POSITION: Athletic Director, K-12

RESPONSIBLE TO: Superintendent of Schools RHS Principal

LENGTH OF CONTRACT: 215 Days

Responsible to see that the mission statement for athletics in the Rochester Community Schools is clear to all members of the coaching staff and that in our daily operations that philosophy remains at the forefront of all our programs. The missions statement is as follows: “The mission of the athletic programs of the Rochester Community schools is to provide student-athletes a positive environment, with strong leadership, in which to learn the values of teamwork, self-discipline, hard work toward a goal, and sportsmanship.”

EDUCATION AND LICENSING: A bachelor’s degree (at a minimum) with a valid Indiana teacher’s license. Experience in coaching, working with student-athletes, or athletic administration is preferred. Administrative license or working towards that license is preferred.

SUMMARY Organizational skills are key to this position. The person must be very detail oriented. Good people skills are also required because of the amount of time that you deal with the general public. The position will require administrative duties during the school day to include supervision. The position requires much extra time outside of the regular school day in supervision and administration of athletic contests, therefore the ideal candidate will be someone who is not coaching a sport. The Athletic Director will be a part of the administrative team and will attend corporation administrative meetings.

DUTIES LISTING:

1. Responsible for supervision of all Rochester student-athletes who participate in one of the 18 athletic programs offered to elementary, middle school, and high school students; as well as other supervision as assigned by the Principal.

2. Responsible for direct oversight of the budgets of 18 high school athletic programs and 27 high school teams as well as 14 middle school teams. The athletic director will provide the board of education with a financial report upon request to include a breakdown for each high school program, gate receipts, concession receipts, and expenditures for officials, awards, athletic department help and a general athletic office supply.

3. Responsible for meeting with the Middle School Head Teacher on a weekly basis to coordinate activities between buildings, discuss interscholastic schedules, supervision, coordination of coaching between RMS and RHS, gym schedules, and the hiring of all officials for interscholastic events hosted by the middle school. The relationship that exists between the K-12 athletic director and the RMS Head Teacher will be much like the relationship between a principal and an assistant principal. 4. Responsible for advertising, pictures, and printing of our athletic programs for fall and winter contests.

5. Responsible for a K-12 Athletic Handbook for student-athletes and their parents that includes a Rochester Code of Conduct, the Athletic Awards system, a section on Athletic Scholarships, concussions and the Parent/Athlete Acknowledgement Form.

6. Responsible for monitoring the maintenance of all athletic facilities and communicating with the person(s) in charge of maintaining those facilities to ensure that they are safe, well groomed, clean, and provide the best possible facility for our athletes in the Rochester Community School corporation.

7. Responsible to be in attendance (when requested by the superintendent) at the regularly scheduled Board of Education meetings for the purpose of reporting to the board or answering any concerns that the Board may have with regard to the athletic department and our programs.

8. Responsible for working with the student-athletes at Rochester High School to develop better leadership skills and ensure that sportsmanship is at the forefront of all of our athletic programs. On an annual basis the Athletic Director will participate in the IHSAA Student Leadership conference with selected student- athletes from Rochester High School.

9. Responsible for directing, along with the varsity head coaches and the elementary principals, an elementary athletic program, which will be intramural in nature. The Athletic Director will aid in setting guidelines as to the length of season, the type of competition, and the time of the school year that each of these elementary programs will run. The Athletic Director will be responsible for meeting and communicating with the Elementary principals with regard to these programs involving students in our K-2 and our 3-5 programs.

10. Responsible for handling any violations of the Athletic Code of Conduct which may include suspension or expulsion from the sports programs at Rochester High School. Suspected violations will be reported to the Principal and Assistant Principal prior to investigation. Responsible for communicating with parents, athlete and Principals when a violation exists and a suspension must be carried out.

11. Responsible for working with each head coach on summer camps and clinics for any students in grades K- 12 in the Rochester schools. All camps and clinics must be approved and scheduled through the office of the Athletic Director.

12. Responsible for attending and serving as a voting member for all Three River’s High School Conference and Running River’s Middle School conference meetings. These duties include serving as the vice president and president of the each of the respective conferences on a rotating basis.

13. Responsible for supervising the high school building and handling student discipline at RHS when the Principal and or Assistant Principal are unavailable. Athletic Director will coordinate calendars with the Principal and Assistant Principal on a weekly basis.

14. Responsible for supervision of the cafeteria or gymnasium during lunch hours at Rochester High School as scheduled by the building principal.

15. Responsible for supervision of the Athletic Trainer program at Rochester High School. This includes helping order supplies, maintenance of the athletic trainer facility, and communicating with the trainer on matters of student safety and injury reports. The Athletic Director with the aid of the Certified Athletic Trainer will organize a Student Athletic Trainer program that will include opportunities for students to attend summer athletic training camps and clinics. The Athletic Director will ensure our athletic program is in compliance with state concussion laws and will monitor changes to health laws as they pertain to our program.

16. Responsible for meeting with co-curricular sponsors at RHS, RMS, and elementary schools for the purpose of coordinating a yearly calendar so as to avoid as many conflicts between the athletic department contests and the bands, choirs, and drama performances as possible.

