Sample Club Constitution and By-Laws

ARTICLE I: NAME & PURPOSE

Section A: Name – The name of this club shall be the Early College High School at Midland College Yearbook Club.

Section B: Purpose – The purpose of this club shall be to publish the Early College High School at Midland College yearbook.

1. To learn journalistic writing skills. 2. To learn photography techniques 3. To learn computer programs associated with yearbook publications. 4. To learn to work as a team and to meet pre-selected deadlines. 5.

ARTICLE II: MEMBERSHIP & DUES

Section A: Eligibility - Membership shall be open to all members of the ECHS@MC student body in grades 9-12. Students will fill out an application in the spring semester and a new staff will be selected yearly by the advisor(s) and campus administration. Section B: Dues – Dues are not applicable and no due will be required for admittance.

ARTICLE III: OFFICERS

Section A: Officers – Editor-in-Chief, Assistant Editor, Secretary & Treasurer

Section B: Eligibility – Editor-in-Chief and Assistant Editors must be in good standing academically and behaviorally with ECHS@MC. Editors-in-Chief must have prior experiences on the ECHS@MC yearbook staff (at least 1 year) and will submit a separate application for the position. Assistant Editors are not required to have prior experiences but will also submit a separate application for the position. Secretary and Treasurer positions do not require previous experience on the Yearbook, but special consideration will be given to students with an outstanding behavior and academic record.

Section C: Selection—The Yearbook Advisor in conjunction with the school administrators will select the Editor-in-Chief and the Assistant Editor each year. During the selection process, special attention will be given to students who have a positive history on the yearbook staff, good leadership skills, good time- management skills as well as any other positive quality. Secretary and Treasurer positions are appointed by a vote of the Yearbook Staff as a whole with the consent and approval of the advisor(s) and administration.

Section D: Term – Editors will serve one year terms and will be required to re-submit applications for the positions if they wish to fill another term. Secretary and Treasurer positions are for one year terms and will be filled each year by a vote of the Staff with the approval of the advisor(s) and the administration. Section E: Vacancy – If a vacancy occurs in the office of Editor-in-Chief, the Assistant Editor shall assume the office for the remainder of the term and vacancies in any other office shall be filled by a special selection process.

ARTICLE IV: DUTIES OF OFFICERS

Section A: Editor-in-Chief – it shall be the duty of the Editor-in-Chief to:

 Preside at meetings  Vote only in case of a tie  Represent the club  Assign pages of the yearbook as necessary with the approval of the Advisor(s)  Be a student liaison between the staff and the advisor(s) and school administration.  Supervise the staff while in meetings to ensure maximum efficiency.  Perform such other duties as ordinarily pertain to this office

Section B: Assistant Editor – It shall be the duty of the Assistant Editor to:

 Preside in the absence of the Editor-in-Chief.  Perform duties at the request of the Editor-in-Chief, advisors and administration.

Section C: Secretary – It shall be the duty of the Secretary to:

 Record the minutes of all meetings when necessary  Keep a file of the club’s records  Maintain a current roster of membership  Issue notices of meetings and conduct the general correspondence of the club

Section D: Treasurer – It shall be the duty of the Treasurer to:

 In concert with the advisor(s), receive all funds and process Request for Payment, Deposit Slip, and Officer Signature Forms.  In concert with the advisor(s), keep an itemized account of all receipts and expenditures and make reports as directed

ARTICLE V: MEETINGS

Section A: Meetings – Regular meetings shall be held as needed during the calendar year.

Section B: Special Meeting – Special meetings may be called by the Editor-in-Chief, with the approval of the advisor(s) & administration.

Section C: Quorum – A quorum shall consist of two-thirds (2/3) of the membership but is only necessary in the event of a special election to fill a vacancy.

ARTICLE VI: EXECUTIVE COMMITTEE

Section A: Responsibility – Management of this club shall be vested in an Executive Committee responsible to the entire membership to uphold these bylaws.

Section B: Membership – This committee shall consist of the officers as listed in Article III and the faculty advisor(s) and may include the administration.

Section C: Meetings – This committee shall meet at least once between regular meetings of the club to organize and plan future activities.

ARTICLE VII: ADVISOR

Section A: Selection – there shall be a faculty/staff advisor who shall be selected each year by the campus administration.

Section B: Duties – The responsibilities of the faculty advisor shall be to:

 Maintain an awareness of the activities and programs sponsored by the student club.  Meet on a regular basis with the leader of the student club to discuss upcoming meetings, long range plans, goals, and problems of the club.  Attend regular meetings, executive board meetings as often as schedule allows.  Assist in the orientation of new officers.  Explain and clarify campus policy and procedures that apply to the club.  Maintain contact with the administration and central office staff if needed.  Provide direction in the area of parliamentary procedure, meeting facilitation, group-building, goal setting, and program planning.  Assist the club treasurer in monitoring expenditures, fundraising activities, and corporate sponsorship to maintain an accurate and up-to-date account ledger.  Inform club members of those factors that constitute unacceptable behavior on the part of the club members, and the possible consequence of said behaviors.

ARTICLE VIII: COMMITTEES

Section A: Committees: Committees can be formed at the request of the Executive Committee and will be headed by a chairperson and at least four other members of the Yearbook Staff in an effort to perform special duties.

ARTICLE IX: AMENDMENTS

Section A: Selection – these bylaws may be amended by a two-thirds (2/3) majority vote of the membership or, in the interest of safety of students, by the advisor(s) and/or administration upon will.

Section B: Notice – All members shall receive notice of the changes in the constitution and the dates in which the changes will be voted on. In the case of changes made by administration or advisors, the changes will be made available to the entire staff.

ARTICLE X: BEHAVIOR AND IMPEACHMENT

Section A: Behavior—All members of the ECHS@MC will be expected to behave in the highest manner possible and will be expected to adhere to the six core values of ECHS@MC. These core values are: Responsibility, Integrity, Kindness, Desire, Honesty & Respect. Any student not living up to these core standards will be reviewed for impeachment from the Yearbook Club by the advisors in conjunction with the administration. Members are seen as student ambassadors for our school and must represent the school in a positive light at all times.

Section B: Impeachment—All members, including officers, are subject to expulsion or impeachment from the ECHS@MC Yearbook Club for not acting in a manner befitting their titles as student ambassadors. Failure to uphold the six core values of ECHS@MC is immediate grounds for dismissal by the advisors, in conjunction with the campus administration. Yearbook Staff Application:
