Bunking of Campers Chipinaw A PARENTS GUIDE Dear Parents, In an effort not to bombard you with a million forms, letters, lists and guidelines we have devised this booklet which should answer most of your questions about your child’s summer at Chipinaw. Please take the time to read through this and keep it handy so that you can refer back to it. Several forms are also enclosed in this mailing and need to be returned so that the information can be processed. This guide will answer your questions about Dates, Telephone Procedures, Bunking of Campers, Care Packages, Luggage, Trips and Travel, Guidelines for Visiting Day and a list of Accommodations, Canteen Policy, Medications, Bunk Gifts, Spending Money, Tips, PED (Personal Expense Deposit), Guide to first time parents, Avoiding situations, The Clothing list and Directions to camp. Enclosed along with this mailing you will find: 1. Camper CONFIDENTIAL PROFILE -- Ivory This form should be filled out by both camper and parent. Please note this is also the form for requesting BUNKMATES. All requests must be made on this form in order to be honored. Please include a wallet size photo of your child so that we may keep it on file. 2. Camper MEDICAL FORM -- Green This form must be filled out by parent and physician and must be returned prior to your child’s arrival at camp. (NEW YORK STATE LAW). It's a good idea to make an appointment for a physical NOW, as your doctor's office will begin to be swamped with others such as yourself. Within the medical form is the hospital consent which must be filled out and signed. This is required by the local hospital in case of an emergency. NOTE: The medical form requires a PARENT'S SIGNATURE, PHYSICIAN'S SIGNATURE and the DATES of each of the most recent immunizations . 3. TRANSPORTATION Request Form -- Yellow THE IVORY & YELLOW FORMS SHOULD BE RETURNED IMMEDIATELY. THE GREEN MEDICAL FORM MUST BE RETURNED BY MAY 15TH . ***Also enclosed please find order forms for BunkLine, Camp Meds, Sealed with a Kiss and The Wrinkled Egg. Contact each company directly if you would like to place an order. Sincerely, Shari & Michael - 1 - IMPORTANT DATES TO REMEMBER Forms Due - Tuesday, April 1, 2003 Camp Begins - Wednesday, June 25, 2003 Visiting Day - Sunday, July 20, 2003 Change over from 1st to 2nd session - Tuesday, July 22, 2003 Last Day - Sunday, August 17, 2003 TELEPHONE CALLS -1 call per week Your campers will be calling you once a week after the first week. Below is the calling schedule: Sophomore Boys & Girls Going into 6th Grade Tuesdays 7:00 pm – 7:40 pm Freshman Boys & Girls Going into 5th Grade Wednesdays 7:00 pm – 7:40 pm Inter Boys & Girls Going into 3rd & 4th Grade Thursdays 7:00 pm – 7:40 pm Junior Boys & Girls Going into 7th Grade Sundays 7:00 pm – 7:40 pm Senior Boys & Girls Going into 8th & 9th Grade Mondays 7:00 pm – 7:40 pm Calls will begin on Tuesday July 1st. There will be no calls permitted for the start of our second session from July 22nd to July 26th. Calling will resume on Sunday, July 27th. The campers will be allotted ten minutes per call. They MUST call and speak to a parent. They can reach you at home, work or on a cell phone. If time is still remaining after the call, other family members can be called. If mom and dad are not at the same location, campers can make two, five minute phone calls. Siblings will be calling separately. Cost of the phone calls will be deducted from each campers personal expense deposit (PED). Remember: Phones are closed during the first and fifth week of camp and during Color War. Please Note: Personal cell phones are not permitted! LUGGAGE - Needs to arrive 1 week ahead of camper’s arrival One of the first responsibilities our counselors assume is the unpacking and making of every bed before the campers arrive on June 25th. The trucking company we recommend, Heitner Camp Trucking, picks up luggage a week before opening day and drops off at the end of the summer (August 18th). If you live within an hour radius of Manhattan you can use this service. (New York City, New Jersey, as far south as Marlboro, Rockland, Westchester and Long Island) If you live outside of this area and are on the east coast of the United States, you will use a company called Camp Trucking. Their pickups are arranged for early to mid June. Midwest and western states should plan on using United Parcel Service (UPS) or other national carriers. Luggage needs to arrive one week before camp begins, between June 10th and June 21st. Those attending the second session should bring their luggage with them to camp on July 22nd. (If you would like, Heitner or Camp Trucking will take it home for you at the end of the summer). You will receive a mailing directly from Heitner or Camp Trucking if you are within their delivery area. - 2 - MEDICATIONS AND VITAMINS Set up an account with Camp Meds All campers that take Medications and Vitamins on a daily basis must set up an account with the Camp Meds Company. This is a wonderful service that will package all of your child's meds into individual packets with the camper’s name, medication(s), dosage, and date and time to be administered. This packaging service costs $25 for a single session and $35 for full summer. Liquids, aerosols and injectables and/or any medications that are not taken on a daily basis need to be sent directly to camp at least 2 weeks before your child arrives. Send to CHIPINAW INFIRMARY 85 Silver Lake Road, Swan Lake, New York 12783. Please write out detailed instructions