaluation results or prior knowledge of the player’s athletic ability. e. The interested JV level students must have parental approval, prior to the selection process, to participate on an All Saints varsity team. Depending on the number of teams being fielded by both JV and varsity, the assumption is that the selection processes will be held simultaneously. f. Upon parental approval the assistant principal, athletic director, and affected coaches must qualify and approve the JV level student’s participation in All Saints varsity sports. g. Upon the assistant principal, athletic director, and affected coaches' qualification and approval, the parents of the qualified and approved JV level student will be notified. Then and only then a JV level student may participate in the varsity team selection process.

12. The following additional processes apply for the formation of teams when it is necessary to form multiple teams by grade:

a. Teams will be formed based on grade following the general outline for varsity and JV teams as given in paragraph 7 above. b. Evaluations will be held by grade level for all athletes with an evaluator present along with the athletic director. c. Where registration numbers by grade indicate that more than one team by grade is required, two teams will be formed, with one consisting of the most skilled players as they pertain to the team structure. The head coach of the upper level team will be determined by the athletic director based on the list of available head coaches by grade. The athletic director must give final approval for every team’s roster and may consult with the All Saints Athletic Committee. d. In the event that roster numbers indicate that there should be two 4th grade teams, rosters will be determined by equally distributing players by their athletic abilities. e. In the event that registration numbers exceed 12 where we have one team by grade or 24 where we have two teams by grade, attempts will be made to accommodate those players by placing them on a team from another grade, if there is room under the roster cap. In the event that there is no room, priority for a roster spot will be given based on affiliation as described in the eligibility section of this handbook. f. Lower level teams by grade will be placed in divisions that will allow them to compete and further develop a player’s athletic skills. g. Priority for play in holiday and end of the year tournaments will be established based on a team’s level of play. h. Exceptionally gifted athletes at the JV level may be allowed to play at a higher grade level within the JV team structure based on the results of the player’s evaluation and with the approval of the player’s parents and the athletic director. i. The following table outlines the team formation process, the level of play, and the division teams should be placed in based on AOD CYO’s current division structure:

Major division letter designations are based on division placement for the 2018-19 basketball season. *Minor division consists of schools that are assigned by AOD CYO regionally at random to construct divisions to accommodate schools that have more than the standard two varsity and three JV teams or that consist of #2 or #3 teams and have openings to accommodate additional teams.

Eligibility

1. First preference will be given to All Saints’ students enrolled in the present academic year who meet all eligibility requirements, and who submit valid registration information and pay to play fees prior to the established published deadline. All students meeting these criteria will be considered for teams prior to acceptance of individuals from outside All Saints Catholic School. 2. Second preference will be given to students not attending All Saints, but currently have siblings attending All Saints. 3. Third preference will be given to student athletes who meet the following criteria and who submit valid registration information and pay to play fees may be selected to play on an athletic team. These criteria are as follows:

a. A student not enrolled in All Saints school, but is a baptized Catholic parishioner of St. Kenneth’s, St. John Newmann, Resurrection, or St. Thomas a’Becket parish. The student must be enrolled in and attending the above mentioned parish religious education program or a parishioner of the above-mentioned parish enrolled in and attending RCIA. b. An athlete who is a parishioner of a neighboring parish, that doesn’t have a CYO team, whose boundaries touch All Saints who is baptized Catholic and enrolled in and attending religious formation or a parishioner of the neighboring parish enrolled and attending RCIA. c. An athlete who is a student of a neighboring Catholic school whose school/parish does not sponsor a CYO team. d. All registration materials complete and submitted at the time of tryouts including registration form, physical form, CYO contract, student conduct agreement, parent agreement, academic and conduct records, baptismal certificate or RCIA/religious formation enrollment verification. e. The athletic director will assess the abilities of the aforementioned athlete during evaluations using the All Saints sports assessment scale specific to that sport. Ability will be assessed by an evaluator as determined by the athletic director. 4. All things being equal, which includes the aforementioned criteria of eligibility being met and athlete ability assessed, in the event of a tie score on the sports assessment scale, the All Saints supported parishioner (St. Kenneth’s, St. John Newmann, Resurrection, or St. Thomas a’Becket) will be given a position on the team.

