How to construct and assemble a Team Knowledge Base

A Knowledge base gathers information assets from e-mail and the Internet and combines storage and editing to construct the knowledge base documents. The storage takes the incoming e-mails and organizes them into project and Information Resource folders. The knowledge base enables information in these folders to be collated, combined, edited, indexed and prepared for publication in the suitable medium. The process ends with formatting for final publication. This occurs in the Editor. Often in searching information good ideas occur and combine with the right information; then the user combines the information and inserts it into message documents as it collects. An advantage of the TbKb_Editor writes the incoming information and notes directly into message documents. As searching collects more information the TbKb_Editor writes it into the topics changing according to the index as the topics multiply and the focus changes. The users use the Subject: to list and index the topics to compare them and start eliminating duplicates and making logical combinations. The To: or recipient indexes according to the PN listing the message documents. The user combines new information as it arrives by copying it into the logical message document.

Building a Knowledge base Editor (TbKb_Editor) in Thunderbird The e-mail folders do not suit for an editor because the editor function or Compose as it is called in Thunderbird does not automatically open the e-mail folders to edit documents. This is a security feature. E-mails remain unalterable receipts of project, personal and business communication. E-mail assumes that the incoming documents remain in the original form with the source content. The user makes a conscious decision to edit or change the documents. Changing the documents requires moving them to the „Draft“ folder, which is uneconomical for the editor in a knowledge base. The user assumes that he automatically opens the documents under construction. Hence productively constructing and sharing a Knowledge base Editor requires configuration of the flexible Thunder architecture.

Only the Draft folder opens messages in Compose. The Compose function for each Account configures. Hence open an Editor (e-mal) Account and store the Knowledge base construction documents in this folder. The teams notate the knowledge base assets, combine them with others and edit them under this folder. When finished, the editor moves the documents to the file. To prevent installing duplicate folders in the Storage and in the Editor; either Tags or an index notates a unique folder index for each Edit document. Then Stored Searches and Searches list the documents. Sorting and Grouping also present the user with the needed documents. The index relates the document to the folder in Storage and relates the topics to the information contained in this folder. Mozilla calls this principle „Virtual Folders“.

Configure the Editor Properties that open Compose for editing Draft properties belong only to one folder in the account. Drafts save to this folder for the account. To make use of the convention a knowledge base generally contains one Information Resource and the editor edits the documents for this area. For example the development, construction, and maintenance of the Tb Knowledge Base represents an Information Resource. A knowledge base may serve a media such as e-mail, a blog or a web. Then it services the information needs for this audience. The messages save in the draft file and use grouping and search to find the KB documents. Virtual Folders serve as files as the Storage sets up in “Local Folders”. Then each Information Resource or Knowledge Base specifies it’s own account.

Set the account „Draft“ folder. Note: subfolders inherit the parent folder properties unless changed. Tools -> Account Setting -> Copies & Folders -> Go to Gmail_KbEditor.Quest -> „Copies & Folders“. -> „Drafts and Templates“ Keep Message Drafts in:“-> Other -> Use the Drop-Down field to choose the folder „Kb_Editor on Gmail_Kb_Editor_Quest. “ by choosing Drop-Down Gmail Kb_Editor.Quest -> Kb_Editor -> TbKb -> „choose this folder“ The TbKb Folder is now the knowledge base folder.

Create and Edit Message Documents Message Documents are Documents in construction.

TbKb_Editor The TbKb_Editor edits documents in the Editor that later export to any media in use for publication such as webs, blogs, wikis, and publishing or for business use. It saves the documents to locate them easily to expand as ideas occur. It allows the user to index the document set and extend it in a logical way. It collects and collates information from a team and is a compository for team knowledge and experience. Documents in the Kb export to the various media in use where the documents adapt to the specific media needs. Tb offers editing in Text or Ht ml. Text offers limited formatting capabilities. Ht ml offers sufficient formatting for satisfactory production of production documents. To improve use of the Html Editor install the Add-on "EdtiHtml" that offers an Html editing pane or window to edit the Html code within the message document.

