Makeup Crew Responsibilities

Publicity Crew Responsibilities

 Inventory supplies  Purchase needed Supplies (as soon as possible)  Create a schedule for each publicity event/task and set deadline when they should be accomplished. Security Crew Responsibilities

 Protect all Cast and Crew members  Ask teachers to use needed room and find out their concerns (A-1, A-5, A-13)  Guard all props, set pieces, equipment, and drama affiliated objects.  Protect and maintain well being of audience  Watch the cash box  Guard refreshment room. Neither cast nor crews are allowed in that area  Keep audience from entering cast changing room  Keep audience away from set and prop pieces  Help audience when needed.  Protect the rooms from being used  Must keep a careful watch over your designated area, not allowing anyone to disturb or touch anything. Any damages or stolen goods will have major consequences to whomever was assigned to that area.  Must be aware of any injuries and also any types of emergencies (which you must take care of) including audience members in wheelchairs.  Respect is key to the job and you must trust your crew head and Mrs. DeLion. Never doubt any of them.  Punishments will be given according to the severity of the incident  Common sense: if you make a mistake or something goes wrong, report immediately to your crew head or Mrs. DeLion.  Think before you act

Production Assistant Responsibilities

 Compose crew phone list  Update crew list as people are dropped or added  Make sure all crew information is correct  All crew (crew head, designers, and members) receives a schedule  Compose list of deadlines  Assess deadlines validity  Schedule for Production meetings  Plan agenda for Production Meetings  Run production meetings  Communicate with crew, managers, and Director  Make sure crew is on task and Is meeting deadlines . Deadlines can be changed within reason . If crew heads aren’t on task it is the Production Assistant’s responsibility to solve the problem  Make sure crews are communicating with each other for effective teamwork  Be able to assist crew designer in obtaining items necessary for the production  Attend Tech. Rehearsals and Dress Rehearsals

House Crew Responsibilities

Before Performance . TRAIN CREW. This includes teaching them the following: o Setting up the house o Setting up refreshments o Ticket sales (appropriate personnel) o Taking tickets o Handling ticket problems o Distributing programs o Showing people to their seats o Watching the audience o Handling problems in house o Seating latecomers o Intermission duties in the house o Selling refreshments o Selling/delivering backstage grams o Dealing with cast o Timing intermission o Stamping tickets after the show o Clean up o Everything on Performance Nights list . Order tickets . Fill out paperwork to request custodial supplies/ help to set up house (musical only) . Show DeLion list of presale ticket days and who’s selling. Keep number of people to a minimum . Inventory refreshment supplies . Buy needed supplies . Construct refreshment list and give to each cast and crewmember. . Sell presale tickets at lunch starting one and a half weeks prior to first performance o Pick reliable people to sell pre-sale tickets . Have crew wear black/white outfit to approve before first performance . Ask Social Studies Department Chair and I.B Coordinators to use A-3 and A-4 office spaces (For musicians – Get permission to use faculty lounge.) . Train specific crew for selling tickets . Check change in the cash box every performance night . Check the number of seats . Design and print backstage grams Performance Nights o Set up and clean house before each performance o Have everyone help out. Specify what each person needs to do to prepare the house for each performance night. o Sweep/mop floors o Sweep seat area o Clean walls and front of stage o Clean chair backs and table arms o Store computers and desks o Set up extra chairs o Label all chairs o Take down extra items from walls o Unplug department phone and make sure school phone has no blinking message light. o Straighten chairs o Set up and clean A-1 for refreshments. (Faculty lounge for musical) o Set up cooler of water and cups backstage for actors. (Cold Water is always nice) o Collect money or refreshments from cast and crew for intermission – collect a week before performance and make a punishment if money is not turned in. o Sell tickets at door (money) o Take tickets and welcome guests  Hand out programs o Watch stage so no unauthorized people enter o Help audience find their seats o Seat latecomers at appropriate times during play o Handle seating problems o Watch audience during performance. o No talking o No food/drink o No flash photography o No beepers/ cell phones o Inform audience of refreshments and restrooms during intermission (making signs is a good idea). – if there is no intermission, inform the audience before the show begins. o Time intermission (call audience back in to house after 10 minutes) o Sell backstage grams (appealing to sell better) o Deliver backstage grams o Clean house after performance

Lighting Crew Responsibilities

Design  Make list of supplies department must provide  Buy supplies department must provide  Read the play- must be the first thing to do before even starting the work  Make a list of requirements from the play  Talk to director about concept  Research lighting techniques  Research time period of play for lighting  Design lighting for each scene  Confirm with director if design is accurate and reflects concept of play before hanging begins  Meet with the director several times with updates and changes  Get inventory of lights before designing – very important, give 2-3 workdays

