1. 2 Theta Lambda Chapter Bylaws Tau Beta Sigma I. General 1.101 This Bylaws of the Theta Lambda chapter of Tau Beta Sigma establishes and prescribes the policies pertaining to the functions and operations of this chapter that are not specifically provided for in the National and District Constitutions of the Sorority. 1.102 This Bylaws shall in no way conflict with or receive priority over the rules and regulations of Auburn University, the Auburn band program, or the National and District Constitutions of Tau Beta Sigma and shall comply with all regulations set forth by these documents. 1.103 Clauses of this Bylaws may be proposed, amended, or suspended by any Active member of the chapter through a petition in writing or verbal proposition to the chapter. Proposed changes to this Bylaws must be communicated to the chapter by the petitioning sister no less than three days prior to the planned vote. A two-thirds vote will be required to institute, amend, or suspend a clause. II. Membership 1. General Membership 2.101 Membership in this Sorority shall be free from discrimination based on race, sex, religion, ethnic group, or national origin. It is encouraged that prospective members possess the following characteristics: A respectful attitude to all band authority Prompt arrival at all band rehearsals and activities Maintenance of a persistent good attitude An ability to benefit from membership in Tau Beta Sigma An ability to benefit Tau Beta Sigma through affiliation with our organization 2.102 Members who wish for help in mediating conflicts with other members may come before the Executive Council who will make a recommendation on a possible solution. Both sisters must be present at the meeting with the Executive Council. A vote on the issue may be taken at the next chapter if deemed necessary by the Council.

2. Membership Candidacy Program 2.201 The purpose of the membership candidate (MC) class shall be to create a fellowship and sisterhood between the membership candidates and the Active sisters, while at the same time providing service to the university bands. 2.202 The Vice President of Membership, aided by the Committee of Membership, shall direct all activities involving membership candidates. 2.203 In order to accept a bid, a membership candidate must be an active member of an approved University ensemble in the academic year she/he will be initiated and must have a qualifying Grade Point Average (GPA) as defined in Sections 2.204 through 2.207 of this Bylaws.

3 2.204 Potential membership candidates within their first semester of college must have completed high school with a cumulative GPA of 2.50 to accept a bid and must submit their high school GPA to the Department of Music staff designated by the Sponsor prior to accepting a bid. 2.205 Potential membership candidates who have completed only one semester of college must have either a cumulative high school GPA of 2.50 or a cumulative gapped Auburn GPA of 2.50 to accept a bid and must submit their high school GPA and their Banner ID to the Department of Music staff designated by the Sponsor prior to accepting a bid. The higher of the two GPAs will be used to determine qualification for membership. 2.206 Potential membership candidates who have completed two or more semesters of college must have a cumulative gapped Auburn GPA of 2.50 to accept a bid and must submit their Banner ID to the Department of Music staff designated by the Sponsor prior to accepting a bid. 2.207 Potential membership candidates who transfer from another institution and do not have an Auburn GPA will be required to have a cumulative GPA of 2.50 at their previous institution and must submit their previous institution GPA to the Department of Music staff designated by the Sponsor prior to accepting a bid. 2.208 The Department of Music staff designated by the Sponsor will check the GPAs of potential membership candidates and notify the Vice President of Membership if any person is below the requirement. 2.209 If a potential membership candidate has a learning disability which prevents her/him from achieving the specified grade requirements, she/he can produce proof of disability (e.g., doctor’s note or letter from Students with Disabilities Office on campus), and the Executive Council will determine if the student can become a membership candidate. 2.210 Prior to initiation, membership candidates must meet the following requirements. Specific information regarding each requirement is outlined in the Membership Education Program document. (1) Completion of a MC class fundraiser and service project (2) Creation of a MC class scrapbook (3) Completion of an MC notebook consisting of interviews with Active sisters as directed by the VPM (4) Passing score on all written exams based on based on history, traditions, and ideals of Tau Beta Sigma (5) Payment of National initiation dues 2.211 The membership candidacy class shall elect officers as outlined in the Membership Education Program document. 2.212 The Vice President of Membership will determine big sister/little sister pairings, giving priority to sisters without a little sister and sisters who have been members of the Sorority the longest. 2.213 Failure to meet membership candidacy requirements prior to initiation shall result in dismissal from the candidacy program. 2.214 The membership candidacy period shall last a minimum of five weeks and a maximum of twelve weeks from First Degree to Third Degree. 2.215 All membership candidate activities are mandatory as defined by the Vice President of Membership. The attendance policy specified in Sections 2.314 to 2.319 will apply to membership candidate activities.

