56th Annual Autumn Cross-Country Classic PARK, SATURDAY, OCTOBER 19, 2019

Dear Schools, Coaches, and Teachers:

The Autumn Cross‐Country Classic is a school race for Elementary, Junior High, and Senior High school students. All schools are welcome! Please read below for details and then come out and enjoy the race.

Location: William Hawrelak Park, Edmonton, Alberta

Registration: Registration forms are available at www.ellistiming.ca/AutumnClassic . Please complete the spreadsheet with all of your athletes’ names and other details and then email it to [email protected]. N.B. FEES ARE PAYABLE FOR ALL REGISTERED ATHLETES REGARDLESS OF WHETHER OR NOT THEY PARTICIPATE.

Entry Deadline: Wednesday October 16, 2019 at 5:00 p.m.

Entry Fee: $9 per student for all registrations received by the deadline. $14 per student for registrations received after the deadline (including on‐site on race day). (Fees cover permits, insurance, first aid, parking crew, shuttle bus, medals, and pins among other items.) Please see registration form for payment options.

School Package Pickup: Race tags for each runner can be picked up at William Hawrelak Park on race day after 11:00 a.m. at the Skating Pavilion. Coaches must pick up their team’s tags before their students compete. Please do NOT supply your own tags.

Souvenir T‐Shirts: Autumn Cross‐Country Classic t‐shirts will be available for purchase. T‐shirts can be ordered in advance and will also be on sale at the race. Short sleeve t‐shirts: $14 ordered by October 7 or $16 at the meet.

Souvenir Pictures: A photographer will be on site taking pictures. Please visit www.ellistiming.ca/AutumnClassic after the race for instructions on ordering pictures.

Awards:  Individual: The first three finishers in each race will receive a medal. Fourth through tenth places will receive ribbons. Each runner who completes the race will receive an Autumn XC Classic pin.  Team: Teams will consist of the top 3 runners for a school. The top team for each race will receive ribbons.  School: A trophy will be awarded to the Elementary, Junior High, and Senior High schools that accumulate the most points on a 10‐8‐7‐6‐5‐4‐3‐2‐1 basis.  Parent/Teacher Fun Run: Awards will be given to the top 3 finishers from one school provided that the team consists of both males and females.

Parent/Teacher Fun Run This 2km run is open to all teachers of participating schools as well as all parents and legal guardians of students attending these schools. Team points for this race will not be added to the school totals.

Parking: Parking is limited. Please read the accompanying document and communicate this to parents and students.

Important Notes to Coaches/Teachers:  Please make sure your students are on site a minimum of one hour before their race time. You are strongly advised to select and communicate a meeting place and display a school banner so that your team can find you.  All teams and/or runners should be accompanied by a coach or responsible adult.  Please inform parents that a photographer will be taking pictures. These will be posted on a password protected site. A password will be provided to each coach to share with students and parents so they can view pictures of their school’s athletes.

Cancellation: If the race is cancelled due to inclement weather a note will be posted on the race website www.ellistiming.ca/AutumnClassic .

IMPORTANT NOTICE TO COACHES REGARDING PARKING AT WILLIAM HAWRELAK PARK

Coaches: Please be aware that the parking areas at William Hawrelak Park become very congested from 11:30 a.m. until 2:30 p.m. on Autumn Cross‐Country Classic day. In the past, frustrated drivers parked on the grass and were ticketed for doing so. There is a good chance that the gates to the park will have to be closed for a period of time during this three‐hour period.

There will be a free Park and Ride service available from the Windsor Parkade located on the campus near the top of the Emily Murphy Hill. The entrance to the Windsor Parkade is off 116 Street near 92 Avenue. The shuttle bus will run from 10:30 a.m. with the last bus leaving from Hawrelak at approximately 3:20 p.m.

Coaches, you can help this situation. Please  bus runners and their parents to the Park or  use Edmonton Transit (ETS Routes 128 and 130 have stops near the entrance of William Hawrelak Park) or  facilitate "car pooling" or  have your driver(s) drop off the runners inside the entrance to the Park and then proceed up to the Windsor Parkade and ride back to the Park in the free shuttle bus. There will be a charge to park in the Windsor Parkade.

Reminder: The renewal project causes extra delays in traffic in the area (please see https://www.edmonton.ca/projects_plans/roads/groat‐road‐bridges.aspx ). Rather than using Groad Road southbound (if travelling from north of the Saskatchewan River), your driver(s) might want to consider approaching the park using the High Level Bridge, then 87 Avenue to Groat Road northbound or 87 Avenue to 110 Street, north to Saskatchewan Drive, then west along Saskatchewan Drive and down Emily Murphy Park Road. (If your bus is taller than 3.2 metres, do NOT use the High Level Bridge.)

Please do what you can to decrease the number of vehicles that will be attempting to park in William Hawrelak Park on October 19. Thank you.

 Age categories are determined by year of birth. Results will be split for those born in 2006 and 2005; however, medals and ribbons will be awarded based on order of finish (at the finish line) within the one race.

 Teachers and Parents Fun Run is open to all teachers at competing schools and to all parents or legal guardians of students attending that school. Please either pre‐enter or purchase a name tag at the registration table.

 All runners should be at the park one hour before the scheduled start of their race. Name tags will be available for pick up at the registration table.
