1.2. Context

Purpose of these specifications

These specifications are a technical support presenting step by step all the work done for structuring and developing a multi–site, multilingual and participatory Web platform focused on Mountain-oriented Education in the Alps. The Web platform is available in English, French, Italian, German and Slovenian.

The Web platform includes two different websites: - a portal addressed to professionals in Mountain-oriented Education field: http://www.ouralps.org - a portal addressed to young people in the Alpine countries. https://www.yapp-network.org/en

The OurAlps website will be the main tool of the international network OurAlps. OurAlps network is addressed to any professional in the educational field (formal and non-formal education) and in the mountain field and brings them together to develop mountain education and awareness in the Alpine region. The OurAlps website has been set up from A to Z. The Yapp-network website has been developed in the frame of a previous project (ERASMUS +, 2015) by CIPRA International, with the contribution of Educ’alpes and ALPARC. These specifications include the

In conjunction with the YAPP project, the international network also targets young people to facilitate their involvement in mountain-related projects, events, etc. Furthermore, will be shown in particular the development of the multi-site web platform structure, its functionalities and services included, and the selection process of the graphic theme.

The Web platform has been conceived, structured and developed under the coordination of Educ’Alpes with ALPARC in the frame of the Interreg Alpine Space project ‘YOUrALPS – Educating youth for the Alps: (re) connecting Youth and Mountain heritage for an inspiring future in the Alps’.

As owner of yapp-network.org and through the ‘historic’ partnership1 with Educ’alpes and ALPARC, CIPRA international has been as well involved in the project development of the web platform in particular through the migration of this website.

The Web platform has been developed with the contribution of all the YOUrALPS project partners.

2. General project overview

2.1. Aims and target groups

1 Since 2011, Educ’alpes, CIPRA International and ALPARC have been formally committed to setting up an international network of mountain-oriented education in the Alps. In 2015, CIPRA International, with ALPARC and Educ’alpes, created international platform among youth/mountain stakeholders through a Web platform (yapp-network.org). This multilingual platform focuses on the involvement of young people in the Alps.

• Volume of content ouralps.org consists of around 35 pages (excluding the pages of the user account, forms and RSS feed page) for a single version (e.g. English version). Most pages are created in five languages (see ‘3.6. Web platform in five languages’). The various pages are shown in the tree view above. yapp-network.org currently includes around 10 pages (excluding the pages of the user account and forms) per version (e.g. English version). They are translated into five languages: FR, IT, EN, SL, DE. As part of setting up yapp-network.org on the multi-site platform, a ‘Projects for young people’ form page linked exclusively to this portal (yapp-network.org) is created (in five languages) (see ‘3.1.2 Tree view of portal yapp-network.org’).

The CMS (see below) enables the creation of an unlimited number of pages.

• Types of content for both portals:

Simple pages can contain text, images, links, files (PDF…), videos (via an Iframe). Some pages display certain contents of files (=pages resulting from completed forms) and/or a map. Content should be accessible in a maximum of three clicks.

Files obtained may include texts, photo, web links, documents in common formats (Word, Excel, PDF, etc.), a video and/or a map (geolocation).

3.3. CMS and Web platform operation

The multi-site platform should be developed with one of the following three CMS systems: TYPO3, or eZ Publish. After a detailed analysis by an external expert, these have been found to meet our needs particularly well in terms of functionality, security (fight against spam, security flaws, extortion, etc.), independent content management and independent creation of additional sites. The solution should ideally last for the next five (or more) years. The graphic themes of these CMS systems are also compatible with the main browsers: Firefox, Internet Explorer, Google Chrome, Safari, etc. Drupal is the CMS used by the Web agency selected.

Our immediate needs: Have two Web portals, one for professionals and one for young people, with different domain names and different graphic themes and that are supplied by a common database.

The sites share in particular:  a common database,  a file storage server: server + backup,  features, • User accounts.

There are specific permissions for users and for administrators to content: forms, pages, etc.

Sharing data: Some shared resources from forms on the various portals – and selected by us – can be accessed easily on both tools and on additional sites in the future. The data displayed will follow the layout of the relevant portal.

These additional sites will be supplied by the common database. Definition of additional sites: These sites are small portals related to topics outlined in the network (e.g. mobility, climate, etc.) or aimed at a specific audience, for example.

Infrastructure

The platform is managed over multiple sites with a common database. Thus the platform contains all shared data and supplies all of the sites. There is also a back-end application, allowing administrators to manage shared resources (with the option of specifying the portals and languages in which they will be displayed) and to create forms and data specific to one or more websites.

In the multisite infrastructure, the different domain names can link to the CMS Drupal set up, so that it can then host:

• http://www.ouralps.org: The portal for the professional network in five languages has been set up from A to Z, and has its own graphic theme. This portal displays content from the platform’s database, shared with yapp-network.org (Alpine stakeholders and Events) and specific to the portal (Teaching and resource materials).

