HUB Program: Sharon Schultz, TDCJ HUB Director, explained how to prepare the HUB Subcontracting Plan (HSP) in details. Security: J. L. Jones, TDCJ Huntsville Unit Warden, stated security requirements. TDCJ Huntsville Unit will make efforts to help the project. To avoid delay, allthe project related requests shallgo to ProjectAdministrator. Warden Jones also stated Mechanical Dept is located inside of the Unit and Security Ops Building is located outside of the Unit. lntroduction of Design I eroject Overview: Steven Chyn, TDCJ Facilities Engineer, explained the project scope and expressed the importance of project planning and safety issues. Gary Smith, TDCJ Project Administrator for Security Ops Building, stated Contractors should be familiar with the Background Check Requirements in the Bid Documents. Contractors need to complete all documents correctly. Make sure workers complete the Background Questionnaire and list all offenses on Question #17. Failure to list any criminal charges is considered falsification and worker will be disqualified for one year. Sterling Lowrance (for Wes Breder), TDCJ Project Administrator for Mechanical Dept, stated similar statement of background check requirements as that by Gary Smith. Scheduling: Jesse Waltz, TDCJ Project Scheduler, explained the scheduling requirements and stated the software Primavera P6 should be used on this project. Contracts: Lynne Piippo, TDCJ Contract Admínistrator, explained construction bid deposit, construction period, standard work week, liquid damages for construction delay, due date for clarifications and substitution requests, etc. Piippo also stated that all substitution request and questions must be submitted, in writing for consideration. She emphasized "Verbal statements during the meeting are not binding". All questions/ answers are not binding unless submitted in writing. TDCJ will answer all written questions in an addendum. Site Tour: The group proceeded to Mechanical Dept. The contractors examined the Mechanical Dept roof and checked the roof at the inside of building. The group also proceeded to Security Ops Building. The contractors examined the Security Ops Building roof and checked the roof at the inside of building. Reconvene For Questions: Lynne Piippo, TDCJ Contract Administrator, stated if the contractors have any questions, put them in writing and TDCJ will respond to them by issuing an addendum if appropriate. Adjourn: The meeting was declared over and adjourned at approximately L:00 p.m. Remarks: The contract language shall prevail should anything contained in these minutes contradict the contract terms.