Thunderbird only edits documents in the "Draft" folder where it opens the "Compose" pane automatically. Moving the documents to another folder necessitates moving them to the "Draft" folder for editing. If the documents do not exceed a manageable number, the "Draft" folder organizes the documents as a "Virtual Folder". A "Virtual Folder" uses "Message Filters", "Searches", "Stored Searches" and" Grouping" to list and find the needed documents. An unmanageable quantity depends on the success of defining common index terms and avoiding entry mistakes.

Edit Edit a document by going to the Message Pane and Double-Click on the folder. The Composition opens and any document attribute edits.

Subject: Using Quicktext Templates. Quicktext Templates enter the "Subject:" header automatically overwriting any entries. Enter the Subject line after inserting the template.

E-mails The Editor writes text and Html e-mails. Text e-mails have only limited editing capability and use them in the known cases where the recipient can't receive Html e-mails.

Annotate E-mails No extensions to annotate e-mails have been identified. ReminderFox adds the only shareable annotation work-around. Use a list name it "2009 Project Stored Search" to add a common note for e-mails and Internet. Then call ReminderFox and go to the ReminderFox list 20091 Project Stored Search notes and it connects to the event or e-mail.

Note Extensions. Xnote adds a yellow Post-it note and works well but does not share.

Header Fields Header fields are not accessible to the Html editor. The message source text must be edited and TB Header Tools provides the means. Document Source Headers: does not appear in Html or text email. To edit use TB Header Tools -> "Change Header Details" -> "Header Changer". Each Header appears in a field where it can be edited.

Header fields like Ref: Use Tb Header Tools. Tools -> "Change Header Details" -> The "Header Changer" lists the Header Fields where they edit.

Move Messages from Storage: Activities or IR to Edit E-mails contain valuable additions to documents in construction. By collecting them and adding the content to the message documents; beneficial knowledge and experience grows in the knowledge base. Add e-mails to the documents under construction by moving them from Storage (Local Folders) to the Kb_Editor.

Caveat- The original message remains in Storage and a copy moves to TbKb where it combines with other documents and is edited to produce a Kb article. Using a header or field Ref: contains references to

2009 Attribute Graphics, Content, and Text to Gary_Gabriel 13321197.doc 22.01.09 - 4 - the original documents. When finishing the article move it back to the Storage folder in IR or Act as a new document. Media reformats the document into the proper format and forwards it to the Media.

Tracking and Logging with the Kb Here’s some ideas you may like to use for logging. ToDo.Quest produces logs nicely. In the Address Book define an e-mail address or To: index for each log. Then to create a log entry use -> Write and insert the Address Book e-mail index for the log for example SysAdmin for a Systems Adminstration Log to record problems with the Kb or changes.

- System Administration logs system problems and tracks the resolution - Business Activity logs new ideas - Document Submission logs mature documents for publication and tracks progress including revisions. - The original message stores in IR, Act.

Seed a new message document. Edit or save Message as new in the source. Move the entire contents of an e-mail to the editor. - Message -> Edit Message as new. A new message copy opens and re-index by adding the -> From: Kb_Editor, -> To: pick the index from the Address Book. Enter the Subject: . Save as new to move a copy of the message to Kb_Editor to seed a new message document.

-> From: Kb_Editor designates that a new article is created. -> To: [email protected] -> Subject:

Save to the Kb_Editor Changing the From: to Kb_Editor moves the message to the editor. The moved document saves in the "Draft " folder TbKb. this is a "Virtual Folder" and (**) will save all documents for this Kb. Use the Subject: Message Filters and Search to find the needed documents. The message edits in Kb_Editor and the Draft (edited) saves to the "Draft" Folder. Editing occurs by Double-Click on the message in the "Message Pane" or using the "Edit Draft" Button. Take care that duplicate drafts do not occur.

Move Messages From Kb_Editor to Storage The From: address determines the storage location. Kb_Editor uses „“Kb_Editor“ which is the account [email protected] Storage uses Action.Quest which is the account [email protected]. Change the account to move the message.

Move Message from TbKb to ToDo.Quest Change from: From TbKb.Quest to ToDo.Quest. Interchange the Accounts in From: Kb_Editor uses „“Kb_Editor“ which is the account [email protected] Storage use Action.Quest which is the account [email protected]. Change the account to move the message.

