OFFICER AND COMMITTEE REPORTS Minutes of 2003 meeting-Providence, Rhode Island (D. Wolnick) Minutes for the annual meeting held in Providence, Rhode Island October 5, 2003 were distributed. Motion was made (Bob Stamps), seconded (Mary L. Albrecht) and passed to accept the minutes as presented.
Minutes of Judging Contest Meeting in CO (D. Wolnick) A brief Pi Alpha Xi meeting was held at Fort Collins during the coaches luncheon, April 1, 2003. President Graper discussed distribution and sales of the note cards now available. Boxes of cards were available during the contest for chapters to purchase. Boxes of 30 or 40 packages of 8 assorted cards were available at $3.50 per package (30 pkg box-$105.00; 40 pkg box- $140.00). Boxes of cards are also available any time from D. Graper, adding an additional $6 per box for shipping. The note cards contain prize-winning photographs from the Pi Alpha Xi Photography Contest held each year in conjunction with the ASHS Annual Meeting. Proceeds from contest entry fees and note card sales are used to support Pi Alpha Xi National’s scholarship matching program for local PAX chapters. Daniel Warnock (U. of IL) confirmed that the 2005 Intercollegiate Floral Crop Evaluation and Design Competition will be held at the University of Illinois April 7-8, 2005. Hosted by Dan Warnock and Dianne Noland. There was a short discussion about expenses and events. There was general agreement that the student registration not exceed $65 if at all possible. The hosts will be making a concerted effort to involve corporate sponsors such as Ball Seed in competition events.

1 Transfer of funds to main account June 28, 2004 from separate account managed by T. Ferriss. As of July 31, 2004, the “Manuals account” still has approx. $3000, retained to pay for new printing. No such transfer occurred in 2003.
2 Intercollegiate Competition. At the annuial meeting in Providence, RI, Pi Alpha Xi members voted to commit more money to the Intercollegiate Competition, specifically $500 to the host school for staging expenses, and a variable amount above the $1500 already contributed to team travel expenses ($600 for the 2004 competition). The expenditure for the 2004 competition was $1100 more than 2003.
3 Pi Alpha Xi (80 years) and ASHA (100 years) were both celebrating anniversaries in 2003. The $1500 paid to ASHS was a one-time expense as co-sponsor of the networking event.
4 The larger one-time expenditures for note card printing and to ASHS were the reason why expenses exceeded income in 2004. However, the treasury is healthy with a balance of $11,571.38 on July 31, 2004.

Membership Report (D. Wolnick) Since the summer of 2001 when the last Lotus Leaflet was printed, 709 new members have been initiated into 16 of Pi Alpha Xi’s 36 chapters. Total membership now stands at 12,705. Nine of the 16 chapters have initiated 117 members in the first six months of 2004. The names of our new initiates since summer 2001 are featured in this Lotus Leaflet.
The entire membership of Pi Alpha Xi has now been entered into a database in Filemaker Pro. Besides providing initiation information, more extensive biographical information is also available for members who have distinguished themselves with leadership roles in Pi Alpha Xi, ASHS, SAF and the American Floral Endowment. In some cases current contact information and even photos are included in the database if an individual has the information and pictures on the Web already. Initiation certificates for new members can be generated directly from the database.
Within a few months the database will be accessible on the Pi Alpha Xi Website www.pax.okstate.edu. Every member will be able to look up his/her information directly, search for information about other Pi Alpha Xi members and even keep track of chapter membership lists. When the database becomes available each Pi Alpha Xi member should verify his/her own information. Members will be able to edit their own information to some extent, or they can contact the Webmaster who can make the necessary correction.
The sixteen chapters of PAX initiating members between 2001 and 2004 are also the active chapters of the society. These chapters are also generally up to date with their chapter dues. Alpha Kappa chapter at Mississippi State University just reactivated in 2003. Alpha Theta chapter at Iowa State University reactivated in 2004 and Tau chapter at the University of Georgia has indicated its intent to reactivate in the near future. Requests for 2005 chapter dues will go out in October or November of 2004.
Lotus Leaflet ( S. Newman) The last Lotus Leaflet was published in late spring 2001. The newest Lotus Leaflet, which is overdue, should be published in the summer of 2004. This Lotus Leaflet will also be posted on the PAX Website. This Lotus Leaflet will feature the results of the 2004 Intercollegiate Floral Crop Evaluation and Design Competition at Colorado State University, and the names of newly initiated Pi Alpha Xi members.

Purdue University Dr. Allen Hammer Southern Illinois University Dr. John Preece University of Georgia Dr. Paul Thomas Texas A & M University Dr. Terri Starman Iowa State University Dr. Barbara Osborn In addition, Texas State University is slated to be installed as the 37th chapter in fall 2004. Two universities also expressed an interest in establishing a new chapter of PAX, University of Wyoming Dr. Karen Panter University of Arkansas Dr. Dave Hensley, Dept. Head Overall, the level of interest is encouraging and suggests a positive outlook for PAX nationally.
2. Revision of the National Informational Brochure: The committee reviewed the format and information in the brochure and determined it should be revised. Dennis Wolnick also reported that the national supply of the current brochure is very low. Revision recommendations have been compiled by Terry. Terry has access to the free services of a publications developer on the UW-River Falls campus who can professionally format a new brochure. Cost of printing through UWRF services onto glossy 3.5 in. X 8 in. paper as current brochure, full color (use full color key as on web site) would be $465 for 5000 and $0.05 per piece after that. Terry is willing to facilitate the process of printing a new brochure.
3. Flower Judging Manual: At the April 2004 National Intercollegiate Floral Crop Quality Evaluation and Design Contest Virginia Walter, Doug Needham and Terry Ferriss agreed to oversee the revision/reprinting of the next edition of the Flower Judging Manual to be released Fall 2004. Revisions will primarily be cleaning up errors and typos and a new cover. The first re-reading has been done and the project is on schedule. The June 1, 2004 balance in the checking account that supports the Flower Judging Manuals was $5860.70. Terry sent $3000 to the National PAX Account via Dennis Wolnick. The balance of $2860.70 will support the reprinting of the next set of manuals The last reprinting in 2002 cost $3.60 per manual and this printing should be in that range. The supply of the current edition is less than 150. Cost of postage to distribute the manual averages about $1 per manual. PAX currently charges $7 per manual which includes postage. This provides a small profit on the sales of manuals. It is recommended that the cost of the new edition remain at $7 per manual. At the last National PAX meeting it was agreed that a copy of the Judging Manual should be sent to the Libraries of all universities with a horticulture program, complements of PAX. This will be done as soon as the next edition is printed fall 2004.
4. Support for the Scholarship Program: The current PAX National scholarship program provides a match of up to $100 to any PAX chapter that supports a match of at least $100 to support a local scholarship at its institution. This amount has not changed since the beginning of the program. The committee would encourage discussion of increasing the national participation in the scholarship program. Given the rising cost of education should the national match be increased? By how much? Can the national afford an increase? Should there be an opportunity for chapters to offer more than one scholarship?