Cross Country Eligibility This eligibility provision affects those students who have participated in OLGC’s varsity cross country program prior to the 2016-17 school year. The following provisions are in effect for the 2016-17 school year:

1. All Saints students who ran varsity cross country for OLGC in the 2015-16 school year and will be in 8th grade in the 2016-17 school year have the option to participate in cross country at OLGC. These students’ siblings may also participate in cross country at OLGC, provided that they that participated in cross country at OLGC during the 2015-16 school year. 2. All Saints students whose parents or guardians coach cross country at OLGC will have the option to participate in cross country at OLGC.

Bowling Eligibility This eligibility provision affects those students who have participated in OLGC’s varsity bowling program prior to the 2016-17 school year. The following provisions are in effect for the 2016-17 school year:

1. All Saints students who participated in varsity bowling for OLGC in the 2015-16 school year and will be in 8th grade in the 2016-17 school year have the option to participate in bowling at OLGC. These students’ siblings may also participate in bowling at OLGC, provided that they that participated in bowling at OLGC during the 2015-16 school year. Version 3.3 17 September 25, 2018

2. All Saints students whose parents or guardians coach bowling at OLGC will have the option to participate in bowling at OLGC.

No Cut Policy

Every All Saints student who desires to play a junior varsity or varsity CYO sport that is open to students in their grade shall be allowed to play and all students who desire a place on a team will be accommodated so long as there are sufficient resources, including coaches, to provide that opportunity and registration is received by the deadline. No student shall otherwise be “cut” from a junior varsity or varsity CYO team.

Sportsmanship

All student athletes, by accepting a position on a team, should be guided by the rule: the good of the team comes first, before any individual goals. Understanding the rules in this guidebook and on the field of play should increase your enjoyment of the game you play. 1. Accept and understand the seriousness of your responsibility and the privilege of representing the parish, school, and community. 2. Live up to the standards of sportsmanship established by CYO, parish/school administrations and the coaching staff. 3. Learn the skills and rules of the game thoroughly and discuss them with teammates, parents, friends, and fellow students. 4. Treat opponents the way you would like to be treated, as a guest or friend. 5. Refrain from making any kind of derogatory remarks to your opponents during the game. 6. Wish opponents good-luck before the game and congratulate them in a sincere manner following either victory or defeat. 7. Respect the integrity and judgment of game officials. The officials are doing their best to help promote you and your sport. 8. Win with humility; lose with grace. Do both with dignity.

Academic Requirements

All Saints CYO considers academics to be one of the highest priorities for our students. Athletics can be equally important by teaching respect, integrity, and teamwork while building moral character in our children. In order to support students, parents, and the All Saints administration/staff, CYO has the following academic policy. The following academic requirements must be met in order for a student to participate on any All Saints team.

1. All students participating on an All Saints team must maintain an academic “C-” average in the core educational subjects. The 7 core classes are: religion, math, social studies, science, English, reading, and spelling. 2. Academic grades are automatically reviewed by the All Saints Administration. To maintain each student’s confidentiality, only the All Saints Administration and teachers have access to students’ grades. 3. Students not attending All Saints must submit report cards to the All Saints Administration upon request. Version 3.3 18 September 25, 2018

4. Any student who does not maintain an academic “C-” average in the core educational subjects will be placed on academic probation until the next report marking. a. The academic probation period starts with the initial phone call notification from the athletic director. Phone notification will be made immediately confirming the student athlete failed to meet the academic standard. b. The athletic director will send the written letter notice home within two business days as a follow up to the phone call notification. 5. During the probationary period for academics, the student athlete is able to participate in all All Saints practices and games. 6. After the probationary period, the All Saints Administration will automatically review academic grades with teachers. 7. If the student is maintaining the academic “C-” average in the core educational subjects, the student continues to participate in all All Saints practices and games. The athletic director will inform the student and parents with a phone call and in writing that the student is eligible to continue to participate in all All Saints practices and games. 8. If the student does not achieve an academic “C-” average in the 7 core educational subjects, the student is placed on academic suspension and is prohibited from all All Saints practices and games until the next card marking. a. The academic suspension period starts with the initial phone call notification from the athletic director. Both parents and the child’s coach are notified but to maintain each student’s confidentiality, the coach is not given access to students’ grades. b. The athletic director will inform the student and parents, in writing, that the student is on academic suspension. c. Academic grades will be automatically reviewed at the next card marking and the student will continue to follow steps 7 and 8 until the academic “C-” average in core educational subjects is met. 9. The student will be monitored for the remainder of the academic year. If for any subsequent report card period, the student’s progress falls below the acceptable academic “C-” average, the student will be placed on another academic suspension until the next card marking. During this suspension period, the student athlete is prohibited from all All Saints practices or games and will return to steps 7 and 8 of the academic policy.

