SCHEDULING AUTOMATED PORTFOLIOCENTER®BACKUPS IN WINDOWS VISTA Beginning with PortfolioCenter version 4.40, the Database Manager can use command line codes to schedule tasks, such as backing up. Follow the steps below to create a task for the backup and then create a batch file and task to copy the file across a network, if necessary. This document shows you how to create the scheduled task in the Windows Vista operating system. On the Web This document describes just one of the several options for backing up PortfolioCenter Data. To find the backup method that is best for you, see the document Developing a Backup Plan. Important You must have a Windows User ID and Login password to run the task correctly. Otherwise, you will get an error message when you try to run the scheduled task. STEP 1: CREATE THE BACKUP TASK 1 From the desktop, open the Control Panel: Start | Control Panel 2 Double-click the icon for System and Maintenance. If you are in Classic View, you will not see this screen. You can just double-click on the Scheduled Tasks icon and skip to step 4 below. 3 In the System and Maintenance view, scroll down to the Administrative Tools option, and then click on the Schedule Tasks link. DocumentID: SPT011180 Last Updated: April 21, 2014 4 In the Task Scheduler window, click the Create Basic Task link on the right in the Actions pane. You can also start a basic task from the main menu. From the menu bar, go to: Action | Create Task 5 The Create Task dialog opens. On the General Tab, enter or select the following settings: Name: Enter the name of the task. This is the name you will see under the Task Scheduler Library. Description: enter an additional description, if desired. Select the Run whether user is logged on or not radio button Check the Run with highest privileges check box. Select the following settings: Begin the Task: select On a Schedule Settings: select Weekly Start: Enter the date and time the task should start. Select a time the database will not be accessed. Usually, we recommend selecting a time in the early morning hours, such as 3:00 AM. Recur Every: enter every 1 week, and then check the boxes for each day of the work week (Monday – Friday) Advanced Settings: Select the appropriate advanced settings, if necessary: Check Delay Task for Up To box if you want or need to delay the task. Check the Repeat Task Every box if you want the tasks to repeat on a regular basis, and then set the repeat settings as needed. Check the Stop Task if it Runs Longer Than box if Check the Expire box Check the Enabled box to ensure the 8 Click OK to save the settings and close the dialog. You should now see the data in the window under the Triggers tab. 9 Click the Actions tab, and then click the New button at the bottom. 10 The New Action dialog opens. Select or enter the following settings: Action: select Start a Program Program/Script: click the browse button and select PCMC.exe, located at C:\Program Files\Schwab Performance Technologies \PortfolioCenter Management Console\PCMC.exe Add Arguments: enter the snap in command to indicate the number of rolling backups. The command is: /snapin:dbm /backup:# Where # is the number of backups you want or need. For example, the code should look like this if you want 5 backups: …\PCMC.exe” /snapin:dbm /backup:5 11 Click OK to close the New Action dialog. Scheduling Automated PortfolioCenter® Backups in Windows Vista Page 3 of 5 STEP 2: CREATE A TASK TO COPY THE FILES Because you cannot backup to a network location, some users choose to copy the backup file to either an external drive or another computer on the network. To accomplish this task, you must create a batch file (.BAT) and use the Xcopy command to copy the backup file, and then schedule a task to run the batch file after the backup completes. Follow the steps below to create and schedule the xCopy function. CREATING A BAT FILE 1 Open NotePad: Start | All Programs | Accessories | NotePad 2 Select and copy the text below into the blank NotePad document: Xcopy "C:\Program Files\Schwab Performance Technologies\Databases\Backups\*.*" "Network Location" /E /Y 3 Replace the “Network Location” portion with the path on the network you want to copy the file to. For example, let’s say you want to copy the file to the Backup folder on the networked T drive, enter: T:\Backup\ So in this example, the path on the .BAT file looks like this: Xcopy "C:\Program Files\Schwab Performance Technologies\Databases\Backups\*.*" "T:\Backup\" /E /Y 4 Save the file as a .BAT file. From the menu bar, select File | Save As. In the Save In field, select the location to which you want to save the file. For example, you can save the file to your desktop. Select a location that makes the file easy to find. In the File Name field, enter a file name.BAT, such as PCBackupCopy.BAT. In the Save as Type field, select All Files. Click Save to save the file. SCHEDULE THE TASK 1 Open Scheduled Task Wizard: Start | Control Panel | Scheduled Tasks | Add Scheduled Task 2 Click Next to bypass the first page. 3 You are prompted to select the application you want to schedule. Click the Browse… button and browse to the .BAT file you created above. Click Open. 4 Click Next. 5 Enter a name for the task, such as Backup Copy, and then select the frequency to run the task. Click Next. NOTE: it is a best practice to copy the backup each time one is made – such as daily. Scheduling Automated PortfolioCenter® Backups in Windows Vista Page 4 of 5 6 Select the start time. Make sure the time to start the copy is at least 1 hour after the start of the backup. For example, if the backup starts at 2:00 am, select 3:00 am for this task. Under the Perform This Task section, select Weekdays, and then click Next. 7 Enter your network user name and password, confirm the password, and then click Next. 8 Click Finish.
