Airline ‐ Unaccompanied Minors Unaccompanied Minor is a term used by the airlines for a fee‐based escort service for a young traveler (generally under 15 years old). The airlines charge a separate fee for this service. Each airline has its own specific requirements for transporting young travelers. We recommend that families check with the airline to determine what requirements apply for a minor. See below for unaccompanied minor information for the 3 major carriers in and out of DTW. United Unaccompanied Minors American Air Unaccompanied Minors Delta Unaccompanied

When making unaccompanied minor arrangements, airlines will ask for the specific name, address, and phone of the receiving adult. If your student is traveling as an Unaccompanied Minor please contact CSAI Program Manager for this information.

Airline ‐ Delayed or Cancelled Travel If a student experiences an airline delay or cancellation, he/she should do the following: ‐ Call parents first! ‐ Rebook flights as needed ‐ Notify CSAI of the changes (Program Manager, 248‐645‐3313 or 734‐891‐9091)

Because this is something that happens, we ask that you your student's photo and cell phone information to their Ultracamp (registration) account.

Your Time at Cranbrook

CAMPUS ARRIVAL Boarding Students ‐ Arriving on Campus by via Airport Pickup Boarding Students who are flying to DTW will be greeted at the baggage claim area by a CSAI staff member who will be waiting with a Cranbrook Summer Art Institute sign. Unaccompanied Minors see the above note, arrangements need to be made with the airline in advance, and pickup will take place at the arrival gate (FOR UNACCOMPANIED MINORS ONLY). We ask that you upload a current photo of your student to the Ultracamp registration website so it’s easier for our staff to find them at baggage claim.

Boarding Students ‐ Arriving on Campus by Car If you’re a Boarding Student please arrive the Sunday before the Session start between 4:00‐6:00pm. Check‐in will take place at the front peristyle of the Art Museum. (See the attached map for directions around Cranbrook’s Campus.) There will be BLUE + TEAL wayfinding signage to guide you.

At check‐in, students will be asked about arrangements for traveling home and any missing paperwork. Students will receive their room and dorm assignment. Once a student receives their room assignment, he/she is officially checked in and must follow all check‐in and check‐out procedures for leaving campus. This means students cannot be taken off campus without a parent/guardian completing a Sign Out Form in advance.

Day Students ‐ Arriving on Campus by Car

5 If you’re a Day Student please arrive between 9:00‐9:15am the Monday of the first day of class. Check‐in will take place at the front peristyle of the Art Museum. (See the attached map for directions around Cranbrook Campus.) There will be BLUE + TEAL wayfinding signage to guide you through campus. CSAI staff will be there to greet you and verify that we have everything we need before the program begins. After everyone is checked‐in, there will be a group welcome to review rules and expectations before students and instructors head to class.

If your student is driving themselves to/from campus, park at the rear of the Cranbrook Art Museum parking lot – DO NOT PARK ANYWHERE ELSE. Cranbrook employs its own security staff who monitor parking and will notify us if there are any issues. Students are not allowed to leave campus once they have arrived until the end of the day. If a student needs to leave, prior permission is required in the form of a Sign Out Form submitted in advance by a parent/guardian.

Registration Holds If any of the following items are not settled when you arrive, you will be asked to resolve these obligations prior to the end of the first day ‐ Tuition ‐ Tuition must be paid in full before the first day of class ‐ General Forms ‐ CSAI must have all forms completed and on file ‐ Health Form ‐ Must show that the Medical & Diet Release From is complete, and an original hard copy has been sent to CSAI before the start of your session (or brought on the first day). If we do not have this on file a parent / guardian will be asked to complete and sign the Medical & Diet Release Form before the student can attend class

CSAI Staff The day‐to‐day operations of CSAI are completed by Cranbrook Art Museum staff members. The list below is a who’s who of names and faces you will see during your stay.

7 area. Parking is available in the Art Museum parking lot adjacent to the loop. Classes are dismissed at 3:30pm. If a student must leave early, please arrange in advance.

If a student will be late for Drop‐off, please send a message to the Program Manager at (734) 891‐9091 and the instructor will be notified. Once the student arrives, you may go straight to class. If the class is at a different location than usual, a Resident Supervisor will accompany you to class.

