EXECUTIVE DIRECTOR Job Description, Core Requirements, and Application Instructions

GENERAL DESCRIPTION

The Executive Director is hired by and responsible to The National Sanctuary of Our Sorrowful Mother (The Grotto) Board of Directors. The Executive Director, a Roman Catholic, will have overall responsibility for the management of The Grotto. The Executive Director will collaborate with the , who provides the Catholic leadership consistent with the directives of the Catholic and the Order of Servants of Mary.

The Executive Director will be responsible for the day-to-day administration of the Corporation, working closely with the Chair of the Board of Directors to ensure that all corporate functions are aligned with the Bylaws of The National Sanctuary of Our Sorrowful Mother, an Oregon corporation. The Executive Director will collaborate with the Rector in support of ministerial and spiritual functions.

With support from The Grotto managers and other staff members, the Executive Director will work to enhance the philosophy and mission of the shrine. The Grotto managers reporting directly to the Executive Director are Business/Finance, Development, Marketing and Communications, Creative Services, Grounds and Facilities, Gift Shop, and Conference Center.

The Executive Director is responsible for the operational success and financial viability of The Grotto, including sound fiscal growth and management of the Corporation. The establishment of annual long- and short-term financial objectives will be the responsibility of the Executive Director, who will oversee the annual operating budget and endowments. In collaboration with the Board of Directors, the Executive Director will provide the vision and leadership for long-term fiscal growth and development, and enhancement of The Grotto as a Catholic shrine and botanical garden.

The Executive Director will participate in an annual evaluation with the Board of Directors.

PERFORMANCE RESPONSIBILITIES

Board of Directors Leadership • The Executive Director will manage the day to day administration of The Grotto in accordance with the Bylaws of the National Sanctuary of Our Sorrowful Mother, an Oregon Corporation. • Provide leadership direction to The Grotto by presenting regular, monthly organizational needs and achievements to the Board of Directors. • Report annually to the Board of Directors on the state of the shrine and all programs at The Grotto covering: - Administrative Policy - Financial viability - Development of fundraising vision and growth - Program development • Provide operational management that supports the Board of Directors in developing a strong vision and understanding of the present and future needs of The Grotto • Serve on appropriate committees of the Board of Directors

Administration, Personnel and Facilities Leadership The Executive Director is responsible for providing executive and operational leadership for the shrine and staff and will: • Ensure that the shrine’s philosophy and mission are effectively implemented. • Coordinate meetings of the Grotto Board of Directors and collaborate with the Board Chair in management of operational policies, as outlined by the bylaws. • Oversee in conjunction with the Grotto managers all shrine operations, policy formation and procedures. • Develop, direct and implement a vision of financial development to sustain capital growth and improvements at the shrine. • Direct communications and public relations, act as the primary public spokesperson for the shrine, and represent the shrine at appropriate venues. • Manage all legal matters pertaining to the shrine in collaboration with the board and local and provincial legal counsel. • Manage all Grotto managers and their direct reports, providing professional guidance and support • Conduct yearly evaluations of all direct-report staff managers • Develop staff talent and business management to achieve financial goals and targets • Review and improve current financial safeguards for physical property at The Grotto • Develop and maintain a safety program that safeguards The Grotto premises, structures, and facilities, as well as the safety of all personnel and Grotto visitors

Financial, Development and Planning Leadership The Executive Director is the chief development officer and is responsible for financial management. The Executive Director sets the vision and development plan for the realization of capital improvements, the upkeep of all Grotto , grounds, events, and programs supporting the mission and philosophy of the Catholic shrine. • Oversee, with assistance from the Business/Finance Manager, the business operations and shrine finances and development of the annual budget for final presentation and approval by the Board of Directors • Develop and direct the annual shrine budget and oversee all capital property development, planning and implementation • Execute all contracts and agreements, consistent with the directives of the Board of Directors • Set a development vision and implement a financial development program that will meet the needs of The Grotto. Development will include fundraising, grant writing, endowments, annual giving, deferred giving and capital giving • Oversee development activities of the Development Manager, committees of the Board of Directors and specified Grotto designees • In collaboration with the shrine Rector, ensure key stakeholder contributions are nurtured, solicited, and received

Religious and Community Leadership The Executive Director is responsible for collaborating with the shrine Rector in support of ministerial and spiritual functions. • Support the shrine Rector in guiding and directing the shrine in a manner that is consistent with Roman Catholic teachings and the mission and values of the Servite Order and the Board of Directors. • Promote the mission and values of The Grotto. • Promote The Grotto vision and mission within the Portland community. • Share The Grotto mission and vision through a strong marketing and public relations program locally, nationally, and internationally in the religious and secular communities • Provide leadership as the representative of The Grotto • Preside at all annual Grotto events and festivities

Salary competitive at $100,000+
