SUMMARY

JOB TITLE: Executive Administrator

TERMS: Part-time - four hours per day, five days per week

CONTRACT: Freelance, beginning October 2015, initially a fixed-term 1-year contract with a 3-month review

LINE MANAGER: Artistic Directors

REMUNERATION: £15,600 (£31,200 pro rata)

INTRODUCTION

London Contemporary Orchestra (LCO) has established itself as one of the UK’s most innovative and respected ensembles – promoting the best new music and cross-arts collaborations to an increasingly wide audience. In May 2015 the LCO won the Ensemble category at the Royal Philharmonic Society Music Awards.

Formed in 2008 by co-Artistic Directors and Hugh Brunt, the LCO has collaborated with a distinguished array of composers, artists and brands, including , Secret Cinema, Vivienne Westwood, members of Arcade Fire, United Visual Artists, Boiler Room, Ron Arad, Beck, Goldfrapp, Mike Figgis, Conrad Shawcross, Nike, Terry Riley and Foals. Highlights include sold-out performances at the Roundhouse, a site-responsive series Imagined Occasions, and opening James Lavelle’s Meltdown Festival at the Royal Festival Hall. LCO’s performances have been broadcast on BBC Radio 3, BBC Radio 6 Music and Sky Arts HD, with a soundtrack output including The Master, Theeb, Slow West and Macbeth. Edmund Finnis was appointed Composer-in-Association in 2013.

LCO is pleased to recruit for the specially-created role of Executive Administrator – working on a freelance basis to support the delivery of its artistic calendar (a total of 35 projects in 2015), including concerts, tours, recordings and broadcasts.

Coming at an exciting and pivotal time for the LCO, the Executive Administrator will fulfill an essential role at the heart of the organisation, helping it to develop from a ‘two-man band’ to a fully-fledged company. The Executive Administrator will work remotely on a day-to-day basis and attend meetings with the Artistic Directors in central London. He or she will also have contact with the Concert Manager (freelance) and Chairman.

Responsibilities will include:

Concert and orchestra management

• Concerts: liaising with the Concert Manager; assisting with music preparation; production support; rehearsal and performance management; booking players; scheduling and diary management

• Touring support: schedule preparation; personnel and venue liaison; booking flights; organising visas; research and database management

• Filming and recordings: assisting with production schedules and project liaison

Marketing, communications and fundraising

• Marketing: website and social media channel updates; assisting compilation of press and marketing materials; research and data management tasks; Front of House support; complimentary ticket administration; specific digital projects

• Communications: external listings; reviews and communications updates

• Fundraising: research support for, and writing of, fundraising applications; donor management

General administrative support and finance

• General administration: devising and maintaining office systems; meeting scheduling; taking minutes; diary planning; photocopying and printing; research tasks

• Finance: liaising with the LCO’s accountants; raising invoices; making online payments; managing the day-to-day bookkeeping using Xero, Float and Receipt Bank software (the Executive Administrator will receive training in the use of these programmes)

The Executive Administrator may be required to work evening hours on concert days and accompany the LCO on tour.

PERSON SPECIFICATION

Essential

• Some years’ experience in an administrative role

• Exceptional interpersonal and communication skills, both written and verbal

• Highly organised, self-motivated, and able to work well independently

Page 2 of 3 • Excellent time management skills, with the ability to work across a range of different projects and areas simultaneously, prioritising multiple tasks, and working calmly under pressure and to tight deadlines

• Good numeracy, literacy, organisational and computer skills – including a strong understanding of, and experience of using, social media channels

• Excellent attention to detail

• Ambitious, and eager to grow a business

Desirable

• A demonstrable interest in the arts, preferably including orchestral and contemporary music

• Previous experience of arts management/administration, or developing and delivering creative projects and ideas

• Marketing expertise

• Strong research and analytical skills