4 2.216 Excuses from membership candidates must be submitted to the Vice President of Membership within one week of the event the candidate missed. If the excuse is not received by the one-week time limit, the absence will be deemed unexcused. All fines acquired during the membership candidacy period must be paid prior to initiation. 2.217 There shall be no set limit on the number of candidates being accepted into the Sorority. The Active chapter members shall meet to vote upon prospective members following the formal recruitment party. A 75 percent vote of the total eligible voting membership shall be required for membership invitation extension. 2.218 If the vote for membership extension to a candidate fails, there will be no more discussion about that candidate unless there is a majority vote for a continuance. The allowed continuance will be one additional discussion and vote. 2.219 Candidates will be invited to join the chapter by a written bid. Those who are not offered an invitation to membership will be notified of the chapter’s decision by the President and Vice President of Membership. 2.220 There will be one chapter meeting designated before 2nd degree where Active sisters will have an opportunity to voice concerns about specific membership candidates. 2.221 To dismiss a membership candidate from the program prior to activation, a vote shall be taken on each questionable individual candidate with 75 percent vote of the total eligible voting membership necessary for dismissal.

3. Membership Policies GPA 2.301 An Active member must sustain a cumulative gapped Auburn GPA of 2.50 or above to remain an Active member in the Sorority. Members who were initiated during or before spring semester 2014 need to maintain a cumulative gapped Auburn GPA of 2.25 or above. If the GPA requirement is not met, the sister will attend a probationary hearing with the Executive Council. 2.302 Sisters who transfer from another Tau Beta Sigma chapter will be required to have a cumulative GPA of 2.50 at their previous institution before they can become Active members in Theta Lambda. Once the sister is Active within Theta Lambda, they will be required to maintain a cumulative gapped Auburn GPA of 2.50. 2.303 If a sister has a learning disability which prevents her/him from achieving the specified grade requirements, she/he can produce proof of disability (e.g., doctor’s note or letter from Students with Disabilities Office on campus), and the Executive Council can vote on whether to put her/him on probation. 2.304 Grades will be checked by a Department of Music staff decided upon by the Sponsor prior to the third chapter meeting of the semester. The Band Staff will then notify the Vice President of Membership which sisters are below the requirement. 2.305 The GPA requirement and the GPA policy of this chapter and of the Pi chapter of Kappa Kappa Psi will be determined jointly by both organizations. The GPA requirement and policy of this chapter cannot be changed unless both chapters agree upon a new policy and change both Constitutions to reflect the new policy.

Band Requirement 2.306 All Active members are required to participate in one Auburn University instrumental ensemble per semester.

5 2.307 Sisters must submit proof of participation in an ensemble by the third chapter meeting of each semester. A screenshot of a sister’s schedule on tigeri will count as proof of participation. 2.308 Any sister who is unable to participate in an Auburn University instrumental ensemble for a semester due to class conflict or extenuating circumstances must have her/his band requirement waived by the Sponsor in order to remain an Active member of the chapter. In order for the band requirement to be waived, the sister must fill out the Band Requirement Waiver Form (Appendix III) and have it signed by the Sponsor. The Band Requirement Waiver Form must be submitted by the third chapter meeting of the semester for the band requirement to be waived for that semester. 2.309 A sister whose band requirement was waived may be required to participate in an alternate ensemble at the Sponsor’s discretion during the semester she/he is not participating in a band.

Dues and Fees 2.310 All dues and fees must be paid in full to maintain Active status in the Sorority. National dues and chapter dues will be paid in the fall and will be due by the third chapter or one week prior to the National deadline, whichever occurs first. The amount of chapter dues will be 75 percent of the National dues amount. Sisters graduating in December will be required to pay National dues and half of the chapter dues for the year. 2.311 Sisters who have difficulties meeting financial obligations may request a Payment Contract (Appendix II) that specifies payment installments and deadlines. The details of the Contract will be negotiated between the sister and the Executive Council. 2.312 Sisters who fail to pay dues or negotiate a Payment Contract prior to the deadline will be placed on probation until dues are paid or a Payment Contract is negotiated. Sisters who fail to pay dues or negotiate a Payment Contract prior to one month after the deadline will become inactive. Payment of outstanding debts and a two-thirds vote of the chapter will be required for the member to return to Active status, as specified in Section 2.604 of this Bylaws. 2.313 Sisters who fail to meet the deadlines specified within their Payment Contracts will be subject to the same disciplinary action as outlined in Section 2.311 of this Bylaws.