Meals ‐ Lunch Monday – Thursday, students will need to provide their own lunch and are not allowed to leave campus. There are several options: 1. Day students may bring a lunch from home. 2. All students eat in the Dining Hall ‐ known as Hogwarts (because it resembles the Great Hall from the Harry Potter movies). This provides a buffet‐style, all‐you‐can‐eat meal including a salad bar, hot selections, soup, side dishes, dessert, and drinks. Lunch tickets are purchased at morning check‐in. Week long meal plans can be purchased in advance with registration for Day Students. All meals are already included in Boarding registration costs. Approximately $6 per meal.

On Friday CSAI provides pizza, salad, breadsticks and drinks – vegetarian pizzas are included. We will also accommodate for dietary restrictions if known in advance (gluten free, lactose intolerance, etc).

Boarding Meals ‐ (Breakfast + Dinner) Boarding students are welcome to eat breakfast in their dorm common area where we’ll provide fruit and cereal. Alternately, students can walk to the cafe at the Cranbrook Institute of Science between 8:45‐9:15am for breakfast.

Most nights, Boarding students will eat dinner in the Dining Hall. This provides a buffet‐style, all‐you‐can‐eat meal including a salad bar, hot selections, soup, side dishes, dessert, and drinks. Some week nights and all weekends, Boarding staff will order take‐out from a local restaurant or Boarding students/staff alternate making dinner for the group in the Boarding kitchen. Dinners are always eaten as a group; you may not skip meals unless you are not feeling well. There are no refunds for uneaten meals.

An array of snacks and beverages will be available for students and kept in the dorm common room. Again, any allergies or dietary concerns should be listed on the Medical & Diet Release From and will be taken into consideration when purchasing food.

Weekends Weekends off campus (Saturday) will vary. A favorite destination is the Heidelberg Project – a massive folk art installation that covers an entire city block in Detroit. We also typically visit several museums, including the internationally renowned, Detroit Institute of Arts, Museum, MoCAD, and the Detroit . Other destinations include water parks, cruising downtown Birmingham (small shops and movie theaters), a Detroit Tiger’s baseball game, and many other local, cultural attractions.

Weekends on campus (Sunday) generally involve outdoor games, studio time, organized events, and laundry.

We do our best to make sure we have activities to fit everyone’s interest. We will provide equipment for students to enjoy many outdoor activities – tennis, basketball, Frisbee, and more. The campus itself offers beautiful 8 grounds for jogging and hiking through the woods (great for cross country runners!), and boasts relaxing lakes and an outdoor Greek Amphitheater. We will have time to swim in the indoor pool (bring your suit!) with a retractable roof, great in the summer time. Students will also have access to the library, Art Museum, Institute of Science, and planetarium. Boarding Staff will arrange many of the activities, but are also open to suggestions.

Boarding Students who remain at CSAI for more than one session remain on campus during the changeover weekend. Activities are planned and usually involve students leaving campus for outings, and preparing for the next camp session. Students will be supervised by Boarding Staff during changeover weekend. Alternately, during this transition time, we allow students to be signed‐off campus overnight for a weekend with parents, guardians, or a designee if known prior to the start of the session.

Dorm Space We will be using two dormitories – the same dorms that are used by the graduate students during the school year. Boys and girls will be staying in separate dorms with at least two Boarding Staff members staying on each floor.

Each dorm has a lounge area. Members of the opposite sex are allowed in lounges, but not in rooms. Lounges are available for movies, television, games, and group activities. Lounge furniture must stay in the lounge.

A security deposit is not required for your dorm room, but you will be billed if any damage occurs to the furniture, fixtures, or the room itself. Rooms must be kept reasonably clean, maintaining a healthy living environment. Boarding Staff will check in on rooms periodically to make sure everything is in order. We will have housekeeping come through to clean the bathrooms and wastebaskets, but you are responsible for making your own bed, throwing away garbage, and keeping things in order.

Keys will be given to each student, and must be returned at the end of the session. You will be billed $25 for each lost key.

Bathrooms in the dorms have two toilets and two showers. You will need to cooperate in order to make sure everyone has a chance to use the facilities. They are private, individual showers, and toilet stalls.

We will do our best to match you with a roommate who is close in age and shares your interests. Everyone will have (at least) one roommate. If you know someone else in the program and wish to request a roommate, please do so as soon as possible. If you have trouble with your roommate, please let a Boarding Staff member know immediately. We want everyone to feel comfortable and will do what we can to accommodate students.

