Job Description: Student Office Assistant Last Updated: August 2019 Job Description: Student Office Assistant A Student Office Assistant provides assistance to the Director and Coordinator of the Academic Success Center (ASC) in conjunction with operating daily business activities involving the coordination and management of ASC programs and services. A Student Office Assistant supports the mission and goals of the ASC by using his/her skills in interpersonal communication, organization, record keeping, typing, and computer software (among other skills) to perform a variety of business tasks. The ASC employs 2-4 students to hold assistant positions during the academic year (consecutive fall and spring semesters). Depending on the educational experience, interests, and strengths of the student worker, a specialty area may be designated for each Student Office Assistant. Specialty areas include, but are not limited to, marketing/promotion and data management/statistical analysis. Training is required and paid. Starting pay is $7.50/hour for a generalist (without a specialty area) and $7.75/hour with a specialty area. There will be opportunities for wage increases over the length of employment. (Starting pay may be commensurate with experience for a student worker at the graduate level.) General responsibilities include, but are not limited to: Front office reception, e.g., greeting walk-in visitors, communicating accurate information about Valpo’s academic support resources, assisting students in finding information on Valpo’s website and completing online forms, answering and returning phone calls, assisting tutors in using space and completing procedures, etc. General office tasks, e.g., reading and responding to emails, making photocopies, record keeping, data entry, scheduling meetings, making room reservations, distributing materials, organizing files, etc. Additional Responsibilities for Specialty Areas: Marketing/Promotion: Developing marketing concepts and materials (print and digital), using different software programs, researching products and costs, proposing new ideas and initiatives, updating ASC website, designing and writing communication pieces (blurbs, messages, flyers, signs and invitations) for different audiences and events, taking photos and videos, coordinating staff appreciation events (1-2 per academic year), etc. Data Management/Statistical Analysis: Collecting and recording program data using Word, GoogleDocs, and Excel files, verifying data and records for end-of-the semester and annual reports, entering tutor records and schedules in TutorTrac (tutoring center software), verifying tutoring visit data in TutorTrac, assisting with program assessments and statistical analysis of program data, etc. Qualifications: Applicant must be a full-time student (either a second-semester freshman, sophomore, junior, senior, or graduate student) at Valparaiso University during employment with the ASC. If applicant is an undergraduate, the student must have completed at least 12 credits in courses at Valpo with a minimum 3.0 GPA. Applicant must possess skills in professional typing, verbal and written communication, word processing (Microsoft Word), record keeping, and organization. Prior experience in office work, tutoring and/or coordinating student programs preferred. Student must maintain confidentiality of information to which he or she will be exposed. Additional software skills needed for the specialty areas include desktop publishing such as Adobe Creative Suite programs (Illustrator, InDesign, Photoshop) and Microsoft Publisher (for the marketing office assistant), and Excel (for the data/statistics office assistant). It is expected that the successful applicant will demonstrate a commitment to cultural diversity and the ability to work with individuals or groups from diverse backgrounds. Required Hours: Hours vary. A typical work week is 6-10 hours. To be hired for this position, a student must be available to work a minimum of 8 hours a week between the hours of 8:00 a.m. and 5:00 p.m. during an academic year in consecutive fall and spring semesters. The student may be scheduled for more or less hours depending on the academic calendar, the student’s availability, and the staffing needs of the office. At the start of each semester, a weekly schedule is established according to the academic calendar, the student’s availability, and the schedules of other students working in the office. ASC Mission The mission of the Academic Success Center (ASC) is to promote academic achievement by connecting students with opportunities to enhance their learning, boost their performance and develop new study skills. In collaboration with other offices, ASC staff work to provide academic support services and programs that benefit the learning needs of students and advance their academic goals.
