1 Introduction Thinfactory offers its customers the most advanced cloud orchestration platform available on the market today. We focus on enabling our customers to innovate and empowering them to offer cloud services efficiently.

cFactory is an innovative web platform designed to meet the needs of service providers which allows them to offer, manage and configure their cloud services. Thank you for taking the time to learn our product. We are looking forward to your feedback to guide further development

1.1 Description The cFactory Cloud Orchestration Platform consists of 2 core platforms. The first one is the BSS (Business Support Systems) Platform that a service provider uses to run its business operations towards customers.

IT handles Product Management: Private and public Catalog Customer Management: Customer and user management, permissions Revenue Management: Orders, contract management, billing reports

The Second Core Platform is the OSS (Operations Support Systems) that a service provider uses to manage their cloud services. It covers all provisioning tasks towards the underlying datacentre infrastructure (IAAS), Software-as-a-service, and 3rd party Vendors (Brokers).

1.2 Benefits and values The cFactory orchestration platform delivers all services to build a one-stop solution for Service Provider (white-label) and resellers purposes. The cFactory private Platform covers the complete cloud Process automation cycle from ordering towards billing. Due to its flexible and open structure, various Marketplaces can be hosted making use of Public and Private service catalogs all managed from within one management interface.

Cloud Orders can be provisioned towards partners own datacenter cloud services, those of his partners or towards public cloud offerings.

 Account Management Manage all of your customers from one view. Create users manually or use a bulk upload. Enhanced features such as User impersonation, Multi-tier distribution and Granular Access Control allow you to configure the accounts in all his details. Our Delegation model supports single-sign-on to all services.

 Service Ordering & Contract Management The Cloud orchestration includes a comprehensive module which auto-generates service orders and supports multiple contract models and types. Whether you want to support fix duration contracted articles or Pay-as-you–go based articles. The contract dashboard gives you a global overview of all customer contracts and provides easy management and follow up for renewals extensions and upgrades. The ordering module allows you to manage your catalog prices and discounts, to create templates and quotes for your customer. Partners can order on behalf of their customers or customers can make use of the self-service.

 E-Quotes The E-quote module provides you with an easy way to prepare configurations and Proposals for your customers. Save all articles from the basket into an E-Quote and send it to your customer. Your customer will receive an e-mail with your E-Quote. When the customer accepts, the articles are automatically ordered. Generating business with your customer has never been easier! You can even store frequently used configurations as templates.

 Service Catalog and Pricing The Cloud orchestration platform supports Public and Private Service catalogs. Public Service catalog articles are common for each customer while Private Service catalogs can be assigned to partners who want to provide partner specific cloud articles to their customers. The Platform supports various price configuration settings and support for Trial contracts, Volume Discounts, Pre-pay, Pay-as-you-go articles with variable billing frequencies, like hourly billing.

 Reporting Usage & Resource metering The Cloud Orchestration platform can deliver any kind of reporting. We provide comprehensive billing metric reports to generate all detailed for your invoices. This saves you time and money! Resource reports allow you to have a clear overview of configurations and usage.

 Control Panels We provide a complete set of control panels. No-Black box solution, you are in control! By using our Control panels you can configure and provision any private, Public and brokerage Service within minutes. Easy to use and real-time provisioning.

 Self service Cloud orchestration provides self-service capabilities for most common IT tasks such as resetting passwords and basic configuration of IT cloud Services. Give customer granular control of their IT environment and make your live easier.

 Messaging Apart from sending email messages to the users of the platform in case of an event, you can also chose to make use of the messaging module in the platform.

Thanks to the modular approach of the platform and the focus on providing an end-to-end experience from cradle-to-crave including the initial offer creation, service ordering, service delivery and contract termination, the technical platform can be rolled-out within weeks. Operating the platform is simplified thanks to the used of wizards and specialized views.

2 Storage on demand 2.1 Introduction to this service

Storage On Demand is a hosted file sharing service delivering personal and company network shares.

The Storage On Demand service includes advanced features such as setting basic security access on users for the file shares, creating security groups and creating and setting security on folders within a network share.

The Storage On-Demand infrastructure is accessible from 2 scenarios. Either from the Internet, or from within one of our other cloud Services such as Apps On Demand, our Virtual (cVPS) or native Server Infrastructure. When delivered from the Internet, Citrix receiver is used to provide the access to the storage volume.