17. Responsible for communicating and working with the different Official’s Associations in our area. Annually, the Athletic Director’s office contacts, hires, and creates contracts for over 300 officials in swimming, cross country, track and field, football, basketball, baseball, softball, wrestling, and soccer. This task includes the responsible to host rules interpretation meetings at Rochester High School in the sports of track and field, tennis, golf, softball, and wrestling. The Athletic Director will help coordinate concussion training, education, and certification programs for RHS.

18. Responsible for actively supervising lunch while monitoring the supervision of other lunchroom supervisors. This will be done in conjunction with the Principal and Assistant Principal.

EVALUATION OF ATHLETIC PERSONNEL

1. The Athletic Director will monitor and evaluate, in writing, the Head Coaches in all varsity sports at RHS on a semi-annual basis. During the course of a season, each head coach should meet with the A.D. on a regular basis to discuss progress, review practice plans, and discuss potential problems that might be on the horizon. The Athletic Director is also responsible to see to it that all assistant coaches in the programs are monitored and evaluated by the head coach.

2. When questions or problems arise within a high school, the Athletic Director will conduct a Post Season Parent Evaluation at the end of the season. This evaluation will be mailed to all parents who had students participate in the program. This will give our parents the opportunity to voice their opinion about the program without any fear of retribution. The Athletic Director will share the results with the coach in that program as part of the annual evaluation process.

3. The Athletic Director is responsible to provide each coach with a “Post Season Student Evaluation Form”. The head coach should provide each student-athlete an opportunity to fill out this evaluation form. Evaluations will be collected by the coach, tabulated by the Athletic Director, and shared with the coach and board of education upon request.

4. The Athletic Director will evaluate the Athletic Secretary on an annual basis.

IHSAA/RMS

1. Responsible for communicating with the IHSAA about procedures and policies involving interscholastic athletics in the state of Indiana. The Athletic Director’s office is responsible to ensure that the entry forms for all 18 varsity teams are filed with the IHSAA before the prescribed deadline so that students in each sport are able to participate in the state tournament series.

2. The Athletic Director is responsible for attending District meetings with the IHSAA at least twice each year. 3. The Athletic Director is responsible for overseeing coach’s education in the Rochester Community School corporation through the American Sport Education Program or the LANSE program. Online opportunities are now available for coaches through the ASEP or LANSE programs. Full day or two night clinics can also be conducted at Rochester High School as needed. Our goal is to ensure that all lay coaches in grades 9-12 receive the ASEP or the LANSE certification.

4. The Athletic Director is responsible to monitor, through the IHSAA portal, all of the IHSAA Rules Interpretation meetings in wrestling, track, golf, tennis, and softball for all head coaches.

5. Responsible to serve as the host for the following events  Host any of the IHSAA Sectional team events (volleyball, basketball, softball, baseball) on a rotating basis  Host an 8 team wrestling Super Dual  Host the TRC Softball or Baseball selection meeting each year  Host the IHSAA Girls Volleyball Regional each year  Host the IHSAA Girls Track and Field meet each year  Host the TRC Wrestling Tournament on a rotating basis  Host RHS Varsity Golf Invitational for girls in the fall and boys in the spring  Host the Indiana Coaches of Golf Association Hall of Fame tourney each spring  Rotate as the host of the Three Rivers Conference Boys Golf Tournament  Host an 18 team RHS Junior Varsity golf tournament at Mill Creek  Rotate as the host of the TRC Boys Golf Tournament  Host Middle School 12 team Wrestling Tournament in March

RECOGNITION

1. Responsible for administering the Athletic Award System at RHS, which includes the tasks of  Ordering and purchasing all trophies, certificates, and chenille awards  Record keeping for all student athletes throughout their athletic careers  Scheduling and organizing three award nights at Rochester in the fall, winter, and spring each year

2. Responsible to help counsel students on college choices and scholarship possibilities which exist for high school athletes. The Athletic Director, along with the high school counselors, should help educate the student/athlete about the possibilities of scholarships and the requirements mandated by the NCAA.

SCHEDULING

1. Arrange for schedules in the 18 sports at the high school, middle school, and elementary schools. Responsible for initiating contracts, scheduling, and communicating to avoid mistakes throughout the school year.

2. Responsible for publishing athletic schedules in grades 6-12 to include bus times, officials hired, and a supervisor for all athletic contests during the school year. The Rochester Middle School Head Teacher will assist the Athletic Director with these tasks at RMS.

3. Responsible for staffing, supplying, and receipting money for the concessions stands for home contests at Rochester High School. Concessions stands will be available for all home football, baseball, volleyball, softball, and basketball contests at Rochester High School as well as any tournaments that might be hosted at RHS. As well as concession stands, the athletic department is responsible for maintaining, supplying, and accounting for the money from a snack machine and five drink machines at RHS. Responsible for ensuring that snack/drink machines meet state and federal guidelines of use.

4. Responsible for securing help (timers, judges, announcers, ticket takers/sellers, security, and parking) for all athletic home contests at Rochester High School. The RMS Head Teacher will assist the Athletic Director in these tasks at Rochester Middle School.

5. Responsible for scheduling recognition programs and performances at high school contests. Example: Senior Night, Pep Band, etc.