• http://yapp-network.org: The multilingual web platform for young people already existed on yapp-network.org: on Plone, in five languages and without a database. It was therefore necessary to migrate it. The graphic design, content and domain name of yapp-network.org have remained the same. This site displays content from the platform’s database, integrated via forms common to ouralps.org and yapp-network.org (Alpine stakeholders and Events) or from an internal form on yapp-network.org (Youth projects).

• Additional sites Additional sites are linked to the platform. They may have different domain names (e.g. climatealpes.org) or they may be sub-domains of the platform for professionals e.g.: http://www.climatealpes.ouralps.org/. An additional site may display content from the database of shared resources on the ouralps.org or yapp- network.org portals or data from internal forms on the additional site. Data from internal forms on the additional site can also be included on the ouralps.org or yapp-network.org portals by administrators via a back-end function. They will have a graphic theme adapted from the portal for professionals designed by the Web agency (or their own graphic theme (totally different) with the intervention of the Web agency).

Zoom - Preconfigured site template – What varies from one site to another

When administrators create a new sub-domain, they can easily set up the following information:  Site URL  Site logo  Main menu (create a new tree view based on the same principle of level 1 and level 2)  Colours, in line with the OurAlps style guide  Links to social networks in each language that appear in the Footer  Links to appear in the Footer menu: they can be displayed or hidden, some can be disabled, others can be added

The content of these pages must be similar but tailored to each site. Administrators can therefore simply change the wording. Other pages affected: Teaching and resource materials, events, stakeholders. These pages will display, for example, events and resources specific to the topic of the preconfigured site. This is possible because sites are created using the same software and, by default, use the same forms, etc.  List of topics: This can generally be the same for all sites. But it will be possible to create a specific list for an individual site.  All other pages not listed above must be created manually. (Websenso’s information)

3.4. Expected functionality for the Web platform

PORTAL FOR PROFESSIONALS:

3.4.1. Web platform administration and content management This section relates to all portals: OurAlps, Yapp-network and future additional sites.

 Multiple users with specific permissions

=> Administrators who have all permissions on all sites

As the three co-coordinators of this Web platform, ALPARC, CIPRA International and Educ’alpes are currently general administrators of all of the portals in five languages. Administrators have a space from which to manage all of the portals. Administration and content management of the Web platform is carried out by the administrators, following training delivered by the Web agency. They are therefore able to update simple pages of the web platform, create new pages, manage files uploaded by stakeholders, manage administrator permissions for all portals, edit menus, etc.

=> Participatory users Users can upload information as resources and events for example via forms with predefined sections, criteria... To do this, they first must register on the Web platform (user account - password system - with anti-spam filter). There is a centralised identification system: user accounts work on all portals. As soon as they are registered on one portal (OurAlps, yapp-network or other), users can then complete forms on all portals. Files uploaded may only be edited by the author and administrators. Registrations are managed by administrators. An email is sent to users for each new registration.

In short: Participatory users can: • publish on the site they are visiting or more if they have the option (Webmasters can also choose whether or not to publish their announcements on another site) (by default) • access all the domains created (the basic operation of Drupal offers the option to block some users from specific domains if necessary) (by default) • access the platform to perform actions for which they have permission: identify themselves as Alpine Stakeholders and edit/remove only those files that they have added* (on ouralps.org and yapp-network.org) add an event and edit/remove/translate only those files that they have added* (on ouralps.org and yapp-network.org)

 Moderation after the fact – Content (forms) approved after it is uploaded Content is approved after the fact by administrators. Administrators receive an email informing them whenever a file (= Web page resulting from a completed form) is created or updated on any of the portals (www.ouralps.org, yapp- network.org, etc.). A point of contact system per country is put in place: The point of contact per country will receive an email from administrators asking them to check the content of the new files created and written in their language, on the portal for professionals.

3.4.2. Content

 Dynamic homepage with areas displaying the latest events, teaching and resource materials...

 Forms to allow stakeholders in mountain-oriented education to upload various resources and information and/or list themselves in the online directory. This applies especially to the ‘Stakeholders in mountain-oriented education (MoE)’, ‘Events’, ‘Teaching and resource materials’ and ‘Projects for young people’ sections (yapp-network.org). Each form has an interface for managing content with predefined fields: files – or pages – are created as a result. The forms include checkboxes, drop-down lists, lines or blocks of text, files, etc. Criteria (topics, type of organisations, etc.) are included so that users of the portal can do searches via filters. Site contributors post their announcements on the site they are browsing. When a file is displayed: - only completed fields are displayed - only sections with at least one completed field are displayed - Replacement photos (stakeholders, resources, etc.) are provided for a more uniform and professional presentation.