Note: At the discretion of school administration, the current policy can be modified to best meet an individual student’s special needs.

Scholar Athlete

One eighth grade boy and girl will be selected from each sport season (Fall, Winter, and Spring) as a scholar athlete. Each scholar athlete will be selected by the principal and athletic director. The following selection criteria are taken into consideration when selecting the scholar athlete:

1. The nominee must have a 3.2 G.P.A. or better (“B” average or better). 2. The nominee’s citizenship, leadership, and athletic ability.

School/CYO Suspension Policy

Any student athlete that receives a school suspension will be subject to a 7 day ban from participation from all CYO activities. This includes being prohibited from attending all practices, games, and any team activities. The seven day ban begins on the first day of the served suspension.

Physical Examination

All student athletes participating in athletics must have a current physical examination record on file with the athletic director. (Current is defined as on or after April 15th of the current school year.) Student athletes must have on file a physical form dated after April 15 of the current year, certifying that he/she is able to participate in athletics. Student athletes will not receive their uniform or be allowed to practice until a physical form is on file. Please make a note on the physical form, and notify the coach, if there are any health issues of which the coach needs to be aware. These forms will be held on file by the athletic department for the school year and will be returned upon request.

Uniforms/Equipment Responsibilities

Student athletes are responsible for all uniforms and equipment issued to them. Athletic uniforms, both practice and game, are supplied for the sole purpose of All Saints athletic participation. Uniforms and equipment supplied to student athletes is not to be used for any other purpose.

When the season is completed, all uniforms and equipment must be returned on the date established by the Uniform/Equipment Manager. Uniforms and equipment should be clean and returned in the same condition it was received (normal wear and tear is excluded). A nominal uniform deposit fee (in the form of a check) may be charged prior to the start of the season to secure safe return of the equipment. If the uniform and/or equipment is not returned in the same condition it was received, or not returned at all, the student athlete and his/her family will be billed for the replacement value of the uniform or equipment less the held deposit. Any held deposit check will be shredded upon return of the uniform or equipment. Until payment for lost or damaged uniforms or equipment is received, awards and/or report cards may be withheld. Out of parish participants will have either their athletic director or pastor notified. Student athletes will not be allowed to participate in any other sports until payment is received or equipment has been returned. Uniforms and equipment will not be considered returned unless said uniform/equipment is received by the Uniform/Equipment Manager.

THE ROLES OF PARENTS

Parents, remember that first and foremost, any sports program is intended for the enjoyment of the game. Adult behavior should never embarrass the children, the school, or teams. Understanding the guidelines and sharing that understanding with your child will provide both with a great appreciation of teamwork in competition.

Parent Volunteers

Parents whose children participate in any All Saints sports program regardless of the season are required to support the general operation of the All Saints CYO by volunteering a minimum number of hours. The assistance needed varies with each sport. Some examples are set-up, concessions, admissions, announcing, scorekeeping, running the scoreboard, selling 50/50 tickets, team manager, coaching, and cleanup. Revenue generated from some of these activities cover the cost of building and field rental, referees, and equipment. Therefore, a mandatory commitment to work at home games of four (4) hours per sport must be made by the student athlete’s family for each student athlete participating in a sport. For sports like soccer, baseball, and softball where the availability of volunteer time is limited, families should volunteer time during a season like basketball or volleyball, where more opportunities are available. Parents also have the option of paying $100.00 to opt out of their four hours of volunteer service.

