PRIMARY FUNCTION INCLUDING UNIT CONTEXT: The position supports the translation of the Foundation’s strategic objectives into operational plans and actions for the development and growth of the Foundation. The role will also be required to: manage the office, staff and accounts of the Sydney Peace Foundation (SPF); to establish and strengthen relationships with internal and external stakeholders, partners and sponsors; to plan and manage the annual (SPP) program including nominations and Jury process, and a high profile campaign that involves public events, media, and community engagement; and to develop and coordinate philanthropic giving, supporter giving and other fundraising initiatives, in association with the SPF Executive Council as well as the University’s Advancement Services and Development Office.

As a leadership role of the Sydney Peace Foundation this position involves delivering the Sydney Peace Prize program in addition to building strategic fundraising partnerships with philanthropists and foundations, building strategic relationships with civil society leaders, and engaging the Council to drive the Foundations growth.

UNIVERSITY & FACULTY / PSU / PORTFOLIO OVERVIEW: The Sydney Peace Foundation is a not-for-profit Foundation of the University of Sydney’s Faculty of Arts and Social Sciences. It is an alliance of media, corporate, academic and community interests.

The Sydney Peace Foundation showcases solutions that prove that peace with justice is possible, and inspires and empowers people from all walks of life to create that reality in their lives and communities.

The Foundation does this primarily by awarding the annual Sydney Peace Prize, Australia’s international prize for peace, as well as other public activities and contributions to public dialogue and debate. The Sydney Peace Prize is a tool to recognise and elevate the voices of some of the world’s most effective champions for peace and justice, influence public debate, inspire hope and connect the community with new thinking, and convene stakeholders and advocates across sectors.

Since 1998, the Sydney Peace Prize has been awarded to exceptional people both local and international including Archbishop , , , , , Patrick Dodson, , and AO QC, , the Global Network. The 2018 Sydney Peace Prize will be awarded to Professor .

The Foundation Manager (FM) reports to the Head, Strategic Partnerships & Engagement in the Faculty Office and has dotted line reporting to the Chair of the Sydney Peace Foundation, which is a volunteer position not filled by a University staff member and who heads up the Foundation’s Executive Council. The FM receives support from the Foundation’s Communications and Events Officer (0.6 FTE).

Until the Head, Strategic Partnerships & Engagement is appointed, the Faculty General Manager of the Faculty of Arts and Social Sciences is the supervisor of the FM in the University of Sydney structure, and is responsible for performance management and the development of the post-holder.

KEY ACTIVITIES AND ACCOUNTABILITIES: (Up to 10 key accountabilities in order of most to least important) The following activities and accountabilities are designed to deliver outcomes aligned with the University’s strategic goals. In the course of delivering outcomes, the incumbent is expected to honour and adhere to the University’s policies, codes and guidelines including the University’s Code of Conduct while consistently demonstrating the University’s culture and values.

FREQUENCY 1. Provides operational and administrative management for the Foundation and in particular the annual Sydney Peace Prize program:

• Manages operating activity for the Foundation and Sydney Peace Prize (SPP) program including effective planning, delegating, coordinating, staffing, organising, and decision making to ensure financial and operational objectives and goals are reached. • Establishes, organises and manages an impactful campaign of major public events and community engagement • Identifies campaign priorities and arrange and manage strategic media, publicity and communications accordingly Ongoing • Scopes and establishes partnerships and acquires sponsors to increase impact, reach and sustainability of the SPP campaign • Manages the public call for nominations, as well as the convening and deliberations of the Sydney Peace Prize Jury • Ensures the SPP campaign is delivered within budget and oversee accounts • Liaises with the SPP recipient • Organises logistics and travel arrangements for the SPP and other events

2. Supports the translation and implementation of relevant parts of the overarching Foundation’s strategy and business plans.

• Provides strategic support and sound advice to the Chair and Foundation’s Executive Council, consulting on strategic priorities for the Foundation. • In collaboration with the SPF Chair and Executive Council, develop and implement annual and multi-year strategies and plans for the Foundation, including expanding its portfolio of public programs, diversifying revenue streams and establishing and strengthening community partnerships and stakeholder relations. • Supports the ongoing translation and implementation of the Foundation’s strategic plan, monitoring and reporting its progress to the Faculty & Executive Council; identifying and making recommendations to address the Foundation’s implementation challenges. Ongoing • Provides operational advice to the Chair and Executive Council, consulting on strategic priorities to ensure that the Foundation’s priorities and work plans reflect these. • Works with the Executive Council and Chair to disseminate communication of Faculty’s and Centre’s strategic initiatives into sound operationally aligned plans for the Department. • Prepares and presents discussion papers on a broad range of issues for the Foundation’s Executive Council’s review, inclusive of appropriate and relevant analysis, business strategy and final recommendations • Provides regular statistical and business reports on activities, and quantitative results of key projects, to enable benchmarking, to ensure that the Foundation is meeting its performance targets, highlighting gaps and identifying corrective strategies where needed.

