2015 LHSF Ambassador Orientation Welcome to the Love Hope Strength Foundation at Lollapalooza Ambassador Team! Read this overview to help you prepare for your role as an Ambassador for LHSF. You’re a part of a 500+ strong team with a united goal: to support LHSF’s “Get On The List Campaign” of saving lives one concert at a time. As a LHSF Ambassador, join your team in presenting a weekend of music, food, art, and fun to the City of Chicago and the world…an unforgettable experience. Take pictures and tag #getonthelistlolla to share your experience. 1 Festival FAQ • Dates: Friday-Sunday, July 31, August 1, August 2, 2015 (rain or shine) • Where: 120 acres in Grant Park (11th year in Chicago) • Gates: 11 am. Last act ends @ 10 pm each night • Two patron entrances: • Main: Michigan Ave. and E. Congress Parkway • North: At E. Monroe St. & Columbus Dr. • Music: Eight stages featuring about 130 bands from across the globe • Crowd: Estimated attendance is 100K a day • Ambassadors: 500+ Ambassadors; 13 teams, 25 team leads 2 How Can I Prepare? •Visit the Festival’s Website. In order to be a successful LHSF Ambassador at Lollapalooza, take the time to prepare for your team role. The Festival’s website has a lot of information relevant to your team. Visit the Festival’s website (www.lollapalooza.com) to review the Festival map, review sections of the website that are relevant to your team, and become familiar with the Festival layout, such as stage locations, Information booths, the Access Center, etc. For example, the Rock & Recycle team should locate the R&R Centers on the Festival Map; for the Kidzapalooza team, find the area on the map and read up on Kidzapalooza activities; for the Cashless Registration team, review the section “Activate Your Wristband & Register For Lolla Cashless.” •As you review the Festival map, start to get your bearings; the Festival covers a large area and no matter which team you are on, a patron may turn to you for directions: It really helps to walk in having a good sense of direction (the Samsung Galaxy Stage is far South; the Bud Light Stage is far North, the General Store is next to Buckingham Fountain, the Lake is East, etc. 3 The Check-In Process Check in at least 15-30 minutes before your shift. Be on time! Note: There is a new location for LHSF Volunteer Headquarters (VOL HQ) near the Festival Box Office, located on the Northeast corner of Michigan Avenue and Van Buren Street. See Map Below. ✔Follow these Easy Steps to Check In: 1. Go to the signed entrance as indicated on the map below. Look for the “Credential Pickup” sign and/or “Volunteer Check-In” sign. In order to enter the area, present a printout of your orientation email or have it ready to display on your smart phone to the guard at the entrance. 2. Proceed to any of the Credential Pickup stations, present a valid form of photo ID, and a wristband valid for just that day will be activated and registered to your name. Please be aware that the wristband you receive belongs to you only and must be worn on valid Festival days. Do not remove it before or during the Festival day of your shift. Treat wristbands like cash. Lost, stolen or confiscated wristbands will not be replaced. 3. After checking in, you should proceed quickly to the right of the Credential Pickup tent to VOL HQ. You will see a big bright sign that reads “Volunteer Check-In”. Enter here to officially check in at for your shift at the VOL HQ registration stations. 4 At Volunteer HQ We’ll have some snacks and refreshments available, so there’s even more reason to check in early for your shift, relax, and get to know your fellow volunteers before your shift. At VOL HQ check-in, you will • Give your name and register for your shift. Be prepared to present an ID. • Pick up your Ambassador t-shirt and put it on before your shift. (note: one t-shirt for the entire weekend). There is a tent available to change in. • Receive one $5 food court coupon (one per Ambassador for the entire weekend). • Fill out a name badge (first name only). • Gather with your team and meet your team lead for instructions! • If you have an afternoon or late shift and want to come in early to see the show the day of your shift, you can. Check in at VOL HQ, enjoy the festival, and come back 15-30 minutes before your shift to officially check in. You must return to VOL HQ to officially check in for your shift. 