Page 2 REC Limited (formerly Rural Electrification Corporation Limited), which is located at Chennai intends to hire vehicle on monthly basis for the use of CPM at Regional office Chennai located at 12 & 13 TNHB Complex, 180 Luz Church Road, Mylapore, Chennai - 600004. The interested parties are required to submit their e bid for the following category along with Annexure as applicable. REQUIREMENT OF VEHICLES Bid application is requested for 01 no of vehicle (Toyoto Etios/Swift Dzire VX/Equivalent) on monthly hiring basis for use of CPM, REC, RO, Chennai on regular basis for 6 days a week in Chennai depending on requirement. In this connection, e-quotations are invited for the category of vehicles as per Bid Form-1 with Agreement to Annexure-A & Annexure-B. MSME VENDORS ALONE ARE REQUIRED TO SUBMIT THEIR E-BID. The documents to be submitted must be duly signed by the authorized signatory of the bidder. Holding of Udyog Aadhaar Memorandum is mandatory before applying for Tender. E. VEHICLE – STATUTORY AND OTHER REQUIREMENTS: 1. The vehicle to be provided by the service provider should be registered as Tourist Taxi with Regional Transport Authority and appropriate Government Authorities as applicable. 2. All valid documents like RC, Pollution Certificate, Comprehensive insurance, Road tax etc related to the vehicle should be available with driver at all times. 3. It is to ensure that the vehicle should have adequate Insurance coverage for driver and third parties at all times during tenure of contract and any renewal of Insurance should be done well in time before lapse of existing Insurance coverage. 4. The age of the vehicle to be provided by the service provider on monthly hiring basis is preferably new and should be less than 2 years from the date of registration of the vehicle and within 1,00,000 KM total travelled. 5. In case of any breakdowns of the vehicle or during the servicing of hired vehicle, alternate vehicle of the equivalent or higher end model must be provided without any extra charges. 6. There should not be frequent change of vehicle and driver every now and then as this kind of change may lead to inconvenience to REC. Any change of driver / car shall be made by the successful bidder only after 2 days prior intimation except in cases of emergency. 7. The successful bidder shall ensure that the vehicle provided to REC RO CHENNAI shall be in good mechanical condition and the interior and exterior of the car should be well maintained / cleaned. Seat covers shall preferably (Not mandatorily) be in white colour. II. CHAUFFEURS: 8. (a) The driver should wear uniform during duty hours (b) The driver should be well behaved and adhere to the timings given for reporting. (c) The driver should have valid driving license at all times. (d) The driver should be able to read English/Tamil signboards III. USAGE OF VEHICLE : 9. Average Monthly usage of vehicle will be for 25 days/12 hours daily i.e. 300 hours per month. The vehicle will be used for maximum 75 days in a quarter, 900 hrs/quarterly and 7500 kms for three months. 10. If in any quarter, total running of vehicle is more than 7500 km and/or 75 days and/or 900 hours, payment will be made for extra running kilometre/extra days at the end of every quarter. Page 4 11. Normal working hours will be 12 hours and normal reporting time is 8.00 AM at CPM’s residence/office or as per the directives of CPM, from Monday to Saturday. In exigencies, the no. of hours may be before or beyond the specified timings. 12. Sunday is closed holiday. However, the vehicle can be called on Sundays also as per requirement within the quarterly limits, and will not attract any extra charges. 13. Opening and Closing kilometre and time will be calculated from the office/residence of CPM. However, dead millage of maximum up to 10 km from the office of vendor per day will be allowed subject to actuals. 14. The hired vehicle will be used within 300 kms radius from Chennai. Request for overnight travel/halt shall be admissible as per exigency. Night stay allowance shall be given @ Rs. 250/night for overnight stay i.e. beyond 12.00 midnight. 15. Charges towards toll and parking would be paid extra as per actual and the same needs to be borne by the Agency initially. Consolidated charges towards toll and parking can be claimed on monthly basis on submission of bills. IV. PENALTY: 16.