Parent Informational Meeting

When requested, parents will be required to attend an informational meeting for each sport in which their child participates.

The Spectator

The parent, as a spectator or in the company of additional spectators, has a responsibility to support athletics under the guidelines as follows:

1. Remember that you are at a contest to support and cheer for your team and to enjoy the skill and competition, not to intimidate or ridicule the other team, fans, or officials. 2. Remember that CYO level athletics are learning experiences for students and mistakes are part of the learning process. Praise the student athletes in their attempt to improve themselves as students, as athletes, and as people; just as you would praise a student working and striving in the classroom. 3. Learn the skills and rules of the game, so that you may understand and appreciate why certain situations take place. 4. Show respect for the opposing players, coaches, spectators, support groups, and officials. Treat them as you would treat a guest in your own home. 5. Refrain from making any kind of derogatory remarks to your opponents during the game. 6. Respect the integrity and judgment of game officials. Understand that they are doing their best to help promote the student athlete, and admire their willingness to participate in full view of the public. 7. 8. Be a positive role model through your own actions and by censoring those around you at events whose behavior is unbecoming, inappropriate, or distracting. 9. Any parent that fails to abide by these guidelines will be subject to investigation by the Discretionary Committee.

ALL SAINTS ATHLETIC COMMITTEE

Members of the Athletic Committee are all volunteer, elected positions, consisting of the following: Assistant Principal, Athletic Director, Communications Manager, Concessions Manager, Seasonal Sports Managers and Uniform/Equipment Manager. The Committee shall be responsible for setting CYO policies. Committee members must be the parent or guardian of at least one child that is currently attending or an employee at All Saints Catholic School.

Assistant Principal

The Assistant Principal will work in conjunction with the All Saints Athletic Committee members and all other stake holders to uphold the mission of the school and the All Saints Athletic program. The Assistant Principal’s essential functions are, but not limited to:

1. Present information at the seasonal sports parent meeting. 2. Present information and expectations and seasonal coaches meeting. 3. Assist in conflict resolution amongst coaches, parents, and all other stakeholders.

Athletic Director

The school Athletic Director is a hired, compensated individual. The school Athletic Director is responsible for the overall coordination of the school Athletic program. The Athletic Director is responsible to the All Saints Catholic School Principal and Assistant Principal. Upon appointment, the Athletic Director is required to sign and follow the Coach’s Code of Ethics. The All Saints Catholic School Athletic Director essential functions are:

1. Disseminates CYO sports information to the school. 2. Recruits and trains qualified coaches for all teams. 3. Hosts a parent informational meeting with the assistant principal regarding policies, season, rules and expectations. 4. Represents the school in league meetings. 5. Ensures that the philosophy and rules documented in this All Saints athletic handbook are followed in conjunction with the assistant principal. 6. Organizes the school athletic program and/or recruits volunteers to support functions including: registration, equipment, first aid supplies and uniforms, schedule practice facilities, distribute league schedules to all coaches. 7. Promotes the CYO/ All Saints athletic program in the school. 8. Plans a Eucharistic celebration by sports season for the student athletes; a Mass of Thanksgiving for the talent that God gave and for the opportunities that athletics provide in utilizing those talents. Fall/Winter/Spring. 9. Coordinates the overall CYO budget with principal, assistant principal and accountant. 10. Receives last year’s income/expense reports and is given the budgeted amount for CYO for the upcoming year (early August).

11. Drafts income/expense projections for the upcoming year. Submits projected income/expenses to the assistant principal and accountant for review (end of August)...any large items/projects need to be identified at this time 12. In conjunction with communication manager - ensures that all athletes have required medical forms handed in.

Uniform/Equipment Manager

The All Saints Uniform/Equipment Manager is responsible for the overall coordination of the school CYO uniforms and equipment for the sports programs.

1. Maintains equipment and uniform inventory. 2. Coordinates uniform checkout and check in with Team Coaches or Team Managers. 3. Coordinates equipment distribution with Team Coaches and Team Managers. 4. Collects all uniform deposits prior to the distribution of uniforms to team members, holds the deposits until all uniforms have been returned and inspected, returns deposits to Athletic Director for shredding. 5. Reviews equipment and uniform condition and provides feedback to athletic director.