The Cloudplaza Storage service is equipped with our Elastic Storage Solution (ESS). The Elastic Storage Solution allows customers to buy any volume of backup data and configure this backup storage over one or more backup clients using our elastic storage configurator.

The cFactory platform is build upon a hierarchical structure for the different functional levels.

2.2 Main features Elastic Storage: The Cloudplaza Storage service is equipped with our Elastic Storage Solution (ESS). The Elastic Storage Solution allows customers to buy any volume of backup data and configure this backup storage over one or more backup clients using our elastic storage configurator

Secure access: Storage On Demand Services are accessed via a Secure Sockets Layer (SSL) encryption.

Business continuity: Redundant network architecture is hosted in multiple data centers to handle unscheduled service outages. Data centers act as backups for each other: If one fails, the affected customers are transferred to another data center with limited interruption of service.

High availability: Storage On Demand has a 99.7 percent scheduled uptime. Storage On Demand makes use of DFS technology to allow high availability and redundancy of the service. If a customer’s service is affected, Cloudplaza offers financial remedies subject to the terms and conditions of the service level agreement (SLA).

Technical Support: Customers have access to ‘free-of charge’ support via our technical knowledgebase. The Technical knowledgebase is the fastest way to find the answers of questions related to our service. Customers requiring higher levels of support can always subscribe to our additional Support services. Contact your reseller for the different service plans

Automated provisioning: Provisioning control panels are made available to company service administrators for managing all Storage On Demand Services. After logging on to the Cloudplaza platform, service administrators can perform a number of common tasks such as adding and deleting file shares, Activating file shares to users, creating security groups, and set security to file shares.

2.3 Service offer The Storage On Demand supports 2 types of file shares:

Personal File Shares: Personal File shares are bound to a user. The Personal File share acts as a ‘home’ folder for a user. Each user can have up to 1 personal file share. The minimum personal File share is 1 GB and can be enlarged by incremental of 1 GB up to a maximum of 500 GB per user. A personal file share is only accessible by the user itself.

Customer file shares: A Customer file share is bound to a customer (organization). The Customer file share acts as a ‘network share’ for an organization. The minimum Customer File share is 1 GB and can be enlarged by incremental of 1 GB up to a maximum of 1 TB per file share. Users can be granted access to the customer file shares by setting default permissions for the users.

Customers can create security groups and apply them on the network file shares and folders to granular set the security for the users.

2.4 Storage on demand control panels Storage On Demand Control panels allow you to configure and provision your Storage Service.

Storage On Demand is enabled with the elastic cloud storage, allowing you to configure your network Shares as you want.

2.4.1 User Provisioning Settings Provision User

This Control allows you to provision or (re)provision a users Network Shares.

 the user must first be provisoned with the AD On Demand Service before it can be provisioned with the Storage On Demand Service

Service Roles Use the Roles Control to assign granular access rights for the user for configuring and managing the Storage On Demand Service.

Home Drive With the Home Drive Control we can configure a personal network Storage for the user.

Network Share Access With the Network Share Access Control we define the default access rights for a user to the network shares.

The default access rights for the Network Shares which are configured in the network Shares Control can be set using the network Share Access Control. For each network Share, the user can be assign by default with the following Access Rights:

 NONE  READ  WRITE

Users will inherit these access rights for the whole network share.

The Provision Customer control allows you to (re)provision the customer Storage On Demand settings.

 By default, the customer provisioning is done automatically when a Storage service article is ordered for the customer

Customer Settings The Customer Settings control allow us to configure Customer properties for the service.

Available Drive Letters A list of alphabethical characters seperated by a semicolon, which can be used as drive letters for the network shares.

User Home Drive letter The drive letter used for the users Home Directory.

Service Basket: The Service Basket Control includes all Storage On Demand Articles that are available to the customer to configure the Storage On Demand Service for his organization.

Network Shares The network Shares Control is a customer Control which allows you to configure and provision the Network shares for your organization.

Creating a New File Share To create a New file share, select a drive leter and click on Create file share

 To configure storage for a file share, click add  Select one of the available storage articles you have ordered and set the required storage quota.  Click Save

 You can extend the storage for the network shares at any time you require. It is not possible to decrease the storage quota of a network share. When a decrease is required, a new smaller volume can be created and data is copied or a service request to the service desk can be issued.