LAST DAYS AT CSAI Talent Show During the last Pizza Friday Lunch all students (and teachers!) are invited to participate in a Talent Show. This is very informal and usually takes place on the front lawn of the Art Museum. Talents range from short skits to instrument playing, odd talents ‐ like juggling, or songs written about camp!

Forum Gallery Exhibit On the last day of class we will have a formal gallery exhibition at the Cranbrook Art Museum’s Forum Gallery. All students will be displaying their best work produced at CSAI. This is free and open to the public. The opening runs from 3:30 – 5:00pm, and refreshments are provided. Artwork must remain in the gallery until 5:00pm.

9

Day students may depart with parents / guardians after the exhibit. If you are unable to attend the exhibit, please let us know and any artwork left may be picked up at a later date. Artwork will be held no later than two weeks after your session end.

CAMPUS DEPARTURE Boarding Students ‐ Departing from Campus by via Airport Boarding Students who are flying out of Detroit Metro Airport (DTW), please arrange to depart DTW between 10am–1pm EST, if this is not possible please contact CSAI staff. A van will transport students to the airport, which takes approximately 45 minutes.

Boarding Students ‐ Departing Campus by Car If you’re a Boarding Student being picked up by a parent / guardian, departure time is the Saturday after the last day of class from 9–11am. Lunch will not be served on the final Saturday except for those staying for the following session. Check‐out will take place in the campus dorms. (See the attached map for directions around Cranbrook Campus.) There will be BLUE + TEAL wayfinding signage to guide you through campus. We ask students to leave their room as clean as it was found, and may not leave until they have been checked out by a Boarding Staff Member. Students may only leave with a parent or guardian.

Mailing Home Artwork It is important to remember that students will be producing works that need to be transported or shipped home. In some cases, work can be rolled up or carried flat but in other cases (i.e. ceramics or sculpture) work may be bulky and possibly fragile. CSAI will assist students in packing artwork, and students have the option to have artwork shipped home for them. If students want artwork shipped home, we need an email of consent from a parent / guardian, stating that they will cover this cost. This can be charged directly to the Credit Card you have on file from registration.

Cranbrook Summer Art Institute is not responsible for pieces damaged or lost in shipping, and cannot be responsible for work left behind. All work will be disposed of two weeks after your session ending.

Safety and Standards HEALTH AND WELL-BEING Medication and Medical Emergencies All parents / guardians are required to report medical conditions that may affect students’ presence in our programs. Medical conditions will be shared with CSAI staff only.

State of Michigan camp regulations prohibit students from keeping any medications in their cabin or with them (with the exception of Lactaid, EpiPens, insulin, and asthma inhalers ‐ emergency medication to be kept on the student at all times). Do not send over‐the‐counter medications to camp with your child (e.g. Tylenol, Advil, etc.) Commonly used medications such as these are readily available in dorms if needed. To best ensure student medication safety and security, all prescription and nonprescription medications that are taken daily must be filed through the Boarding Head. Boarding Staff will supervise taking of medications, making sure that they are being taken at intervals described on the labels.

10

There is a nurse on campus during regular business hours. The nurse can address minor medical issues as needed. If medical issues persist or need further care, students will be taken to local urgent care. Parents / guardians will be notified about medical issues, and can request that student be taken to urgent care.

We will have your medical insurance and ID number on file in case of an emergency where we need to take students to get medical care. In such case, the parents / guardians will be contacted immediately. CSAI is not responsible for the costs associated with medical services provided outside of Cranbrook personnel.

Counseling and Psychological Services Due to the short duration of our programs, it is not possible to provide counseling services that require ongoing therapeutic attention. While individual personal concerns may arise that can benefit from the support of staff, as a general rule students must be able to function independently, without frequent support from a therapist. Students whose needs go beyond the scope of what staff can reasonably provide may have to return home for appropriate attention.

Discussions of personal matters are confidential and are shared only on a “need to know” basis. Just as with medical personnel, State and local child protection laws require CSAI to report to authorities any suspected cases of abuse (physical, mental, or sexual) or neglect.

Student Support CSAI strives to create an atmosphere of care and trust among adults and students in our community. Our goal is to provide support for students who may be in need of specific help. To this end, we encourage students to talk with an adult in the community before an action or problem becomes harmful to themselves or others. Concerns which are shared regarding one’s own welfare or that of another student will be handled with care and understanding. However, it is important to distinguish between students who are caught or confronted in violation of policies and students who seek help voluntarily. Students caught violating CSAI policies face disciplinary consequences. Intervention is only possible when information becomes known to CSAI personnel voluntarily and before there is a incident.