Concessions Manager

The All Saints Concessions Manager is responsible for the overall coordination of the school concessions at All Saints home sports events. The Concessions Manager will have a support staff of parent volunteers and is broken up into four lead positions; Procurement set up, Clean Up, Operations.

The All Saints Concessions Manager is responsible for the overall coordination of the school concessions at All Saints home sports events. 1. Maintains concessions inventory and oversees purchases. 2. Makes all purchases for upcoming home games and submits necessary reimbursement forms through office. 3. Coordinates the setup of the concession area prior to all home games. 4. Reviews inventory after home game weekends to determine upcoming purchases 5. Coordinates parent volunteers for working concessions during home games. 6. Will coordinate all cleanup efforts after all home games. This includes tallying admission receipts and concession receipts.

Communications Manager

The CYO Communications Manager is responsible dissemination of CYO communications. 1. Work with school leaders to promote the CYO All Saints program in the school. 2. Support CYO communications in partnership with the Athletic Director including, but not limited to updating the All Saints CYO website. 3. Record minutes of monthly Athletic Committee meetings.

SEASONAL COORDINATORS (Fall, Winter, and Spring) 1. Oversees game day operations for home games and tournaments. 2. Oversees announcing and scorekeeping. 3. Creates and maintains volunteer sign-up genius for home games, ensures all spots are filled and accounted for. 4. Ensures that coaches have all required coaching documents handed in. 5. In conjunction with A.D. and Communication manager ensures that all athletes have turned in their physical forms and parent signed code of conduct forms. 6. Creates athletic schedules in a timely fashion for distribution to all stake holders (parents, administrators, and secretaries) at least three weeks before the start of the next sports season. COACHES

Coach Selection Policy

All coaches should be familiar with the rules and regulations as set out by Archdiocese of Detroit CYO. Each level of competition requires different degrees of instruction, compassion, and understanding. A sports program should be viewed as an educational experience for children, a learning period in their lives to guide them as they grow.

Final coach selections will be approved by the athletic director and based on a recommended list submitted by the Seasonal Coordinator for the sport. The recommended coach list will be made according to the criterion as follow:

1. Knowledge of the sport fundamentals and rules. 2. Coaching experience. 3. Ability to communicate and interact positively with children. 4. Time availability and dependability. 5. Ability to communicate positively with parents. 6. Fairness to all children and the program. 7. Ability to follow rules. 8. Post season parent survey response.

While we appreciate the time commitment a coach invests, there is no guarantee that a coach will be selected to coach the following year based on the previous year’s coaching. The above criteria will determine coach selection from year to year.

Coach’s Code of Ethics

A CYO coach is a minister to the youths of the program and shares the gifts of sports through teaching, training, administration, and guidance of athletes. A CYO coach must be 18 years of age or older. He/she must be present and responsible for his her team at all times. The coach is the official representative of the School at interscholastic athletic activities. In this important capacity, the following standards should be practiced:

1. Attend the “Protecting God’s Children” Workshop. 2. Attend the preseason coaches’ meeting for the respective sports at the time and place designated by the CYO Athletic Director. 3. Develop an understanding of the role of CYO sports and communicate it to the players, parents, and the public. 4. Develop an up-to-date knowledge of the rules, strategies, safety precautions, and skills of the sport and communicate them to the players and parents. The coach is responsible for ensuring the adherence to these rules. 5. Develop, communicate, and model policies for athletes’ conduct and language in the locker room, at practice, during travel, during competition, and at other appropriate times. 6. Develop fair, unprejudiced relationships with all squad members. 7. Allow students to try out each season. Team selections should not be based on previous seasons or out-of-season activities. During the team selection process, it is recommended that the coaching staff contact each participant. The preferred method would be one on one, which is more personal, but telephone contact of each child is acceptable. 8. Take care not to schedule practices or events that will interfere with religious duties and classes. Allow athletes time to develop skills and interests in other athletic and non- athletic activities provided by the parish, school, and community groups. 9. Conduct preseason meetings of parents and coaches to ensure that everyone understands his/her responsibilities. 10. Teach players, by precept and example, respect for parish/school authorities and contest officials. Make sure athletes have an understanding of fair play, sportsmanship, and acceptance of winning and losing in accordance with Christian ideals. Provide support for players in cases of adverse decisions and refrain from critical comments in public or in the media. 11. Be responsible for the actions of team members. 12. Attend to the physical and mental health of athletes. Take special precautions to be sure the physical environment is safe to play. Maintain an adequate first-aid kit and keep medical forms on hand. 13. Exemplify the highest moral character, behavior, and leadership, adhering to strong Christian, ethical and integrity standards. Demand the same of your players. 14. Respect the integrity and personality of the individual student-athlete. 15. Set a good example for players and spectators. 16. Safe Environment for Adult Coaches