2.4.3 Advanced Settings Folder Manager The Folder Manager Control allows a customer to set detailed security on folders within the network shares.

3 Smartdesk on demand 3.1 Introduction to this service

Smartdesk On Demand is a Software and Platform as a service (SAAS & PAAS) offering allowing organizations to deliver applications On Demand anywhere-anytime on any device. The SAAS offering delivers access to Public applications (via the APP Store) while the PAAS Service offering is based on a shared Citrix XenAPP environment allowing customers to build their own private application store for their employees.

Customers can mix both service offerings towards their employees.

Smartdesk On Demand supports Native Windows and Web based applications which are accessible from Windows desktop PC’s, Laptops, Mac Devices, iPhone, iPad and other client devices.

3.3 Smartdesk on demand control panels Smartdesk Control panels allow you to configure and provision your Smartdesk On Demand environment.

3.3.1 User Provisioning Settings Provision User: This Control allows: you to provision or (re)provision a users App Store Account.

 The user must first be provisoned with the AD On Demand Service before it can be provisioned with the Storage On Demand Service Service Roles: Use the Roles Control to assign granular access rights for the user for configuring and managing the App Store Service.

Application articles: The Application Articles Control allows you to assign a Base Pack Article for the user and provision the user with one or more Applications.

A Base Pack Service Article gives the user the proper licenses to use the Shared App Store Infrastructure. Different Base Pack Service Articles exist.

 User Applications can be applications which are published on the application servers of the customers itself, these are Private Apps. The user can also be assigned with applications from the public App Store, these are applications which are provided by partners on a shared infrastructure (SaaS) and can be used as-is, without the need for own server infrastructure. These are Public Apps.

3.3.2 Customer Provisioning Settings Provision Customer: Allows you to provision the customer with the Smartdesk On Demand Service.

Customer Settings: The Customer Settings Control allows you to change customer properties for the App Store Service and to set the notification setting when provisioning actions are taken.

Service Basket: The Service Basket Control includes all Smartdesk On Demand articles that are available to the customer to configure the Smartdesk On Demand service for his organization. 3.3.3 Advanced Settings Publish Application manager: The published Application Manager allows you to publish Applications, Desktops or Content on your own Application Server for your organization. Published Applications, Desktops or Content can then be assigned to users.

How to publish an Application?

Application Type:  Private -> Publish an application for your organization  Public -> Publish an application in the Public APP Store

Application configuration: To publish an application,use the browse function to lookup the executable or startup file for the application you want to publish. Fill in the working directory and if required, application arguments. To publish the application within a folder, specify the “client application folder”

Publishing servers: Specify the servers which will be used to deliver the application.

 When you specify 2 or more servers, the application will be load-balanced among the different servers

Citrix Portal: The Citrix Portal Control is a link to the customer's Application Portal. The Apps Portal is a web-based portal which gives users personal access to their applications, dekstops and content.

Add computer to Application Farm: This control allows you to add a Virtual Server to the APP Store.

Adding the Virtual Server to the App Store allows you to publish Applications, Desktops and Content for the users as 'Private' Apps on the server.

Citrix Session Manager: This option allows the customer to manage the running sessions.

3.4 How to access Smartdesk on demand from different devices 3.4.1 How to access from iPad/iPhone If your company uses the CloudPlaza Smartdesk on Demand solution to host applications or a Desktop, you can use Citrix Receiver to Access the Smartdesk On Demand Applications and/or Desktop on the IPAD.

To Get Access to your Applications: 1. Download the Citrix receiver from the Apple App Store. (http://itunes.apple.com/us/app/citrix-receiver-for-ipad/id363501921?mt=8) 2. Open the Citrix Receiver and click on “Get Started” under “Set up my enterprise ” 3. After Address type : https://my.cloudplaza.eu for Web or https://my.cloudplaza.eu/lp/mobile for Application mode (logon point) 4. Click NEXT 5. On the screen select “Manual Setup” 6. After Description type : CloudPlaza App Store 7. Select “Web interface” 8. Save the configuration

Extended Keyboard Commands You can use the extended keyboard to perform common functions such as cut, copy, and paste. To activate these functions, go to Settings > Citrix > Keyboard. When activated, these functions appear as buttons at the top of the keyboard. Swipe horizontally to scroll through the functions.

