Thank you for your support of the unique and exciting sport of ! As a chuckwagon advertiser you now have the opportunity to entertain your customers, associates, family or favourite charity, while showcasing your brand on your chuckwagon driver’s canvas at the 2019 Stampede GMC Rangeland Derby. This behind-the-scenes experience in the chuckwagon barn area is unlike any other and only available 10 days a year.

In addition to advertising on your driver’s chuckwagon canvas: • You can choose to participate in the exclusive corporate hosting program adjacent to the chuckwagon barns. • Your company name and message will be announced prior to your driver’s heat each of the 10 nights. • You will have priority access to the Calgary Stampede’s Premium Venues. • You will receive complimentary Stampede Park access passes for you and your guests. • You will receive a commemorative belt buckle, presented by the Calgary Stampede Chuckwagon committee.

THE CHUCKWAGON COMMITTEE

The Calgary Stampede chuckwagon committee is a dedicated group of volunteers focused on ensuring everyone involved in the 2019 GMC Rangeland Derby – including you, our valued advertisers and your guests - have an exceptional experience.

Following the Canvas Auction, you will be assigned a committee liaison. Your liaison will contact you and can answer any questions you may have about being a chuckwagon advertiser.

While they are focused on your needs, please be aware that most of our hardworking volunteer liaisons also work full-time and have varying availabilities to connect with you during business hours.

Cathy will arrange meetings between you and your liaison to discuss your requirements, answer your questions, and will take you on a tour of Stampede Park at your request.

2 CHUCKWAGON CANVAS

Your chuckwagon canvas will be showcased in front of 175,000 people in the over the 10 days of Stampede, as well as to television viewers across Canada. Media coverage and social media provide local, national and international exposure, with views from more than 2.26 million Facebook users and nearly three million Twitter impressions.

Each advertiser is responsible for the design, production and cost of their chuckwagon canvas. Here are the requirements that must be followed:

• Your design must be in good taste and is subject to approval by Stampede officials. You must submit an electronic file to the office prior to having your canvas produced. • Check with your driver for the exact dimensions of his wagon and canvas. The standard canvas size is 78” x 78”. • The driver’s full name must appear on BOTH sides of the LOWER FRONT CORNER of the canvas and the letters must be 6 to 8 inches high. • All canvas seams must be stitched, not glued. • A letter, measuring 2’ x 1.5’, will be attached by the driver to the top portion of the canvas, so please consider this in your design. • Should you wish to change messaging on the canvas, it must be attached by Velcro along the entire perimeter and can be no larger than 1’ by 3’. • No corporate messaging is permitted on the wagon box, running gear or any other wagon equipment. • You must deliver your canvas to your driver by noon, Thursday, July 4, 2019.

3 SHARE THE EXPERIENCE AND THE COST

You can choose to share the experience and the cost of advertising with other companies or organizations. Here are two options to consider:

1. Sell nights to other companies and groups: a. They become the sub-advertiser for that particular day or days. b. They are responsible for their chuckwagon canvas, corporate hosting and any other expenses. c. They receive all related access passes for the days they are the sub- advertiser.

2. Co-host with another company or companies: a. You can share the chuckwagon canvas, corporate hosting, expenses and all related access passes.

DAY NAME AND ONE-LINE ANNOUNCEMENT

Your company name and a brief announcement will be read by the announcer prior to your driver’s heat each night, and will be heard by approximately 175,000 over 10 days, as well as local, national and international media.

Due to time restraints, your one-line announcement must be brief. If it is too long, you will be asked to shorten it.

4 ACCESS PASSES

You will be receiving a number of complimentary access passes for you and your guests.

If your Canvas Auction bid was $100,000 or greater, you will receive: • 20 VIP passes per day • 25 BARN passes per day • 1 BACKSTRETCH DELIVERY VEHICLE pass valid for 10 days • 1 PARKING PERMIT valid for 10 days

If your Canvas Auction bid was under $100,000 you will receive: • 15 VIP passes per day • 25 BARN passes per day • 1 BACKSTRETCH DELIVERY VEHICLE pass valid for 10 days • 1 PARKING PERMIT valid for 10 days

The VIP pass allows the holder entry into Stampede Park, entry into the Grandstand area to watch the races, rush infield seating and access to the chuckwagon barns on the day the pass is valid.

