THE EGYPTIAN ALUMNI ASSOCIATION FOR THE SHIP FOR WORLD YOUTH

August 2010 – January 2011

The Egyptian Alumni Association for the Ship for World Youth (EASWY) has the pleasure to present this report on its activities covering the period August 2010 – January 2011 when the current High Board of EASWY was elected in August 2010. The main activity on the Agenda of EASWY that took place in October 2010 is the 4th Ship for World Youth Alumni Association Global Assembly 2010 known as SWYAA GA2010 and in brief GA2010 in . A special report on the 4th GA2010 is included in this report.

EASWY New High Board and the Creation of a New Position:

The previous President of EASWY, EASWY Vice- President and EASWY Advisor withdrew from the membership of the Egyptian Alumni Association for the Ship for World Youth (EASWY), its activities and the preparations for and activities of the SWYAA GA2010 without any previous notice. The withdrawal took place at a critical time, at the beginning of August 2010, almost 2 months only before the GA2010 leaving many pending issues related to the GA2010. The least to say is that no single step was taken for the specific items of the Official Program of the Global Assembly, GA2010 and the Optional Tour.

Thanks to EASWY Constitution and its articles that organize the process of elections of EASWY High Board, new EASWY President Mr. Nader Abdou Sawerous (SWY21), Vice –President Mr. Mohamed Abdel Meguid (SWY16), Vice –President Ms Marwa Hussein (SWY22) were elected. A new position was created due to the critical timing before the GA2010 to lead preparatory efforts of the members of EASWY GA Organizing Committee. This position is that of GA Leader that Mr. Mohamed El Kattan (SWY21) assumed its responsibilities.

Not only this, to ensure the flow of information, better coordination, and decision-making process, EASWY High Board invited active members of EASWY especially those who were Former EASWY Board members to be members of EASWY GA Organizing Committee. It was very helpful that most of the members of the EASWY GA Organizing Committee were involved from the very beginning in the preparatory process of the SWYAA GA2010 and contributed themselves in the first stage of preparations of the GA2010. This facilitated the task of the new High Board members of EASWY to the extent that international Ex-Pys didn’t feel the transition and the flow of information on the GA continued without any interruption.

Activities for Social Community Development

I. Visits

EASWY organizing the 4th SWYAA GA 2010 in Egypt provided the opportunities for Ex-Pys and community partners to join together and engage in a dialogue about the main social challenges by sharing their own experiences.

Activities during the Global Assembly aimed at capturing some of the social challenges in our society, ensured knowledge sharing, and that Pys can incorporate their observations and findings of the social activities into their own practices.

During the Global Assembly, EASWY through its members, the Egyptian National Council for Youth, and the Japanese Embassy in coordinated and reinforced networking between the different organizations which are putting in place various action programs treating social community challenges.

International Participants in the 4th SWYAA Global Assembly visited 4 projects/institutions related to social challenges and had the chance thus to participate in community service projects:

1- Food Bank of Egypt

2- Children Cancer Hospital known as 57357 Hospital

3- Hearing Disability School, JICA Project

4- Gezira Youth Club

The first two projects were organized and prepared by 2 of EASWY GA Organizing Committee members; EASWY coordinated the third project with the Japanese Embassy in Cairo, and coordinated the 4th one with the Egyptian National Council for Youth.

A story to tell about Fund Raising from Egyptians and the digitization of the hospital It's the Children's Cancer Hospital Egypt – 57357 (CCHE) website: www.57357.com CCHE known in Egypt as 57357 Hospital is the largest Children's Cancer Hospital in the World and was completely established and being sustained by donations of generous Egyptians and friends of the hospital around the world. Treatment in this hospital is for free. Cancer requires a long treatment and follow up over a period of between 1 - 3 years, costing from L.E. 100,000 to L.E. 300,000. A monthly or yearly donation is acknowledged by putting the name of the donor in the ward for the period of sponsorship

Because of the large number of Ex-Pys who were at the visit, they were divided into 4 groups and did tour the Hospital accompanied by officials from the Hospital. During the tour, Ex-Pys were able interact with some of the children at the hospital in their playroom and visited the Pharmacy at the hospital that develops all medicines and vaccines for the patients at the hospital to ensure self- sufficiency of the Hospital.

