HEAD OF EVENTS APPLICATION PACK 2021 Crystal Palace Park Trust will act as the custodian of Crystal Palace Park to protect, manage and improve Crystal Palace Park as a green, historic, ecological, recreational, sporting, cultural and educational resource in the interests of park users and of the wider community. 1 LETTER TO CANDIDATES Dear Candidate, Thank you for your interest in becoming the first Head of Events for the Crystal Palace Park Trust. We are a community company, with charitable status (Registered Charity No 1193331) and are working with the Park’s current owner, the London Borough of Bromley (“Bromley”), to eventually take on all aspects of the Park’s management, conservation and events. It is anticipated that Bromley will remain as the Freeholder of the park, with the Crystal Palace Park Trust assuming the head lease for the park and its overall custodianship, after a transitional period. The London Borough of Bromley’s Regeneration Plan for Crystal Palace Park has the following aims: • To reinvigorate the park as a contemporary and historic showcase in tune with Paxton’s vision, creating a place of discovery, learning, recreation and fun • To develop the park’s local and regional identity and re-establish its national and international significance • To provide community benefits through facilities within the park and connections to local facilities and the economy • To deliver a modern, financially and environmentally sustainable plan securing the long-term future for the park The Regeneration Plan is a holistic scheme that will deliver benefits to the park through: • The physical regeneration – capital work • A new form of governance – the Crystal Palace Park Trust 2 • A new business model – enabled through the capital works and new governance This new Regeneration Plan and the park’s unique history provide the framework for the Crystal Palace Park Trust’s future work programme. The Park performs two functions, being a regionally significant park with an internationally significant heritage. It is key to our thinking that the story of the Park should be told, and that it should once again be recognised as place where great events happen. It is an ambitious project, and will be matched by the skills and talents of our successful candidate. We are seeking a Head of Events. This is a fantastic opportunity to become integrally involved in the development and restoration of a great historic landscape, putting Crystal Palace Park back on the map as a cultural icon. The Head of Events will be responsible for leading the development and delivery of a full programme of commercial and community events, in keeping with the vision of the Trust of the Park as a place of ecological, historical, cultural and recreational excellence. The Trust is a new start up charity and the role will require a willingness to engage at all levels and the enthusiasm to drive the business forward in a flexible manner. If you have in-depth experience in managing and delivering events programmes in both community and commercial settings and want to be part of an exciting new charity focused on benefiting the local community, this is a brilliant opportunity to utilise your expertise and knowledge, and we are interested in hearing from you. Purpose of Post ● To work with the CEO and CPPT board to manage and deliver the annual event programme for Crystal Palace Park including performing arts, private events, sports events, markets and fairs. ● To be the main point of contact for all events in Crystal Palace Park, co-ordinating and administering support in the planning and delivery of them with promoters, partners and stakeholders. ● The post will help deliver a range of community events and make best use of the park as a community space for culture, entertainment, health and leisure. ● Principal Responsibilities Event Programme Management ● Assess what resources and support are needed as the CPPT and CPPEL Boards progressively takes on responsibility of the management of all events in the Park 6 ● Lead the procurement process for any agency or contract work required to support the event programme’s development and delivery ● Lead on developing a sales strategy for the park and actively promoting the Park as a leading events space ● Management of the events programme budget to deliver annual financial targets as agreed with the CEO and CPPT and CPPEL Boards. ● Lead on developing marketing assets and operational protocols for the Park ● Act as the main point of contact for all events in Crystal Palace Park and manage event bookings, processing and answering enquiries ● Review event applications and make judgements on the Park’s event programme in consultation with the CEO and CPPT and CPPEL Boards, in line with the events strategy and policy for the Park ● Develop and deliver the annual programme of events in the Park in collaboration with event agencies, event promoters, key delivery partners and contractors ● Support the planning and delivery of major events in the Park ● Manage existing event promoter relationships, facilitating and ensuring safe and successful delivery of events scheduled for 2021 and 2022 (Covid restrictions dependent) ● Support the licensing of events from conception to completion ● Negotiate fees and contracts for events with event promoters ● Conduct site visits with event promoters and relevant authorities ● Ensure event promoters’ compliance with Park terms & conditions and H&S requirements ● Liaise with key stakeholders including local authorities, relevant authorities, London Transport and the local community about the events programme for the Park 7 ● Oversee the use of the concert platform as an events and activities space for the local community ● Ensure events are well documented with photo/film use permissions taken where appropriate to build up an asset bank. Health & Safety, Policy & Planning ● Work closely with the CEO and CPPT & CPPEL Boards to develop appropriate strategies, policies and procedures for the Park ● Monitor, evaluate and write relevant reports for activity in the Park ● Work closely with the CEO and CPPT & CPPEL Boards to support development priorities and contribute to fundraising applications in support of the Park’s activities ● Ensure policies for sustainability and environmental responsibilities are upheld, with the protection of the Park’s heritage assets and landscape at the forefront of all events planning and delivery ● Ensure all staf and personnel working within the Park adhere to the Trust’s safeguarding policies. Communication ● Communicate the values of the Trust to the wider community and actively engage and develop new audiences and visitors to the Park. ● Develop and deliver, in collaboration with event promoters, the CEO and CPPT &CPPEL Boards, local engagement and consultation activity with local communities ● Attend meetings as required by the CEO and CPPT & CPPEL Boards to build strategic and efective partnerships and networks locally, pan-London, nationally and internationally. 8 Equal Opportunities ● Ensure the intentions and requirements of the Trust’s Equal Opportunities Policy and Accessibility Policy are applied.
