Technology related work orders are for services including computing, networking, telecommunications, wireless, police communication (radio) services, police audio & video evidence and general technology related aid. Server Maintenance All servers performed as expected throughout the month. Page | 1 Monthly Chief Information Officer Report November 2012 Telecommunication Services It was brought to my intention that Verizon has begun the process of ending installation services for Centrex. Working with our Verizon representatives, Shared network Users Group I took the opportunity to also request and conduct a financial audit of our account in order to look for additional savings. As a result of the financial audit and changing from Centrex to POTS service as well as changing the PRI an annual savings of $5,151.25 is anticipated. The switch from Centrex to POTS service is expected to occur during the first quarter of 2013. Police Department – The planned movement of the primary police radio antenna and radio equipment from the water tower on Tower Lane to the Chestnut Street parking garage moved forward with pre-wiring and electrical work being completed in July. During August additional cabling was installed and a UPS (uninterrupted power supply) was installed in the equipment cabinet. The antenna was installed on September 11, 2012. The remaining equipment was installed during mid-October. However after poor performance during a two day period the transit/receive equipment was moved back to the original Tower Lane site until troubleshooting can be completed. As always I had advertised recently that the police department was accepting applications for the position of communication officer. Interviews had previously been conducted, observations scheduled and background investigations completed on the top candidates. As a result of the vacancy and the completed background reports I immediately requested permission to hire at the November 2012 Public Safety & Finance committees. The hiring of the communication officer was approved. The position was offered and accepted by Kevin Kochka and a start date of January 5, 2013 set. Information Technology Budget for 2013 The following projects were approved as part of the 2013 Borough Budget. 1. Audio & Video Enhancements for Borough Council and Room 240 - $20,000 2. Borough Website Improvements - $ 5,000 It was also recommended by the Technology & Finance Committee that any funding remaining from the Audio & Video project be assigned to assist with the website improvement project. The 2013 Information technology Budget was approved at $126,000. Borough – Facebook Page The Borough of West Chester Facebook page which was launched on October 1, 2012 has continue to improve in popularity. Since the October 1 launch our Facebook page has received 707 “likes”. This is important because “likes” on Facebook act as subscriptions. When information is posted on Facebook, these individuals receive the information immediately on their computer, mobile devices and smartphones. The Facebook committee will continue explore additional improvements and enhancements. The “Facebook Team” includes, Richard Ashenfelder, Judy Benes, Staci King, Meghan Fogarty, Jennifer Glick, Hector Mojica, Kathy Brooks, Kevin Oakes as well as myself. Page | 3 Monthly Chief Information Officer Report November 2012 Email Archiving Since moving to the Microsoft Cloud (Microsoft 365) for email services in 2011 the borough email has been archived using Microsoft’s EHA (Exchange Hosted Archive) solution. Microsoft is retiring that service. I am working with Microsoft to migrate our email archive to their new solution, Office 365 Archiving. This was originally scheduled to occur on November 12, 2012 but was postponed by Microsoft. A new date has not been scheduled as of this report. The new archiving solution will offer enhanced benefits for both our organization and individual employees. Email services will not be impacted by this migration. West Chester Employee’s Technology Blog I continue to publish and write articles on the technology blog in an effort to foster communication and provide relevant technology related information that will help the staff both at work and at home. The tech blog can be found at http://wctech.blogspot.com. Employees and other interested visitors to the technology blog can now subscribe to the website and have articles emailed as they are published. Technology Newsletter The sixth issue of the West Chester Employee’s Technology Newsletter was published on November 29, 2012. This is being published in an effort to promote technology to the staff. Technology has become critical in the workplace and this trend is only going to become more prevalent. Without awareness and growth on an individual level it will become difficult for employees to reach and maintain success in the workplace. The most recent issue is attached to this report. Technology Training Our next technology training class which has been scheduled for December 6, 2012. As always there are two sessions during the day. This is done in order to allow as many employees to attend while not interfering with the services provided by their departments. I am always looking for ideas regarding tech topics for the classes. If anyone has any ideas please contact my office. Scheduled topics includes “Windows 8 Demonstration”, “New Wireless Network”, “Facebook Page Policy”, “Dropbox”, “Holiday Internet Safety”, “Windows 8” and more.
