Athletic Concessions, Club and Suite Catering, and Performance Nutrition Services

Revised 01/01/2018 1. Is there a base or minimum commission currently paid by Centerplate, and if so, what is that amount?

2. Does Centerplate pay a percentage based on gross sales, or is it based on profit? What is this percentage?

RESPONSE: Please contact John Spence, [email protected], (540) 231-3333 for a copy of current Virginia Tech contract TS- 001-14.

3. During our walkthrough of the it appears that there are only 13 concession stands. It is listed as 16 in the RFP. Please clarify the number of concession stands and cart locations for all venues.

RESPONSE: There are 16 available, 13 currently in use. Remote locations may be allowed.

4. The RFP states there is a food truck at the baseball field. We did not see a food truck during the tour. Is there a food truck?

RESPONSE: The food truck is moved in for game days, it is not there full time.

5. The RFP states there are 3 trailers total, 2 foodservice trailers and 1 concession trailer. Are these quantities accurate? What is the difference between a “foodservice trailer” and “concession trailer”?

RESPONSE: Food service trailers and concession trailers are the same. Three total trailers.

6. Is there an equipment list?

RESPONSE: Equipment clarification will be provided in a forthcoming addendum.

7. What power is available at each concession stand? How many amps @120v, @208v, @240v, single phase or three phase?

RESPONSE: Please refer to the Concessions Power/Gas approximations document attached to this addendum.

8. Which concession stands have gas available? Are any of the concession stands that do not have gas currently run located near a gas line to allow installation of gas?

RESPONSE: Please refer to the Concessions Power/Gas approximations document attached to this addendum.

9. Please clarify, are the three facets of this solicitation *Concessions and Clubs*, *Suites*, and *Performance Center*, OR *Concessions*, *Clubs and Suites*, *Performance Center*?

RESPONSE: It is Virginia Tech’s intent to award based on three categories: “Concessions,” “Clubs and Suites,” and “Student-Athlete Performance Center.” As stated in section IX of the RFP, Virginia Tech reserves the right to award multiple contracts as a result of this solicitation.

10. Under the definition of “Alcoholic Beverages” in the RFP it states beer and wine are only sold in the clubs at football and throughout the stadium at baseball. During the Basketball game observation it was observed that alcohol is being served. Will this continue for future years?

RESPONSE: The basketball game on Friday November 8, 2019 was the first time alcohol has been served in Cassell Coliseum. Alcohol will continue to be served for athletic events in Cassell Coliseum including Basketball, Volleyball, Wrestling, etc.

11. What is the dollar amount of alcohol sales in the Cassell Coliseum for last year if alcohol was served, and for this year so far?

RESPONSE: There is no historical data available since alcohol sales have not occurred at Cassell Coliseum until recently.

12. What are the plans for alcohol sales in for future years?

RESPONSE: There is desire to begin alcohol sales in Lane Stadium starting with the 2020 season, this has not been approved at this time and is not guaranteed.

13. Under Section A. Definitions, w) “Net Profit”, the formula to calculate profit per accounting period implies depreciation to be evenly split between periods with twelve periods per year (by month). As there are not sporting events every month of the year, this will result in a loss some months, and the concessionaire not being able to recoup full depreciation. How will net profit be calculated for athletic concessions and clubs as sales are primarily during the football season and depreciation would need to primarily be accounted for in those months?

RESPONSE: Current terms are as described in Section VII.C of the RFP. These terms may be negotiable, please submit your proposed model.

14. Under section D. Facility Descriptions, i) Management of Suites, Concourse Locations or Other Venues Offered for Public Availability, it states that “Virginia Tech Athletics is interested in exploring options for managing, scheduling and supporting the activities, catering and operations of Athletic Venue Suites, concourse locations or other gathering locations that are applicable to public availability.” What services is Virginia Tech interested in or envisioning being provided for concourse locations? Please also list past specialty uses of the concourse locations.

RESPONSE: Concourse activities may include University Events, Conference Hosting and other such events. An example of an event using the Concourse would be a National Landscaping event that will be held in 2021 and 2022.

15. How many concession staff are currently employed by Centerplate at Virginia Tech? If no staff list is available from Centerplate, how many badges have been issued by Virginia Tech to Centerplate staff per year?

RESPONSE: This data is not available.

16. Under section H. Operating Requirements, f) Gatorade is listed as a sponsored foodservice product. Gatorade is not currently sold in the stadium. Gatorade is also a Pepsi Product. Powerade is currently sold in the stadium and is a Coca- Cola product. Please clarify if Gatorade is a requirement.

