GENERAL INFORMATION

CONFERENCE DATE AND VENUE

Conference of Speakers of the European Union Parliaments will be held in the Plenary Hall of the in Warsaw at 4/6/8 Wiejska Street. Entry to the building will be allowed only to persons presenting their identification badges at the main entrance to the Sejm (C I).

ARRIVALS AND DEPARTURES OF THE DELEGATIONS

The Speakers, Vice-Speakers and their delegations will be welcomed by representatives of their Embassies in Warsaw and representatives of the Chancellery of the Sejm at the Fryderyk Chopin International Airport and at the Warsaw Military Airport. The VIP lounge at the airport is available to the heads of delegations and members of the delegation accompanying the Speakers upon arrival in Warsaw, and prior to their departure.

Limousines for all Speakers will be provided by the Government Protection Bureau upon arrival in Warsaw, and prior to departure. All other members of the delegations are kindly asked to arrange for their own transport from and to the airport in cooperation with their Embassies.

The cost of transfer from the airport to the city center is approx. PLN 40.

TRANSPORT DURING THE CONFERENCE

The organisers will provide bus transport from and to the hotels: Sheraton Warsaw, Sofitel Warsaw Victoria and the Westin Warsaw, the Conference venue, as well as the places where other events included in the conference programme will be held.

REGISTRATION OF THE DELEGATIONS

The registration service for the delegations will be available at the hotels from 3.00 pm to 8.30 pm on 19 April and in the Sejm on 20 April from 9.00 am (Information desk). The representatives of the Embassies willing to participate in the Conference (1 person per each delegation) are kindly requested to be register as members of the delegation by their respective parliaments.

IDENTIFICATION BADGES

Identification badges will be distributed to each participant upon presentation of an ID document. All participants are requested to wear Conference badges at all times for security reasons, and to ensure access to buses, Conference rooms and receptions.

The badges are colour-coded as follows:

1. Red – Heads of Delegations 2. Yellow – Secretaries General 3. Green – Other Delegation Members 4. White - Interpreters 5. Grey – Embassy Representatives 6. Blue – Media 7. Black - Security Officers 8. Orange – Host Staff

The cost of accommodation is covered by the delegations.

INFORMATION DESK

An information desk will be situated at the main hall of the Sejm (CI) for assistance with practical matters.

CONFERENCE DOCUMENTS

Updated versions of the programme and other documents will be available on the website of the Conference www.parl2011.pl and on the IPEX website www.ipex.eu .The participants are requested to regularly check the information posted there. The final versions of the documents will be delivered to the participants at the venue together with the Conference documents. The Conference documents and papers will be available in English and French.

WEB STREAM FROM THE CONFERENCE

There will be the web stream of the Conference in English available during the Conference, except the 1+1 meeting: http://www.sejm.gov.pl/Sejm7.nsf/transmisje.xsp.

MEETING IN 1+1 FORMULA

The debate in 1+1 formula will be held on 21 April from 9.00 to 10.30 in the Sejm premises, room 106 on the 1 floor. It is up to each delegation to appoint the person accompanying the Speaker or Vice-Speaker. There is no necessity to submit the names of participants in advance. The number of seats will be limited to two per delegation.

There will be a possibility for other members of the delegations to follow the debate in the Conference Secretariat, next to the room 106. For this reason, during the 1+1 meeting, the access to the Conference Secretariat will be restricted for the media, including journalists accompanying the delegations. No web stream of 1+1 meeting is foreseen. Please consult the transfer schedule for the 1+1 meeting in the programme.

INTERPRETATION

In accordance with article 7 of the Stockholm Guidelines of the Conference of Speakers of the European Union Parliaments, the Sejm will provide interpretation into the following languages:

CONFERENCE SECRETARIAT

The Conference Secretariat will be situated nearby the meeting venue, where the participants can use computers with the Internet access, printers and photocopy machine. In addition, Wi-Fi Internet access will be available at the meeting venue.

REQUEST FOR THE FLOOR

All participants willing to take the floor at the Conference will be requested to fill in request for the floor forms for the session concerned. The forms will be attached to the Conference papers available at the venue.

RECEPTIONS

Dinner: Thursday, 19 April, 20.00 – 21.30 Venue: Forteca Restaurant (Zakroczymska 12)

Dinner hosted by Mrs , Marshal of the and Mr Bogdan Borusewicz, Marshal of the Senate, for all participants including accompanying persons. Bus transport will be provided from the hotels to the Forteca Restaurant. Special sitting arrangement for the main table only. Bus transport back to the hotels.

Lunch: Friday, 20 April, 13.00 – 14.30 Venue: Business Club of the National Stadium (Księcia J. Poniatowskiego 1)

The working lunch will be hosted by Mrs Ewa Kopacz, Marshal of the Sejm and Mr Bogdan Borusewicz, Marshal of the Senate, for all participants including accompanying persons. Bus transport will be provided from the Sejm to the reception. Bus transport back to the Sejm.

Dinner: Friday, 20 April, 20.00 – 21.30 Venue: Copernicus Science Centre (Wybrzeże Kościuszkowskie 20) 4

Dinner hosted by Mrs Ewa Kopacz, Marshal of the Sejm and Mr Bogdan Borusewicz, Marshal of the Senate, for all participants including accompanying persons. Bus transport will be provided from the hotels to the dinner venue. There will be a special sitting arrangement for the Speakers only. Before the dinner the participants are invited to have a short visit to the exhibitions of the Copernicus Science Centre. Bus transport back to the hotels.

Lunch: Saturday, 21 April, 13.15 – 15.00 Venue: buildings of the Sejm and Senate

At the end of the Conference a buffet lunch will be hosted by Mrs Ewa Kopacz, Marshal of the Sejm and Mr Bogdan Borusewicz, Marshal of the Senate, for all participants including accompanying persons.

MEDICAL ASSISTANCE

Medical assistance will be provided during the Conference at the Sejm, as well as during all events of the Conference.

SECURITY

The Sejm will provide all necessary security measures. Please be informed that no weapons are allowed inside the buildings of the Sejm and the Senate.

INFORMATION FOR SMOKERS

Smoking is allowed in the Sejm building only in designated locations. The locations are clearly marked and will be accessible to the Conference participants.

CURRENCY

The legal tender in is the ZŁOTY (PLN). 1 PLN ≈ 0.25 EUROS. All major types of payment cards are acceptable in Poland and can be used to pay at most retail and service facilities.