Attendance Policy 2.314 All mandatory activities, including chapter and committee meetings, rituals, and other designated mandatory events, are to be attended by all members. 2.315 For absences, University-approved excuses, class/work conflicts, and other excuses at the discretion of the Secretary will be excused. For a work conflict, a work schedule signed by a manager must be provided, and, for a class conflict, a current class schedule must be submitted. If a member is sick, a doctor’s note is required to excuse the absence. For any other excuses, appropriate documentation must be provided, and the Secretary will determine if the absence is excused. 2.316 Excuses must be submitted to the Secretary within one week of the missed event. If the excuse is not received by the one-week time limit, the absence will be deemed unexcused. 2.317 Unexcused absences or leaving early from mandatory activities shall be dealt with as follows:

Failure to do so will result in the member being placed on probation until the fine is paid. 2.319 If a member signs up for a non-mandatory service or fundraising project and cancels within one week of the project, that member is highly encouraged to find a replacement for the project. If a member cancels within twenty-four hours of the project and the cancellation is unexcused, the member may lose one point or credit corresponding to the missed project at the discretion of the Vice President of Service or Treasurer . All excuses must be submitted to the Secretary according to the policy in Section 2.315.

Points System and Fundraising Credits 2.320 All Active and Conditional members must obtain seven total points each month during the fall and spring semesters except May, August, and December. At minimum, four of the points per month must be obtained from designated Theta Lambda service events. Points are obtained by actively participating in designated events in the following areas: Theta Lambda sisterhood events Bonding events with other chapters and music organizations Membership candidate events and meetings Philanthropy events hosted by other organizations Involvement and leadership roles in other organizations Theta Lambda service, including gloves, mending, and plumes 2.321 All activities except designated Theta Lambda service activities will count for one point. For designated Theta Lambda service events, one point will be given per hour spent at the event. Time spent at the event will be rounded to the nearest hour. 2.322 The Vice President of Service will be responsible for keeping records of members’ points. Only the Vice President of Service and the President will be able to designate events for points. The Vice President of Service will determine at the beginning of each semester how points obtained during the semester breaks will count for the following semester. 2.323 All Active and Conditional members must obtain at least two fundraising credits per semester. Credits are obtained by actively participating in designated fundraising events. 2.324 Conditional members who are approved for exemption from service and fundraising requirements in their Conditional Contracts will not be required to obtain points and fundraising credits. 2.325 The first time within a semester that an Active or Conditional member does not obtain the required number of monthly points, that member will be placed on probation until she/he makes up the missed points in the following month. Points used as make up points for a previous month will not count towards the current month’s points requirement. 2.326 Upon any additional instances within the same semester that an Active or Conditional member does not obtain the required monthly points, that member will attend a probationary hearing with the Executive Council where the terms of her/his probation

7 will be decided Active and Conditional members that do not obtain the required number of fundraising credits for a semester will be placed on probation the following semester until they make up the missed credits. Make up credits for the previous semester will not count towards the current semester’s credit requirement.

Alcohol and Social Media 2.327 Sisters are not permitted to use or consume alcohol, illegal drugs, or other "controlled substances" while in letters. If on any social media site a sister has pictures, posts, or mentions of Tau Beta Sigma they may not have pictures or references to their use of alcohol, illegal drugs, or other "controlled substances". 2.328 Actions against this policy will be brought before the Executive Council for disciplinary action. A breach in these rules may lead straight to expulsion of the sister in question.

4. Active Membership 2.401 Members who are currently enrolled at Auburn University, have been initiated into the Sorority, and who meet all of the requirements outlined in Sections 2.301 to 2.328 will be considered Active members of the Theta Lambda chapter. Active members will have full voting privileges and all other privileges of membership as detailed in this Bylaws. Active membership may be revoked for disciplinary reasons as detailed in Article VII. 2.402 Any transfer student who was an Active member of a chapter of Tau Beta Sigma at her/his previous institution and wishes to join Theta Lambda will become an Active member of Theta Lambda if she/he meets all of the requirements of Active membership and completes the transfer process as detailed in the National Constitution.

5. Conditional Status 2.501 Sisters requesting membership status changes for the semester must present their request to the chapter with the required approvals no later than the third chapter meeting of the semester. Exceptions to this must be approved by the Executive Council. 2.502 Conditional status in the Sorority may be maintained for up to two total fall or spring semesters by a formerly Active member in good standing. Exceptions to this policy shall be subject to the approval of the National Council. Conditional status may be requested from a member when conflicts arise from work or class schedules and thus prevent the student from fulfilling the requirements of Active membership. 2.503 The standard length of time for Conditional status shall be one semester, unless the sister requests a longer term. 2.504 A sister who wishes to become Conditional must complete a Conditional Contract (Appendix I) with the Executive Council and the Sponsor before petitioning the chapter. After the request is signed by the Executive Council and Sponsor, the sister must receive a majority vote of the total eligible voting membership of the chapter to receive Conditional status. The final request must be approved the Director of Bands. 2.505 The sister who wishes to go Conditional must be present when their petition is presented to the chapter. Sisters who will not be near campus during their Conditional term (e.g. internships, co-op programs, and study abroad terms) must present their petition before the end of the term prior to the term of Conditional status. Exceptions to these rules must be approved by the Executive Council.