3- School for Hearing Disability, JICA Project

EASWY coordinated the visit to Hearing Disability Unit with the Japanese Embassy in Cairo. Students in this school learn to produce various products as part of their vocational training. JICA (Japan International Cooperation Agency) provides assistance to the Association responsible for the Hearing Disability Unit where sign language, pronunciation computer lessons are provided.

EASWY had the honor to have the participation of high level officials of the International Youth Exchange Organization, IYEO. Mr. Seiji IESUGI, IYEO Vice President visited the JICA project in Hearing Disability School with the international participants, Ex-PYs, who participated in SWYAA GA2010.

4- Gezira Youth Club

The visit to the Gezira Youth Club was organized by the Egyptian National Council for Youth (NCY). The Club is targeting youth and encourages them to practice sports, social and cultural activities. Ex-PYs participants experienced tree-planting activities coached by the experts in the field during the visit.

II. Lecture on Challenges Facing Youth in Egypt

As the Egyptian Alumni Association for the Ship for World Youth has a big number of Egyptian PYs with diversified experience, EASWY Egyptian Ex-PY, Dr. Sahar Hegazi, SWY6, gave a presentation to international participants of the SWYAA GA2010 on challenges facing youth. Since youth is the main asset of Egypt, the presentation reflected the view of an international organization UNICEF and tackled the theme showing that Egyptian Youth are an opportunity in the making that remains to be a challenge!

III. Suggested Projects by Ex-PYs for Community Development Presented and discussed in Egypt

Conference on Post –Program activities was held in Egypt as one of the major activities of the SWYAA GA2010 held in Cairo in October 2010. Preparations to this Conference in close coordination with IYEO of Japan included asking different AAs to prepare posters reflecting their activities contributing into social community development. Participants were divided into 5 groups headed by 5 facilitators from Ex-Pys attending the Global Assembly (GA2010) to discuss and come up with projects that different AAs can implement in order to achieve social community development. The different posters were exhibited in front of the main Hall of the Civic Education Center (CEC) where the Conference is taking place to give attendees ideas and knowledge sharing about the activities of each other.

According to Tamae SAITO, IYEO, the following were the Suggested Projects:

 Environmental Conservation Project: Set “SWY Environment Day” where the Alumni Association in each country executes a project regarding environment.  Drug Elimination Movement: Provide information on the dangers of drugs by conducting an awareness campaign where ex-PYs visit schools once a year.  SWY Blood Donation Day: Decide a day to recommend ex-PYs in different countries to donate blood on the same day.  Calendar of Events of AAs: To agree on events similar to the three mentioned above and to be executed in the different AAs of the different countries  Promotion of SWYworld.net: Introduce ex-PYs’ activities on the website by category. Through the website, general audience will be able to know what activities are implemented by ex-PYs.  Bus for World Youth in different countries: Taking the example of Peru as a reference, conduct similar projects in the U.K. and the Gulf Region. Participants toured around Peru and were involved in volunteer activities in several destinations. Ex-Pys from different countries can participate.  Homestay +1: Promotion of the project suggested at the Ex-PY Conference: Recommend Ex-PYs visiting other countries to get involved in volunteer work in addition to homestay through the Homestay +1 project.  International Corporation Activities: Activities to offer financial and material assistance to countries in difficult situations through SWYAA in the respective countries. In Japan, ex-Pys are currently supporting the school operated by an ex-PY in a slum (Project name: Tupendanne) as a part of “Support Project,” as well as the “One More Child Goes to School” project in Sri Lanka to enable children to go to school.  The following was suggested to further promote the SWYAA activities in each country:

o Model projects that can be easily replicated in various countries should be promoted. o Plan and develop a long-term vision. Each year can be themed based on different social issues: water, education, gender etc. Each year could also focus on the select countries. These countries could prioritize their needs and the SWYAA could focus their energy and resources towards these challenges. o Promote skill development projects as a means of capacity building at a community level.

EASWY SWYAA GA2010 Organizing Committee maintained an excellent relationship with the Japanese Embassy in Cairo through:

 Periodic meetings with High level officials at the Japanese Embassy in Cairo

 Being invited to celebrations held by the Japanese Embassy like attending reception on the Occasion of His Majesty the Emperor of Japan at the Residence of H.E. the Ambassador of Japan to Egypt.

