General information Meeting & Event offer is valid within 2 weeks. After termination of this period the Hotel has the right to cancel booking for the meeting rooms and to change prices in its discretion.
Confirmation The Client shall confirm the event in written form 2 weeks prior to event`s date. The Client shall confirm the final amount of participants 72 hours prior to the date of the event.
Corrections In case of increase of the amount of Guests on the day of the event the Hotel will provide appropriate service upon availability and charge extra service. The Hotel will not be responsible for rendering the service for the guests exceeding 5% (ten percent) of agreed amount of Guests.
Reservation The Client is obliged to start and finish the event and leave the venue in specified time and agrees that the Guests invited to the event shall leave the venue in specified time of the event`s termination. In case of amendments to the existing reservation the Parties make recalculation of the ordered conference services and if necessary the Hotel issues an invoice for the additional service.
Cancellation policy In case the Client cancels conference, accommodation, food & beverages services provided by the Hotel the following penalties will be charged: Within 14 days prior to event`s date – no penalty. Within 13-7 days prior to event`s date – 50% of the total amount of all cancelled services cost. 7 or less days prior to the event`s date - 100% of the total amount of all cancelled services cost.
Beverages Organizers and Guests of the event are prohibited to bring any beverages to the Hotel without prior agreement with the Hotel. In case of such agreement the Hotel reserves the right to issue an invoice for the additional service.
Outdoor equipment The Client shall provide the Hotel with the list of equipment and materials planned to be brought to the Hotel before the beginning of the event and appoint the representative person of the Client responsible for the equipment. The responsible person and the Hotel’s security check brought equipment and materials at the time of arrival and departure.
Entertaining services The Client agrees: Not to conclude any agreements with third parties about music tracking or other entertaining services without the written confirmation of the Hotel. The Client agrees: Not to erect any signage or other advertising material in the Hotel without prior agreement with the Hotel. The loudness of any entertainment program cannot exceed 85 Dbl.
Responsibility The Client is financially responsible for all damages sustained, or loss incurred by Client’s guests on the territory of the booked meeting rooms or any other premises of the Hotel. The Client is obliged to execute all current laws and regulations related to the conference services and responsible for paying all corresponding taxes. The Client is responsible for its Guests to follow reasonable instructions of the Hotel`s staff. The Hotel is not responsible for lost or damaged properties of the Client or its Guests located on the territory of the hotel.