and leave prescription medication in their original packaging. Be sure to send an ample supply for the summer. The nursing staff distribute Meds at the beginning of each meal. PED (Personal Expense Deposit) - $100.00 dollars We require that each camper have a Personal Expense Deposit (PED) of one hundred ($100) dollars. This sum will be used for emergency expenses while your child is at camp. For example, these might include the repair of eyeglasses, prescription medication, emergency orthodontics or the restringing of a tennis racquet. This is not a canteen fund. Canteen is included in tuition. Waiter tips will be deducted from the PED at the end of the summer. Waiter tips per camper are $35 for full summer campers, and $18 for single session campers. The camp distributes the waiter tips so you don’t need to worry about this. PED balances are automatically carried forward should the camper return in 2004. Upon request, all unused portions of the PED will be returned at the end of September to any unregistered child. SPENDING MONEY - Kept in an envelope in the office safe We recommend that every child coming to camp brings along spending money for out of camp trips. A younger child should bring about $40.00 for extra spending. Older campers should bring $45.00 to $50.00. Remind your children that this money should be put in an envelope and locked in the safe in the camp’s office. This is very important to prevent loss. The safe is open after dinner every evening. Change and stamps will be available in the office. TIPPING - Just a guide Tipping is allowed at Chipinaw, but is not mandatory. When hiring our staff we let them know not to expect tips. In this way, when they do receive a tip they are much more appreciative. People tip at all different times. Some people like to tip at the beginning of the summer, some tip on visiting day and still others wait for summers end. Ask your child who is deserving of a tip, usually they will tell you which counselors and staff members have really helped to make their summer special. Generally, parents only tip the counselors that live in the bunk with their kids. Occasionally a helpful group leader is also tipped. We suggest $35-$45 for a single session camper and $75-$85 for a full summer camper - 3 - CANTEEN POLICY - Two items per night For those of you who don’t know, the canteen at camp is like a snack bar. At Chipinaw every item in the canteen is free. Kids may go through the line and get two items. The canteen has candy, chips, ice cream and other various snacks. It is open six nights a week. CARE PACKAGES - 2 per session We are confident that you will agree that food filled care packages are not desirable nor are they necessary. You don’t let your kids eat junk food all day at home, why would you let them at camp! We also like to keep the wildlife out of the cabins. All packages will be opened by our office staff. Any food will be immediately disposed of. It will neither be saved nor returned. It is a complete waste to send food which we must throw out and which the kids receive free in the canteen. Remember, we also serve dessert at both lunch and dinner daily. Please tell other family members of our policy. Everyone loves to get mail and packages with toys, books, stationary, games etc... We also ask that you limit the number of care packages that you send to a maximum of 2 each four weeks. BUNK GIFTS - Not Permitted ARE NOT ALLOWED. Many people do not even know what “bunk gifts” are.

The consultants analyzed the survey area from aerial photographs and identified two additional potential motels bringing the total to 10. The area was field surveyed and this figure was verified. The 10 properties were inventoried using standard Arizona Historic Property Inventory Forms. All resources were photographed digitally. The field information, photographs, and historical data were combined in an Access database for outputting into the standard format.

    Here is important information about housing accommodations for Convocation 2017. St. Anne Retreat Center used to be a convent, there are very few double rooms (only four, actually), and they have all been reserved already. There are elevators in both buildings. The first floor bathroom in one building is designated “Handicap Accessible”, but there is still a lip at the edge of the shower. No roll-in showers are available. Most of the rooms at St. Anne Retreat Center have no air conditioning. This can be a problem in June in Kentucky, USA! If you need air conditioning and register by mail, please write a note on the registration form requesting a room with air conditioning and state why you need it. If you register online, please also send an email to [email protected] detailing your need for air conditioning. If all the air conditioned rooms have been assigned before your registration is received, we will let you know. Local Motels: If you prefer, there are motels in the vicinity, although the nearest ones are all booked up because of other events. In a motel you would be assured of air conditioning, bathrooms are more likely to be wheelchair friendly, and double rooms for couples would be an option. If you choose to stay off-site, your registration fee of $205 would cover all meals at St. Anne Retreat Center, as well as Convocation booklets and other materials. Arrangements for transportation to and from a motel to Convocation would be up to you. The following is a list of motels that are not too far from the Convocation site.
