Webmaster AGM 2018 Report

Website Maintenance Costs The website domain name (worcesterramblers.org.uk) was purchased in bulk in 2015 so the only cost this year was the annual hosting bill £136.19. All development work was done at no cost.

Website Activities

General Data Protection Regulation (GDPR) Changes The impact of GDPR was not foreseen and proved to be a substantial amount of work. Requiring the following changes.

1. Website registration revised. 2. User Preferences revised. 3. User Management revised. 4. Car Sharing revised. 5. Walk system revised. 6. Audit and tracking system completely replaced.

New Functionality 1. The following group statics are automatically calculated and are freely available on the web site. They may be access either via the About us button (Home page banner) and then The Numbers button or via Committee Meeting Events on The Numbers link. a. The Leader Board b. The Leader Board List c. Membership numbers d. Number of new members e. Miles walked f. Walkers g. Walks 2. A new Flash message and cancellation system implemented. Walks, Events and Working Parties all now have a Cancelled tick box and an Emergency field. If Cancelled is ticked the Walk, Event or Working Party has revised text showing Cancelled in all views. Three days before the due date the cancellation will appear in the flash message banner on every page. If text is entered in the Emergency field it will appear as part of the flash message. This allows for either a cancellation or last-minute changes such as a new meeting point. The system is accessible to both walk leaders and coordinators. 3. Walk leader interface improved including the following. a. Automatic emails providing help on the walk review systems, the cancellation system and post walk submission of walk numbers. b. Ideal Starter Walk and Holiday Walk tick boxes added.

AGM 2018 www.worcesterramblers.org.uk Page 1 of 9

c. Holiday walks removed from core programme. d. Links to Leader Resources and walk registration sheets on every walk. e. Routes now created automatically after the walk and remain available for GPX upload for two weeks. 4. New Google and BBC Weather buttons on the meeting point map. Clicking the Google button will take you to Google maps to find the route to the start of the walk. The BBC Weather button will take you to the BBC weather page for the start of the walk. 5. New system for background tasks implemented. These are tasks which go on unseen by the user and include sending of emails and deleting old material. 6. New Group Secretary interface. 7. New Membership secretary interface.

Bug Fixes 1. Our hosting company changed the email server without notice resulting in over 300 emails queued and much wasted time finding the problem. 2. Fixed various minor issues.

General Tasks 1. Post AGM updates of roles, emails and web pages. 2. Creation of an About us page and Cookie policy. 3. Content editing.

Other Activities I would like to thank Jenny and Annette for managing our Worcester Ramblers Facebook presence. However; as we no longer have a facebook administrator actively managing content and the initial surge of interest has run out of steam I intend to delete the page unless we have someone willing to take on the role.

Web Master Role After 4 years on the committee I shall be stepping down at the AGM. If you are interested in taking on the role, please feel free to talk to me or look on the website in the Volunteer Zone for details.

Membership AGM 2018 Report

Membership As the figures below illustrates Worcester Ramblers membership has stayed fairly static throughout 2018 with around 400 members.

With the introduction of GDPR the “Walk registration sheet” has changed to ease compliance. Whilst we still collect the total number of walkers there is no longer the facility to analyse trends.

Ramblers nationally are piloting a smartphone app enabling a quick and easy means of registering walk attendance. Within the club we are currently trialling this app. If you have one of the new membership cards with a qcode on the back please bring it along on your walks in the future.

Footpath Officer’s Report AGM 2018

This year has been fraught with difficulty. First an accident to one of the CSS access team meant that fewer work parties could be organised. The other being the introduction of GDPR which saw the loss of a few (mainly inactive) members from the register.

I am very proud of what we have achieved this year and thanks have to go out to the volunteers who give up their time to carry out the work. Although we have fifteen people on the register (a drop of six from last year) only five or six people in the group come along on a regular basis. We have had two new volunteers join this year.

Also from the overall list 20% come from other Groups so please if anyone else would like to join us and see what you can do on a work party they will be very welcome, as we are always looking for more volunteers.

We have only been able to do eleven work parties this year, nine with the Countryside Service and Two Walking Work parties organised by myself. Again the CSS have been excellent with arranging the work parties and providing material for us.

Areas we have worked in have been Ab Lench, Hampton, Spetchley, , , / , Gaurlford, Sheriffs Lench, St Peters and Pensax

During the CSS’s Staff shortage I assisted in surveying two trails, one the Three bridges circular route in Pershore and the other the Far Forest circular route. Both resulted in work parties doing waymarking and clearance work.

Walking Co-ordinators and Walking Programme Annual Report

Walking Programme

Worcester Ramblers continued with a varied walking programme since the last AGM with a total of 139 walks on various days with Saturday walks the most popular.

This year’s nominated trail The Wyche Way had 13 completing the full 79 miles and the planning for the Gloucestershire Way for 2019 is well underway. Once again our members will vote to determine the trail for 2020.

A successful walking programme is only possible with a regular supply of willing and flexible walk leaders and backmarkers. This year we had a number of new walk leaders taking up the challenge but we always need more. Therefore, we are planning a Leaders’ Day with the opportunity to learn or update your knowledge and share experiences, including support from our experienced leaders.
