ISSN 0149-1725 Surname Exchange Introduction The Surname Exchange is a research tool enabling AHSGR members who are researching similar names to engage in correspondence that can prove mutually beneficial. The Surname Exchange is published every two or three years according to a calendar set by the Board of Directors. Description The Surname Exchange is composed of two parts: • SECTION I, names currently being researched • SECTION II, names and contact information of researchers. SECTION II does not represent the entire AHSGR membership, but rather only lists the names of those current AHSGR members who have expressed an interest in research and a willingness to share information that includes Ancestral Charts (beginning with the member for those lines of a parent or ancestor born in Russia) and Family Group Sheets. SECTION I of the Surname Exchange lists surnames presently being researched by AHSGR members. Each sur- name is followed by one or more index keys—the Surname Exchange Numbers (SENs). The identities, addresses, and ancestral villages of the researchers who have been assigned to each index key are found in SECTION II. For example: The surname ZITTERKOPF in SECTION I is followed by numerous index keys, such as B526, W078, Z005, Z030, and Z075. In SECTION II after the index key Z005 one finds Dennis Zitterkopf with his addresses, both mail and e-mail, and villages. Continue this procedure for the other six index keys following the surname. The e-mail addresses for members who have provided AHSGR with information are listed following the mailing address. If you have e-mail and your address is not listed in SECTION II, send your e-mail address to ahsgr@ahsgr. org with the subject heading “member e-mail address.” Contacting Members The purpose of the Surname Exchange is to enable a free exchange of information, member-to-member, thus en- abling those truly interested in recording their family or village history to gather as much information as possible. When you have identified the individuals researching the same surnames you are researching, you may contact these individuals. It is helpful to include information about the family you are researching and a self-addressed stamped envelope (SASE). You need only send a SASE if you are writing via regular post. If you are writing to an address other than one in your country, send a self-addressed envelope and two or three international reply coupons (IRC), which may be obtained from the post office. The recipient will then exchange these international coupons for the appropriate stamps of his/her country. Please remember that citizens of other countries cannot use postal stamps of your country when mailing a letter from their country. Once you have received a reply to your letter or message of inquiry, it is customary to send a note of thanks to the sender and offer reimbursement of any charges incurred by the sender. AHSGR encourages our members to respond to all e- mails and letters of inquiry. Even if you do not have information for the person who has sent you an inquiry a response is helpful—often a dead end is just as informative as a good lead to genealogy researchers. If you are presently listed in the Surname Exchange and do not want to be contacted by other researchers or do not plan to respond to such letters, please contact AHSGR to advise you wish to be deleted from the Surname Exchange. Surname Exchange 1 AHSGR 2019 Clues Becoming Listed in the Surname Exchange You will find your name in this Surname Exchange only if you are a current member and have sent us a complete set of the three required forms: Membership Data Form, Ancestral Chart, and Family Group Chart. These forms are sent to all members when they first join AHSGR. If you cannot find your genealogy forms, we will be happy to supply you with a new set so that you may be listed in the Surname Exchange. These forms may also be printed from AHSGR’s web site: ahsgr.org/membership.htm. Please send all three of these completed forms directly to AHSGR Headquarters in Lincoln. This is not the responsibility of the chairperson of your chapter genealogy com- mittee. If you use genealogy software, you may submit a GEDCOM file of your information in place of the Family Group Chart and Ancestral Chart forms. Instructions on submitting data compatible with AHSGR’s database ap- pear on the web site at ahsgr.org/FindAncestors/gedcom_instructions.htm and in this issue of Clues. The intent of the surnames listed in Clues is that only ancestors born in Russia (including married names of wom- en born in Russia) and ancestors originally from Prussia but with established residence in Russia will be listed. Since space is limited, we will only publish thirty-two surnames per person. If you are not listed in this issue and wish to be included in the next Surname Exchange, we must receive your completed genealogy forms. Those presently listed in this Surname Exchange do not need to resubmit their forms. Updates As you continue your genealogy research and discover more information about your family lines, you may update the information you have previously submitted to AHSGR. The procedure for updating forms already on file at Headquarters is quite simple and may be done anytime. You may : 1. Submit hard copies of the forms (Ancestral Charts and Family Group Charts) provided in the New Member Packets (additional copies may be obtained from AHSGR). 2. Submit hard copies of the forms you print out from your own genealogy database (the format should be similar to AHSGR’s forms). 3. You may submit a GEDCOM update on a CD or DVD in place of hard copies of the Ancestor Charts and Fam- ily Group Charts. Refer to your genealogy software manual for information on producing a GEDCOM file. If using PAF 5, you may refer to this issue of Clues for more detailed directions. When submitting updated forms, please write “UPDATE” and your Surname Exchange Number (SEN) on each form, preferably in red ink. This information is also on the GEDCOM media. In order to have additional names and villages from an update listed in the Surname Exchange, we must receive a hard copy of an Ancestral Chart, with your name in the #1 position, showing the direct relationship of those sur- names and/or villages to you. This procedure aids us in making sure we have correct documentation. You may only update forms which you have submitted. AHSGR does not change any information on other mem- ber’s forms without their written consent.