The BARN pass allows the holder access to the chuckwagon barns via the Stable gate on the day the pass is valid. It does not include entry into Stampede Park, or entry into the Grandstand area to watch the races. You can exchange any, or all, of your barn passes for VIP passes at a cost of $35 per pass per day.

The BACKSTRETCH DELIVERY VEHICLE pass is for you to deliver supplies to your hosting spot if you chose to participate in the corporate hosting program. It is for the vehicle only, and each person in the vehicle must have a VIP pass. If you choose to participate in the Corporate Hosting program access is strictly enforced to the times posted on the pass.

The PARKING PERMIT (in the form of 10 – one day passes) is for parking in a lot in close proximity to Stampede Park.

PREFERRED PARKING

You may purchase two additional permits in a preferred lot conveniently located inside Stampede Park. Each person in the vehicle will be required to have proper gate admission (tickets or VIP passes). There are two options to choose from: 1. Purchase an all-inclusive 10 day permit 2. Purchase a bundle of 10 individual day permits Due to space constraints, stalls are limited to a maximum of two passes per advertiser. You can contact the Parking office at 403.261.0153 between the hours of 9 a.m. – 5 p.m., Monday to Friday.

For guests with Barn passes, standing room Evening Show tickets can be purchased daily from the Grandstand Ticket Office located in front of the Grandstand (403.269.9822). Standing room is located on the tarmac between the Grandstand and the Race Track.

PREMIUM VENUES

Chuckwagon advertisers have priority access to hosting at the Calgary Stampede. We offer the following venues to choose from.

THE RANGELAND TENT gives you and your guests a taste of good old-fashioned western hospitality with the Rangeland Package. The night begins with a BBQ and live western music, ending with prime balcony tickets during the GMC Rangeland Derby.

THE PADDOCK BALCONY is sure to impress your guests with its exclusive rooftop patio, where guests will be treated to authentic western cuisine. This package includes prime lower-level tickets in the Grandstand.

THE 30X SALOON is located on the main level of the Grandstand and can be booked as a semi-private or private hosting venue. When your guests finish dinner, you move to great seats in the Grandstand with the rest of the Stampede fans, with personalized service.

THE LAZY S provides premium dining, lounge and event seating on the fourth level of the Grandstand. From private indoor Executive Suites to covered outdoor loge seating with a served gourmet dinner, the Lazy S is designed for great views of the GMC Rangeland Derby and Evening Show. ranahans, our most elegant venue is located on the third level of the Grandstand and houses three exclusive private dining areas. When the action starts outside, guests move to covered seats in the Grandstand, with personalized beverage service in their seats.

PRIVATE INFIELD SUITES offer an up-close experience for you and your guests. You can hear the shouts of drivers and feel the rumble as the wagons head around the barrels. This is high-style hosting with private in-suite attendants and personalized service and will deliver an unforgettable experience.

6 MARKETING GUIDELINES

We want you to get the most out of your investment by maximizing your marketing efforts during Stampede. However, if you wish to promote your brand outside of the chuckwagon barn area you must obtain approval. The Calgary Stampede has existing sponsorship contracts which may limit your ability to promote your corporate brand on Stampede Park through promotional items or activities. You must submit a proposal that includes: · Date(s) of execution · Concept · Promotional items, signage, mascots, etc. Submit your proposal in writing to the Office no later than May 31, 2019 by email to [email protected], or by fax 403.261.0208. FLUOR ROPE SQUARE This event is held at for seven mornings during the Calgary Stampede, and is a perfect opportunity for corporate team building. Chuckwagons are set up and pancakes are cooked and served to the public. All supplies are provided by the Downtown Attractions committee. If you and your driver would like to participate, his wagon will be transported to Rope Square each morning and you will be required to supply volunteers to cook and serve.

7 CORPORATE HOSTING PROGRAM

The Calgary Stampede offers a very unique opportunity for advertisers to host special guests in the chuckwagon barn area. It is a one-of-a-kind experience behind-the-scenes where you will interact with drivers and their much loved equine athletes.

The chuckwagon barns are not open to the general public, making this a very exclusive experience for you and your guests.

If you choose to host, you will be assigned an outdoor hosting area beside the chuckwagon barn where you can entertain clients, co-workers friends and family prior to the races each night.

The Calgary Stampede will, at no charge to you, put up a canopy over your hosting spot and supply signage, so your guests can easily find you. Each spot will have power, garbage, recycling bins and potable water nearby.

