GOWER CYCLING FESTIVAL 2010 areportby DavidNaylor( Wheelrights Secretary) SUMMARY TheFestivalwasdeemedasuccess,albeitinpartthankstogoodweather.Notonlywerethe ridespopularbutalsotheparty,withitsgoodfareandexcellententertainment.The involvementofcelebritiesinthepublicityandontwooftherideswasanotherpositive. Thefeedbackfromthe10%oftheparticipantswhoreturnedthefeedbackformswasvery positive.Itindicatesthattherideprogrammewasatabouttherightlevelbutthatthereshould bemoreridesatweekends.ThisprovidedlessonsforthenextFestival ByholdingtheeventinSeptemberwehadhopedtoattractvisitors.Fewhowevercamewith about90%beinglocal.Relatedtothiswasthefactthatmost(79%)tookpartinjustoneride. TherecommendationsforthenextFestivalincludemeasurestoprovidemoreridesat weekendsandencouragepeoplefromfurtherafieldtostaylonger,alsotoimprovethepublicity andsimplifyprocedures.

Introduction Thisreportprovidesarecordofthefirst Gower Cycling Festival ,heldfrom18 th to25 th September,2010.Itsmainpurposeisasasourceofinformationforuseinorganisinginthe nextfestival,scheduledfor1017 th September,2011. TheFestivalwasthebrainchildofNickGuy( Wheelrights chair).Hisideaoriginatedfromthe successful Gower Walking Festival (GWF)whichhasbeenrunningforanumberofyears. Accordinglyhe,andthewriter,hadmeetingsinthelatesummerof2009withMikeHollymanof MumblesTIC(Heisthechieforganiserofthewalkingfestival.)andrepresentativesofthe Gower Heritage Centre (alsocloselyinvolved). Inthisreporttheeventitself–theopening,theridesandtheFestivalparty–aredescribedfirst, thenthepreparationsandhowitwaspublicised.Thisisfollowedbythesections:Finances, Feedback,ConclusionsandRecommendations.Thereisinevitablysomesubjectivityinthe lasttwosectionsforwhichthewritertakesfullresponsibility. 2. The event 2.1Opening AformallaunchoftheFestivaltookplaceat10.30onSaturday,18 th SeptemberbytheBlackpill Lido.AgazebowaserectedunderwhichastallwassharedbySustransand Wheelrights .It wassunny.Adecentcrowdassembled.NickGuyintroducedReenaOwen,CCS’sDirectorof Environment,whosaidafewwordsandinturnintroducedJaneDavidson,WAG’sMinisterof Environment.Jane,afterabriefspeech,cutatapetoformallyopentheFestival.Theevent waswellcoveredinthe Evening Post . Theformalitieswerecompletedontimesothatthefirsttworides,whichstartedfromBlackpill, setoffonschedule. 2.2Therides The18ridestookplaceaccordingtoplanexceptthattheoriginalintentionofadaytripto Devononthe22 nd wasreplacedbytheridetoKidwellybecausetheferrynevermaterialised. ThischangewastoolatetoincorporateintheprogrammeontheFestivalflyer. WiththeexceptionoftheafternoonofWednesday,22 nd ,theweatherwasfineandmainly sunny.Theridersonrides10and11experiencedheavyshowersonthatafternoonwhile thoseonRide12insunnyGowerfinishedintimetoescapetherain DetailsoftheridesaregiveninTable1(overleaf).TheroutesfollowedareshownonFigure1 (onp.4).Itshowstheintendedroutes,exceptthattheKidwellyride(11)hasbeenomitted.In theeventthereweresomeminordeviationsfromtheplannedroutes. BackuptotherideswasprovidedbyDavidJuddandbythe Heritage Centre whoofferedto rescuepeoplestrandedforonereasonoranother.Theirserviceswerecalledonatleastonce. Therewere154participants,comprising93men,42womenand19children.Ofthesemost (79%)joinedjustoneride.Nearlyallregisteredattheridestartwithonly12bookingin advance;ofthese8werefromoutsideCounty.Itisestimatedthatabout90%ofthe participantswerelocalandthat,includingthosewhodidnotbookinadvance,1215werenon local.Thefile GCF10stats.pdf ,availablefromthewriter,providesdetailsoftheparticipants. 2.3Registration Theprocedureforregisteringparticipantsatthestartofridesworkedasplanned.(See3.2.) ThestewardarmedwithanA4sheet(Appendix1)recordedthenameandcontactphoneor emailofeachparticipant,and,iftheyhadnotalreadypaid,collectedthefeedue(£2or£1 concession).Insomecasesthestewardthenjoinedtheride,sometimesasabackmarker. AlessonforthenextFestivalisthatstewardsshouldhandoutfeedbackforms(Appendix2). Thiswasdoneonsomeridesbut,crucially,notduringthefirstweekend.Wehadnotappreci atedthatmostoftheparticipantswouldonlyjoinoneride.Handingouttheformsatthestartis thereforeasimplewayofensuringthattheygetaform.Intheeventonly16werereturned..