8 2.506 Conditional members may attend all meetings and functions; however, they are ineligible to hold office or vote. Conditional members are still required to meet service and fundraising requirements unless they request to be relieved of all service obligations in their Conditional request. 2.507 Conditional members are required to pay chapter and National dues. 2.508 To return to Active status from Conditional status during a member’s Conditional term, the member needs a simple majority vote from the chapter. 2.509 After two total Conditional semesters, if the member has not resumed Active status or become and Alumni or Life Member, the member will become inactive.

6. Inactive Status 2.601 Former Active members who are enrolled in classes at Auburn University , do not qualify for Alumni membership , and do not pay National and Chapter membership dues or establish a Payment Contract within one month of the set deadline will be classified as inactive members. 2.602 Members who meet all of the requirements for Active membership but wish to become inactive members may request inactive status from the chapter. The member may transfer to inactive status with a simple majority vote of the total eligible voting membership of the chapter. 2.603 Inactive members are not considered in good standing with the Sorority and will not have any of the privileges of Active membership. Inactive members will not have voting privileges and will not be allowed to attend events that are designated for Sorority members only. 2.604 An inactive member may be reinstated to Active status with a two-thirds vote of the chapter and payment of all National Dues from the period of her/his inactive status. The sister wishing to seek Active status shall address the chapter prior to the vote on the reinstatement.

7. Honorary Membership 2.701 Honorary membership may be bestowed by the chapter in recognition of outstanding ability, accomplishment, or devotion to the best interest of the Sorority. 2.702 Undergraduates are not eligible for Honorary membership in Tau Beta Sigma. 2.703 In the process of nomination, outstanding services, and other qualifications of the candidate shall be presented for discussion and evaluation. Candidates shall require a 75 percent vote of the total eligible voting membership to be approved for membership. Candidates for Honorary membership shall be approached by the President after voting takes place concerning their desire to be an Honorary member of the Sorority. 2.704 The approved Honorary member and the President shall set up a mutually convenient time for the optional initiation ritual to be performed.

8. Alumni Membership 2.801 Alumni status shall be granted to those members who were in good standing with the Sorority and who have completed their undergraduate education or are no longer enrolled in classes at Auburn University. 2.802 Alumni members are no longer Active members of the Sorority and will not have any privileges of Active membership. Alumni members may visit chapter meetings or events

9 that are not designated for only Active members but may not be present for voting proceedings. 2.803 In the event an Alumni member wishes to reactivate Active status, the member must be enrolled in classes at Auburn University and actively participating in an approved band ensemble and meet all other requirements of Active members of the Theta Lambda chapter. The member must receive a two-thirds vote of the total eligible voting membership for reinstatement.

9. Life Membership 2.901 Graduating seniors may become Life members with an application and payment of Life membership fees to National Headquarters. 2.902 Purchase of Life membership does not exempt a senior from payment of annual membership dues during her/his senior year. 2.903 Life membership will take effect upon graduation of the member.

III. Officers and Elections 1. President 3.101 The President shall preside at all chapter meetings. 3.102 She/he shall be a member ex-officio of all chapter committees. 3.103 The President and Treasurer shall sign checks for all moneys dispersed, all contracts, and any other instruments of business incurred by the chapter. 3.104 She/he shall set the agenda for each chapter meeting. 3.105 She/he shall prepare and send all reports to the National Headquarters of the Sorority. 3.106 She/he shall forward the National membership dues for each Active member and chapter fee to the Sorority’s National Headquarters before National deadline. 3.107 She/he shall make decisions in the best interest of the Sorority and delegate authority accordingly.

2. Vice President of Membership 3.201 In the President’s absence, the Vice President of Membership shall preside at meetings of the Sorority. 3.202 She/he shall serve as chairperson of the Membership Committee. 3.203 She/he shall be responsible for planning and overseeing the recruitment process. 3.204 She/he shall be responsible for all aspects of the Membership Candidacy Program. She/he shall keep the files recording the progress of membership candidates during their training period. 3.205 She/he shall be responsible for completing the Membership Education Program report for each school year. 3.206 She/he shall be responsible for conferring with the designated Department of Music staff member to determine if any sisters and membership candidates are below the grade requirement.

3. Vice President of Service 3.301 The Vice President of Service will be the head of the Service Committee. 3.302 She /he will be in charge of organizing and planning all service activities for the chapter.

