Minutes of the PECO Cross Country League AGM Held at Adel Sports & Social Club on Monday 16th September 2013

1. Attendance & Apologies. The following clubs were represented at the meeting: Abbey Runners, Ackworth Road Runners, Airecentre Pacers Harrogate Harriers, Horsforth Harriers, Hyde Park Harriers, Harriers, Kippax Harriers, Kirkstall Harriers, Pudsey & Bramley, Rothwell Harriers, Striders, St Theresa’s AC, Valley Striders, Wetherby Runners Apologies were received from: Eccleshill RR, Knaresborough Striders

2. Matters Arising from the 2010-11 Season There were no matters arising, other than those to be raised as agenda items later in the meeting.

3. Treasurer’s Report & Statement of Accounts The treasurer presented the league accounts, showing (in summary): Income: £2426.00 Expenditure: £1904.35 Surplus on the year: £521,65 Closing Bank Balance ((01/09/12): £3708.03 The meeting accepted the accounts as a true record. It was proposed, and unanimously agreed, to donate half of the surplus on the year to Yorkshire Air Ambulance. The League treasurer will forward a cheque as soon as possible.

4. Election of League Officers for 2013-14 Roger Wilson (Abbey Runners) was re-elected (unopposed) to the position of League Treasurer. Mark Hetherington (Abbey Runners) was re-elected (unopposed) to the position of League Co-ordinator

5. Selection of Race Dates & Host Clubs for 2013-14 Following discussion, the following fixtures were agreed:

6. Applications to join the League by Harrogate & York Triathlon Clubs (joint team) and Roundhay Runners (‘individual’) The application from Harrogate and York Triathlon Clubs to enter a joint team into the League was approved. The application for ‘individual’ membership from Roundhay Runners was also approved.

7. 2nd Teams: Discussion of Proposals from Will Kerr (Saltaire Striders) A proposal to include 2nd teams (based on a club’s 9th-16th placed men and 6th-10th placed ladies) in the Open League Tables was rejected. However, it was agreed to introduce single 2nd Team Divisions for Men and Ladies. The club with the best scoring ‘2nd team’ in each race will be awarded 10 points, the next best 9 points, etc. (this will apply to both men’s and ladies ‘2nd teams’). Only ‘complete’ teams (i.e. 8 men or 5 ladies) will be eligible: incomplete teams will score 0. The men’s and ladies teams finishing first in their respective ‘2nd team’ divisions at the end of the season will be awarded a trophy.

8. Allocation of Series Race Numbers to Clubs Having agreed to move to a ‘race number’ based system to replace the previous tally system, the League sponsor (PECO) will provide 2 sets of race numbers (1- 800, with a blue band, for men; 801- 1400, with a red band, for ladies). These will be allocated to clubs based on the number of runners taking part in last season’s races and distributed to Club Representatives as soon as possible. Clubs will assign a number to each of their runners and email a list of names, ages and numbers to the League Co-ordinator by Friday 22nd November at the latest. Each runner will keep the same number for all 5 races, and will continue to register and pay the entry fee on the day for each race. There will be no separate charge for issuing race numbers, although those who forget to bring their number to a race will be charged an extra £1 for a replacement number. It is intended to time this season’s races, and a suitable stopwatch and software to enable data to be downloaded from it have been purchased.

9. League Structure, Member Clubs, Race Fees and Scoring Systems It was decided to continue with the current league structure for the ‘open’ divisions (Men’s & Ladies Premier and First Divisions). A proposal (carried forward from last year’s AGM) to reorganise into 3 divisions was rejected. 2 clubs have been promoted to the Men’s & Ladies Premier Divisions, and 2 relegated. It was decided to split the Men’s & Ladies Vets Leagues into 2 divisions. The open divisions for the 2013-14 season will therefore be constituted as follows:

The Vets divisions for the 2013-14 season will be constituted as above and below:

For the 201-14 season, runners from Dragons Running Club, Horsforth Fellandale, Knaresborough Striders, Leeds University Cross Country Club, Nidd Valley Road Runners, Roundhay Runners and York Postal Harriers will be eligible for individual prizes on the same basis as runners from other clubs, but team scores for these clubs will not be calculated. Runners from these clubs will not be removed from the individual results before calculating team scores for the other clubs.

It was decided to leave the race fees unchanged for the coming season (£3.00 for fixtures where post- race food is to be provided; £2.00 is no food is to be provided).

It was agreed that the individual and team scoring systems will remain unchanged for the 2013-14 season.

10. League Presentation Event The League co-ordinator will aim to organise the League presentations as soon as possible after the final race of the season (venue TBC). The possibility of organising a cross country relay event to precede the league presentation will be investigated. Whether or not food is to be provided will depend on the nature of the presentation event, and the venue.

11. Any Other Business There was no other business to discuss, and the meeting was therefore closed.