Homestay for Ex-Pys

Small reunions between the different Ex-Pys who arrived before the SWYAA GA2010 were held through homestay offered by Egyptian Ex-Pys. Homestay by Egyptian Ex-Pys were also offered for different Ex-Pys who decided to extend their stay after the SWYAA GA2010 was concluded.

We made sure to be in contact with the different Japanese community in Cairo through Jetro Cairo Office, the Japan Foundation, Cairo Office, and Japanese friends who live in Cairo.

I. Ramadan Iftar 2010

EASWY organized a special Ramadan Iftar in September 2010. It was a very good opportunity to have different EASWY members and officials from the Japanese Embassy. In this get together, EASWY members asked their families to join. These were memorable moments to see different Egyptian Ex-Pys with their families meeting each other. Keeping always the SWY spirit!!! What an extended family

II. Celebration of SWYAA GA2010 Success

EASWY GA Organizing Committee and its different Working Group members celebrated the success of the Ship for World Youth Alumni Association Global Assembly, SWYAA GA 2010, held in Egypt in October 2010. Mr. Mohamed El Kattan, SWY21, GA Leader, organized the celebration. Members enjoyed food, the special GA cake, and special souvenirs were disseminated to all those who attended the big celebration to keep this wonderful event unforgettable. The celebration took place on one of the big Nile Boats overlooking the Nile of Egypt. Members spent the whole day remembering all nice memories of the event. Everybody enjoyed the day, the spirit, being one team work. Keep it up!!!

4th SWYAA Global Assembly (GA2010)

Egypt 9-17 October 2010

A Success Story

 The 4th Ship for World Youth Alumni Association Global Assembly 2010, 4th SWYAA GA2010, was held in Egypt in October 2010 under the theme “International Year of Youth: Dialogue and Mutual Understanding”. The Official Program was held in Cairo during the period October 10th -12th, 2010 and was followed by the Optional Tour on a Nile cruise in Luxor and Aswan (Upper Egypt) during the period 13 – 16 October 2010. EASWY, The Egyptian Alumni Association for the Ship for World Youth started preparing the proposal to have Egypt host the 4th SWYAA Global Assembly, since the return of the SWY21 Egyptian delegation after they finished the SWY 21 program. EASWY GA Organizing Committee was formulated to prepare for the GA and follow up all details of the event with the target in

mind: To make the 4th SWYAA Global Assembly 2010 in Egypt a major success not only for EASWY but also for IYEO”, and here are how we prepared for it and best results achieved :

1- Unprecedented Number of Participants in the 4th SWYAA Global Assembly 2010 (GA2010) in Egypt: The number of participants in the GA2010 was the biggest amongst all the previous Assemblies. The total number of participants was 180 from 24 different countries representing the 5 continents, “including the 15 EASWY GA Organizing Committee members from Egypt”. Participating Countries are: Japan, Sri lanka, New Zealand, Canada, United States, Mexico, Bahrain, Oman, Yemen, Emirates, Peru, Venezuela, Ecuador, Chile, Kenya, , United Kingdom, Spain, Greece, Finland, Turkey, , Norway, and Egypt.

2- EASWY Got the Support of the Egyptian Government to Host the 4th SWYAA GA 2010: In order to achieve the above mentioned target, EASWY GA Organizing Committee started to contact the Egyptian National Council for Youth (NCY), and succeeded in convincing NCY to host the official event, which maximized the chance of holding this Global Assembly in Egypt and contributed into its success.

3- No participation Fees for the GA2010 in Egypt: Thanks to the support of the Egyptian Government, the Global Assembly GA2010 was held for the first time with no participation Fees as it was hosted and its expenses were fully covered by the Egyptian National Council for Youth with no participation fees from participants. The GA Theme was the International Year of Youth: Dialogue and Mutual Understanding under the auspices of H.E. Mrs Suzanne Mubarak President and Founder of The Suzanne Mubarak Women’s International Peace Movement.