You can activate the following commands:  Alt: Activates menus in the current application.  Alt+Tab: Switches between open windows in an application.  Copy: Copies the selected item.  Ctrl+Alt+Del: Provides Windows Security options such as Lock Computer, Log Off, and Task Manager.  Ctrl+Esc: Displays the Start menu.  Cut: Cuts the selected item.  Del: Deletes the selected item.  End: Moves the insertion point to the end of the current line of text.  Esc: Cancels the current task.  F1-12: Activates keyboard shortcuts assigned to function keys in an application. Installation of the backup agent can be performed from the backup portal infrastructure.

Backup On Demand Pro Backup On Demand Pro is a subscription based backup service for client and server operating systems. You need to have a Backup Pro agent installed on every database server, email server, or desktop computer you intend to back up. It is a comprehensive client-side backup application incorporated with Microsoft Exchange Server Brick-Level Backup, Microsoft SQL Server, Lotus Domino/Notes, Oracle, MySQL, and Windows System Backup and Restore modules for backing up Windows system image, databases and files from a client-side computer to the Cloud Backup Infrastructure. Installation of the backup agent can be performed from the backup portal infrastructure.

Attach a Backup License To Configure a backup Account, you first need to Attach a backup license in The Backup Configuration control

Click Change License and attach one of the ordered Licenses.

Attach Backup Storage Besides a backup License, you need to assign backup Storage to a backup Account. Backup On Demand makes use of our Elastic Storage solutions, means you can either use Flex storage articles or assign an Amount of Storage space from one or more Fix storage articles. You can configure each backup set with the storage amount that you want (Max= 500 GB)

 You can at any time extend an existing backup set with additional Backup storage articles. It is not possible to decrease storage of a provisioned Backup account.

Provision the Backup Account After you have attached a valid Backup License and Backup Storage Articles, you can provision the backup account.

Mailbox Quota Backup Pro allows backup of a Microsoft Exchange server. Mailbox Quota are additional backup licenses which allow to make a 'Brick level' Backup solution for your Exchange environment.

You need a Mailbox Quota license for each mailbox you want to backup individually.

Request Seed Load If you need to backup a large almount of data and your Internet Connectivity is limited, It could be interested to request for a Seed Load.

Attaching a Request Seed Load article will trigger a Proces which will pre-load backup data using an external disk.

Provision a VPS Server

Click on provision to provision your VPS Server, this can take up between 15 and 30 minutes depending the image you have selected.

Modify/upgrade the configuration of a VPS Server When the configuration of VPS server needs to updated (CPU/Memory, disk, NIC), we can do this without stopping or deprovision the server. Click on the configuration button and go through the stepped configuration screen and make the necessary changes (step 4/4) After clicking finish, a small ‘I’ will appear if the server needs to be rebooted to apply changes.

Deprovision a VPS server When a server is deprovisioned, the server image is removed from the production environment and moved into a quarantain location. The server image will be kepped for 14 calendar days. After this period, the server image is wipped so all data on the VPS server is lost.

Delete a VPS Server Click on Delete to Remove your VPS Server, then confirm your selection.

 Deleting your VPS Server, removes all disks and data!

Your snapshot tree may have a depth of 5 with a maximum of 32 snapshots. The snapshots are in the default VMWare Snapshot format (.vmk).

 To be able to use the Snapshout cloud service, you must have a customer snapshot service article. Visit our Cloudplaza shop to purchase one.

 Notice that the snapshot function creates a differential VMK file. This file will only contain the difference between actual state and moment of activating snapshot. As a result, this file will grow incrementially over time. Creation on the snapshot will also take up server resources due to the continuous actions to identify and store the differential data.

6.4.4 Difference between Mbit, GB, 95%, smallband and effect on invoice Mbit: Mbit is a commercial model where a customer orders a committed bandwidth. The bandwidth is measured in Mbits and there is no limitation on the data volume sent across the connection. For bandwidth or Mbit, the measured consumption at a certain moment is defined by the highest measured value of the incoming and outcoming Mbits bandwidth.

GB: GB or GBYTE is a commercial model where a customer orders a data volume. The data volume is measured in send/received GBYTE and there is no limitation on the used bandwidth. For data volume or GBYTE, the measured consumption at a certain moment is defined by the sum of the incoming and outgoing data volume.