All Coaches selected will be required to complete the following five steps to be considered an approved volunteer coach through the CYO. Every person connected to the Archdiocese of Detroit, whether clergy, employee or volunteer, are required to submit to certain protocols before possibly coming in contact with a child. 1. Fill out and sign the Coach's Contract and return it to the Athletic Director. 2. Fill out and sign the Background Check and Authorization Form and return it to the Athletic Director. A background check is completed annually by the school office. If this has already been done for another group at All Saints this year, it need not be submitted again. Register for and attend a Protecting God's Children Workshop prior to the start of your volunteer position or at the next available workshop date. Instructions for registering for one of these classes are found on the Virtus web site https://www.virtusonline.org. Further PGC Workshop information can found at the Archdiocese of Detroit website at http://www.aod.org/our-archdiocese/protecting-children/. Please remember that an appearance at a workshop does not necessarily mean you are approved. You have to register properly online, sign the attendance sheet at the workshop, and stay for the entire workshop. Your certificate of completion will be sent directly to the school office. 6. Completely watch the 30-minute online CDC Concussion Awareness Training video at http://www.cdc.gov/concussion/HeadsUp/Training/index.html and submit the certificate prior to first team practice and return the certificate to the Athletic Director.

Safe Environment for Teen Volunteers

All teenage (in grades 9-12) volunteer coaches selected will be required to complete the following three steps to be considered an approved teenage volunteer coach through the CYO. 1. Along with a parent or guardian, fill out and sign a Teen Background Certification form and return it to the Athletic Director. 2. Within 6 months of beginning the volunteer experience, the teen must attend a Called to Serve workshop. this workshop at their school and should submit a copy of the certificate to the Athletic Director. TEAM MANAGER

The Team Manager is responsible for the overall coordination of the sports team he/she is supporting. The Team Manager is responsible to the team Coach and the Athletic Director.

1. Assist the Coach in conducting an information meeting for all parents at the start of each season to discuss practice and game rules, league information, CYO and coaching philosophy, and other necessary information for the coming year. 2. The Team Manger is responsible for coordinating distribution of team/coaches information to the athletes and parents. 3. Complete AOD team registration form and submit to Athletic Director. 4. Work with school leaders to promote the All Saints CYO program in the school. 5. Coordinate team’s volunteer hours during home games.

DISCRETIONARY COMMITTEE

1. The function of the Discretionary Committee shall be to investigate issues, complaints or conflicts brought forth pertaining to the Code of Conduct, under the direction of the Assistant Principal. 2. The Discretionary Committee shall be comprised of four people: the Assistant Principal, Athletic Director, Seasonal Coordinator, and the All Saints Principal or their designate, unless the issue directly involves a complaint against one of the Discretionary Committee members. In that instance the other two Discretionary Committee members shall meet without the member identified in the complaint. 3. The Discretionary Committee shall investigate, make a written report and rule upon the aforementioned issues, which may include the conduct of an athlete, student, parent, coach or Athletic Director, on or off school premises which is directly related to CYO. 4. Investigation shall commence upon a written or oral complaint and request for investigation by anyone having an interest in the matter, including students, athletes, parents, teachers, coaches, and Athletic Director. It is strongly preferred that issues/complaints be brought in writing and signed by the person bringing the issue/complaint forward. If the person bringing the issue/complaint does not make a written request for an investigation the Discretionary Committee will only pursue an investigation if the gravity requires it. 5. The Discretionary Committee shall as expeditiously as possible investigate said issue, issue a written report and take the appropriate action warranted. 6. Both the subject of the issued complaint and the person bringing the issue/conflict forward in writing shall be afforded a copy of any report generated. The Athletic Director shall keep copies of all reports in a confidential file. 7. The decision of the Discretionary Committee may range from no merit and no action taken to censor, suspension or dismissal from CYO events or programs.