4- Official Representation from Japan in the GA2010 of Egypt Marked a Turning Point The GA2010 held in Egypt is considered to be a turning point in the history of the relationship between IYEO, The Cabinet Office of Japan and Alumni Associations in the different countries. The perception of the importance of holding GAs is not seen anymore as a simple gathering of Ex-Pys of SWY Program but now it’s looked at as an official event with lots of formalities, serious activities and more importantly as a formal channel that is as equal as the SWY Program itself in its importance and objectives. GA now after 4th GA in Egypt has all factors that would make it a formal event enhancing good relationship between the IYEO of Japan and the Alumni Association in each country that participated in the program. EASWY GA Organizing Committee working really hard during the preparatory process to make sure to have all factors leading to success available, being able hence to attract a big number of international participants was honored to have at the GA2010 the Cabinet Office of Japan Representative attend the SWYAA GA 2010, Mr. Hiroki MATSUBAYASHI, Director of International Affairs and IYEO Vice President Mr. Seiji

UESUGI, and definitely Ms Tamae SAITO, the Chief of International Affairs of International Youth Exchange Organization of Japan, IYEO of Japan.

5- Close Coordination with the Japanese Embassy in Cairo: EASWY has always maintained its good relationship with the Japanese Embassy in Cairo. Our plans were shared with the Japanese Embassy in Cairo and meetings were held to discuss the 4th GA2010 and we received continuous support from the Embassy. H.E. Ambassador of Japan delivered a keynote speech at the Opening Ceremony of the 4th GA. We would like to acknowledge here the efforts of Mr. Hajime Kishimore, Director, Japanese Information and Culture Center in Cairo who is now back to Japan and his continuous support to EASWY GA Organizing Committee. He also helped us in including a visit to one of the JICA projects in Cairo that showed another perspective of cooperation between Egypt and Japan and enriched the GA since the visit was part of the 4th GA Program reflecting projects contributing into social community development.

6- Close Coordination with the Egyptian Embassy in Tokyo: We would like to mention here that we have been in regular contact with H.E. Dr. Walid Abdel Nasser, The Ambassador of Egypt to Japan, who played a major role in making the SWYAA GA2010 happen starting from his meeting with Egyptian Ex-Pys of SWY21 when they were in Japan just starting their program and discussed with him the idea of having Egypt host the SWYAA Global Assembly. He took steps forward to discuss the idea of having GA in Egypt with relevant High Level Officials of Japan. We would like to recognize his tremendous efforts to remove all obstacles we faced during the preparations of the GA and being proactive to make the GA take place.

7- Unprecedented Participation in the Optional Tour to Luxor and Aswan

a. 120 Ex-Pys participated in the Optional Tour to Luxor and Aswan on a Nile Cruise in an unprecedented event.

b. Three important Reasons for the Selection of a Nile Cruise in the River Nile of Egypt: 1- The Ship for World Youth Program is based originally on a Sailing Ship so it will be very nice if the Ex-PYS are to re-live the atmosphere of the original program and at the same time they could be introduced into the real Egyptian culture and navigate throughout the ancient Egyptian History. 2- As Egypt is the cradle of civilization and the Nile River played a very important role in the Egyptian civilization and Culture. So, it was very important to introduce this aspect of Egypt to Ex-PYs participants in the 4th GA SWY AA 3- Luxor and Aswan are located in the Southern part of Egypt and they are known for being rich with ancient monuments and beautiful nature.

8- Outcome of Conference on SWY Post Program Activities held during the 4th GA SWY AA to be implemented by different Alumni Associations

In coordination with IYEO, EASWY GA Organizing Committee organized an exhibition where posters introducing the Alumni Association (AA) activities in each country were displayed at the venue where the Conference on Post Program activities were held.. Different AAs were contacted before the GA to prepare these posters that would include information on social contribution activities and other initiatives implemented in different countries.

9- Contributing into social Community Development by organizing Institutional visits

a. Visit to Egypt Food Bank (EFB) The visit was organized by EASWY GA Organizing Committee. EFB is a charitable entity aimed at the supply and delivery of food to orphans, elders, widows, needy families and persons incapable of work or profit. EFB is sponsored by a number of private sector companies, in collaboration with volunteer individuals. The EFB idea is set on accepting monetary and material donations as well as unused or extra foods, through collection from different entities, companies, organizations or individuals and making use of it by offering healthy meals on periodical schedules to the true needy. EFB Vision is to eradicate Egypt Hunger by 2025. Why is Food Bank Different?

