Job description
Duties and responsibilities
To assist the Head of mission to fulfill her/his tasks To organize professional events; taking care of invitations, catering, logistics, registration etc.. To keep the agenda and organize meetings To be the contact person in first line for Belgian and local companies, organizations, authorities etc. seeking contact with the Consulate general and to provide useful information To file documents and maintain the filing system operational in accordance with instructions To translate documents and/or conversations To organize business trips To maintain and update databases To search for information and distribute previously approved public information To ensure coordination with the diplomatic staff and the trainees
If requested the assistant may have to fulfill other tasks: replacing a colleague, or carrying out tasks in the interest of the service.
Requirements to exercise this job
We are looking for a team-player
Holding at least a Bachelor degree or equivalent Having some relevant work experience With a good knowledge of MS office (Outlook, Word, Excel, PowerPoint) and social media Being highly organized, polite, customer-oriented, precise, reliable Able to work under pressure, flexible, pro-active and dedicated With very good oral and written communication skills With a very good sense of judgment and responsibility to fulfil duties as well as a high level of personal integrity Having a good knowledge of Belgium in general
A good knowledge of the business community at large and the local authorities is an important asset.
A knowledge of the FPS Foreign Affairs and the local Belgian community is an extra asset.
This job comes with responsibilities and requires the highest standard of confidentiality.
Languages
In order to fulfill all the requirements of this job, an excellent command of Dutch, French, English and Chinese (Mandarin) is requested.