10 3.303 She/he will be responsible for ensuring that there are enough service activities for sisters to reasonably complete their point requirements. 3.304 She/he shall maintain the records of service activities for individual sisters, as well as the chapter’s service as a whole. She/he will inform sisters of their progress toward meeting point requirements by keeping the posted points count for each sister updated and current.

4. Treasurer 3.401 The Treasurer shall control the receipt and disbursement of all moneys and maintain all records pertaining to the finances of the chapter. 3.402 She/he, along with the President, shall sign all checks for money dispersed. 3.403 She/he shall compose a budget for each semester and shall present this budget to the chapter for approval no later than the third chapter meeting of the semester. The budget shall require a simple majority vote of the chapter for approval. If the budget is not approved, the Treasurer shall make changes and shall present the revised budget for approval at the next chapter meeting. 3.404 She/he shall provide an update on the chapter’s financial standing to the chapter at least once per semester. 3.405 She/he shall be the head of the Fundraising Committee. 3.406 She/he will be in charge of organizing and planning all fundraising activities for the chapter with the aid of the Fundraising Committee. She/he will also be in charge of keeping record of sisters’ fundraising credits and making an updated record of credits available to sisters.

5. Corresponding Secretary 3.501 The Corresponding Secretary shall be responsible for all chapter correspondence. 3.502 She/he shall be responsible for organizing, planning, and coordinating all social affairs involving the chapter with other organizations at Auburn or other Tau Beta Sigma chapters. 3.503 She/he shall correspond with all other chapters in the Southeast District on a regular basis. 3.504 She/he shall submit articles from the chapter to The Podium and The Eighth Note at least once a year. 3.505 She/he shall be head of the Social Committee.

6. Parliamentarian 3.601 The Parliamentarian shall enforce moderation and order in chapter discussion and debates and shall lead voting. 3.602 She/he shall rule on all questions of order and parliamentary procedure. 3.603 She/he shall bring copies of the National Constitution, District Constitution, Theta Lambda Bylaws, and Robert’s Rules of Order to each meeting. She/he shall be familiar with these documents and use them to decide in all matters of legality, constitutionality, and procedure. 3.604 She/he shall oversee all matters with chapter awards and scholarships. 3.605 She/he shall be responsible for ensuring that copies of this Bylaws are made available to all members of the chapter upon completion of voted changes.

7. Historian 3.701 The Historian shall create the chapter scrapbook, keeping it in excellent and up-to-date condition. She/he will store the chapter scrapbooks from previous years. 3.702 She/he shall be responsible for keeping the Tau Beta Sigma bulletin board and website current. 3.703 She/he shall keep accurate written archives of the chapter and the chapter’s role in all band functions. 3.704 She/he shall distribute Life membership applications to members who are leaving the university. She/he shall collect accurate permanent address information of members who are leaving the university and forward this to the National Headquarters. 3.705 She/he shall be responsible for composing and distributing semester newsletters to all Alumni to keep them informed about chapter activities.

8. Secretary 3.801 The Secretary shall record and keep minutes of all chapter meetings. The minutes shall be made available to all members within twenty-four hours of the chapter meeting. 3.802 She/he shall maintain a permanent record of each member including name, address, birthday, telephone number, e-mail address, instrument, and membership candidate class. The updated directory should be made available to all members by the third chapter meeting of each semester. 3.803 She/he shall maintain an attendance record of each member and shall notify the Executive Council of all violations of attendance policy. 3.804 She/he shall, in the absence of the President, sign contracts and other instruments of business.

9. Executive Council 3.901 The Executive Council shall consist of all the officers listed above. 3.902 They shall act as the administrative body of the chapter between chapter meetings. 3.903 Each officer, except the President and Parliamentarian, shall have one vote at all meetings of the chapter. The Parliamentarian does not vote on any matter. The President shall only vote when the vote is by secret written ballot or when her/his vote will affect the result.

10. Elections 3.1001 The officer term will run from officer installation in the spring to the next officer installation the following spring. 3.1002 Elections will be held at the end of the semester to determine the officers for the following school year. The date for elections will be determined by the Executive Council and must be announced to the chapter prior to the third chapter meeting of the spring semester. 3.1003 Nominations will be held at the chapter prior to the date set for elections. The floor will also be opened to nominations during the elections meeting before voting starts. Any sister who wishes to run for an office must be nominated by an Active sister. 3.1004 Each person nominated for an office must possess more than ordinary business ability and shall be capable of representing the chapter under all conditions. Each person