Document Construction A knowledge base editor uses basic formatting that proficiently exports to the various formats used by webs, blogs, wikis and publishing. TbKb_Editor uses the add-on Quicktext to extend the template capability of the editor. Quicktext adds variables, inserts files and entries from the Address Book fields including the Custom Fields. The pro version controls user entry. Use of these templates enables flexible document construction and data entry. Using Quicktext Kb_Editor constructs documents from templates selected by the user.

Header Configuration A database uses a mask to select the data fields for the user display. The mask chooses the fields to display out of the data field. Tb uses headers to display the fields to the user. The file „prefs.js“ sets the headers for the user. View -> Headers: None, Normal All, Extended Normal View. None shows the message pane without headers. „prefs.js“, „user.js“ or the extension Mnenhy set the global headers shown in Normal and Extended Normal View. Each message customizes the message headers with the small header symbol left of the header panel. Install Mnenhy to customize the headers displayed in the message pane.

Custom Headers with the file „prefs.js“ For advanced users with confidence. Go to Tools -> Options -> Advanced -> Config Editor goes to the configuration editor known as „about:config“. Customize Headers with Mnenhy Install the extension Mnenhy. To configure Mnenhy go to Tools -> Add-ons -> Mnenhy -> Options -> Custom Headers Customer Headers has 3 views: Extended Normal View, Composition, Filter. Extended Normal View customizes this message view while Composition changes the Draft view. Filter sets the headers for the “Message Filters”. Mnenhy set the active filters for each view and will add other lists.

For a supported view: -> check the headers to be shown in the view.

Define a new view TbKb that limits the headers to those useful for TbKb. A useful is “TbKb_Editor”. Set this list to only display the headers: Subject:, and Date: to clean up the pane and give more room to write

-> Define another header. For the Editor a Reference header is useful and with the name Ref:. To define a header Check Add Header -> enter the Header Name -> Pick a field format: Text, E-mail, Newsgroup, Message Id. Or Link. Refer to Mnenhy for the format of the header. Pick the right format. Insert the Display Name.

Repeat for each added header and for the respective view from „Extended Normal View“ or „Compose“. Mnenhy does not support X-Tags or X-Categories.

Tag Management and Administration Tags provide useful marking for filing and processing. However defining and setting them up proves confusing and easily leads to duplication and creating errors in filing. These errors cost time and may cause contractual and administrative problems. Use the following tips for Tag Management and Administration to save time and avoid lost or missing documents. Set up tags for use in Storage, the knowledge base and the Educational Systems and Technical Systems as well. Tags apply universally in all accounts or for “Local Folders“ „To-Do“ and the TbKb. They set up in Thunderbird equally apply to messages and content in Storage, Knowledge base, Educational Systems and Technical Systems.

Tag Logic and Outlines Tags automate filing and indicate records for processing. Filing tags simulate binder indexes for filing with a topic for the binder and the index divides it into the logical knowledge topics. They also tag messages, documents or records to line them up in a process and follow the process to completion. But the user accustoms himself to the fixed attachment of the binder topic to index subtopics. Implementation shows that this fixation does not necessarily apply to the flow of information. Tb uses categories and tags to designate the topics and subtopics. This has the advantage that different binders use the same tags. For filing; tags list a common index to apply to various categories. It’s like taking a binder and giving it a name and inserting an index used commonly in other binders. Not all binders use the same index, but the index also applies to multiple binders.

Tools -> Options -> Display -> Tags offer the user a Tag List to add, delete and edit tags. It also colors the tags according to the user’s specifications. However to efficiently manage tags and prevent duplication: listing tags is error-prone.

Use the extension „Tag Toolbar“ to assign the tags to categories and display them in a Tag Toolbar in the Message and Composition Panes. Tags assign to dedicated or multiple categories, so that standard indexes can be setup. A category refers to either an Information Resource or Activity that divides into topics or categories. Each category has subtopics. Categories and tags may apply to multiple IR and Acts or they may refer to individual topics.

Setting up Tags Tags have two properties. The tag name and color. Assigning a color to the tag colors the e-mail message with this color in the message pane when tagged.