ATHLETIC REQUIREMENTS FORM

Parents and student athletes are required to fill out the Athletic Requirements Form on the All Saints CYO Athletics website prior to the start of the sports season. This form only needs to be filled out once per school year and must be filled out for each student athlete and a link to the form on the All Saints CYO website will be sent out via e-mail prior to the start of the sports season. In addition to emergency contact and student athlete information (including medical insurance, allergy, parish of baptism, and date of birth), this form contains the Student Athletic Code of Conduct, Parent/Guardian Code of Conduct, Parental Approval, Image Authorization, and Medical Alerts and Waiver of Liability and Authorization for Emergency Medical Care agreements. The language contained in these agreements follows:

Student Athletic Code of Conduct Agreement

I will conduct myself in a Christian manner, exhibiting respect, responsibility, fair play, good sportsmanship, and be a team player while representing All Saints Catholic School. I will observe school and team rules while participating in All Saints Catholic School sanctioned athletic events, contests, practices, and games. I will do my best to arrive at practice and games on time. I understand that I am responsible for my uniforms and any other equipment belonging to All Saints Catholic School and that I will clean and return my uniform at the end of the season.

Parents/Guardian Code of Conduct Agreement

I will provide a good example of Christian behavior by supporting my child in his/her compliance with the Student Athletic Code of Conduct and will lead by example in teaching sportsmanlike behavior. I will never confront the coach or team manager with emotional issues in front of the players. If I have a concern with a coach, I will wait 24 hours after the game to contact the coach for a meeting. I will ensure that my child has the means to arrive and be picked up on time for practices and games. I will support All Saints Catholic School by meeting athletic volunteer obligations.

Parental Approval Agreement

I hereby give my consent for the above student to engage in physical education, intramural and interscholastic athletics at All Saints Catholic School and in Catholic Youth Organization (CYO) sanctioned sports and to accompany the team as a member on out of town trips. I also agree to reimburse All Saints Catholic School for any lost or damaged equipment issued to my child.

Image Authorization Agreement

1. All Saints Catholic School CYO engages in various correspondence with parents, students, faculty, and members of the community regarding education, the School, its mission and its educational and other activities, including maintaining a website on the Internet; publishing a parish and/or School bulletin and/or newsletter or brochure;

publishing articles in community newsletters; producing videos or DVDs; etc. (collectively, “Publication”). 2. In connection with the Students’ attendance at the School and participation in School events and activities, or as part of Students’ school work or extracurricular activities, Students may create drawings, artwork, etc., stories, essays, poems, reports, and other writings or Parents may provide to the School, or the School may create or have created, certain audiotapes, videotapes, photographs, drawings, or other materials which contain the likenesses of the Students (collectively, “Images”). 3. Parents authorize the School to use, display, adapt, copy, modify, and post any such Images, now or in the future, as the School deems appropriate, in Publications throughout the time the student is enrolled at All Saints Catholic School. 4. Parents understand and agree that there will be no compensation of any kind provided to Parents or Students by the School, or by any third party, for the Images for this Authorization and rights granted to the School by the Parents. 5. Parents or Students may cancel this Authorization at any time by providing written notice to the School at 48735 Warren Road Canton, MI 48187. In addition, Parents may, at any time, direct the School in writing at the same address to remove any particular Image from its web site. Within a reasonable time after such direction, the School will remove the Images of the Students from its web site and delete them from future Publications. 6. The School will not be liable to the Parents and/or the Students, regardless of the form of action or theory of recovery, for any direct, indirect, incidental, consequential, special, punitive, or exemplary damages in connection with, or in any way related to, this Authorization or the School’s use of the Images of the Students authorized in this Authorization.