1- Spreading awareness among rich people and leading them to feel , how much poor people do really suffer . 2- Database all over the country. 3- Teamwork feeling & Cooperation with other charitable entities of all kinds 4- Spreading awareness between Youth and old people & showing them how to deal with unused and extra foods in a good civilized way. 5- The Egyptian Food Bank invests some of its donations in some useful projects & activities (Fabrication of some of the projects food products, agricultural products , etc.....) . All these projects do create new Investment & plenty of new work chances. 6- Exactness& accuracy by choosing the real needy & making sure to appropriate food to the true needy on a continuous basis”

Mission is to achieve cure and improve the quality of life for all children with cancer regradless of race, creed, or ability to pay. - The 179 bed Hospital accepts around 55% of new annual childhood cancer cases in Egypt. CCHE has state of the art facilities for diagnosis, treatment and follow -up for the pediatric cancer patient who meets the international guidelines for pediatric oncology centres: Single or two bedrooms, PET/CT, MRI, fully equipped laboratories and operating theatre capable of complex procedures such as neurosurgery and miscrosurgery, as well as facility design that meets benchmark standards for infection control.- Hospital 57357 offers each child a wide range of services including: Full investigation, medical and surgical treatment as well as psychological and physical rehabilitation. -CCHE is a promoting for continuous training and professional development through international collaboration with world renowned pediatric cancer centers such as Harvard University, Great Ormond Street UK, and St. Jude Children's Research Hospital. b. School for Hearing Disability The visit was organized by the EASWY GA Organizing Committee in cooperation with the Japanese Embassy in Cairo. We sincerely thank Mr. Hajime Kishimore, Director, Japanese Information and Culture Center in Cairo for helping us organize this visit. It’s a visit to a school that is within JICA (Japan International Cooperation Agency) sponsored projects in Egypt. School is specialized in hearing disability students. Due to the sensitive nature of school, the visit was for a limited number of SWYers who are interested to participate and join those students JICA (Japan International Cooperation Agency) provides assistance to the Association responsible for the Hearing Disability Unit where sign language, pronunciation computer lessons are provided.

c. Gezirah Youth Club The visit to the Gezira Youth Club was organized by the Egyptian National

Council for Youth (NCY). The Club is targeting youth and encourages them to practice sports, social and cultural activities. Ex-Pys participants experienced tree- planting activities coached by the experts in the field during the visit.

10- How did the Egyptian Members of EASWY GA Organizing Committee Design the Action Plan and Put it in implementation? EASWY GA Organizing Committee divided its Action Plan into 2 parts. First Part: Action Plan for the Preparation Phase and Second Part: Action Plan for the event itself (to be implemented during the GA).

a. First Part: Action Plan for the SWYAA GA 2010 Preparatory Process The Preparation phase started upon getting the approval that Egypt is to host the Ship for world Youth Alumni Association Global Assembly 2010 (SWYAA GA2010), by conducting regular weekly meetings that lasted until October 7th, 2010, i.e., till 2 days before the GA that started with the Welcome Reception on October 9th, 2010. During these weekly meetings, the members of EASWY GA Organizing Committee reported on the progress of their work, initiated ideas, discussed them thoroughly to see whether they are feasible or not and the best way to implement them, and to follow up on the execution of these ideas till they become concrete and become an action that OC members are committed to make it happen. The list of the executed ideas included the following :

 Prepare the main activities of the program of the GA and list all potential places that could be visited and potential speakers and the sequence of events in the GA Program.

 Identify the dates of the official program and the Optional Tour

 Decide on where the optional tour can take place maintaining the same spirit of the SWY Program.

 Design the event “Logo” for the 4th SWYAA Global Assembly.

 Design “Name Tags” the participating EX-PYs.

 Design a “Bag” for the event, with a suggested list of its contents

 Design T-Shirt, Cap, Roll-ups, Notebook, and Post Card for the Event.

 Create an “Application Form” to be filled out by the participants who would attend the Global Assembly.

 Create an “E-mail Account” and to come up with the name of this account to match with the event to receive participants’ questions and requests, their

Application Forms, their flight details and send them answers to their questions and inquiries. All event updates are channeled to Ex-Pys GA participants through this e-mail account.

 Create 15 Databases and Applications for daily updates of the participant information, and send them requests to add the missing data and complete the application forms. A weekly update of the Overseas EX-PYs, were sent to Mrs. Tamae Saito, and Mr. Taro Yasuhi, while the Japanese Ex-Pys participation status was received from them in turn.

 Divide the GA participants into 5 Groups, with 4 Egyptian organizers for each group.