2of10 2.4‘Soft’events By‘soft’ismeantFestivaleventsinadditiontotherides.Thesecomprisedtheinvolvementof celebrities,namelythepoetNigelJenkinswhoactedasaguideonRide13andtherugbystar ColinCharviswhojoinedRide17.BothofthemassistedwiththepreFestivalpublicity. AndtherewastheFestivalParty.ThistookplaceontheeveningofFriday,24 th ,intheGower HeritageCentrestartingat7.0pm.EntertainmentwasprovidedbythesingerScottyandathree piecebandledbyJezSampson.Thentherewasthegroup Circus Eruptions whonotonly performedcircusacts,butinvolvedthepartygoersinthem:actssuchasjugglingandridinga unicycle.TherewasalsoaraffletohelpdefrayFestivalexpensesandanauction;proceedsto Bikeability. Anexcellenthomebrewcider andveryacceptablefoodwasprovidedbythe HeritageCentre.Thenumberattendingwaslessthanhopedfor,butitwasaverygoodparty.

Ourconcernwasthatwewouldnothaveenoughpeopleratherthantoomanysowedecided nottoputacaponridenumbersbutplannedtosubdivideintoseparategroupsshouldmore than2530turnup.Intheeventthisworkedoutfinewithjustthechallengingmountainbikeride (No.18)requiringsubdivision. Whiletherewerevoicesinthegroupwhowouldhavetheridesfree(asisthecasewithsimilar eventsorganisedbytheCTC)itwasdecidedtocharge£2/ride(£1)withacapof£10(£5).()= concessionsforchildrenunder16andtheunwaged.A£10(£5)“Festivalpass”entitledthe holdertounlimitedrides.Theideawastoencouragepeopletostaythefullweek.Intheevent only4passesweresold(ofwhich2wereto Wheelrights members)andahandfuloftickets. Mostsimplyturneduoandpaidtheir£2atthestartoftheride.Figure2showsthetickets

Figure 2 – Tickets 3.3Flyer Whileitwasagreedthatitwouldnotbeappropriatetoproduceamultipagebooklet(at considerableexpense)asdotheGWFwediddecidetoproduceaflyer.Thegrouphowever weredividedastowhetherthisshouldbeanA4orA3flyer.Thiswasdebatedatmeetingson 15 th and22 nd February.Followingdeadlockatthefirstmeetingtherewasa7:4majorityatthe secondinfavourofanA3flyer,soitwasdecidedtogoforthis. InessencetheargumentsinfavourofA3werethattherewouldbespaceforacomplete descriptionoftheridesandthatitwouldbeworthpayingfortheflyertobeproduced professionallyTheA4advocatesfavoureditssimplicity,thatitcouldbeproducedinhouse (andthattherewasexpertisewithin Wheelrights todothis)formuchlessthanaprofessionally producedA3flyer(£140.50wasquotedfor2500camerareadyA4flyerscomparedwiththe £650actualcostof3000A3flyers.)Afulldescriptionoftherideswhichcouldnotbefittedon theflyerwouldbeprovidedonthewebpage. ClaudineConwayfoundadesignertodesignandproducetheA3flyer,andNickfound advertisersandsponsorstopayforit.ThistookthemfromFebruarytoMay(whenitwas printed)..Theyputinalotoftimeandeffortliaisingwithsponsors,etc.Forvariousreasons, oneofwhichwasprice,theychangedfrom Design Print to Riddler Webster.

