OVERVIEW

This document describes how classes are deactivated at of a term in ClassFlow. It is up to the teacher, or administrator, to deactivate classes from a previous term, which then removes them from the ClassFlow user interface.

The information below will inform schools as to how and when classes and class- specific content are displayed for users. Schools will need to take this information and decide how best to apply it to their ClassFlow instance based on their class roster creation methodology.

Here is a summary of the areas of ClassFlow affected when classes are deactivated at the end of a term as covered in this document:  Classes (non-SIS-Integrated)- Classes must be manually deleted by the

teacher to be removed from a teacher’s (and student’s) class list.

 Classes (SIS-Integrated)- Data files must list the class as Inactive to be removed from a teacher’s class list. (This means listing an ‘N’ in the Active field for a section within the Section.csv data file)  Student Assessment Results- These will no longer be accessible once the

corresponding class has been deleted or deactivated. ONLY USE  Student Assignment Results- These will no longer be accessible once the corresponding class has been deleted or deactivated.  Reports- Item Analysis Reports and Performance reports will no longer be accessible to show student results once the corresponding class has been

deleted or deactivated. ClassFlow  My Resources- All content contained within My Resources will remain regardless of whether a class has been deleted or deactivated. FOR

CLASSFLOW NON-SIS-INTEGRATED SITES

The following instructions are for ClassFlow sites that are not connected to a School data source. In this case, classes and class rosters are managed manually by teachers.

CLASSES In order to prevent last term’s classes from showing up for a teacher, the class must be deleted. To do so, simply select the Gear icon for that Class and choose Delete Class from the dropdown menu.

Once the Delete Class option is selected, a pop up message will appear informing

the teacher that “Deleting this class will result in the loss of ALL associated data.”

This means that all student responses to assessments and assignments will no longer be accessible.

ONLY USE CLASSFLOW SIS INTEGRATED SITES

The following instructions are for ClassFlow sites that are connected to a School data source. In this case, classes and class rosters are pulled in automatically from the school data source. The primary difference between sis-integrated sites, and non-sis ClassFlow integrated sites at the end of a term is how the classes are removed from the

teacher’s class list. FOR

CLASSES To prevent last term’s classes from showing up for a teacher, the class must be deactivated via the data integrated data files from the SIS. Specifically, in the Section file, there is a field entitled Active. This field must either have a Y, if the class is active, or N if the class is no longer active. Therefore, the data files must be sent with an N in each section that is to be deactivated. If they are not deactivated, the classes will still appear for a teacher alongside the classes for the new term. Refer to the ClassFlow SIS Interface Guide for further instructions on the designated data formats for ClassFlow.

CLASSFLOW NON-SIS INTEGRATED AND SIS INTEGRATED SITES

The ability to view student results is the same for both Non-SIS and SIS Integrated sites. Once the class has been removed, the results for that class are also removed.

CLASSFLOW- END OF TERM ClassFlow End User Documentation INSTRUCTIONS STUDENT ASSESSMENT & ASSIGNMENT RESULTS When a class is deleted or deactivated from ClassFlow, all the student responses to delivered assessments and assignments are no longer accessible. Teachers can export these results and save them prior to deleting the class. For example, completed assessments for active classes can be accessed from the ClassFlow Results Viewer by clicking on the Recent Assessments box on the Overview tab under Classes, or on the Delivered Assessments tab under the Class to which the assessment was given. Once a class is deleted, these options no longer exist.

REPORTS Once a class is deleted or deactivated, the teacher will not be able to run a Performance Report or an Item Analysis Report for any assessment that was delivered to that deleted class.

MY RESOURCES All the content contained within a user’s My Resources section will remain regardless of which classes are active/inactive. This includes lessons, assessments, assignments, and any other files that were saved to My

Resources. As stated above, only the student responses to assessments or USE ONLY USE assignments are when a class is deleted.