12 nominated must also have the best interest of the Sorority at heart and shall be willing and able to devote the necessary time to the execution of her/his office. 3.1005 To be nominated for an office, a sister must have been in the chapter for at least two semesters after the semester she/he was initiated. The only exception to this is if no sister who meets this requirement decides to run for a particular officer position, nominations for that position may be opened to sisters who have been Active for one semester after the semester they were initiated. If no sisters who meet this requirement choose to run, nominations may be opened to sisters who were initiated in the previous semester. 3.1006 Each officer shall be an Active sister for both semesters in office with no class or work conflicts with chapter meetings. 3.1007 Each officer must actively participate in an Auburn University instrumental ensemble both semesters in office. If the officer has a class conflict with band in a semester and the class is required for her/his graduation, the sister may continue as an officer if she/he receives majority approval from the chapter. If this sister is still an officer the following semester, she/he must enroll in a band or she/he will be required to forfeit the officer position. 3.1008 The order of election shall be President, Vice President of Membership, Vice President of Service, Treasurer, Corresponding Secretary, Parliamentarian, Historian, and Secretary. 3.1009 To elect a sister to an officer position, the sister must receive a two-thirds vote of the total eligible voting membership of the chapter. When there are more than two sisters running for a given position, if no candidate receives a two-thirds vote after two rounds of voting, the candidate who received the lowest number of votes will be removed from the ballot. This will be repeated after each set of two rounds of voting until only two candidates remain for a position. 3.1010 If an office is vacated during a term, an election will be held at the next regularly scheduled meeting. The new officer shall finish the remaining time in the term of the vacated officer.

11. Removal from Office 3.1101 Upon due cause, an officer of the chapter may be removed from office. To remove an officer from her/his position, a motion for the removal must be submitted by an Active member of the chapter. At the next regularly scheduled meeting, not prior to one week after the initial motion, discussion will be held and a vote will be taken. The motion requires a three-fourths majority vote to remove the officer from her/his position. 3.1102 If an officer is placed on probation, that officer will have until the following chapter to meet the terms of her/his probation and return to Active status. If the officer does not remove the probation before the next chapter meeting, that officer will be removed from her/his position and an election will be held for that position as specified in Sections 3.1009 and 3.1010. 3.1103 If a member of the chapter feels that an officer is not meeting the requirements of her/his position but does not wish to motion for the removal of that officer, she/he may bring her/his concerns to another member of the Executive Council. That member of the Council will bring the concerns to the next meeting of the Executive Council, and a hearing will be held regarding the concerns. The Executive Council will have the option to place the offending officer on notice, with a set list of conditions and a deadline for

13 those conditions to be fulfilled by. The conditions of the notice must be approved by the Chapter Sponsor. If the offending officer does not meet the conditions of her/his notice prior to the deadline, the Executive Council will make a motion to remove the officer from her/his position. IV. Committees and Appointed Positions 1. General 4.101 The President is responsible for appointing committees, committee heads, and committee co-heads. The President will appoint committees and positions prior to the beginning of the academic year. Members of committees, heads, and co-heads shall serve for a term of one year. 4.102 Each committee shall have a minimum of two meetings per semester, with additional meetings scheduled as deemed necessary by the committee head. Committee meetings must be announced at least one week prior to the meeting date. Committee meetings are required and follow the chapter attendance policy. Excuses for absences from committee meetings must turned in to the committee head at least one day prior to the meeting unless the absence is for an emergency. Unexcused absences will be reported to the Secretary, and the fine policy stated in 5.203 will apply. 4.103 A brief written report of each committee meeting shall be submitted to the President by the committee head prior to the next chapter meeting. 4.104 The committee head shall be the representative of the committee, unless designated otherwise. 4.105 Each committee head shall discuss events they wish to hold with the Executive Council before reporting to the chapter. 4.106 When necessary, each committee head will coordinate activities with the equivalent committee in the other music organizations. 4.107 Committee membership is required of all Active members. 4.108 Committee heads must be Active members both semesters with no class or work conflicts with chapter meetings. 4.109 One committee head and one co-head will be appointed per committee, unless an exception is deemed necessary by the President. 4.110 Special committees may be created by the President on a temporary basis as deemed necessary based on activities of the chapter. A special committee will stand for a period of time designated by the President, not to exceed one academic year. Participation in special committees is optional. For sisters who commit to participation in a special committee, the attendance policy for special committee meetings is the same as the attendance policy for general committee meetings. 4.111 The Executive Council is authorized to appoint additional chairs and positions as needed.

2. Committees 4.201 The Service Committee shall be responsible for assisting the Vice President of Service in coordinating, planning, and reviewing all service projects undertaken by the chapter.