5of10 Aproposalfromthewriter,whichaftermuchdebate wasadopted,wasthattheflyershouldcon tainamaponwhichtheriderouteswouldbemarked.HeproducedthisonhisPCusing “Publisher”toaddtheroutes.TheseareasinFigure1exceptthatthattheyareoverlaidontoa plain(yellow)backgroundwithjustkeylandmarksadded.Thepurposeofthiswasbothtopro videanunclutteredmapandtoavoidpossiblecopyrightissues.Itwaswithdifficultythatwe persuadedtheprintertoincorporateamapsufficientlylargetobereadable,butwedid,even thoughitwassmallerthanthemapproposedbythewriterfortherejectedA4alternative. Anotherfeatureoftheflyerwastheuseofone panelasabookingform.Thiswasdifficultto designbecauseitsmainpurposewastogive usanideaofhowmanywouldbecomingand whatridestheywouldbejoining.Atthesame timewewantedtoprovideflexibilitybyallow ingpeopletodecideonthedaywhichrides theywouldattend.Alsoitwasintendedtoen couragepeopletobuyFestivalpasses.(A purposewhichitsingularlyfailedtoachieve! SeeConclusion5.andRecommendation4. below)Figure3showsthebookingformasit appearsontheflyer. 3.4Website Thewriter(whois Wheelrights webmaster) hadsetupaGCFpageonour website (www. wheelrights .org.uk/gowercyclefest.htm). Itincludedafivepagepdffilewhichprovided basicinformationabouttherides,adetailed programme(thesameasontheflyer)andthe routemapofFigure1(thesamemapason theflyerexceptforthebackground.)Thepro grammewasupdatedasnecessary.Thein tentionwasthatthisfilecouldbedownloaded byinterestedpartiesorsenttothem.Itwasto oneortwo. Inadditionthepagecontained(andstillcon tains)detailedroutedescriptionsoffourrides: 6,8,12&15.TheseareeachsingleA4sized pdfswhichcanbedownloaded. Therewasalsoadownloadablebookingform. Thisagainwasthesameasthatontheflyer withonlytheformatdiffering.Therewasnot howeverprovisionforonlinebooking–.the formhadtobeprintedoutandmailedtothe TICwithchequeenclosed. 6of10 3.5MumblesTIC TheplanwasthatinexchangeforappropriatepaymenttheTICwouldhandleourbookings,as theydofortheGWF;inadditiontheywoulddistributeourflyersandhelppublicisetheFestival. Onreceiptofabookingformtheywouldrespondtotheapplicantbycashingtheirchequeand sendingthemthenecessarytickets,iethoseinFigure2.Theywouldkeepappropriaterecords, includingthepreparationofriderslistsofwhowantedtogoonwhichrides.(See2.3and Appendix1.) TheydidthisexceptthatitappearsthattheydidlittletopromotetheFestivalotherthanstack ourflyersontheirshelves,nordidtheypreparetheriderslists.Thiswasdonebythewriterwho collectedthebookingformsfromtheTICsothathecouldaddthosewhohadprebookedtothe lists.Thiswasnotabigtaskastherewerenotmanyofthem.Itwouldhoweverhavebeen simplerhadthebookingformsinthefirstinstancebeensentdirecttothewriter.TheTIC’srole wouldthenhavebeensimplytostacktheflyers.Alsowewouldhavebeensparedthe10%of thefeeswhichwepaidtotheTIC. 3.6Tshirts ShortlybeforethestartoftheFestivalitwasdecidedtoproduceTshirts.50FairtraderedT shirtswereobtainedfromFrancisHanneyof Grafix Design Print .Pontardawe . 8of10 6. Conclusions (1)TheFestivalwasasuccessjudgingbythepositivefeedbackandourabilitytocopewiththe numbers.Thegoodweatherclearlycontributedtothis.Lessonswerelearntforthenext. (2)Theleveloftherideswasaboutrightwithapproximatelyequalnumberstakingpartineach ofthethreegrades,ie66:Gentle,75:Moderateand74:Challenging.AllowingthatRide15 shouldhavebeengraded’M’ratherthan’G’thedistributionofrideswasroughlyeven(6±1 foreachgrade). Recommendations (1)AsimilarprogrammeofridesshouldbeprovidedforthenextFestivalexceptthatmore shouldbeprovidedonSaturdaysandSundays,probablythreeoneachwithoneortwoon eachweekday.ItshouldagainoccupyaneightdayslotinSeptemberfromSaturdayto SaturdaybutwiththefollowingSundaykeptintheprogrammebutleftopensothataride (orrides)canbeplannedforitduringtheweekorevenonthenightbefore. (2)Careneedstobetakentoensurethatallparticipantsreceivefeedbackforms.Thiscan probablybestbedonebystewardshandingthemoutatthestartofeachride.(See2.3.) (3)The‘soft’sideoftheFestival,ietheinvolvementofcelebrities,thepartyandtheentertain mentprovidedatit(See2.4),shouldhappenagainthisyear.Theonlyspecificrecommen dationisthatthepartyshouldbeontheSaturdayeveningratherthantheFriday. (5)Revisingthewebpagesothatthedetailedtwopageprogrammeandthemapassociated withitcanbedownloadedasseparatepdfsratherthanbeingpartofafivepagepdf.This wouldenablethoseinterestedtohavethedetailedprogrammeontwosidesofanA4sheet withthemaponaseparatesheet.Theothermoregeneralinformation,currentlyonthefive pagedocument,wouldappearonthenondownloadablepartofthewebpage.