Parents have read and understand this Authorization and have made this Authorization based solely on their judgment and not on any representations or promises from the School. This Authorization constitutes the entire agreement with respect to the School’s use of the Images. This Authorization may be amended or supplemented only by a writing signed by the School and Parents.

Medical Alerts and Waiver of Liability and Authorization for Emergency Medical Care Agreement

I/We hereby authorize the Principal of All Saints Catholic School, or his/her designee, Athletic Director, coach or sponsor in attendance at any All Saints Catholic School contest or event to select, secure, and consent to necessary medical attention for my child resulting from injury, illness or accident requiring medical care while I/We are not in attendance. I/We hereby release All Saints Catholic School and such person from any and all liability on account of such selection or authorization and for any and all damages which may occur on account thereof.

Disciplinary Action

Any violation of the prohibited actions in the Student Athletic or Parent/Guardian Codes of Conduct could result in a disciplinary action, as determined by the Discretionary Committee, which may include one or more of the following:

1. Written reprimand. 2. Inability to participate in CYO events. 3. Expulsion from program.

The All Saints Athletic Organization is committed to ensure an orderly, safe, and healthy environment for children, parents, coaches, and spectators related to athletic department sponsored sporting events. Good communication between the All Saints Athletic Department and the parents of the children who participate in sporting activities is deemed an essential part of the All Saints Athletic Department.

Coaches and parents of children who participate in the All Saints Athletic Department sponsored sporting activities, who have concerns of issues centered around, but not limited to, sport policy and procedures; coaching, Seasonal Coordinators; conduct of parents; conduct of players; conduct of opponents; practice; and playing time should take the following steps to resolve the concern:

1. Discuss concerns or issues with the individual coach. 2. All unresolved concerns or conflicts brought forth to a coach should be documented by both parties on a Conflict Resolution Form and sent to the Athletic Director. The Athletic Director will investigate the alleged actions to determine if merit exists to pursue protest to the Discretionary Board within seven (7) days. 3. If sufficient information leads to the conclusion that the alleged action did occur, the Discretionary Board shall render a decision in writing within seven (7) days. The decision may range from no merit and no punishment to censor, suspension or dismissal.

In the event that an athlete, parent or coach is involved in an investigation of an alleged civil or criminal offense either in school or out of school, the Athletic Director under the direction of the Discretionary Board will immediately suspend that individual pending an investigation. The incident will be reviewed and the Discretionary Board shall render a decision based on the merits. These actions may include but are not limited to the following:

• Damage to a facility or property (All Saints or visiting property). • Possession of an item, weapon, material or substance, which is deemed harmful or hazardous to others. • Physical intimidation of any individual during an event, game or practice. • Possession of illegal drugs or illegal use of drugs. • Possession or consumption of alcoholic beverages during a game, event or practice. • Suspension or expulsion from school for any reason not mentioned above.

INFORMED CONSENT/INSURANCE

By its nature, participation in interscholastic athletics includes risk of injury, which may range in severity from sprains and strains to permanent disability and death. Although serious injuries are not common in supervised CYO athletic programs, it is impossible to eliminate the risk.

Participants have the responsibility to help reduce chance of injury. Players must obey all safety rules, report all physical problems to their coaches, follow a proper conditioning program, and inspect their own equipment.

All Saints Catholic School will not assume financial responsibility for medical, dental, or hospital expenses incurred because of athletic injuries. The parent/guardian assumes all financial responsibility for any injury.

Participation in athletics is a voluntary, extracurricular activity in which the student participates. All participants do so at their own risk. The coach, school, or church will not be liable for injury.

FEES

Sport Participation Registration Fee

Each sport has a mandatory registration fee which helps to defer the overall cost of the sport.

CYO Booster Club Fee Each family having at least one student athlete participating in an All Saints CYO sport will be required to pay an annual CYO Booster Club fee of $50. This fee will be collected at the time of registration and is in addition to the Pay to Play fee. Once the fee is paid, admission to home basketball and volleyball games will be free to the parents and siblings of the student athlete. All other family members will be charged regular admission rates.