 Other, more conventional forms: Contact, Subscribe to lists of discussion, Subscribe to the newsletter, etc. Requests and messages from Web users are sent to one email address.

3.4.3. Animation and interactivity

 Export (directory) and mapping of stakeholders in the Alpine network. A key tool of the Web platform is the directory and mapping of stakeholders active in mountain-oriented education. This list will be continuously updated and data will be regularly exported in PDF or Excel format and printed.  Option to upload and download documents in current formats (.pdf, .docx, .xlsx, etc.) and include images, videos, sound, etc.  Option to print pages in PDF format (with or without formatting)  Google Maps on pages (e.g. ‘stakeholders’, ‘events’) and files (=completed forms)  Agenda (not monthly with squares)

The current features of yapp-network.org have been reproduced. The following have been added in particular: - a user account (registration, access to forms, etc.) - a form to add projects for young people - a search engine

- Features of future additional sites Reminder: Some ‘events’, ‘Teaching and resource materials’ and ‘stakeholders’ can appear on both these additional sites and the platform for professionals, for example (common database, common forms). Future additional sites may benefit from the features of the Web platform.

3.5. Responsive Web platform

Responsive design interface for the Web platform The platform is responsive to adapt to new uses, especially by our priority target groups, from tablets, mobiles and smartphones, but also so as not to fall down the Google search results. All themes used, including the theme of the preconfigured site template, feature a responsive design.

3.6. Web platform in five languages

The English version is the main version.

Concerning the files (=pages resulting of a completed form): Participatory users can translate announcements in one or more languages: French, English, German, Italian, Slovenian. The files are integrated at least in English. If a file is translated into only one or two languages, it is displayed in English by default on the pages of the languages into which it has not been translated. Administrators can create files on the site in one or more languages, show only the title and include a reference (link) to the announcement in English, for example.

Translations: • ‘Static’ pages have been translated by Educ’alpes and ALPARC and are available in five languages. • ‘Alpine stakeholder’ files are only available in English. They are completed directly by mountain-oriented education organisations and professionals. Support for translation into English is provided by the platform managers. • ‘Alpine events’ files are available in English, and in the language(s) spoken during the event. Translations are provided by the organisers. Files are completed by participatory users or the platform managers. • Job offers are posted in English (+possible translations provided by the organisation offering the job). Integrated by the platform managers. • Teaching/resource materials are available in English and in the language(s) of the resource. Files are completed by participatory users or the platform managers. • ‘Activity’ sheets are only available in English. Integrated by the platform managers. • Innovative practices are only available in English. Integrated by the platform managers.

3.7. Hosting, domain name

Hosting The platform is hosted by OVH. The Web agency has transferred the platform to the web host.

Domain name After the validation of the name of the international network, the domain name has been reserved by Educ’alpes under the name of the international network of mountain-oriented education. The portal for young people has kept the domain name yapp-network.org. This domain name has been transferred to OVH.