95% percentile measurement: This is a way to measure the Mbit bandwidth allowing customers to burst within certain boundaries. The way it works is that every 5 minutes, a sample of the consumed Mbits bandwidth is taken. These samples are sorted from highest to lowest and the highest 5% of samples are dropped. The highest value of the remaining samples is considered as the measured 95% percentile value. (more info: http://www.semaphore.com/blog/94-95th-percentile-bandwidth-metering-explained-and-analyzed)

How does this effect my invoice? A contract can be signed based upon a fixed recurring fee (FIX) or based upon pay–what-you-use (FLEX).

For fixed recurring fee contract: The customer can only consume what has been committed in the contract.

As a result:  For a Mbit (bandwidth) contract, a customer can burst until the measured consumption (using 95% percentile measurement) is equal to the ordered Mbit bandwidth. When measured value equals ordered value, no bursting is possible until end of billing period.  For a MB (data volume) contract, a customer can burst until the measured data volume is equal to the ordered MB volume. When measured data volume equals ordered data volume, the connection is put into “SMALLBAND” or 64 kbits.

 Notice, if a customer wants to re-enable bursting or disable smallband, he will have to order additional bandwidth/data volume.

For pay-what-you-use contract: A contract can be signed with “Disallow overcharge” (see 6.4.2), in that case, the connection will act similar to the “For fixed recurring fee contract”. When overcharge is allowed, the customer will be invoiced at the end of the billing cycle for the measured consumption.

 Notice, if a customer wants to re-enable bursting or disable smallband, he only needs enable overcharge or change the configured quota. No additional order is needed.

As a result:  For a Mbit (bandwidth) contract, the invoiced bandwidth is defined by 95 percentile measurement  For a MB (data volume) contract, the invoiced data volume is defined by sum of measured incoming and outgoing data volume

8 Mail on demand 8.1 Introduction to this service

Mail On Demand is a hosted enterprise messaging solution based on Microsoft Exchange Server 2010. Mail On Demand helps to give your business the e-mail security it demands, your employees the e-mail access they want, and your IT staff the operational efficiency it needs.

The Mail On Demand service includes advanced e-mail features as well as calendaring, contact, and task management capabilities. Mail On Demand also provides built-in spam control and virus scanning to reduce common security risks that are associated with e-mail files.

Mail On Demand is a CloudPlaza Services offering designed for rapid service adoption by an organization. It includes standardized Web-based Provisioning control Panels that makes it easy to manage and set up services for users. It is available as a standalone service or as part of an integrated solution that also includes file services, application hosting and backup services.

Customers can additional to the Mail On Demand service subscribe to a shared Blackberry Enterprise Service (BES) service to support Mail On Demand with their Blackberry devices.

8.2 Main features Secure access: Mail On Demand Services are accessed via a Secure Sockets Layer (SSL) encryption.

Business continuity: Redundant network architecture is hosted in multiple data centers to handle unscheduled service outages. Data centers act as backups for each other: if one fails, the affected customers are transferred to another data center with limited interruption of service.

Intrusion monitoring: We continuously monitor the Mail On Demand Services systems for any unusual or suspicious activity. If the systems detect such activity, it investigates and responds appropriately. In the unlikely event that a significant incident occurs, the customer is notified.

High availability: Mail On Demand has a 99.7 percent scheduled uptime. If a customer’s service is affected, Cloudplaza offers financial remedies subject to the terms and conditions of the service level agreement (SLA).

Technical Support: Customers have access to ‘free-of charge’ support via our technical knowledgebase. The Technical knowledgebase is the fastest way to find the answers of questions related to our service. Customers requiring higher levels of support can always subscribe to our additional Support services. Contact your reseller for the different service plans.

Automated provisioning: Provisioning control panels are made available to company service administrators for managing all Mail On Demand Services. After logging on to the Cloudplaza

8.3 Service offer The Mail On Demand Service comes in 4 different packages, each of them targeting a specific audience. Customers can benefit from one of the Mail On Demand packages or combine them to deliver a heterogeneous offering towards its employees.