Hang & Focus Crew  Arrange for rental of lights and equipment if necessary  Pick up rented lights and equipment from rental agency  If using department lights and equipment, clean equipment  Buy new batteries for the flashlights - $.99 store  Purchase needed lights and equipment  Hang and focus lights according to the design – give about 3 workdays to do

All Crews  Learn to run all lighting equipment  Learn the names of all lighting equipment  Train all crew members in necessary lighting techniques  Inventory lights and equipment before designing  Test all instruments  Fix broken instruments  Make a list of all lighting effects needed, an the act and scene of each effect  After the run o Return borrowed lights and equipment o Return rented lights and equipment o Department lights and equipment must be tagged and returned to proper place

Running Crew  Attended all performances technical, and dress rehearsals  Check lighting equipment at the beginning of each rehearsal and atl cal times on performance nights o Once equipment is checked, do not turn off until the end of rehearsal or performance  During tech rehearsals, write down cues and practice executing them. Keep accurate and up to date sheets  During dress rehearsals, perform all cues as though it were an actual performance  During dress rehearsals, behave as though it were and actual performance  During dress rehearsals and performance, wear all black  Talk to stage manager, designer and store safely  Program cues into lights board and save on disk  Disk must be put away after every rehearsal and performance in a safe place  Check lights and gels before each show to be sure everything is working

Costume Crew Responsibilities Design / Gather  Learn appropriate measurement techniques (teach this by the first workday)  Measure actors (as soon as rehearsals start)  Collect performance fee (if required for play)  Give actors list of supplies they must bring  Make list of supplies department must provide  Buy supplies department must provide  Read the play (immediately)  Make a list of requirements from the play (3 weeks before first dress rehearsal)  Talk to director & actors about characters (after several rehearsals)  Research techniques (immediately)  Train all crew members in necessary costume techniques (by second workday)  Research time period of play for and accessories (immediately)  Design costumes and accessories for each actor (1 month after first rehearsals)  Confirm with director if design is accurate and reflects concept of play  Arrange for rental of costumes and accessories if necessary (1 week before first dress)  Pick up rented costumes and accessories from rental agency  If using department costumes and accessories, alter costumes (before first dress)  Purchase needed costume pieces and accessories (2 weeks before dress rehearsal)  Schedule actors for costume fittings

Both o Inventory sewing kit and buy needed supplies o Make a list of each actor, all costumes and accessories he/she wears, the act and scene of each costume, any quick changes the actor(s) have (Before first dress) o repair costumes as needed o After the run o Return borrowed costumes and accessories o Return rented costumes and accessories o Wash and/or dry clean department costumes o Clean costume room o Department costumes must be tagged and returned to proper place

Running Crew o Attended All performances and dress rehearsals o Help actors who needs help with quick changes o When done with your work help out other people o Inventory costume pieces at the beginning of each rehearsal o During dress rehearsals, sit in house and check for problems o take notes from director o talk to cast after dress about problems o wash costumes if needed o Check actors for powder when they are checking out costumes o Check out each costume piece with the actor o At end of play, Check in each costume piece with the actor o Check costumes for damage o Make sure all costumes are neatly and correctly put away

Set Crew Responsibilities

Set Design  Learn appropriate set design and drafting techniques  Read the play  Make a list of requirements from the play  Talk to director about concept for the play  Research furniture making and decorating techniques  Train all crew members in necessary furniture making, painting, and interior decorating techniques  Research time period of play for architecture, furniture, and interior decorating  Design architecture, furniture, and interior/exterior for each scene  Confirm with director if design is accurate and reflects concept of the play  Arrange for rental of furniture and set dressings  Pick up rented furniture and set dressings from rental agency  Purchase needed furniture and set dressings  Check weekly with stage manager for changes in furniture and set dressings made at rehearsal  Things that are required help from other departments (i.e. art) – get those done as soon as possible  Before the first meeting, have 5-10 preliminary set sketches  Have meeting with Mrs. DeLion at least once every two weeks if not more.  All design should best be done at latest 3 weeks before opening night so that you’ll have a decent amount of time to focus on building.  Delegate work to crew ASAP  Maintain good communication with crew head and teachers

Set Construction  Make list of supplies department must provide  Buy supplies department must provide  Build the set o Construct o Paint/decorate o Maintain  If using department furniture and set dressings, clean and, if necessary alter.

All Crews  Give actors list of set pieces needed to see if they can bring them  Make a list of each set piece and dressing, diagram where they go on the set, the act(s) and scene(s) each is used in, and how it gets on and off stage  Repair set pieces as needed  Clean set pieces if needed  After the run o Return borrowed set pieces o Return rented set pieces o Clean department set pieces o Department set pieces must be tagged and returned to proper place

Stage Running Crew  Attend ALL performances, technical and dress rehearsals  Before first tech rehearsal, have all set elements ready to go  Inventory set pieces at the beginning of each rehearsal  During first few rehearsals, work out with crew and actors how each set piece gets on and off stage  During last few tech rehearsals, sit in house and check for problems: o Take notes from director o Talk to cast after dress about problems  Make a list of each set changes, all set pieces, which way each goes on and off, and who is responsible for moving it.  Inventory set pieces at the beginning of each rehearsal – check for problems.  During dress rehearsals, sit in house and check for problems: o Take notes from director o Talk to cast after dress rehearsal about problems  Sweep and mop the floor at the beginning of each rehearsal and at call time for each performance  At the end of play, check each set piece for damage and store properly

Graphic Design Responsibilities

 Talk to staff at district office - Reprographics department about computer applications that can be used for layout  Read the play(s)  Design logo/image  Design poster/flier  Get poster/flier/program to printer on disk at least 2 weeks before you want them back. DO NOT BE LATE  Design program/layout all information for program  Correct names and spelling of cast and crew  Sell program ads and layout ads in program\ o Program must include: . Director’s note . Thank you to sponsors . Cast list . Crew list . Scene by scene breakdowns (include time, place, and location) . Advertisement for upcoming shows . Notes about intermission (placement and length), location of restrooms, flash photography, re-entering the theatre during performance, talking, food/drink/gum, beepers/cell phones.  Summary of play (optional)  List of musical numbers

Sound Crew Responsibilities

Design/Gather  Read the play  Should have a requirements from the play  Make a list of requirements from the play  Talk to director about concept for the show  Research time period of play for music and sound  Design sound and effects for each moment of play  Confirm with director if design is accurate and reflects concept of play  Make list of supplies department must provide  Buy supplies department must provide  Pick up rented/borrowed tapes and CDs from rental agency/lender’s home  If needed to record voices, talk to choir/band director  Learn how to record voices/music  Purchase needed tapes and CDs  Schedule time for director to listen to all music and sound effects before first tech rehearsal and with time to make changes if necessary

Both  Learn how to use all sound equipment  Research sound techniques  Train all crew member in necessary sound techniques  Make a list of each song and effect, the length and which tape/CD it is on  Label all tapes and CDs with the name of lender, name of music or effects to be used, and where to find each  After the run o Return borrowed tapes and CDs o Return rented tapes and CDs o Department tapes and CDs must be tagged and returned to proper place  Record before show and intermission announcements

Running Crew  Attend All performances, tech, and dress rehearsals  Learn how to use all headset and monitor equipment  Buy new batteries for microphone. One AA battery for each show/ dress rehearsal  If using department tapes and CDs, label and store in safe place  Cue up tapes at the beginning of each rehearsal  Xerox cue sheets  Record cue sheets in PENCIL first  During tech and dress rehearsals and performances, set up headset system  During tech rehearsals, write down cues and practice executing them. Keep accurate and up-to-date cue sheets  During dress rehearsals, perform all cues as though it were an actual performance  During dress rehearsals, behave as though it were an actual performance  During dress rehearsals and performances, wear all black.  During dress rehearsals and performances, set up all headset and monitor equipment  Check sound equipment at the beginning of each rehearsal and at call times on performance nights  Play before show and intermission announcements o Once equipment is checked, do not turn it off until the end of rehearsal or performance o Talk to stage manager, designer, and director after tech and dress about problem. Expect notes from the director  At end of play, store all tapes safely and turn off all equipment  Learn how to put away wires and headsets properly and neatly  Store sound equipment after show is over

Prop Crew Responsibilities

Gathering Crew  Read the play  Crewheads: Schedule meetings with Director  Talk to director about concept for the play  Research time period of play for props  Create prop list  Give actors list of props needed to see if they can bring them  Make list of supplies department must provide  Buy supplies department doesn’t have  Research prop making techniques  Train all crew members in necessary prop making techniques  Design props for each scene  Confirm with director if design is accurate and reflects concept of play  Arrange for rental of props if necessary  Pick up rented props from rental agency  If using department props, clean and, if necessary, alter.  Check weekly with stage manager for changes in props made at rehearsal  Get usable props from Prop Storage room / closet

 After the run  Return borrowed props  Return rented Props  Attach “Thank You” notes to rented items  Wash and/or clean department props  Clean props room  Department props must be tagged and returned to proper place  Make sure you communicate with your crew head and advisor constantly to make sure all deadlines are met.  Make sure you are clear on all scheduled meetings.  Make sure prop cabinet and closet are cleaned thoroughly.

Running Crew  During the play  Make sure all actors are prepared with props - ask frequently  Remind actors to get props before hand  Make a list of special prop instructions that will be used for each production (example: bringing props to another side, preparing a prop in a special way)  Take notes of possible prop handling improvements for each run  Keep an inventory of props after each run (or outline spaces for props on prop tables to ensure that nothing is missing when they are supposed to be returned after the run)