You are responsible for your own tables, chairs, power cords, décor and additional signage.

As there is limited space in the barn area, the hosting spots are restricted to 10 ft. by 20 ft. with limited room to expand out in front of your spot during hosting hours.

During hosting time, you have the opportunity to feed your guests, offer them a beverage and treat them to a tour of your driver’s barn where they can interact with him and his horses.

8 CATERING AND BAR SERVICE

If you serve food and beverages in your hosting spot, there are additional charges associated with these services.

The Calgary Stampede is strictly governed by Health Services (AHS), Alberta Gaming and Liquor commission (AGLC) and the . Inspections by all three entities will be conducted before and during the 10 days of Stampede.

Should you choose another caterer, please include their name and contact information on the Hosting Spot Request Form as we are required to have them approved through Alberta Health Services.

9 BAR SERVICE

If you would like to offer alcoholic beverages, the Calgary Stampede will provide a bar table, refrigerator and bartender exclusive to your hosting spot.

We strictly adhere to AGLC’s regulations:

• Alcoholic beverages must be supplied and served by a trained Calgary Stampede employed bartender. • No one under the age of 18 will be served. • No one showing signs of intoxication will be served. • Alcoholic beverages must be consumed in your hosting spot. • Alcoholic beverages are not permitted in the driver’s barn area.

There are two options to choose from:

Option 1 - $225 + GST/ per night /plus consumption • beer, wine, ready-to-drink beverages $3.75 • soft drinks and bottled water $2

Option 2 - $325 + GST /per night/ plus consumption • mixed drinks $4.50 • beer, wine, ready-to-drink beverages $3.75 • soft drinks and bottled water $2

All prices are subject to GST and a 10% service charge.

A credit card is required for all charges. Your card will be billed after Stampede.

Beverage vouchers redeemable at all licensed Stampede Venues including the Grandstand are also available for purchase through the advertising coordinator in the hosting area

10 MOVE-IN AND SET-UP

With chuckwagon teams moving into the barn area in the days leading up to Stampede, a schedule has been arranged to ensure safety and minimize traffic congestion. Advertiser setup is as follows:

Monday, July 1 from noon to 6 pm or Tuesday, July 2 from 8 am to noon. • At this time your canopy will be installed and you can arrange to have your tables, chairs etc. delivered, and put up any additional signage at your hosting spot and at your drivers barn. • You will need the Barn Delivery Pass for a vehicle, but do not require any people access passes. The hosting area is off-limits to advertisers from noon on Tuesday, July 2 until Friday, July 5th.

SIGNAGE

A banner with your company name will be hung on the front of the canopy in your hosting space, and you are welcome to add other signage if you like.

Please follow these guidelines: • Signage can only be secured to the canopy with cable ties, bungee cords or rope to avoid any permanent damage. • Flags, flutter flags, umbrellas etc. are allowed, but must be properly anchored and secured for all weather conditions. They must be moved back into your hosting space during the races and at the end of each night. If you would like to add signage and decor to your driver’s barn area, you must first get his approval and ensure the safety of the horses is not compromised. • Signage may only be attached to the wooden barn doors with screws. • All other signage must be easily removable and cause no permanent structural damage to the barn, eaves, roof or door brackets. • Cable ties, earth magnets, bungee cords or rope are allowed.

The Stampede reserves the right to remove any signage that does not follow these guidelines.

11 HOSTING TIMELINE

For your safety and that of your guests, the drivers and their horses, please follow the daily hosting time-line:

2 p.m. Arrive at your hosting spot, set-up tables, chairs, signage and have your food delivered.

4 p.m. Guests start to arrive. All vehicles must be cleared from the hosting area.

4:30 p.m. Bar and food service begins, entertain your guests and tour the barns.

6:30 p.m. Food and bar service ends. Start to move tables, chairs and signage back behind the barricade. Guests begin to walk to the grandstand via the south river path.

7 p.m. Barn area must be cleared of guests, allowing the drivers and horses to safely prepare for the races.

8 p.m. Races begin.

Post races Guests may return to the hosting area 20 minutes after the last heat (approximately 9:40 p.m.) via the south river path.

11 p.m. Bar service concludes.

Midnight Barn area must be cleared of guests for the night to allow drivers and horses to rest.