Mail Basic Delivering a personal mailbox based on a professional service. Mail Basic is useful for organizations which want to combine full featured ‘Office Mail’ with basic mailboxes ‘Mail Basic’ using the same mail domain and benefit from one centralized mail solution. Supported protocols: POP3

Mail Mobile Mail Mobile is positioned towards users who are frequently on the road. Mail Mobile delivers a webmail based access towards hosted exchange and mobile device access. Supported protocols: POP3, IMAP, Activesync, BES*

Office Mail Office Mail delivers a complete Hosted exchange solution towards users. Supporting RPC over HTTPS also known as ‘exchange anywhere’ Supported protocols: POP3, IMAP, MAPI, RPC/HTTPS, Activesync, BES*

Resource Mailboxes Mail On Demand Resource Mailboxes are a special type of mailboxes which can be set up for your organization. By creating such resources, users can then book them via the calendaring feature of Exchange in much the same way that they would book fellow attendees, thereby reserving the resource item for their use.

8.4 Mail on demand control panels Mail On Demand Control panels allow you to configure and provision your Hosted Exchange environment. Mail On Demand is enabled with the elastic cloud storage.

8.4.1 User Provisioning Settings Provision User: This Control allows you to provision or (re)provision a user mailbox.

 The user must first be provisoned with the AD on Demand Service before it can be provisioned with the Mail On Demand Service

User Mailbox: The User mailbox control allows you to provision an exchange mailbox to a user. To provision a mailbox to a user, you must attach the proper license articles and mailbox storage articles in the user mailbox control.

Attach licenses To attach a license, simply select one of the available licenses (all valid licenses you have purchased in either flex or fix contract type are visible) and save your configuration.

Mailbox Quota You can configure the mailbox size of each mailbox induvidually using one or more mail storage articles. One mail storage article can be used to provision multiple mailboxes.

Mailbox Settings: The Mailbox Settings Control allows you to to configure a Forwarding address for the user mailbox and to define additional e-mail addresses for the user mailbox

Set forward address Choose among one of the availble users, contacts of Distribution groups to forward your mail to and click on save.

 If you want to forward to an external email address not existing on the system, you can create the external user in the “Exchange Contacts” option of the “Customer Provisioning Settings”.

Set e-mail aliases Using e-mail addresses, you can configure additional e-mail addresses to the user mailbox. To add an additional e-mail address  click on new Email Address  enter a per-fix and select the appropiate domain (suffix)  Click Add

To Remove an e-mail Address from the users mailbox, Click on the Remove button on the right of the e-mail address you want to remove.

 To change the Primary e-mail address, make sure that the Manage Individual Primary Email Address property is enabled. By default e-mail addresses are automatically created following the Hosted Exchange Email Patterns in Advanced Settings.

Send as This option allows to override the “from” field in Exchange.

Send on behalf of This option will allow you to send the email in name of somebody else. This is mainly used for resources like meeting rooms.

Hosted Exchange Archive User Mailbox: When Exchange archiving is ordered, this screen will allow to activate the license and to define the archive quota of the archive mailbox.

 The Archive User Mailbox is an additional online mailbox typically used to remove the need of local PST files. The main advantage is that the archive folder is kept on the server for easy and protected access from different systems.

8.4.2 Customer Provisioning Settings The Provision Customer control allows you to (re)provision the customer exchange settings.

Provision Customer: This option shows when the customer has been provisioned with active mailboxes. This will automatically be activated when a user is created.

Customer settings: The customer settings control allow you to specify properties on customer level for the mail On Demand Services

Manage Individual Primary Email Address By default, the property is disabled and email addresses for a user follow the Hosted Exchange email patterns configured for the customer in the Advanced Settings control.

When this property is enabled, email addresses and the primary email address of a user mailbox can be configured individually per user mailbox.

Service basket: The basket contains all Mail On Demand Articles available for the customer.

Exchange Contacts: The exchange Contacts Control allows you to configure exchange contacts for your organization. Exchange contacts are global contacts which are available for all users within the organization.

8.4.3 Advanced Settings Domains: Using the Domains Control you can add one or more additional domains to be used for your exchange email addresses.

Hosted Exchange Email Patterns: Hosted Exchange Email Patterns is a pre-defined list of Email Addresses which will be generated when creating a new mailbox for a user or (re)provision an existing user mailbox.

