11 How do I address my Elected Representative?

A guide is published by each jurisdiction detailing how to address representatives both in writing and in person. The Tasmanian State Government guide is available here and is updated regularly. A guide for the Australian Government is available here. If you are still in doubt give their office a ring and ask one of the staffers. They are always willing to help.

Requesting a meeting with an Elected Representative Members of Parliament and Senators are extremely busy. It helps to have some key information ready about your proposed meeting before you give their office a call. Have a prepared script outlining: • Why you wish to meet; • Who will be in your group; • How long the meeting needs to be; • Where/How the meeting will be held (in person in their office, at another location, over video conference); and • Any other relevant details including if the meeting is linked to a specific event.

Offer to email the request through to the address they provide. This will allow easier consideration of the request.

Once the office has considered the request you will get a response, likely from the Member’s diarist. They may ask you to provide a suitable time for the meeting. It often helps to offer 3-5 options for times. Once a time is agreed you will receive an email confirming the details. Any pre-reading material should be provided as soon as possible.

12 Writing to your Member When writing to a Member of Parliament, the goal is to be an effective advocate for your issue. To do that it’s helpful to:

• Engage your reader –an alarming statistic or a personal story helps the reader connect with your writing. • State the Problem – why are you writing to them? In a concise sentence set out what the problem is. Use examples to demonstrate how the problem is seen in day-to-day life. Include facts, statistics or evidence to back up your claims. • Inform them of solutions. How do you see the problem being fixed? What does a good solution look like? • Call them to action – What steps do they need to take? Do you need them to talk to another MP, propose a piece of legislation or advocate within their party?

The elephant test Writing in plain English in active voice is the best way to get your point across. Active voice conveys a strong, clear tone helping your reader understand your message. The elephant test is a quick way to tell if you’re using active or passive voice. If you can add “by elephants” to the end of your sentence and it still makes sense – that’s passive voice.

For example: Checklist for your letter I did the work. If I add “by elephants”  My contact details are easily to the end of this sentence, it doesn’t found and correct make sense. It is written in active voice.  I’ve used the correct form of address for the recipient Using passive voice the sentence  I have a heading or subject line would be: The work was done. 13 Arranging a meeting with the Premier 1. Send an email to Mandy at [email protected] detailing a. Who wishes to meet with the Premier; b. The purpose of the meeting; c. How long the meeting needs to be; d. Where the meeting will be if it is not to be held in the Premier’s office; and e. Any other pertinent information.

2. You will get a response from Mandy

3. The email is then distributed to the relevant advisors and staff prior to the Premier considering the request and any recommendations.

4. Once everyone has considered it, you will be informed as to whether the meeting is accepted or not. If the Premier declines then the Premier may direct you to either his CoS, DCoS or other representatives.

5. Depending on the outcome, to set up a meeting liaise with the Premier’s Diarist, Robyn Wilkes ([email protected]) or (03) 6165 7655.

6. Respond to Robyn with times that may suit. It’s a good idea to provide 3-5 options for times so that they can coordinate with all parties.

7. Once a time is agreed, you’ll receive an email confirming the details.

8. Any pre-reading material needs to be provided 3 weeks in advance of the meeting.

14 Media release Media releases may help your business or issue gain broader recognition. It will only be picked up for publication or broadcast if it is of interest to the wider public.

Basically, is it newsworthy? Is it the type of story you’d hear on the radio or read in the paper? Is the information current? Will it impact other people, businesses or policies? Will any one be interested?

Things that are likely to be newsworthy: • Innovative solutions to problems; • First-time products or new markets being created; • An open day at your farm to help people understand more about agriculture; or • {Ideas needed for this section.}

If you think your story will be better in a couple of months, hold off on the press release. It’s better to wait for a great story than bombard journalists with lots of substandard releases.

A media release can also serve as a call to action. Be clear in the objective behind writing your media release.

Writing a media release An effective media release can be copied and pasted by journalists for use in print or online editions. It will follow the general format of:

15 Contacting Journalists Journalists are extremely busy so media releases need to grab their attention immediately. Have that in mind when you’re contacting them. Think about:
