Program Guidelines 1.1 Schedule The Arts Festival Advika-2018 will be scheduled and published by the Students’ Senate after getting approval from the authorities. The dates for registration and cancellation of on- stage and off-stage events will also be announced well in advance. 1.2 Events Only those events scheduled for Calicut University (CU) D-zone arts festival for the previous year will be permitted. 1.3 Rules and Regulations Only those programs prescribed in the last Calicut University D-zone arts festival will be conducted. Candidates, organizing committee members, office bearers of student senate and others are strictly instructed to comply with the rules and regulations of this manual. Any violation will be dealt seriously. Performances which are generally obscene or detrimental to the décor and peaceful environment of the college will be disqualified based on the feedback from the judges and senior staff members. 1.4 Mode of Competition The competitions are conducted under the name of Arts Festival, Advika-2018. There are no separate competitions for Calicut University and KTU. Note 1: The scores will be added for each department and an overall trophy will be awarded to the department(s) who secures maximum points. Note 2: As the rules for the conduct of arts for KTU students is not available at the time of preparation of this manual, all the rules of Calicut University are adopted to the students of both Universities. 1.5 Participation 1.5.1 Off Stage For each department the maximum number of participants allowed is ten from CU and twenty from KTU for each individual event. The maximum number of teams allowed is three for each group event from a Department. A student can participate in maximum of four events (including individual and group items) as per the fixed time schedule. The time schedule once published will not be altered at any circumstances. The students not reporting at the scheduled time will be considered late/absconded and lead to negative points. 1.5.2 On Stage For each department the maximum number of participants allowed is two for each individual event. The maximum number of teams allowed is two for each group event from a ADVIKA-2018 3 Department. In the on-stage events, a student can participate in a maximum of four individual events. The time schedule once published will not be altered at any circumstances. The students not reporting at the scheduled time will be considered late/absconded and lead to negative points. 1.6 Evaluation If the number of teams in a group event and the number of participants in an individual event are less than three, the event will be evaluated for E Zone eligibility, but no points will be awarded. E zone eligibility will be done only if all the team members are of KTU. Note: If the number of teams in a group event is only one, the team can still perform in stage. Their performance will be evaluated. If the team is from KTU, whether the team qualifies for E- zone or not, will be judged. If any team or participant has registered but fails to participate, that respective team or participant will be awarded negative points. 1.6.1 Points Awarded: a. Group Events First Position : 10 Points Second Position : 5 Points Third Position : 3 Points b. Individual Events First Position : 5 Points Second Position : 3 Points Third Position : 1 Point 1.6.2 Negative Points Negative points will be awarded to the respective departments under the following circumstances. I. Late withdrawal/Absconding i. All teams/participants are expected to report on time. It is the sole responsibility of participants to be present when they are called during onstage events. ii. After collecting the chest numbers, the teams or individuals are expected to be physically present in the venue. iii. In case if any individual or team does not report within the allotted time (absconding), and as a result the number of teams or participants is less than the minimum number prescribed, the department whose team which did not turn up will suffer a total deduction of 30 negative points. iv. The withdrawal of event after the last date of cancellation declared by the College Senate due to reasons other than technical difficulties of the organizing committee will attract negative points and the particular department will suffer a deduction of 30 negative points. ADVIKA-2018 4 v. In case a late withdrawal after the last date for cancellation occurs, and the number of teams or participants after the late withdrawal is less than the minimum number prescribed, then also the corresponding department will have to suffer a total deduction of 30 negative points. vi. If after a late withdrawal, the number of participants or teams is greater than or equal to the minimum number prescribed, the respective department which withdrew will suffer a loss of 5 points for individual as well as 15 points for group events. vii. Cancellation of negative marks once awarded, will not be considered even under medical grounds. II. Discipline Related i. In case of any disciplinary issue, the Senate Advisory Committee has the authority to deduct points. The number of points to be deducted will be decided in consultation with the College Disciplinary Committee. ii. Attempt of communicating with judges in any manner by the students (audience as well as participants) will also be considered as a disciplinary issue. NOTE: These clauses will be applicable for both onstage and offstage events. 1.7 Result The overall available points will be displayed/announced at auditorium only two times in 1st day (1.00 p.m. & 4.30 p.m.) and 3 times in 2nd day (10.00 a.m., 2.00 p.m. & Completion of all events ). The final overall result will be announced only after considering all the appeals by the appeal committee, if any are present. 1.8 Appeal For appealing a result, an amount of Rs.1000/- should be remitted. The scope of appeal is just to review the score sheet and comments prepared by the judges. Only adding errors will be considered. Amount will not be refunded under any circumstances. The appeal should reach the appeal committee within one hour of the announcement of results. Any interaction with the judges will invite negative points which will be decided by the College Senate. The appeal committee will require a minimum of two hours for verifying the appeal. All the appeals should come only through the department captain. Decisions taken by VAST Students Senate Advisory Committee regarding Advika- 2018 will be final. However, the participants may file an appeal before the Higher Appellate Authority constituting of the following members. 1. The Principal 2. The Vice Principal 3. Dr. Satheesh S (Professor and Head, DAS) 4. Dr. S. Swapnakumar (Professor and Head, ECE) This will be governed by the following rules. i. Each complaint must be accompanied by a non-refundable deposit of Rs. 2000/-. ADVIKA-2018 5 ii. The complaint and non-refundable deposit should be submitted to the Senate convener within 1 hour from the provisional declaration of result. Note: Provisional declaration refers to the final announcement of result after considering first appeal for a particular item. iii. The timeframe for taking decisions will be decided by the higher appellate authority on a case by case basis. iv. If any appeals are filed before the higher appellate authority, the points for the respective item will not be added to the claim of the corresponding department, at the time of the declaration of provisional result. 1.9 Captain The Captain will be nominated by the Department Senate Faculty with the consent of Head of the Department, for each department (he should be preferably having background in arts and not a member of the current senate). The captains will be solely responsible for the registration, cancellation, etc. of the events and any other communication with the organizing committee. The captain of the department should be a student of S8 B. Tech. / final year MCA. 1.10 Practice Time Students will not be allowed to practice for arts competitions during the regular class hours, that is during 9.00 a.m. 4.30 p.m. However students are permitted to practice during the period 4.30 p.m. 6.30 p.m. after getting prior permission from the respective Head of Department and Principal in writing in the standard format attached in this manual. Staying back after 6.30 p.m. in the college campus will not be allowed under any circumstances. If any student is found practicing for an event during regular college hours which will lead to the violation of this rule, he/she will not be permitted to compete in that event. 1.11 Discipline i. The college disciplinary committee, in association with the Senate Advisory committee, will be monitoring all the disciplinary related issues in connection with the Arts Festival 2018. ii. A separate venue committee will be constituted for each venue to co-ordinate the events in that venue under the guidance of a senior faculty member.