3. Manages and coordinates the Foundation’s fundraising activities, including supporter giving, philanthropic gifts and grants

• Build and maintain strategic relationships with civil society leaders, a pool of existing donors, and supporting the Executive Council with donor cultivation and stewardship • Build strategic fundraising partnerships with philanthropists and foundations to ensure the ongoing viability of the Foundation. • In collaboration with the Communications and Events Officer, co-ordinates annual appeals in association with the University’s Advancement Services and Development Office Ongoing • In collaboration with the Communications and Events Officer, acquires and stewards event sponsors • In collaboration with the Communications and Events Officer, administers and reports on the Foundation’s City of Sydney Community Grant, and explores funding through other grants, foundations, etc • In collaboration with the Communications and Events Officer, manages fundraising initiatives at events, including silent auctions, event donations and book sales

4. Builds relationships and manages communications with key stakeholders within SPF, across the University and externally

• Develops and maintains collaborative relationships with professional and academic staff in the Faculty and across the University; • Promotes, engages and generates enthusiasm and support for the Sydney Peace Prize and other SPF activities; develops and implements communication plans to promote the Sydney Peace Foundation within the University and externally. Ongoing • Creates and builds rapport with diverse external stakeholders (such as the City of Sydney, NGOs, community groups, government, industry) to generate awareness and support for the Sydney Peace Prize and identify opportunities for impactful collaborative partnerships ensuring the growth of the Foundation. • Manage excellent donor/sponsor engagement to execute strategic fundraising and partnership initiatives.

5. Oversees the Foundation’s financial affairs to ensure accuracy and transparency

• In collaboration with the Chair, sets and monitors annual budgets, targets and the allocation of resources across projects • Manages income, cost and expenditure for SPF, ensuring financial plans are in place, and As required revenue and expenditure meet agreed targets and quarterly budget • In collaboration with the Communications and Events Officer, liaises with Faculty finance team to manage the SPF’s day-to-day income and expenses

6. Provides effective leadership, guidance and support to SPF staff, volunteers and interns

• Works in partnership with, and provides leadership and support to the Communications and Events Officer, the Chair and members of the Executive Council • Ensures effective collaboration takes place between SPF staff and other groups within the University. Ongoing • Supports the performance and development of administrative staff including feedback, coaching and support for individual performance, career and talent development, to build a cohesive, effective and high performing team • In collaboration with the Communications and Events Officer, recruits, trains and supervises long- term interns and event volunteers.

7. Maintains governance and control and key compliance requirements for the Foundation

• Provides sound advice to staff, volunteers and interns around governance, management and decision making processes of the Foundation. • Ensures the Foundation complies with Faculty’s requirements including the Faculty’s management procedures, annual reporting and regular reviews. As required • Works with the Chair and Line Manager to ensure that effective and required governance procedures are in place, budget planning and management occurs and that the Foundation operates under a financially sustainable model. • Works with the Chair and Line Manager to ensure that effective and required governance procedures are in place for the management of the City of Sydney grant.

8. Manages risk and workplace health and safety for the Foundation

• Coordinates the identification and management of risks that threaten the efficient and effective execution of the Foundation’s business plans, or the delivery of core services within the Foundation, and the structured and coordinated approach to mitigating the potential risks eventuating. • Ensures that a safe working environment is in place for all staff, volunteers and interns and As required continuously monitors and evaluates risks and opportunities for improvement, in line with University policy, NSW Health policy and legislative / regulatory requirements and in collaboration with HR’s WHS Unit as required. • Ensures compliance with University of Sydney and NSW Health WHS Management System, including WHS Policies and Procedures throughout program implementation.

They have discretion to plan their work on a daily, weekly and often monthly basis, to ensure that their key accountabilities are met and work goals are achieved. They will resolve often complex matters related to their key accountabilities, and collaborate with other staff members on complex issues that might have some relevance to their key accountabilities. They will be responsible for several definable work goals, develop and implement programs related to their key accountabilities, may have staffing responsibilities, and need to elicit the assistance of others to achieve work goals. They will likely be the point of contact for escalated issues related to their key accountabilities, and more junior staff may look to them for guidance and support in achieving their work goals. As an experienced professional, the job-holder will provide sound advice and recommendations, exercise independent judgement and apply extensive professional know-how to achieve their work goals. The job holder will work under guidance of the Chair and with a small team of staff, interns and volunteers as well as stakeholders in the University environment and wider community to meet program objectives.

QUALIFICATIONS AND/OR CERTIFICATIONS Tertiary qualifications in business administration and relevant work experience in areas such as, campaigning, advocacy, public engagement, public policy, government administration, higher education, project management and managing complex projects.

EXPERIENCE AND SKILLS CRITERIA (Select up to 8 in order of most to least important) Demonstrated ability to translate strategic plans into local operational practices that enhance the Foundation’s administrative function.
