The King’s School dates back to 1541, when it was re-founded on the orders of Henry VIII. It is one of ’s leading academic day schools, and has two junior schools as part of its Foundation; it is coeducational throughout. There are approximately 900 pupils in the senior school, which is situated next to Worcester Cathedral and the .

King’s Hawford is just to the north of Worcester in spacious grounds and currently has around 300 children from Kindergarten up to Year 6. The school was acquired by King’s in 1996, at which time it was a free- standing preparatory school. King’s Hawford has two forms from Years 3 to 6 as well as thriving infant and junior sections. There have been major improvements to the site in recent years. Most recently, a new multi-purpose sports hall, the Bartholomew Barn was opened. This has greatly improved sporting facilities. The Barn is also used for productions and school events, with tiered seating providing for a well- appointed drama space. It is, therefore, a multi-purpose hall. The restoration of the , which runs alongside the school, has opened up some excellent new opportunities for water-based activities at King’s Hawford.

The majority of Year 6 children from both Junior Schools proceed to the Senior School.

Role and Responsibilities To provide a general administrative provision as School Secretary with responsibility for the data input management of the School Information System (SIMS). The following will constitute your duties and responsibilities:

• Providing a welcoming reception to parents and visitors. Responding to phone calls, deliveries to the school and visitors to the school.

• Telephone contact with parents and the school’s suppliers.

• Deal with general office enquiries.

• Taking and delivering messages as appropriate.

• Undertake typing and mailings as may be required.

• Typing, producing and distributing the weekly newsletter (Text to be provided by the Head or other staff).

• Maintain the data held within the SIMS school information system and make enquiries as required. Input new data and delete redundant data as needed.

• Data input of pupil information and assessment details into SIMS. Updating and inputting of school diary information into SIMS.

• Upload information onto the school website as required and write Latest News articles. Update the electronic display board on a daily basis.

• Update the school App with messages, the calendar and related information.

• Receive the school post and ensure all mail reaches the appropriate staff.

• Minibus and coach bookings for trips and sporting commitments.

• Duplicate and make available parents’ booklets, pupil home/school diaries and other relevant material as is needed to keep parents, staff and pupils fully aware of school matters.

• Assist with the collation and distribution of school reports.

• Co-ordinate the termly Mail Out.

• Produce termly calendar.

• Undertake tasks as may reasonably be directed by the Head.

• Assist with the production and distribution of Parents’ Association materials

In addition, support of the school’s activities and events as may occur during the year e.g. Speech Day. Provide support for Old Hawfordian events.

Qualifications and Education Requirements • A good standard of general education • Secretarial qualifications

Preferred Skills • Proven experience as a Secretary • A high level of proficiency in the use of ICT, including Word, Excel, databases, email and Internet • Excellent writing ability and a good command of grammar and punctuation • Outstanding interpersonal skills • An excellent telephone manner • The ability to deal confidently with internal and external enquiries • The ability to prioritise, multi-task and work quickly and efficiently • The ability to remain calm while under pressure • Common sense, patience and a good sense of humour • Discretion, confidentiality, loyalty and trustworthiness • An excellent eye for detail • Enthusiasm and willingness • A high standard of personal presentation • Flexibility and versatility • Initiative and intelligence