Depending on the customer property Manage Indivitual Primary Email Address the user mailbox will receive automatically email addresses which are set using the convention in the Hosted Exchange Email Pattern list.

8.5 Mail on Demand Resource Mailbox Mail On Demand Resource Mailboxes are a special type of mailboxes which can be set up for your organization. Exchange allows the creation of mailboxes that represent resources, such as conference rooms or equipment items like whiteboards, projectors and so on. By creating such resources, users can then book them via the calendaring feature of Exchange in much the same way that they would book fellow attendees, thereby reserving the resource item for their use.

8.5.1 Provisoning a Resource Mailbox Provisioning a Resource mailbox is simular to setting up a Mailbox for a regular user.

 First of all create a 'User' representing the 'Resource'. for example Conferencing Room.  Provision the 'Resource User' with the special 'Resource Mailbox Article' which can be found in our Service Catalog. Select Which type of Resource mailbox is needed (Room or Equipment)

 Before you provision the 'Resource Mailbox Article' to the user, make sure the user has been provisoned with the AD On Demand Service

8.5.2 'Room' Resource mailbox Settings The following settings can be configured which are specific for the Resource Mailbox.

Resource Mailbox Access: Resource Mailbox Access allows you to configure Delegates on the resources mailbox. Delegates are typically people who need to manage the Resource Mailbox and for example add it as a second mailbox into their outlook. To configure delegates, add one or more users from the list.

Resource Mailbox properties: Resource Mailbox properties allow you to configure all available properties for a resource mailbox :

Auto Accept The Resource Mailbox properties tab allows you to configure various settings. Auto Accept, accepts the meeting without intervention from another User.

Allow Conflicts Allow conflicting meeting requests option means exactly that. If you allow conflicting meetings, any conflicting meeting requests will be accepted by the resource mailbox and it will be up to the meeting organizers to work things out.

Allow recurring Meetings When Active, it allows Booking of recurring meetings within the Resource Mailbox.

Schedule Only During Work Hours Allows only to book Meetings during Working Hours. Working Hours need to be defined by a delegate on the mailbox itself.

Enforce Scheduling Horizon Use the EnforceSchedulingHorizon parameter to specify whether recurring meetings that have an end date beyond the booking window will be rejected.

Maximum Duration in minutes The Maximum duration (minutes) option covers how long the meeting request is allowed to last. As you can see, the default value for this option is 1440 minutes which equates to 1 day. This will probably suffice in the majority of situations for a room resource mailbox but should any of your users need to book the room resource for more than 1 day you will need to alter this value here.

Booking Windows in days Booking windows (days) option covers how far in advance users can book this meeting room and as you can see the default setting is 180 days which is approximately 6 months

 Additional settings, you can find within Outlook Web App (OWA) when accessing the resource mailbox. This particular page is accessed via the Exchange Control Panel (ECP) in OWA. Specifically, in OWA click Options then See All Options… which will take you to the ECP. Note that the Resource tab is only seen when a resource mailbox is accessed in OWA.

8.6 Tips and tricks 8.6.1 Increase the mailbox Storage for a User After you have provisioned a mailbox for a User, it is possible, at all times, to increase the size of a particular mailbox.

To Increase the mailbox size for a user, Use the slider or fill in the value in the input box and save the configuration.

 It is not possible to decrease the mailbox size for a given user !

8.6.2 Change your DNS Settings to Point to Mail On Demand One of the first tasks for many admins switching to the Mail On Demand Solution is to configure email messaging. This can be accomplished a few different ways, depending on your migration strategy.

To allow email from your domain name entering your mailbox, you need to configure the MX records (Mail eXchange-record) for your domain name(s).

Within your domain registrar’s Domain management tool. Create a new MX record using the information below. Set a first MX record with the Priority to, for example 10, and a second one with a priority to, for example, 20. Make sure there are no records with a lower priority mentioned, so that this record takes priority over other ones that might exist. It would look like something like this:

Active Directory License Adding an Active Directory license to a user creates the user account in Active Directory. The user can authenticate agains active directory and use Ad related services such as Mail On Demand, Storage On Demand, Sharepoint On Demand and Smartdesk On Demand.

Terminal Service License Adding a Terminal Service License to a user grants the user the use of 'terminal Services'. With the terminal Service License the user can use a remote Desktop Solution or make use of the more advanced Smartdesk On Demand Service.
