Huxlow Science College has undergone a significant period of change since my appointment and we are progressing well on our journey to becoming an outstanding school. 2017 saw record results across the board and we are now comfortably the highest attaining school in the locality. An impressive 64% of students gained the equivalent of 5 A* - C grades in GCSE, including English and Maths, which is above the national average and across all A Level subjects taken the students averaged a grade B. This is a key role in the College’s future as we find ourselves in a changing environment with many exciting opportunities ahead. The ideal candidate will have the capability to embrace change and drive through new initiatives which fit with the changing structure and priorities of the school. I will be looking for a person who is self-motivated, flexible, highly organised and proactive in managing and sourcing resources to ensure the smooth running of the school. Job Description POST TITLE: HEADTEACHER’S PA/ADMINISTRATION MANAGER SALARY GRADE: NJ GRADE H Pts 23-27 HOURS: 37 HOURS PER WEEK; 42 WEEKS PER YEAR (MON – THURS 08:00 – 16:00, FRIDAY 08:00 – 15:30 INCLUSIVE OF 30 MINS UNPAID LUNCH BREAK) REPORTS TO: Strategic Finance Manager (dotted line to Headteacher) PURPOSE OF POST: To provide a confidential, efficient and effective administration and assistance service to the Headteacher and Senior Leadership Team (SLT). To manage the administration and reception team to ensure an efficient and effective service is provided. PRINCIPAL RESPONSIBILITIES Provide a confidential and efficient PA service to the Headteacher (and SLT as required) including diary and inbox management. Act as a first point of contact for the Headteacher, managing any queries as necessary. Process all paperwork from and on behalf of the Headteacher including documents, correspondence and post. Respond to queries from staff, students, parents, general public and others. Meet and greet clients. Coordinate and update the whole school calendar. Produce confidential correspondence and reports on behalf of the Headteacher. Create and maintain accurate and confidential filing and record keeping systems. Initiate and prepare agendas for internal meetings, set up rooms, prepare refreshments, take comprehensive minutes across a wide range of meetings and follow up agreed actions. Ensure all complaints by parents/students are dealt with quickly and efficiently following school procedures, keeping an up to date record of investigations, actions and responses. Update relevant areas of the school website to ensure information is accurate and timely. Coordinate the collation of Teachers’ annual appraisal paperwork on behalf of the Headteacher. Prepare communications to stakeholders including staff, parents, governors and third parties on behalf of the Headteacher and Senior Leadership Team, including (but not limited to) PowerPoint presentations. Organise and attend events where appropriate. Proof read written communications as required. Undertake any additional tasks which the Headteacher or other members of the SLT require in order to assist them in carrying out their duties. Job Description ADMINISTRATION MANAGER Direct and supervise the work of the school administration team including receptionists. Manage the provision of a comprehensive, high level administrative and organisational support to the Curriculum teams and the Senior Leadership Team. To include producing letters, operating the School’s electronic communication system, providing support for events and providing printing and copying support for the curriculum. Manage the provision of a welcoming, professional reception for all visitors to the College. Ensure adherence to safeguarding procedures for all visitors to the College and report any breaches to the HR Manager. EDUCATION VISITS COORDINATOR Act as the Educational Visits Co-ordinator. Ensure all staff leading trips or visits follow the required procedures including safeguarding. Ensure Health and Safety procedures, including risk assessments and emergency procedures are rigorously formulated and applied. Advise all staff leading trips or visits on health and safety and safeguarding issues. Keep up-to-date with all legislation and best practice advice on the running of educational visits and events, and ensure that all activities and events meet guidance requirements. Ensure appropriate training is available to staff involved in the running of trips and events, especially for those involved in designated tasks such as Group Leader. Deliver annual trip training to new staff. Keep records of all trips and events including reports of accidents or ‘near-misses’. Monitor the implementation of all safeguarding and health and safety procedures on trips and visits and report any issues to the Headteacher. It is the post holder’s responsibility for promoting and safeguarding the welfare of children and young people for whom s/he comes into contact with and adhering to and ensuring compliance with the College’s Safeguarding and Child Protection Policy at all times. If, in the course of carrying out the duties of the post the post holder becomes aware of any actual or potential risks to the safety or welfare of children in the College s/he must report any concerns to his/her line manager or the College’s Child Protection Officer. This job description will be reviewed and updated periodically in order to ensure that it relates to the job performed, or to incorporate any proposed changes. This procedure will be conducted by the Manager in consultation with the postholder. In these circumstances it will be the aim to reach agreement on reasonable changes, but if agreement is not possible management reserves the right to make changes to the job description following consultation. SCHOOL PROPOSED CHANGES FOR 2020 INTAKES Abbeyfield School Bishop Stopford School All secondary schools in the Brooke Weston Trust (Brooke Weston Academy, Corby Business Academy, Corby Technical School, Kettering Science Academy) have proposed to make their waiting list criteria clearer, by using the following revised definition: From the 1st March until the 31st August of the offer year (the academic year before the academic year in which students are admitted into Year 7) children's position on the Year 7 waiting list will be determined solely in accordance with the oversubscription criteria. Where places become vacant they will be allocated, through a fresh round of random allocation, to children on the waiting list from the stanine that has become vacant and in accordance with the oversubscription criteria. If there is no-one on the waiting list from the stanine that has a vacancy the place will be filled by a child from a neighbouring stanine on an even basis (i.e. if the first child is from a stanine above then the next will be from the stanine below).