RESPONSE: Gatorade is a sponsor of Athletics and Coca-Cola holds the campus beverage contract. Product sold must be in accordance with Virginia Tech’s contract with Coca-Cola, but athletes may be provided with Gatorade products.

17. Does the University foresee any other sponsored foodservice products at this time other than those listed in this RFP?

RESPONSE: At this time there are no additional sponsored products foreseen, other than those listed in the RFP.

18. Please confirm that Smithfield meats and Bull and Bones Wings are NOT required sponsored foodservice products.

RESPONSE: These are not required sponsors by Virginia Tech.

19. What percentage does the University receive from the subcontracted vendors sales?

RESPONSE: This data is not available.

20. Who currently holds the ABC license for each venue where alcohol is currently sold?

RESPONSE: Currently the Concessionaire holds the ABC license for Cassell Coliseum, the baseball field, and Lane Stadium. Personal Touch holds the license for the clubs they service in Lane Stadium. Hokie Club holds the license for the village. Proposers should anticipate that they will hold the license(s) for areas they service.

21. Under VIII. Proposal Preparation And Submission, A. Specific Requirements, 8. All Inclusive Pricing, the RFP requests all inclusive pricing options for Athletic Event Concessions, Suite Concessions, and the Student Athlete Performance Center. In terms of the “Athletic Event Concessions” is the University requesting an all you can eat option for the entirety of the stadium/coliseum/field? Also, please note it is not legal to offer bottomless alcoholic beverages in the Commonwealth of Virginia. Shall options exclude alcohol, or shall this price include one alcoholic beverage ticket per guest?

RESPONSE: The University may be interested in that option in the future. Please include options in your proposal, including possible options for provision of alcohol.

22. Under VIII. Proposal Preparation And Submission, A. Specific Requirements, 14. Resumes, it states resumes for two General Managers and Executive Chef is required for each service Proposer is offering. If a Proposer is offering only on Concessions and Clubs, and not the Performance Center, will a resume for a Concession Manager, or Concession Manager and Assistant Concession Manager, be sufficient?

RESPONSE: Yes, these resumes will be sufficient if not proposing on the Student-Athlete Performance Center.

23. Our understanding is that the current contract has renewal options available that are not being exercised. Did the University choose not to exercise the renewal options, or did Centerplate choose not to exercise the renewal options? What reasoning, if known, was there for not proceeding with the available renewal options?

RESPONSE: The renewal options were not exercised due to the opportunity created by the construction of the Student Athlete Performance Center. The University is interested in seeing Proposals and selecting the best option(s) for providing Concessions, Catering & Student-Athlete meals.

24. Does Concessions have a forklift, or is there a forklift available for use by Concessions?

RESPONSE: There is currently a forklift that may be used by Concessions, when available.

25. Are there any vehicles provided for use by Concessions? If so, what?

RESPONSE: Golf carts may be used by Concessions, when available.

26. Are there any golf carts, Gators, or Tuggs for Concessions?

RESPONSE: Golf carts may be used by Concessions, when available.

27. In the preproposal conference, it was discussed that the Cassell Coliseum was on a 5 year plan for renovations. Who will be providing the equipment in the new/renovated concession spaces? If the concessionaire is responsible, how is this to be listed in the proposal as the proposal requires a dollar amount to be given for equipment and upgrades and no information or design for the new concession stands has been provided?

RESPONSE: It is University Athletics full intention to renovate Cassell Coliseum, it is expected this renovation will exceed $50 Million and will be primarily self-funded. The feasibility study is currently in process. Proposals may include options for re-visiting concessions in Cassell Coliseum upon renovation.

28. What are the top 3 guest compliments and top 3 guests complaints received regarding the current concession operation?

RESPONSE: Top compliments and complaints are not available.

29. Please provide a copy of the menus for Suites.

RESPONSE: Current menus for Suites change constantly. Virginia Tech is interested in seeing proposed sample menus.

30. Can we propose a different commission percentage for alcohol sales?

RESPONSE: Yes.

31. Are additional tours available for proposers to come back to campus to view all food service spaces?

RESPONSE: Yes, please contact John Spence, [email protected], (540) 231-3333.

32. Please provide additional details on the clubs and suites such as numbers, and capacities.

RESPONSE: Suite numbers are attached to this addendum. Suite numbers in that document do not include the Presidential suite. There are 300 tickets issued for guests, and 181 seats in the suite. The majority of tickets issued are used for each game.