 Put a “Hosting Plan” to allocate the available rooms where accommodation will be for the 180 participants and the roommates. GA accommodation was at the Civic Education Center affiliated to the Egyptian Ministry of Youth.

 Visit the venue of the event and the accommodation place to list all the missing items and make sure that GA participants will find all their needs.

 Use all connections of members of the EASWY GA Organizing Committee to attract biggest number of Ex-Pys to participate in the GA through SWY-net, e- mails, Face Book etc... An official Invitation was put on the IYEO page, with all possible details on the event.

 Design a form of “Invitation letter”, and convince the Egyptian National Council for Youth to issue it as an official document, for all those who need it to take a vacation from work or study, or issue a visa to visit Egypt. Upon request of various applicants, More than 30 official invitation letters were prepared, and were followed up by the organizers they were sent to the participants who requested them.

 Prepare a “detailed Strategy and detailed outline” for each day of the event that includes the requirements needed for each item listed in the Program of the Global Assembly of the event. Create an execution plan for each need: Who will provide it, execute it, follow it up, or put its form.

 Decide on the content of the GA2010 Guidebook and Issue it. The Guidebook had all the details of both the official event, and the optional tour. Also, it contained the participating countries, the details of the visited sightseeing, the country codes of the participating countries to make international calls, the address of the Embassies of the countries of Ex-Pys participating in the event

in Egypt. Furthermore, it provided the participants with useful tips and their needs while they are in Egypt, through “What to Bring” List, Information on the available means of transportation, laundry services, money exchange places, maps of Egypt, Cairo, and the available subways were provided. The Guidebook was sent to the participants before they came to Egypt, and also has been put on the IYEO website. When the Participants arrived in Cairo, they found a Hard Copy of the Guidebook in their Welcome Kit.

 A “Documentary movie”, on EASWY participation in the SWY Program was prepared by members of the GA EASWY Organizing Committee to be presented to the participants at the Opening Ceremony.

b. Second Part: The SWYAA GA2010 itself

 The Second phase is the “Event phase”, which started as of October 8th - 17th, 2010 with the arrival of most of the participants and ending with the departure of most f them after the end of the Optional Tour.

 EASWY GA Organizing Committee members were divided into several work groups where each group performed its tasks according to the main functions that EASWY GA Organizing Committee had identified.

 Under the EASWY GA Organizing Committee, the following Working Groups were formulated as follows: Group Leaders, Ceremonies Working Group, Institutional Visit Working Group, Media Working Group, Food and Beverages Working Group, Accommodation and Transportation Work Group, Medical Working Group, Conference for Post- Program Activity Working Group, Optional Tour Work Group. Mr. Mohamed El Kattan (SWY21), the GA Leader of EASWY GA Organizing Committee was responsible for managing each of these Working Groups. The Tasks of the different Working Groups were as follows:

 Executions of the Transportation Plan, by welcoming the participants at Cairo Airport and escort them to the Civic Education Center (CEC) where the event was held and their accommodation was provided. The Working Groups divided the 2 Welcoming days (8th and 9th October 2010) with the arrival of participants to shifts so that they can cover the 24 hours.

 Once the participants arrived at the CEC, the Accommodation Working Group handled their stay according to a predefined plan. This plan was for 3 days complying with participants’ arrivals.

 An Action Plan for the Welcome Party, the Opening Ceremony, Closing Ceremony, and the Egyptian Night was executed by the Ceremonies Working Group. Places where these ceremonies were held were also identified by this Working Group.

 The participants were divided according their wish, to visit one of four offered institutional visits. The Coordination between EASWY and those places was handled by the Institutional Visits Working Group.

 Food Working Group was making sure that meals were provided and would accommodate any changes in the schedule and would still ensure that meals will be served, whether outside or inside the Civic Education Center (CEC).

 Media Working Group packed the items of the Welcome Kit, printed the Certificate of Merits for each participant, and distributed an Evaluation Application Form of the Global Assembly 2010 among the GA participants. Daily details of each session were written on white board. Announcements were also made by this Working Group.

 Medical Working Group: During the event, some participants got sick. The Medical Working Groups (they work as certified Medical Doctors) handled this matter with a great care, by following up on Ex-PYs, and treat them until they get well.

