Balliol JCR Minutes: 2008 Committee Lunches Committee Lunch - 2008-01-10 Apologies: Ralph Malein AS: Welcome. Explains the idea of Committee lunches; reprimands people who failed to fill in officer contact list; explains website: passwords/usernames etc.; explains and emphasises usefulness of news feed; request all outstanding officers’ photos to be sent in (JE suggests officers pick their photo wisely, her JCR photo is now all over the Web); explains termcard and mail-lists; emphasises JCR officer Noticeboards – JE mandated to buy material to cover them - each one should have names, photos, contact details, description of roles. Should be done by end of 1st week AS: 1st GM this Sunday – everyone on Committee should be there (apologies to IL): officers’ reports need to be done despite fact no-one has done anything (except super-keen RAG officers, Lord Lindsay and Drs WHO) – should outline purposes for coming term; get submitted by 6pm on Saturday. JE: Bop clean-up operation at 0100 hours – EVERYONE on committee will clean for 1st bop – thereafter alternating shifts. AS will try to remain sober enough not to confuse bleach with floor cleaner. JCR has to be extra-clean this time – AS explains due to lack of cleaners at the moment Entz: “Have fun” – needs more bar work volunteers, and emphasises rewarding/fun nature of work and times of shifts AS gives permission for Committee members to have fun, but draws line at ‘being comatose’. EG: reminder of Alice’s birthday (which was in January) – AS will buy flowers today JD: Lion mascot saga: wants to buy on E-bay and then ‘pimp’ the costume AS: reminds Messers D&M of need to in some way ‘make’ costume MF: Is it a 2-person costume? JD: No – at this point AS recounts personal and amusing anecdote involving a 2-person horse costume... leads to general excitement as prospect of AS wearing costume at GMs etc. etc. AS: Buying costume fine, as long as within price limit JdeB: Asks for gossip for JdeB. Eyes glance at Drs WHO and conversation trails off JJ: Interviews went ‘good’ AS: Need to fix time for committee lunches. JE prefers Mondays, but AS likes midweek – Wednesday decided provisionally starting from 16th Co-option put on Agenda for next Committee lunch (Committee positions: environment and ethics officer; non-committee: bar social sec & maestro music) CS: Stresses importance of Bar Social Sec – Entz not really responsible for Bar social life; plea for volunteers AS: If not filled, then one of Committee is made to fill the role. Brings lunch to an end, no further questions. Tom Gibson wants name Freshers’ week name to be more ‘communist-related’. i.e. aim is to get more involvement and co-ordination. Comprises VP, Bar Social Sec, Lord Lindsay, DRs Who (a bit) and Admissions (included because they don’t do very much now, and will represent the non-alcoholic types.) Will meet four times during Trinity. Drs Who: College welfare committee wants to have input into Freshers’ week welfare AS: Ok. We aren’t criticising Freshers’ week in the past. Other colleges have separate committees, but we want in our case to have greater JCR committee input and presence, hence sub-committee. A bit more organisation too would be nice. DT: In our Freshers’ week there weren’t many club nights JE: Not so. Went to a different club every single night of the week. AS: Possible Freshers’ week sponsorship motion to GM… will probably fail. Again - AS: Doug has started up a new college welfare committee Drs Who: Trinity have organised mandatory talks from all welfare people concerning support before finals exams designed to reassure and calm people down. Will get in touch with subject parents and make them actually do something. AS: College nurse has witnessed less people deferring right before the exams at Trinity. Hence college are very keen. Drs Who: Want to change the way they are elected in MT. Should be more of a crossover period rather than a simple changeover, because their job’s so complicated and demanding. This could be complicated though and would exclude freshers from the election AS: Good idea. Examined in the next GM. Maybe have to go through exec. as well. Drs Who: another college welfare meeting for next term since they only actually got through one point of four in the last meeting - AS: Wants to start up housing committee next term to get people’s opinions on the various forms of accommodation. Wants systematic survey of opinion rather than just rumours etc. - AS: Tuesday hall. Attempt to introduce more formal hall into Balliol. Tends to be more popular with MCR than JCR. BYOB, waiter-service, guest and speaker nights included. A parents’ dinner later this term, there was a ‘parents’ day’ in Trinity last year which was popular; apparently parents enjoy this sort of thing. We are going to do some advertising since college never do. Really nice champagne reception in the (very nice) SCR, allowed into hall ‘the back way’ etc. etc. and other unmissable perks. JD: What is the dress code? AS: Not sure, but it should be formalised a bit more to prevent potential embarrassment. Some colleges have DJs, others just a gown, smart/casual etc. * General suggestion of jacket and tie. Discussion ensues of exactly what ‘smart casual’ constitutes * JJ: Formal dress makes the price a bit more sensible. DT: Black tie is a bit much for guys – jacket and tie a better compromise AS: Will communicate the ideas to Howard Chirgwin JJ: Last time a crewdate constituted… * FIRE ALARM. EVERYONE RUNS FOR THE EXIT - is this the end of JCR Committee?* * Hysteria is calmed and lunch resumes* * At this point in the proceeding the secretary is forced to leave for a tutorial, and therefore accepts no responsibility for terrible minuting from hereon. * AS: We’ll see about that. Now on to boards and photos JJ: Our board is pointless by definition since admissions board will only be seen by those already here AS: JdeB have no board, Jasmine hasn’t done anything yet. Also, Photos on the website – admissions, ac affairs, charities entz, jdeb, dnm and foodies have no photos – we need these by the end of the week. AS: The laptop has been ‘fixed’ and we are making regular backups, so we are holding onto the money until later. - AS: VAT– we still have a massive ongoing bill, Ralph will write a letter (again) RM: *Shock* at this prospect AS: College lawyers say we may not need to pay the £8000, we will talk to accountants. - AS: Officers’ reports in by Saturday at 6pm, but it is not constitutionally that it needs to be every week, so we’re going for every GM – half the work (=double the quality). - JE: Half the committee for bop clear up – except Entz, foodies and Bar who need to do every single one. AS: Try to turn up and be… helpful. It would be nice if we all put in a decent effort. JD: We’d like to hold an swd lunch next Monday, Howard has cleared this, and we have the Massey room. We want 15 people’s worth of sandwiches and tea and coffee too. JS: Up to £20, any objections? None – passed. - Drs Who: Why will no-one fill in the housing sheets? [clear loss of sanity at this point] - AS: The MCR has a JCR rep, who will be visiting soon. Worked at Balliol for 22 years and played a very important role in the JCR. Bringing this up to ask for money to send flowers to the family – up to £30. No objections - AS: Now onto far happier matters: Sunday’s GM! Freshers’ week committee went through quickly, JE will start organising this next week. - JD: We fixed a table, but it was stolen by Clerk of Works (to be fixed properly). We also need a £13 remote for new digital TV in the JCR. Pass up to £20 for remote (and accompanying chains to prevent stealage)? No objections to that. AS: Indeed, this may solve the whole Setanta issue.