Voluntary Withdrawal With parent permission, a student may withdraw from CSAI at any time. As outlined in the Refund Policy, all tuition and fees for the entire session are due regardless of the date or reason for withdrawal. When a student leaves early due to unforeseen circumstances, all belongings will be transported by parents or shipped home at student expense. CSAI is not responsible for lost or damaged items if a student leaves Camp prior to the end of his/her session and has not secured or taken care of his/her belongings.

COMMUNITY STANDARDS Attendance Attendance is mandatory for classes unless the student is ill or previously excused. Boarding Students risk being sent home for failure to attend classes. Due to busy class schedules, missed classes can set students behind, with efforts made by the instructor to keep the class on the same assignments.

If a Day Student is sick, or unable to attend class, please call or leave a message for the Program Manager at (248) 645‐3313, as soon as you know. We take attendance daily, and will call a parent / guardian if a student does not check‐in.

11

Attire We do not have a uniform. We believe in letting artists have freedom of expression. That being said with all freedoms, there are limits: ‐ Males are to keep shirts on at all times, including sporting events and outdoor activities, with the exception of their personal dorm room and swimming ‐ Females are not to wear swimsuits or bikini tops any time except when swimming ‐ Shoes are required in all areas except the dorm room floor ‐ Attire must conform to safety regulation and must not disrupt the education process ‐ Attire should be appropriate of each occasion: undergarments should not be plainly visible; including sports bras and boxer shorts, messages on clothing must not promote illegal activity or offensive messages ‐ Any CSAI staff member may deem attire inappropriate

Cell Phones / Tablets / Electronic Device Please keep in mind that this is a camp‐like setting, telephone access is limited, and students have limited time to place calls. Students and parents are asked to adhere to the guidelines of phone operations listed below. We strongly recommend that students spend time with the people around them and limit time on the phone. Please use at appropriate times and keep the volume at an acceptable level. ‐ Cell phones / tablets need to be turned OFF during class and all group activities. Students may only use mobile devices when specifically permitted by Teaching Artist or Boarding Staff. It is within a Teaching Artist’s right to ask students not to bring phones to class, or to collect phones at the start of class. ‐ If you need to get ahold of your student during class time, please contact the Program Manager at (248) 645‐3313. Due to busy schedules, students may not receive phone messages until evening. In the event of an emergency we will find your student in class. ‐ Students will need to utilize calling cards to make long distance calls from a campus telephone. It is recommended that calling cards be purchased before coming to CSAI.

** If electronic devices become a problem, we will temporarily remove them and limit access **

Campus Boundaries Boundaries for students can change at different times of the day, and students are responsible for knowing where they are allowed to be at what times.

During class time, students are not allowed to walk campus without a partner, and without a Teaching Artist’s permission. Students should travel promptly to‐ and from‐ the Dining Hall at lunch. During Lunch, students are not allowed to leave the Dining Hall area, and will be checked into lunch, as well as back into their classroom.

For convenience, boundary maps are posted in each dorm and classroom space. We expect students to act responsibly. This includes the appropriate use of studio and dorm spaces.

Students are not allowed to leave campus without permission for any reason. There is nothing but residences within walking distance of Cranbrook. If a friend or relative wishes to take you off of campus, we must have a Sign Out Form completed and submitted by a parent/guardian ahead of time.

Campus Safety Safety and security are top priorities at Cranbrook Summer Art Institute. Campus is patrolled by trained public safety professionals, providing response and assistance 24 hours a day, 7 days a week, year‐round. Boarding Staff 12 members are also trained in emergency procedures and play a supervisory role across the campus. It is important to note that Cranbrook has an open campus. Campus access roads are gated during certain times of night, restricting vehicle access onto campus. However, not all campus grounds are not fenced.

In case of any emergency which may require the attention of safety personnel, students should contact CSAI staff member or an adult employee, call Public Safety directly at 248‐645‐3170 from a non‐campus phone, or dial 3170 from any campus telephone. In the case of a life‐threatening emergency, call 9911 from any telephone. We recommend high school students enter the Public Safety number into their cell phones prior to arrival.

