Reports to: Vice President of Sales and Business Development

Summary Job Description:

Responsible for organizing, coordinating and directing all services needed for conventions and meetings. Works with association and corporate meeting planners, sports events and other group planners by serving as the liaison to community services, offering and implementing housing or registration services and supplying other promotional materials that will help extend the stay and increase spending by attendees. Proactively markets Durham to generate group tour, & social business including prospecting, outside sales activity such as participating in sales promotions and trade shows and conducting site inspections to achieve individual and team sales goals.

1. Demonstrate a high level of service and dedication to customers. 2. Stimulating interest and desire to increase return visits. 3. Increasing the extent and length of stay. 4. Providing a liaison to the community and vendors

Most Important Responsibilities:

1* Handle incoming meeting, event and group tour services. 2* Maintain and update a package of destination services for conventions, meetings and group tours, including, but not limited to: Housing and registration services, display kiosks, staffed information services, spouse/child/guest programs, custom maps, welcome letters, custom banners, name badge and equipment assistance, publicity, and attendance promotion. 3* Plan local organizing committees for relevant groups. 4* Serve as the primary contact for all lodging property convention services managers. 5* Regularly contact meeting planners to provide assistance with the process of producing a successful Durham meeting. 6* Serve as a liaison between the meeting planner/production companies and providers of vendor organizations, community officials, organizations, entertainment, shopping, spouse/children’s’ programs, and other services. 7* Produce weekly and monthly activity reports. 8* Manage of data entry for monthly performance indicators (PI’s) in the PI spreadsheet. 9* Assist with DCVB Group Sales special events as needed such as AENC, local planner events, etc. 10* Collect hotel reported information for meetings & conventions booked by hotels. 11* Manage all group tour, social and courtesy leads. 12* Manage MINT reporting and data entry as specified by DMAI guidelines.

13* DCVB mission, goals, objectives, and tactics 14* DCVB policies and procedures 15* Durham as a convention and visitor destination 16* Convention and meeting planning and production 17* DCVB software Candidate Qualifications:  Ability to thrive in a fast-paced, hi-tech office environment  Two-year degree from an academic institution with two years’ experience or four years’ experience in a related field  Hospitality/service background  Knowledge of Durham as a convention & visitor destination  Knowledge of meeting planning basics  High level of service and dedication to customers  Ability to think creatively to stimulate interest and desire in planners to return for another meeting and increase the length of stay of meeting delegates  Professionalism to represent DCVB as a liaison to the community and vendors  Competency in handling a large volume of e-mail & telephone calls  Results oriented - tenacious about getting the job done  Solid organizational skills including time management, and the ability to prioritize and meet deadlines  Computer competency in Microsoft Office (Outlook, Word, Excel,PowerPoint etc.)  Familiarity with CRM databases

 Durham residency preferred