14 4.202 The Fundraising Committee shall be responsible for assisting the Treasurer in coordinating, planning, and reviewing all fundraising projects undertaken by the chapter. 4.203 The Membership Committee shall be responsible for assisting the Vice President of Membership in coordinating membership candidate activities and rush events and assisting the Ritual Chair in preparation for rituals. 4.204 The Social Committee shall be responsible for assisting the Corresponding Secretary in organizing, planning, and coordinating all social affairs involving the chapter with other organizations or Tau Beta Sigma chapters. 4.205 The Sisterhood and Spirit Committee shall be responsible for organizing and planning all sisterhood events for the Theta Lambda chapter. They shall coordinate the chapter’s participation in any intramural athletics. They shall also be responsible for any recognition for members, including birthdays and cards appropriate for special occasions. They shall also be responsible for everything concerning merchandise for the chapter, including choosing types of merchandise, selecting designs, collecting orders, and distributing items. All requests for specific merchandise should go through the Sisterhood and Spirit Committee.

3. Appointed Positions 4.301 Chaplain, Music Chair, Ritual Chair, Plumes Chair, and Mending Chair shall be appointed positions within the chapter. Appointed positions are not considered officer positions, and sisters selected for appointed positions will not be members of the Executive Council. Sisters for these positions will be appointed by the President prior to the beginning of the academic year. 4.302 The appointed position term will run from the beginning of the fall semester to the beginning of the fall semester the next academic year. 4.303 Sisters must be Active members both semesters with no class or work conflicts with chapter meetings. 4.304 The Chaplain shall provide devotions at the beginning of all regularly scheduled chapter meetings. Devotionals should last no longer than ten minutes. 4.305 The Ritual Chair will be responsible for overseeing the setup for all rituals as well as assigning people to speak. 4.306 The Music Chair will be responsible for teaching the chapter all National, District, and Chapter songs. She/he will also be responsible for assigning sisters to play instruments during rituals. 4.307 The Plumes Chair will be responsible for coordinating the counting, distribution, and return of plumes for all game day rehearsals, football games, and other performances of the Auburn University Marching Band. She/he will also be responsible for keeping records of which sisters assisted with plumes each week and with instructing sisters in what to do when they assist with plumes. She/he will communicate with the band staff when plumes are missing. 4.308 The Mending Chair will be responsible with coordinating the mending table for football games and other performances of the Auburn University Marching Band and for coordinating the selling of gloves throughout the marching season. She/he will also be responsible for keeping records of which sisters assisted with mending each week and with instructing sisters in what to do when they assist with mending.

15 V. Meetings 1. Meetings Procedures 5.101 Chapter meetings will be held at least twice per month during the fall and spring semesters. 5.102 The Executive Council will meet prior to each chapter meeting. 5.103 Chapter meetings shall be conducted according to the principles of parliamentary procedure, based on Robert’s Rules of Order. 5.104 The President will determine the time of the first chapter meeting of each semester. At the first chapter meeting, the EC will present at least three possible times for the chapter to choose from for meetings for the semester. The meeting time will be chosen through a simple majority vote of members present. 5.105 For a chapter meeting or ritual to be a mandatory event, the chapter must receive notification of the date and time of the event at least two weeks prior to the event. For a service or fundraising project to be a mandatory project, the chapter must receive notification of the date and time of the project at least four weeks prior to the project.

2. Voting 5.201 The total eligible voting membership of the chapter shall be defined as all current Active members of the chapter except the President and the Parliamentarian. 5.202 The President shall only vote when the vote is by secret ballot or when her/his vote will affect the result. 5.203 The Parliamentarian does not vote on any matter. 5.204 A quorum consisting of no less than four members of the Executive Council and no less than 50 percent of the total eligible voting membership of the chapter shall be required for a valid vote to be taken on any subject. 5.205 A member who is absent from chapter may designate a proxy to vote on all matters on her or his behalf. The absent member must contact the Parliamentarian prior to the beginning of chapter indicating their proxy for that chapter period. A sister who designates a proxy will count towards the quorum requirement. 5.206 For votes on membership and votes that require more than a simple majority, all percentages needed for the motion to pass are percentages of the total eligible voting membership of the chapter. 5.207 All votes that require a simple majority other than votes on membership will need a majority vote of the people present at the chapter meeting to pass. 5.208 Any vote not specified within the Bylaws shall require a simple majority to pass. 5.209 The spending of irrecoverable chapter money over 100 dollars must be approved through a simple majority vote.

VI. Delegates 1. Chapter Delegates 6.101 At least one delegate shall be appointed to represent the chapter at National Convention at least one month prior to the end of spring semester prior to National Convention. 6.102 At least one delegate shall be appointed to represent the chapter at District Convention at least two weeks prior to District Convention.