 Conference on Post Program Activities Working Group: The Details of the Post-Program Activities Conference, discussed with Mrs. Tamae Saito, from the IYEO, by the Conference for Post- Program Activity Working Group.

 Optional Tour (OT) to Luxor and Aswan Working Group: Providing a private plane for Ex-Pys to take them from Cairo to Luxor, and back from Aswan to Cairo, in order to make sure that they will catch their fights back home. Sailing through the Nile River between Luxor and Aswan on a private ship, exclusively for the Ex-Pys participating in the GA2010. Enjoy Discovering the Pharaonic Civilization by visiting the various temples in Luxor, Edfu, Kom Ombo, and Aswan. All these were the responsibility of the Optional Tour Working Group:  The OT Working Group prepared a database that includes all the names of the applicants to the Optional Tour to Luxor and Aswan on a Nile Cruise who marked “yes” for the Optional Tour on their Application Forms for the 4th Global Assembly for the Ship for World Youth (4th SWYAA GA 2010)  The OT Working Group followed all payments processed by Ex-PYs applicants to the OT and answered their inquiries after consulting with the Travel Agency.

 The OT Working Group arranged the accommodation plan for the Cruise after informing the applicants to the Optional Tour that they can request the names of those who will share with them their cabins on the cruise giving them the chance to choose their roommates and this will be fulfilled according to availability.  The OT Working Group chose among several extra -optional tours offered by the selected Travel Agency, i.e. not included in the original offer, two excursions to be paid in cash on the spot by the applicant and information on the two recommended extra- excursions were sent in a separate e-mail to the applicants.  The OT Working Group was looking forward to achieving the required number for the charter basis for the Nile Cruise as it will be re- living the SWY dream again and to imitate the original program on Nippon Maru. Accordingly the OT Working Group and the OC started to market the Optional tour by the following:  Sending e-mails to SWY net, news and different batches group e-mails encouraging more people to apply to reach the required number for the charter Nile Cruise to Luxor and Aswan.  Sending e-mails to EASWY members to encourage Egyptian PYS to join the Optional Tour to Luxor and Aswan on a Nile Cruise providing them with different options to join the Optional Tour after consulting with the Travel Agency by selling them the Cruise only without the flight tickets (to make it cheaper ), especially after the decision of the National Council for Youth (NCY) to limit the participation of Egyptian Ex-PYs in the Official Program of the 4th Global Assembly for the Ship for World Youth that was held in Cairo to the Egyptian members of EASWY GA Organizing Committee (OC). It’s only then that the OT Working Group considered that the OT will be a very good opportunity for the Egyptian Ex-PYS who couldn’t participate in the 4th GA Official Program to meet their International Ex-PYs friends as the Optional tour is almost half the duration of the 4th GA SWY AA.  Starting marketing campaign in the Face Book, the msn messenger and SKYPE.  Contacting Ex-PYs through their private mobile phones to encourage them to participate.  As the international Ex-PYs couldn’t let their families and friends participate in the Official Program of the 4th GA SWY AA since it was hosted and fully funded by the Egyptian National Council for Youth, the OT Working Group made sure to allow Ex-Pys to bring along their family members and friends to the OT to spread the SWY concept through more youth around the world.  Promoting the OT to the Japanese Community in Cairo. OT Working Group members contacted friends at the Japanese Embassy in Cairo, The Japanese community in Cairo, Jetro Cairo Office, and The Japan Foundation, Cairo Office inviting their members to join the Optional

tour of the 4th GA  The OT Working Group divided the participants of the OT into three buses, A, B and C in which Bus A and B were specified for OPYs and Bus C is specified for the JPY.  The OT Working Group members and also one of the OC members who participated in the OT were working as tour leaders, each was responsible for a bus, and the OT Working Group Head Mr. Mohamed Abdel Meguid, SWY16 and EASWY Vice-President was responsible for Bus C and for coordination between the three buses and the Travel Agency staff.

