SUMMER 2021 Overnight Camp Parent Survival Guide Thank you for registering your child for camp! Congratulations! We know you have questions, possibly lots of them! We want you to know that your child is safe, well-looked after, and will be surrounded by a supportive community of faith here at Camp Wesley Woods. Read on to find information like what to bring (or not), when to arrive, what to expect, and lots of other things you need to know. If you find an error or have any questions about your registration, please call the registrar’s office at (423) 929-9037. Switching Weeks: If you wish to cancel a registration and register into a different session, please call the Camp Registration Office at (423) 929-9037. Your $50.00 non-refundable fee is transferable to a different session if you phone in. This is the only way to ensure the transfer of the $50.00 non-refundable fee. Refund Policy: $50.00 of the camp fee is non-refundable. To receive a full refund (less the $50.00 non-refundable fee), CANCELLATIONS must be completed by 5:00 pm (Eastern) on the Friday that is at least one week prior to the opening day of your camp session. Cancellations can be made through your online account or by calling the Camp Registration Office at (423) 929-9037. No refunds will be made to campers who fail to show up on opening day. Parent Survival Guide 2021 Should a particular session not receive an adequate number of registrations, the possibility does exist that the session may have to be cancelled. If this should occur, every effort will be made to notify the camper as soon as possible and placement into another session will be attempted. A full refund will be made if placement into another session is not possible. All appeals regarding the handling of our Refund Policy must be made in writing to: CRM Registrar, 262 Bart Green Drive, Gray, TN 37615. Parent Survival Guide 2021 Important Forms for Camp - REQUIRED FORMS - REQUIRED FORMS: Camper Health Form - must be completed ONLINE at least one week prior to arrival at CWW Authorization/Consent Information Form - must be completed ONLINE at least one week prior to arrival at CWW Pre-Camp Symptom Tracking Form - Please bring this to camp with you for check-in OPTIONAL FORM: Camper Profile Form - must be completed ONLINE at least one week prior to arrival at CWW Parents should complete these camper forms by using our secure online registration system. This information can be recorded at the time of registration, or any time prior to the beginning of your camper’s session. In future years, you will simply need to update any health changes from the previous year. Parents without online access will continue to be able to complete camp registration, health, and profile information on the paper forms provided. A physical exam by an appropriately licensed healthcare provider is not required to attend Camp Wesley Woods as determined by the Holston Conference CRM. Parent Survival Guide 2021 Coming and Going from Camp Our sessions do not all begin and end on the same days. Your Check-In & Check-Out days and times depend on what program you chose at registration. Please note carefully the different days/times sessions start on the website. Please wear clothes appropriate to help your camper move their luggage. For 2021, parents will stay in their vehicles during check-in. Checking In Your Camper (Drop-off at camp) Discovery ½ Week Sessions - are Wednesday through Friday. Check-In is at 4:00 pm on Wednesday at the front field. Basecamp, Adventure, & Leadership programs begin on Sunday afternoons at 4:00 pm. Check in is at the front field Adventure: North Woods / BWCAW program has a special check in, please contact the camp office. If you are running late or have some other delay, please call the Camp Wesley Woods office at (865) 448-2246. Please see our 2021 COVID Mitigation Plan for special 2021 instructions for checking into camp. Parent Survival Guide 2021 Checking Out your Campers (Picking up at the end of Camp) PHOTO ID is required and MUST MATCH Authorization Form ALL Check-Outs are from 10:00 - 10:30 am on Fridays. Please do not come early. The camp gates will be closed. Due to COVID Mitigation Procedures there will be no closing ceremonies for camp in 2021. Discovery Campers will be picked up outside Nickle Lodge. Staff will meet and direct parents upon arrival to the Lodge. Check-Out for Discovery is 10:00-10:30 AM. Please do not come early as the camp gates will be closed. Basecamp, Adventure, & Leadership programs check out. Parents will be met and directed to pick-up locations for their campers. Parents will be requested to stay in their vehicles at all times. Check-out is 10:00 - 10:30 AM. Please do not come early. The camp gates will be closed for your campers safety. Please don’t forget your photo I.D. For your camper’s safety, campers will only be released to those persons listed on their authorization form. Please make sure to include yourself on this form if you are a parent or guardian. Please notify the camp office (865) 448-2246 in advance should it become necessary to pick-up your child from camp at some time other than 10:00 am. Parent Survival Guide 2021 What to Bring to Camp Please bring clothes that you don’t mind getting a little dirty while having a great time. It is recommended that you label all items to insure they return home with your camper. Camp is pretty casual. Mostly t-shirts and shorts. Sometimes in the morning it’s chilly and you might want a hoodie. List for ALL overnight campers coming to Camp Wesley Woods (Discovery, Basecamp, Adventure, Leadership) Shorts (1 per day) Bag for dirty clothes T-Shirts (1 per day) Bible / Journal / Pen Long Pants (at least 1) Mask (1.5 per day) Underwear / Socks Spray Sunscreen Sleepwear (PJ’s) “Face Stick” Sunscreen Sweatshirt/Fleece/Jacket Insect Repellent Rain Jacket Flashlight Hat for sun Water Bottle Swimsuit (one piece or tankini for Flip Flops for Showering girls) Postcards/Stamp Towels (at least 2) Sturdy closed-toed Shoes (Athletic) Water Shoes that capture the heel (like chacos) Extra pair of Shoes Day Pack/Book Bag Sleeping Bag/Pillow Fitted sheet Wash Cloth Soap & Shampoo Toothbrush/Paste Other Toiletries Parent Survival Guide 2021 Additional items for Campers attending Basecamp Adventures & GLAMPING Programs - (Tripping programs have separate packets) Caving clothes (pants, shirt, shoes to Two extra swimsuits and towels get muddy & a bag to transport Sleeping Pad (for campouts) them home) Sunglasses Extra long sleeve shirts to wear in Extra Water Bottle caves If you have one: a hammock & bug Extra batteries for flashlights net Lightweight, bug protection long Polyester fleece shirt for paddling pants Longer shorts for climbing Things You Won't Need Here it comes….No Cell Phones. I know, I know; it’s hard, but it’s worth it. It will be like living in olden times – like way back in 1998. Here are a few other things to leave at home to keep your cell phone company: Money – there’s nothing to buy except at Check In and Check Out. Keep your money in the car. Pets – We have plenty of wildlife. Leave your pets at home. No taking home new pets either. MP3 players or any other type of ipod things. Electronic games. Food – We have a special security system to insure you don’t bring food into the cabins – it’s called ants. Really, don’t bring food. Electronic books. You’ll have to bring the real deal. The library is a good place for books. Cell Phones. Just in case you were confused the first time. Personal Equipment - including personal sports equipment- we have all you need Vehicles - leave these at home please - if you want to drive yourself to camp, please call for information. Tobacco, alcohol, illegal drugs, fireworks, firearms, and weapons of any kind are prohibited at camp. Parent Survival Guide 2021 Camp has a modest approach to our expectation of camp attire. We ask campers not to wear this type of clothing: Exposed underwear Sheer clothing Mini-shorts Skirts Exposed midriffs Alcohol, drug, tobacco, or suggestive slogans/logos Every camper receives a t-shirt while at camp. Traditionally we all wear our camp t-shirts on Fridays. Some campers like to wear them everyday. The store will be open during Check-In and Check-Out if you’d like more shirts or souvenirs, and campers can visit the camp store daily.
