UK Contingent - 16th World Scout Moot 2022 Registration Terms and Conditions UK Contingent - 16th World Scout Moot 2022 Registration Terms and Conditions 1 These terms and conditions apply to registrations to attend the 16th World Scout Moot 2022 to be held in Ireland in Summer 2022 as a member of the UK Contingent as a participant or International Service Team (IST) member. 2 Registration takes place after Application and your offer of a place, and (unlike the prior application stage) confirms your place in the UK Contingent. 3 By completing your registration to the event you agree to comply with these terms and conditions. 4 Registrations will be accepted until 31 December 2020, though only from applicants who have already been offered a place by the UK Contingent (according to the application process and/or ballot) 5 In some cases late registrations may be considered, at the discretion of the Scouts 6 By registering, you confirm that: • You are a current member of the Scouts* and will be 18 years or older** at the time of the start of the World Scout Moot on 18 July 2022. (“Eligible Applicants”) • You have provided the Scouts with all information which might reasonably be thought to be relevant or necessary for us to consider your application; and • All information provided by you in your application is true, accurate and complete, and you shall notify TSA immediately of any changes to information provided; and • If your application is successful you will actively contribute to achieving the Contingent objectives throughout the build-up to and during the Event. *For the purposes of IST applicants to this event, the UK Contingent accepts membership of Girlguiding UK to be equivalent to membership of the Scouts. **If you are currently under 18 you agree to obtain adult membership with the Scouts before you turn 18, if you have not done so already 7 The Scouts’ decision on eligibility and the decision on successful applicants shall be final and no correspondence shall be entered into. 8 The Scouts reserves the right to reject your registration, withdraw your offer, or cancel your attendance at the Event, if you are in breach of any of the terms and conditions of Page 1 of 3 UK Contingent - 16th World Scout Moot 2022 Application Terms and Conditions this application and in particular; but not limited to, if any information provided by you is found to be untrue, inaccurate or incomplete. 9 You will be required to make payments to the Scouts in the sum, instalments and deadlines as outlined on our website at https://scouts.org.uk/international-events/moot- 2021/how-to-get-involved/fees-and-payments/payment-of-fees/. Please ensure you make payments promptly so that we can ensure that our suppliers and the Organisers are paid on time. 10 Failure to make payment of any sum due by the deadlines may result in your attendance at the Event being cancelled, at the sole discretion of the Scouts 11 If you are offered a place to attend the Event you will be responsible for meeting all costs associated with your attendance at the Event, including travel and accommodation. 12 You should ensure that you comply with all reasonable advice and guidance regarding travel to the Event including any health information issued by Public Health England. 13 The Scouts reserves the right to amend or vary these terms and conditions at any time, any changes shall be notified to you. If the change is significant and as a result you are no longer able to attend the Event, the Scouts will return to you any money already paid to you subject to the Scouts being able to recover the relevant costs from the Organiser in accordance with its refund policy, https://www.worldscoutmoot.ie/wp- content/uploads/2020/08/Booking-Terms-and-Conditions-2022-v1.1-Final.pdf 14 You may cancel your attendance at the Event at any time. However, please note, all payments made are made on a non-refundable basis. This is due to The Scouts obligations to make payments to its suppliers and the organisers of the Event in advance and in accordance with strict deadlines. If you cancel before the Scouts has made payment to its suppliers or the organisers, then your payment may be refundable (in full or in part) at the Scouts’ sole discretion. 15 To cancel your attendance at the Event, you must inform us by email to [email protected] or in writing to the following postal address: The Events Team, The Scout Association, Gilwell Park, Bury Road, London, E4 7QW. 16 If you are unable to attend the Event due to your adult membership of the Scouts or Girlguiding being suspended or cancelled, any payments that have already been made to the Scouts will only be refundable at the sole discretion of the Scouts. 17 Your place at the event may be withdrawn if the Scouts determines that a serious breach of conduct has occurred for which you yourself are responsible (such as for example, your gross negligence resulting in a danger to others, or your failure to perform duties you have agreed to if you have undertaken an IST volunteer role). If your place at the event is removed due to a breach of conduct, then any payments that have already been made to the Scouts will only be refundable at the sole discretion of the Scouts. 18 The Scouts will provide you with information and updates regarding the Event, but please note that this Event is being operated and organised by Scouting Ireland, the “Organiser”, and you must comply with terms and conditions, policies and procedures issued by the Page 2 of 3 UK Contingent - 16th World Scout Moot 2022 Application Terms and Conditions Organiser relating to the Event. Please see the Event Organiser’s website for further information https://www.worldscoutmoot.ie/. 19 The Scouts cannot accept responsibility for any personal property you take to the Event. Any property is taken at the owners risk and TSA cannot be held liable for the loss or any damage to such property. TSA advises you to make your own arrangement for any additional insurance that may be required for such property. 20 TSA shall have no liability to you in respect of any direct or indirect loss, economic loss or loss of opportunity arising in connection with your application or attendance at the Event. 21 These terms and conditions shall be governed by and interpreted in accordance with the laws of England and Wales and both parties hereby submit to the exclusive jurisdiction of the English courts.