5 2015 VOLUNTEER HQ LOCATION* • Volunteer HQ is located on the Northeast corner of Michigan Avenue and Van Buren Street next to the Box Office. Look for the “Credential Pickup” sign and/or “Volunteer Check-In” sign. Present your orientation email (either printed or on a smart phone) to the guard to enter the area. • Check in at least 15-30 minutes before shift time. *note 2015 new location 6 Your LHSF Ambassador Team Role • Your team leads will give you specific directions and will be available to answer questions. Please ask them if you come across a question you can’t answer! • All roles involve patron interaction. Remember that your role is focused on improving the fan experience. Be friendly, positive, and helpful. • You are a part of a team and your team is counting on you. Do the right thing. Complete all your shifts and enjoy the Festival! 7 What is the Love Hope Strength Foundation? Love Hope Strength Foundation is the world’s leading rock and roll cancer foundation. LHSF turns concerts into lifesaving events by signing up people to become potential bone marrow donors through the GET ON THE LIST campaign. At the Festival’s LHSF booth in Green Street South, patrons will fill out a form and do a quick cheek swab to be a possible match for someone fighting a blood cancer in need of a life saving transplant. The Festival is ranked in the top five in the country for the number of potentially lifesaving bone marrow matches! LHSF Ambassadors will help spread awareness of the cause with the goal of increasing registration. Saving Lives, One Concert at a Time LHSF promotes the GET ON THE LIST campaign at hundreds of musical events throughout the year featuring a LHSF booth. If you’re interested in volunteering for one of these events, visit www.lovehopestrength.org for more information. 8 Why is it important to Get On the List? The Power of Numbers. Excerpts from @MediaplanetUSA’s insert in USA Today for their #BloodHealth issue: • Nearly every 3 minutes, someone in the US is diagnosed with a blood cancer • Nearly every 10 minutes, someone in the US dies from a blood cancer such as leukemia and lymphoma • Each year nearly 13,000 patients will need a bone marrow transplant (BMT) from someone outside their family as their only chance of survival • Donors are more likely to match a patient who shares the same ethnic background as them. The current ethnic breakdown of the registry: 67% White 10% Hispanic 7% African America 7% Asian 4% Mixed Race 9 Your Role as an Ambassador for LHSF at Lollapalooza How can you promote the GET ON THE LIST campaign at the Festival? Your LHSF Ambassador mission can be summarized in three simple words: Swab or Fish Swab You are encouraged to support the campaign by signing up to GET ON THE LIST. How? There are two simple steps: sign a consent form and provide a cheek swab. We encourage you to join other LHSF teammates at Volunteer HQ anytime between 4 and 6 pm on Saturday and Sunday for “happy hour” where you can GET ON THE LIST and check out special swag just for LHSF Ambassadors. You can also visit the LHSF booth in Green Street South to GET ON THE LIST anytime during the Festival. Fish Spread the word to GET ON THE LIST to at least 10 people throughout the Festival days. Here’s basic messaging: • GET ON THE LIST means signing up to be a potential bone marrow donor. • It’s easy, quick, and free. Visit the LHSF booth at Green Street South, sign a consent form, and provide a cheek swab. In less than 5 minutes you might save a life! Note: if you are asked very specific questions about the GOTL program, direct the patron to the LHSF booth in Green Street South, which will be staffed by knowledgeable LHSF representatives. 10 LHSF Ambassador Tips • Be on time. On time is about 15-30 minutes before your shift. Take into account traffic delays, getting through huge crowds, etc. • Check the weather before you come in and come prepared. Festival is rain or shine. • Travel light and carry your stuff with you. Wear pants/shorts with big pockets, a light backpack, etc. • Wear comfortable shoes. Trust us on that. • Hydrate! Go green and bring an empty refillable bottle or CamelBak. Vol HQ will have water and there are many water stations/fountains throughout the park. • Bring a light, portable snack. • Don’t use your cell phone while on shift--focus on your role! It’s not the time to chat with friends on your cell, check or send text messages, etc. • No smoking on shift! • Our LHSF team leads evaluate all Ambassadors. Get to know your team leads as best you can.