Lost And Found Lost and found items are turned into one of three places: The Boarding Lead’s dorm space, the Program Manager (at the Cranbrook Art Museum), or Public Safety. Missing articles should be reported right away to a CSAI staff member. Students are encouraged to complete a Lost / Stolen Items Report. If an item is discovered missing after the student returns home, a report may be filed with the Program Manager.

While every reasonable effort will be made to assist in locating the lost items, CSAI cannot assume financial or other responsibility for lost, stolen or broken personal property of students. It is strongly recommended that parents insure any items of high value brought on an individual basis.

Any found items not claimed within 30 days after the end of the season will be donated to local charities or otherwise recycled. CSAI will not be responsible for maintaining, locating or returning various clothing items, linens, toiletries, water bottles, etc. These items will be disposed of or donated to local charities.

Behavior While the main objective is always to have fun and we understand that this is not 'school,' the same rules of respect still apply. Students are expected to help create a community of trust by adhering to high standards of conduct at all times. Honesty, integrity, safety, self‐respect and respect for one another are the principles that our community values most. The protection of these values depends on common sense, courtesy, and thoughtful awareness of others.

Any student whose behavior compromises the authority, safety or security of the Program or any of its members is subject to immediate dismissal. We reserve the right to suspend any student from the program because of their actions without a refund.

Each of the following is considered a violation of one of these common standards and thus a major rule violation. This is a sample list and does not include all unacceptable behaviors.

Violations of respect for people and property ‐ Deliberately disobeying or disrespecting the directives and authority of any CSAI staff member ‐ Use of inappropriate, demeaning, vulgar, profane or obscene language, writing or gestures that imply disrespect; also inappropriately intimate gestures or behaviors. ‐ Vandalism or abuse of school or personal property

Bullying or Harassing ‐ Students will not intimidate, harass, or bully another student through words or actions. Such behavior includes: direct physical contact, verbal assaults, and social isolation or manipulation.

Property Searches CSAI respects the individual privacy of each student. However, if there is reason to suspect that illegal and / or dangerous activity is taking place, CSAI reserves the right to search any belongings on campus, including his / her dorm, other areas assigned to or occupied by that student, and his / her possessions. Two CSAI personnel in the presence of the student will conduct such a search.

Discipline CSAI Staff will deal with infractions, and guardians will be notified when a major infraction has occurred. Guardians must be prepared to arrange and pay for immediate removal in the case where a student has violated a major infraction and must leave the program. This may include a stay in a hotel, transportation and plane tickets, or it may involve the parent needing to come to Cranbrook and pick up the child. Boarding program costs will not be refunded in the case of a dismissal.

The following are the official procedures for dealing with discipline issues: 1. Boarding Staff and Teaching Artists will first address the problem and handle consequences as they see fit. Program Manager will be made aware of the issue. 2. If the behavior persists, the Program Manager will discuss with student. 3. If the behavior continues or worsens, a guardian will be called and a solution will be worked out with their involvement 14 4. If the behavior does not end, student will be sent home at personal expense

If the behavior clearly warrants it, a decision may be made to skip steps and take immediate disciplinary action.

If you have been affected by the actions of another student, consult with Boarding Staff or your Teaching Artist immediately. Above all, we want students to feel safe and secure.

Visitors Friends or family are allowed to visit on SUNDAY. When you have guests, please follow the procedure below: 1. Let a Boarding Staff member know who you are expecting, and when 2. If you are walking around campus please let a Boarding Staff member know where you will be 3. The visitor(s) may participate in Boarding activities only with the Boarding Head’s approval 4. No visitors may stay beyond the 9:30pm curfew 5. Visitors must follow the same rules as boarders. If any rules are violated, the visitors will be asked to leave. If having visitors becomes an issue, they will no longer be allowed for anyone.

Class Cancellation + Refund Policy Programs will run as scheduled once enrollment for the course reaches a preset minimum. If a class must be cancelled due to low enrollment, the student may transfer into any other available class with no additional fees. If the student does not elect to transfer into a different class, a full refund will be granted.

We understand that registering your student takes months of future planning and sometimes these plans do not work out. If space is available in another session, we will switch your child into another week at no charge.

21 Days Prior to CSAI: Forfeiture of deposit. Cancellation within 21 days prior to CSAI will not receive a refund. There are no refunds if a student is dismissed or withdraws once their session begins. No‐shows will not receive a refund. Please refer to our Discipline Policy regarding dismissal of a student.
