Office of HUMAN RESOURCES 495 North Indian Creek Drive  Clarkston, GA 30021  404/297-9522 Ext. 1190 POSITION ANNOUNCEMENT POSITION: ADMINISTRATIVE ASSISTANT, OFFICE OF CHIEF OPERATING OFFICER LOCATION: DeKalb Campus REPORTS TO: Chief Operating Officer DESCRIPTION: The Assistant to the Chief Operating Officer (COO) is a high level administrative position that works closely with the COO to help execute the organization’s operational goal. The position helps lead operational projects, and supports the COO’s work with the Senior Management Team and Administrative Managers. An important responsibility is to ensure that operational information is communicated in a timely, accurate and appropriate manner. The Assistant manages the COO’s daily time, correspondence, and travel to ensure that the COO is focused on task that service key operational priorities for the organization. The position is also responsible for administrative duties related to operations, including note-taking, facilitation, report creation, and support. ESSENTIAL  Manage COO’s scheduling, communication and travel coordination FUNCTIONS OF THE  Draft original and routine correspondence for the COO’s signature JOB:  Manage deliverables to the COO and provide and necessary reporting  Create and edit presentations, documents, and report for the COO, as required  Lead or participate on project teams related to a range of operational matters  Plan, prepare materials for, and help lead weekly Administrative Management Team meetings  Manage special projects assigned by COO  Provide assistance to the COO for meeting preparation and events  Support the COO’s participation in staff meetings, departmental meetings, Cabinet meetings, and Board of Director meeting; takes notes and follow up action items related to such meetings  When necessary attends meetings on behalf the COO taking notes and gives recommendations to the COO on courses of action based on outcomes  Assist in the administration of the office including scheduling meetings, arranging travel, copying, filing confidential documents, expense reports  Develop and maintain appropriate document filing systems, and ensure compliance with record retention procedures  Develop relationships with key operational contacts, both internal and external  Ensure confidentiality at all times (this position will have access to highly confidential information)  Assist in with office management responsibility as a true team member  Other duties as assigned by the COO MINIMUM Associate’s degree in Business Administrative Technology and One (1) year of QUALIFICATIONS: work related experience OR High school diploma *and* Two (2) years related work experience. PREFERRED In addition to the minimum qualifications, the following are preferred QUALIFICATIONS: qualifications:  Bachelor’s degree, in subject matter related AND five (5) years in performing advanced level administrative support  Competent in working with database management systems, i.e. Constant Contact, etc.  Experienced working in an office environment in an educational, corporate, governmental or non-profit setting  Knowledge and experience in the use of the Internet; E-mail; Microsoft Office Suite, particularly Outlook, Word, PowerPoint, Excel and Access; Facebook; LinkedIn; and Twitter.