12 GUEST MANAGEMENT

The map on the next page shows the three (3) entrances into Stampede Park, and the location of the chuckwagon H barn, hosting area and hot zone. Guest access to the chuckwagon hosting area is as follows: VIP Pass holders can: • Enter the south Grandstand entrance after 4 p.m. and make their way east along the river path to the hosting area. • Enter the Great Funtier Kids Midway and make their way south along the river, through theStable gate and continue south past the barns to the hosting area. • Enter at the Nat Christie gate off of 25 Avenue SE (there is no public parking at this entrance). Barn Pass holders: • Must make their way through the Great Funtier Kids Midway, south along the river to the Stable gate and then continue south past the barns to the hosting area. Barn pass holders must exit via the same route after hosting, unless they have an evening show ticket. There is a free shuttle service that runs between the back of the Agriculture building and the Nat Christie gate. The barn pick-up spot is adjacent to the bridge and runs continuously from 6 a.m. - midnight every day. To access the Grandstand area to watch the races, VIP pass holders must make their way from the hosting area from the southwest corner of the hosting area, and along the south river path to the Grandstand. The races can be viewed from the standing room area on the tarmac, or from the Infield seating area. To access the Infield seating area, cross the track prior to the start of racing or take the people tunnel located at the north end of the tarmac. The top three rows are reserved for VIP pass holders up until 8:30 p.m., but you and your guests are welcome to sit anywhere in the Infield seating area. If you are returning to the hosting area after the races, you and your guests must make your way to the south river path.

GOLF CARTS

Advertisers may apply to bring in one golf cart, which must be permitted by the Calgary Stampede. The permit must be displayed on the cart at all times for access into the park. Access is restricted to the chuckwagon barn area.

Golf carts are not permitted into the Infield or along the south river path to the Grandstand.

The Calgary Fire Department has designated a Hot Zone which is closed off to all people during the nightly fireworks display.

Guests departing the hosting area after 10 p.m. will have to leave through the southwest corner of the hosting area, and make their way along the south river path to the Grandstand

Although unlikely, if winds are too strong, this exit route will be closed until the danger has passed. If this is the case, the only exit is through the Nat Christie gate.

BARN RULES For the safety and comfort of you, your guests, the drivers and their horses please obey the following rules: • Do not enter a driver’s barn without his permission. • Do not touch or disturb any equipment or horses. • Do not climb on the wagons without the driver’s permission. • No smoking within 5 metres of the barn. • Do not remove alcoholic beverages from your hosting spot • Amplified music is not allowed • Obey instructions from Stampede staff, Chuckwagon committee members, drivers and their teams at all times • Respect your neighbours and their hosting area, space is limited!

MOVE-OUT

On the Monday following Stampede, we ask that you do not enter the hosting area until noon to empty and clean up your hosting spot. Please remember to remove any signage you may have placed at your driver’s barn. This area will still be congested and active with drivers, horses and large vehicles so please be cautious. Advertiser Move-Out is Monday, July 15, 2019 noon - 6 p.m.

15 CODE OF CONDUCT

The Calgary Stampede, the GMC Rangeland Derby and the sport of chuckwagon racing are high profile, public events built upon a foundation of community support and integrity. In order to maintain this support, all participants, including chuckwagon advertisers are expected to consistently demonstrate good behaviour and a spirit of sportsmanship, leadership and ethical conduct, to maximize the advertiser experience and that of our guests, competitors and the fans of the GMC Rangeland Derby through: 1. Ensure their participation and the participation of any and all individuals associated with their chuckwagon canvas advertisement in the GMC Rangeland Derby, is conducted in accordance with this Code of Conduct. 2. Support and promote behaviours before, during and after the nightly races that ensures the safety of all participants, competitors, guests, animals, organizers or any other persons present in the chuckwagon barns, chuckwagon hosting area, the Grandstand tarmac or Infield seating area. 3. Treat all other advertisers and sub-advertisers, chuckwagon participants, Stampede officials, staff and volunteers with respect and dignity. 4. Exhibit standards of professional behavior which will maintain public confidence and trust in the integrity of the GMC Rangeland Derby, the sport of chuckwagon racing and the Calgary Stampede.

Golf carts are not allowed into the infield or along the south river path to the Grandstand.

The permit, with the Operator’s name and phone number, will be affixed by the Stampede and must be displayed at all times.

Vehicles not displaying a permit will be removed from the park.

All persons on the vehicle must have proper accreditation.

Seating capacity must be complied with.