Setting up Tags and Categories with Tb Options

In Tb go to Tools -> Options-> Display -> Click the tab „Tags“ This tab offers the choices: Add, Edit or Delete. Click Add -> add the tag name and select a color.

Repeat for all tags needed.

Assign the Tags to Categories with Tag Toolbar The extension Tag Toolbar adds categories for each workstation.

1) Tag Toolbar. Go to Tools -> Add-ons -> Tag Toolbar -> Options -> click the tab „Edit“. 2) View the Tags entered above. Or in this view enter the tags as described above. In Tag Toolbar “Edit Categories” . The tags assign to a category. in a „Tag Pool „ or Not In This Category. The „Tag Pool“ contains all tags entered above. „In This Category“ contains the tags assigned to the Category. a. This tab has the options -> Category: Pick Category, New, Delete, Edit Order. i. New: click „New“ and enter the category in the field. Enter the remaining categories. ii. Delete: click the Category choice and choose the category for deletion. Click Delete. iii. Edit Order: click Edit Order and the window changes to edit the category. iv. Enter all categories. b. Assign the tags to the Categories. The tags entered above must assign to the categories. i. Pick the Category with the drop-down field. Then go to the field designated „Not In This Category“. Highlight the tag and use the arrow „<-„ to move a copy of it into the tags contained in the category. Repeat moving tag copies into the category for all tags in this category. Repeat for the categories containing multiple sets of tags. ii. Tag administration. 1. -> Move and reorder the tag „Up“: highlight a tag and click „Up“ the tag moves up one position in the category order. Similarly for „Down“ but the tags moves one position down in the category order. „Reset Order“ resets the order in the „Tag Pool“. „Edit Tags“ Select a tag and the view changes to Tools -> Options -> Display -> Tags for „Add, Edit or Delete, including a color assignment or change. 2. Select Buttons. Use the „Select“ Buttons to select a tag in a long list for either „In This Category“ or Not In This Category“.

Number Tags automatically Mail Tweak numbers tags automatically. Got to Tools -> Add-ons -> Mail Tweak -> Options. The options are alphabetically arranged go to -> - Tag Numbering. Tags number automatically into the order assigned by Tag Toolbars. - Tag Tools. This includes a „Tag Pool“ to share tags. Check both boxes and click „ok“. Leave the options.

Productive Category and Tag Administration with user.js

Tag Administration in the User Profile with user.js Tags store in the „prefs.js“ or „user.js“ file and load when Tb loads. Loading takes the assigned tags and loads them into the Tag Toolbar. Hence copying a „prefs.js“ or „user.js“ file also copies the tags. When using „Tag Toolbar“ to assign tags to categories, the detached list of tags and categories loses the logical relationship of the tag to the category for the user or system administrator. This is a visual problem that solves when looking at a list of categories and comparing it to the tags. Then the tags relate to a suitable category. For advanced, confident users editing either “user.js” or “prefs.js” simplify tag administration for tag configurations. The following example shows how to work with the categories and tags to sort them. It has the advantage that the user works with the category and the tab members at the same time.

Overview of an administrative strategy to manage Tags in the user.js File Each profile accommodates a „user.js“ file that overwrites the „prefs.js“ file. To administer the Knowledge base Editor the „user.js“ file expeditiously organizes Tags and X-Tags. This file offers an overview of the tags set and the values. It also offers the relationship to the categories. This overview may make tag organization easier for the individual. Copy the Tag Administration as shown and add X-

Overview: User.js contains individual preferences for the user it overrides the prefs.js. You can copy a list of preferences from the Thunderbird “Config Editor”. Go To “Tools” -> “Options” -> “Advanced” -> “Config Editor” In “about:config” Key in “Tags” in the filter -> the “about:config” responds with a list of tag preferences. Copy this list to user.js. Create a “user.js” in a text editor. Copy the text and save it as “user.js”. (1) To edit the list start with the tags and either define the tags or use the definition for the tag and color. (2) Now edit the categories and assign the tags with the second section. Loading Tb loads these tags and categories.

Organize X-Tags with TB Header Tools Extension Go to Tools -> Add-ons -> TB Header Tools Extension -> Options Set the Order of Headers to show in the Message Panel.
