Building Use Policy

Preamble

The United Methodist Church of Davis (UMCD) is an inclusive community committed to living and teaching the love of Jesus Christ. Its buildings and property shall be used primarily for Christian worship, education, fellowship, social outreach, and mission. When the buildings and property are not in use by the Church, use by nonprofit organizations and not-for-profit events may be scheduled. The purpose of this policy is to define the conditions for use of the buildings and property. Associated fees, scheduling, and required paperwork are described below.

Facility Use and Fees

Groups or individuals that sponsor activities must request use through the Facility Use Coordinator. The request must be accompanied by a Facility Use Application and an insurance rider, if applicable. Recurring events are not permitted without prior approval of the Board of Trustees, which meets on the fourth Wednesday of every month.

Fees for use of the facilities are shown on the Fee Schedule. Fees cover normal wear and tear, depreciation, replacement costs, utilities, additional services, and a refundable security deposit. Users are expected to leave the space in the same condition in which they found it.

Scheduling Priority

Activities may be scheduled up to nine months in advance. Regularly scheduled meetings may be moved, rescheduled or cancelled to accommodate church events. In that case every effort will be made to give advance notice and/or find substitute church accommodations.

Keys

Building security requires locking of all doors and windows when an event is over. Keys are issued by the Church Secretary during office hours, Tuesday – Friday, 9:30 am - 2:30 pm. Each key issued shall be signed out with the agreement that the key will not be duplicated. Failure to return a key may mean forfeiting the security deposit and paying the additional cost to re-key the locks.

Nov. 14, 2004 Rules for Facilities and Equipment Use

The following rules have been designed to promote the reasonable use of the facilities of The United Methodist Church of Davis. For use of these facilities, the signature of the person making the request will indicate his or her agreement to adhere to the rules for facilities and equipment use. Future use of the facilities will be denied to any person or group that violates the requirements of this agreement.

A. ALCOHOLIC BEVERAGES, ILLEGAL SUBSTANCES, AND SMOKING ARE PROHIBITED IN THE CHURCH BUILDINGS. Alcoholic beverages and illegal substances of any kind are forbidden anywhere on the property of UMCD. Smoking is allowed outside on paved areas only. NO SMOKING IS PERMITTED ON THE LABYRINTH. Small cans for the disposal of cigarette butts have been placed at the north end of the Walker Room and outside of the main South door of the Education Wing. Please smoke at least 20 feet from doors or windows. It is the responsibility of the person(s) making arrangements to use the facilities that all persons participating in the event are informed about these restrictions.

B. Users are responsible for and assume liability for any personal injuries, personal property damage or breakage to the facility and/or equipment. Damages or accidents must be reported promptly to Church Office (756-2170) or the pastor. Replacement or repair of damages will be paid by the group responsible for the damages.

C. Food and drink are not permitted in Sanctuary at any time.

D. Use of the microphones and video projector in the Sanctuary require a trained media technician, to be provided by UMCD at an additional cost.

E. Set up and removal of tables and chairs is the responsibility of each group. After use of any room or area of the building or grounds, it is the responsibility of the group to make sure that the rooms or areas are left in good condition. Tables, chairs and other furniture should be replaced in location they were originally found. Waste baskets are to be emptied; DOORS and WINDOWS are to be CLOSED and LOCKED. Heat /Air conditioning turned off if turned on for the event. Turn off ALL LIGHTS. If kitchen is used leave it clean and in neat order. Any dishes and utensils that were used must be washed and dried then put back in cupboard where they were found.

F. Assessment of custodial fees will be at the discretion of the Facility Use Coordinator and if needed the event maybe charged for custodial service at the current market rate. The use of the sanctuary or fellowship hall has a three hour minimum custodial charge. The church will waive the custodial fee for church members who agree to assume the custodial duties for an event at which they are present.

Nov. 14, 2004 G. Persons using the church will conduct themselves in a dignified and responsible manner that will reflect the use of the church facility in accordance with the goals, purposes and intentions of the General Conference of the United Methodist Church.

H. This use agreement does not constitute a lease of the premises. The trustees retain the right to terminate this agreement at will for any reason. The persons using the Church facilities will return all keys to the church facility upon completion of facility use, or upon demand by the Church..

I. Under no circumstances, shall persons using the church make duplicates of any keys to the facility.
