Dear Colleagues,

It was really nice to see so many of you yesterday at the listening session Marissa hosted. A shout- out to Stacey Hopkins. I personally really needed to hear what you had to say. Thank you!

Here is this week’s HR update:

New meal break policy for hourly (non-exempt) employees Starting next week, employees who are non-exempt (or hourly) will need to use Kronos to clock-out for meal breaks, and then clock-in when the work shift resumes. The change is reflected in the updated Work policy. This was an important update to ensure employees are being paid for time worked, are provided meal breaks and so we have accurate timekeeping records. If you have any questions about this change please check in with your . And if you need a refresher on the new Kronos 8 system please visit our Kronos User Documentation page where you will find access to webinars and materials. Also, attached you will find step-by-step instructions on how to download and use the Kronos Mobile app.

AFSCME furlough & Work Share information Last week’s information session on the AFSCME furlough agreement and Work Share is now on the Metro website. You can view the video, the slide presentation and an FAQ at oregonmetro.gov/workshare. If you have questions on Work Share or need assistance filling out forms connect with your department coordinator listed on that page. Schedule request forms to implement the AFSCME furlough agreement are due to your supervisor by end of the day today, Sept. 16. Once your supervisor approves the schedule, they will send the form to Kronos help desk to enter into your timecard. You can access the form and instructions for filling out the Initial claim form (new to Work Share only) at oregonmetro.gov/workshare.

Pay advance available while waiting for from Work Share It can take several weeks for unemployment claims to be processed by the Oregon Department and possible that employees will experience up to 4 pay periods without receiving a benefit to offset the loss. Employees who need short term financial assistance to meet household expenses can request an advance on their future earnings to help make ends meet while on Work Share. View the advance payment FAQ and download the form (located at the bottom of the page) at oregonmetro.gov/workshare. Questions on the advance payment can go to [email protected].

Voluntary Separation Incentive for Non-Represented Employees Part of the recent agreement with AFSCME includes an option for a voluntary separation incentive. Metro leadership would like to extend this incentive to non-represented employees. Here is what you need to know: o Employees who are in positions greater than or equal to 0.75 FTE and meet either of the following requirements are eligible to participate in this voluntary separation incentive: 1. hired prior to July 1, 2012, and/or 2. are within five (5) years of from PERS including “early retirement”. o Employees who elect voluntary separation may elect to receive a payment of nine thousand dollars ($9,000), OR may elect to receive full coverage for health, dental and vision benefits for six months. Coverage begins the first of the month following the effective date of the separation. o Employees must retire by January 31, 2021.

If you would like to elect this option send in written notice of retirement to Human Resources to [email protected] on or before Friday, November 20, 2020. This incentive is currently only available to AFSCME represented and now non-represented employees. Negotiations with other labor groups are in progress.

Thank you and take care,