11- Our Partner in Japan: We were coordinating every single detail of the SWYAA GA2010 with Ms Tamae SAITO, Chief of International Affairs of International Youth Exchange Organization of Japan, IYEO of Japan. Ms SAITO facilitated everything for us with her knowledge and experience in the SWY Program and Post Program activities. Ms Saito provided us with all needed guidance on best ways to prepare for such a big event like the GA. As a well trusted and competent partner, we followed her advice knowing that we are marking thus more steps ahead towards success. Her professionalism encouraged us to be transparent with her discussing all issues to find a way to overcome any obstacle and to achieve best results. Throughout both Phases mentioned above, Ms. Tamae SAITO, and Mr. Taro YASUSHI from IYEO, provided us with their utmost help, by collecting the GA Application Forms of the Japanese Ex-Pys, Compiling all questions of the Japanese participants, and sending them to us to be answered, sharing with us ideas in the preparatory Phase of the GA, Printing Posters of various countries to be presented in the Conference on Post Program Activities, and the Daily and continuous coordination and follow up before, during, and after the event. The contribution of Ms. Tamae Saito, and Mr. Taro Yasuhi was instrumental in making the Global Assembly a very successful event. EASWY GA 2010 Organizing Committee deeply appreciates their efforts, and would like to thank them very much for their continuous support all the way, until the dream came true and the SWYAA Global Assembly was held in Egypt in October 2010.

12- What Worked for Us?

- EASWY placed the organization of the 4th Global Assembly for the Ship for World Youth Alumni Association (SWYAA GA2010) that Egypt hosted in October 2010 as the most important item on its Agenda. Hence, all of its efforts were geared towards making this event happen.

- The fact that Egypt participated in the SWY Program since 1990 till 2010 (11 Egyptian delegations) meant a big number of Egyptian Ex-Pys with different types of experience which gave the chance to make sure that the best elements with a wide age bracket of

Egyptian Ex-Pys are to participate in the organization of the event. So, the ones who finally contributed into the real organization of the event were the experienced ones with diversified portfolio which made all specializations needed to organize a big event like the 4th GA2010 available and hence opinions and ideas from members of the EASWY GA Organizing Committee were based on experienced and professional view points. All fields were available in the 15 members of the EASWY GA Organizing Committee: International Relations, Medicine, Pharmaceutical, Tourism, Finance, Banking, IT, Media, translation. This is beside the marginal activities that each of the 15 members is engaged in and hobbies that each member practice and were of an added value to the organization of the event: Being a Scout Member, participation in Youth activities organized by the NCY and NGO, members of Rhotary. We can’t forget those who speak fluently the Japanese Language and those who are aware of government rules.

- The theme of the year 2010 in Egypt was The International Year of Youth: Continuous Dialogue and Mutual Understanding which matched with the 4th Global Assembly theme and actually became the main theme and was a major factor that attracted the support of the Egyptian Government.

- The 4th Global Assembly 2010 was a materialization of the long years of cooperation between EASWY and IYEO. We were among the first countries that established their own Alumni Association “EASWY” in 1996 in response to IYEO’s call to participating countries in the Ship for World Youth (SWY) Program to establish their own associations. Through EASWY, we continued to maintain the link with IYEO of Japan that thanks to its efforts Egyptian youth were able to join one of the best Programs promoting for peace and mutual understanding.

- The 4th Global Assembly 2010 is of great importance to us since last time Egypt was a Port of Call was in 1992, then Nippon Maru passed through the Suez Canal in 1994 (SWY6). We have maintained the link with IYEO through the participation of Egyptian delegations throughout the past years but having IYEO as a partner in this important event was of a great honor and realized our long awaited wish to have IYEO here in Egypt

- To guarantee continuity in membership of EASWY GA Organizing Committee was very important. Most of the members of EASWY GA Organizing Committee were there right from the very beginning of the preparatory process and hence were able to continue even when facing challenges like when the previous President of EASWY, her Vice - President and EASWY Advisor withdrew in August 2010 without any previous notice from EASWY as members and from EASWY activities and SWYAA GA2010 preparations and activities. So, EASWY had its new elected High Board as of August

2010 (EASWY President and Two Vice -presidents) and introduced a new position that was highly needed the GA Team Leader.

- Being able to have a harmonious group in EASWY GA Organizing Committee was very important and helped efforts to be made to keep the preparatory process going on despite all obstacles and challenges and more importantly without making any of our partners and the international Ex-Pys participants feel the changes that happened in EASWY High Board and working hard to have things happen and the transition happen smoothly.

- Thus we were able to continue our preparations for an event that as per the International Youth Exchange Organization (IYEO) of Japan is considered to be the biggest in 22 years history with the big number of participants exceeding 100 who were in Egypt in October 2010 and participated in the GA2010