16 6.103 Delegates will be appointed by the President. 6.104 Each delegate shall be an Active member of the Sorority at the time of the appointment. 6.105 All members who attend conventions shall be financially aided by the chapter whenever possible. VII. Disciplinary Action 1. Probation 7.101 A member who displays conduct in violation of the National, District, or Theta Lambda Constitutions or policies or who becomes delinquent in any obligation(s) to Tau Beta Sigma is subject to probation. 7.102 Members who are on probation cannot vote, attend socials or formal nor be a date to any functions, or become a big sister. Officers cannot continue to hold their positions if they are on probation. 7.103 Probationary status is obtained automatically for the following reasons: Conduct deemed highly inappropriate by the Executive Council Failure to pay dues by the deadline as stated in Section 2.312 of this Bylaws Failure to complete the required fundraising credits for the semester Failure to complete the required total points or service points for a month for the first time within the semester Failure to participate meet conditions of a Conditional Contract or Band Requirement Waiver 7.104 For a member to be placed on probation for any reason outside of automatic probation, a probationary hearing must first be held with the member in question and the Executive Council. Prior to the hearing, the Sponsor must be notified of the reason(s) for the hearing. The Sponsor may attend the hearing if needed. Potential reasons for a probationary hearing include the following: Inability to meet the specified GPA requirement for Active membership Accumulation four or more absences from chapter, committee meetings, and required events in a semester Failure to complete the required total points or service points for a month any instances after the first time within the semester Other conduct deemed inappropriate by the Executive Council 7.105 At the probationary hearing, the reason(s) for the hearing will be presented to the member and will be discussed by all present parties. A majority vote of the Executive Council will be required for the member to be placed on probation. 7.106 The Sponsor and the District Counselor must be notified within ten days of a member being placed on probation. 7.107 When a member is placed on probation for dues, credits, or points, the probation will be lifted once the member meets the criteria specified within this Bylaws. 7.108 When a member is placed on probation at a probationary hearing, a contract will be created between the member and the Executive Council outlining the reasons for probationary status and what conditions must be met for the status to be lifted. 7.109 If a member does not meet the specified conditions to lift the probation by the set deadline, she/he will be subject to suspension.

17 2. Suspension 7.201 Any member who severely violates any policies or procedures of the National, District, or local Chapter or any member on probation who fails to meet the conditions of her/his probation or becomes delinquent in any obligation(s) to Tau Beta Sigma is subject to suspension. 7.202 Members who are suspended shall have no Active membership privileges. Suspended members cannot attend chapter events, including rituals and socials, outside of events necessary for the suspension to be lifted. Suspended members cannot be a date to a chapter event. Suspended members cannot vote, wear letters, be elected to an officer position, or become a big sister. Exceptions to this policy may be made if required for the suspension to be lifted. 7.203 For a member to be suspended, a hearing must first be held with the member in question and the Executive Council. Prior to the hearing, the Sponsor must be notified of the reason(s) for the hearing. The Sponsor may attend the hearing if needed. 7.204 At the hearing, the reason(s) for the hearing will be presented to the member and will be discussed by all present parties. A majority vote of the Executive Council will be required for the member to be called before the chapter to discuss suspension. 7.205 Prior to a vote to suspend a member, the Chapter Sponsor and District Counselor shall be informed in writing of the reasons for disciplinary action. A three-fourths vote of the chapter’s total eligible voting membership shall be required to suspend the member. 7.206 Once a member has been suspended, the member shall be notified in writing of the obligations to be fulfilled and a specified time period to fulfill them. 7.207 The District Counselor and the National Headquarters must be notified in writing within ten days of the placement and lifting of any suspension. 7.208 Once the member fulfills the obligations of her/his suspension, they may go before the chapter to request the suspension be lifted. A three-fourths vote of the chapter’s total eligible voting membership shall be required to lift the suspension.

3. Expulsion 7.301 A suspended member who does not meet the obligations required to lift their suspension by the date specified or any member who repeatedly violates National, District, or Chapter policies or procedures is subject to expulsion. Violations of the National policies concerning hazing, alcohol, and substance abuse, as well as other actions deemed severely inappropriate by the Executive Council shall be considered cause for expulsion. 7.302 Prior to a vote on expulsion, a hearing will be held with the member in question, the Active chapter membership, and the Chapter Sponsor. At least one week prior to this hearing the member in question, the Chapter Sponsor, District Counselor, and National Headquarters shall be notified in writing of the reason for the disciplinary action. 7.303 After the hearing, a vote on expulsion shall be taken by secret written ballot. In order to expel a member, a three-fourths vote of the total eligible voting membership of the chapter is required. The member shall be informed of the vote totals. 7.304 Expelled members must immediately return to the chapter all regalia and property of the Sorority being held, and the expulsion shall be noted Master Chapter Roster at National Headquarters upon receipt of written notification.