3.8. Referencing

Referencing services for the portal for professionals are as follows: - SEO optimisation (natural referencing, optimisation of tags: description, keyword…, tag, XML Sitemap, rewriting URLs, tracking using the Google WebMaster and Bing tools, etc.); - Submission of the Web platform to search engines; - Keyword search; - Advice on optimising page content. The Web agency contributed its expertise on referencing. </p><p>3.9. Sharing platforms and social media </p><p>• For the OurAlps and Yapp-network portals and future portals, Internet users can share pages and files from the web platform on social networks: integration of share buttons for Facebook, Twitter and email at the top of each page/file on the platform. </p><p>• For ouralps.org, Facebook, YouTube and Twitter icons have been integrated. • For yapp-network.org, Facebook and Twitter icons (linking to YAPP’s Facebook and Twitter pages) have been retained, as on the existing portal. </p><p>12 Interreg Alpine space YOUrALPS project - WP T1 – Network Web platform – Specification book – Writing: Educ’alpes – 07/2018 </p><p>3.10. Accessibility for people with disabilities </p><p>The content of all portals is accessible to everyone, including people with disabilities. The Web agency is specialised in accessibility tools and has proposed different options. Technically, the solutions follow WCAG 2.0 standards and feature reinforced semantic markup, use of high contrasts, keyboard shortcuts, speech synthesis, text size management with integration of icons to enlarge the text in the menu at the top of the page (accessible on all pages). </p><p>3.11. Updating the platform </p><p>The platform is updated by the Web agency with new versions of the CMS and extensions until the end of the contract. </p><p>3.12. Audience statistics </p><p>The two portals ('ouralps.org’ and ‘yapp-network.org’) include a sophisticated but accessible statistics tool to provide information in particular on: • Number of visits to the pages and files • Total number of sessions (over various time periods: year, month, period specified by the administrator, etc.) • Number of visitors (new visitors / returning visitors) • Geographical location of visitors • Devices used (desktop computer, tablet, mobile) • Browsers used by visitors • Keywords typed by Internet users to get to the portals (search terms) • Days of visits The Google Analytics tool has been selected. </p><p>3.13. Additional services Newsletter, training course and documentation: see ‘5.3. Graphics </p><p>FOR THE PORTAL FOR PROFESSIONALS (OURALPS.ORG): </p><p>Instructions given: The identity, activity and positioning of the portal for professionals must be immediately clear from the first seconds. The platform must be user-friendly and make the Internet user want to continue browsing. </p><p>• Zoning/interface modelling </p><p>This phase has contributed to the design of a portal that meets the needs and expectations of end users. The Web agency has carried out a zoning of the main pages of the site with various structures (Home page, mapping of Alpine stakeholders, teaching and resource materials, educational center, standard page) using an online tool. These proposals have been tested on a small number of users. The Web agency has incorporated the feedback from these tests. The file was edited until it was approved by Educ’alpes and ALPARC. </p><p>The platform meets the main user-friendliness criteria for websites (simplicity, comprehensibility, usability, speed, interactivity, accessibility, availability). The aim is to allow end users to browse easily and access the desired content quickly. Effectiveness, efficiency and satisfaction were the hallmarks for the design/development of this platform. </p><p>• Portal style guide </p><p>The design of the web platform was based on the international network’s graphic charter. The web agency was therefore able to work on a graphic theme that included main colour, colour of headings, text (font, light, regular, bold, sans-serif), levels of headings, etc. This “web portal style guide” enables intuitive browsing and a clear, pleasant, simple and elegant display. It also gives the international network a warm, dynamic, professional and modern image. The partners meet with the Web agency to define the expectations for the graphic design of the homepage. A graphic proposal reflecting the design of the portal for professionals for the homepage and two inner pages was drawn up by the Web agency with three possible iterations. Graphic research continued until the desired design is completed. The selected proposal included versions for computer, tablet and mobile (homepage). If this had not met our expectations, a second proposal with three possible iterations would have been drawn up. </p><p>The font used for the body of the text is sans-serif in accordance with the international network’s graphic charter. </p><p>In general, the graphic theme is compatible with as many browsers as possible and the current most popular browsers. </p><p>FOR THE PORTAL FOR YOUNG PEOPLE (YAPP-NETWORK.ORG) The existing graphic theme has been reproduced by the Web agency. </p><p>FOR ADDITIONAL SITES A specific theme, adapted from the portal for professionals, has been created by the Web agency. </p><p>14 Interreg Alpine space YOUrALPS project - WP T1 – Network Web platform – Specification book – Writing: Educ’alpes – 07/2018 5. Service expected and commitments </p><p>5.1. Intellectual property rights </p><p>The Web agency is committed to transferring its intellectual property rights over market outcomes (comprehensive Web platform, including its design, use, reproduction, adaptation, etc. on all kinds of media) on an exclusive basis to the international network, which will then be free to develop its web platform. Data entered by stakeholders of the international Alpine network remain their property. </p><p>5.2. Role of organisations represented by Educ’alpes, ALPARC and CIPRA International </p><p>Educ’alpes and ALPARC were responsible for:  Reserving a domain name  Passing the access codes for the hosting on to the Web agency  Passing on content (text, images, photos, etc.) and ensuring that agreed deadlines are met  Acting as partners, especially for all validations related to the Web platform project (zoning, graphics, etc.)  Ensuring compliance with the specifications </p><p>CIPRA International participated in the technical migration of yapp-network.org on the Web platform. </p><p>5.3. Service expected </p><p>The Web agency was responsible for: </p><p>1/ The Web platform in responsive design in 5 languages (all portals: ‘professional’, ‘young people’, etc.) This includes but is not limited to:  Development of the platform managed over multiple sites with the expected features (especially export of the contact list), setting up a common database for all of the sites, development of the ouralps.org platform, migration of the existing platform yapp-network.org.  [graphics section] Creation of a design and a graphic theme (“style guide”) for the portal for professionals2. In responsive design. </p><p>3/ Training - Training course Design a training programme (around 20 hours and for four people) and deliver this training session to the project partners: • introduction to the CMS, • management of the platform (administration console, creation and management of forms, add and remove pages, edit menus on the Web platform, etc.), • statistics tool, • referencing (advice on improving it, etc.), • creation of an additional site (at the end of the training course, participants are able to set up an additional site, based on the preconfigured site template), • newsletter development. All the photos would be made available free of charge according to conditions laid down by their author in the photo credits (author, freedom of reproduction, conditions of use where applicable). Users would all agree to respect the conditions of use. Subjects: The Alps, mountain-related topics, educational situations related to mountain discovery, professionals getting together either in the field or at a meeting. </p><p>For these needs, the web agency that designed the web platform suggested the development of photo albums grouped by topic.
