2021 IABA Home Show/Outdoor Show Vendor Packet Welcome and thank you for participating in this event! This is the official show packet which should answer most, if not all, of your questions about the event.

WHAT ARE THE SHOW DATES AND HOURS? Move-in: Thursday, May 13 11am-7pm Friday, May 14 9am-2pm Show Hours: Friday, May 14 2pm-6pm Saturday, May 15 10am - 6pm Sunday, May 16 11am - 5pm Move-out: Sunday, May 16 5pm -10pm

IMPORTANT INFORMATION: PLEASE READ THE FOLLOWING!! • We will be recommending the public wear a mask and recommend the same of the vendors. It is not required unless a mandate is put out, but it may make customers more comfortable to approach your booth. If you have any sort of product or demonstration that requires you to touch a customer, then masks are required for you. • All vendors must have hand sanitizer available for customers at their booth. Any interaction must be able to be sanitized. • Tents are not included with the outdoor spaces. If you bring your own, it must be weighted on all 4 corners by at least 20lb weights. Cinderblocks secured to the poles with ratchet straps work well. If you use a 5-gallon bucket full of water or sand, please know that securing to the bucket handle is not sufficient as it will break off with a good gust of wind. Another good option is a 5-gallon water jug with the strap through the handle. • Tables, chairs, and electricity are not included for either indoor or outdoor spaces. You are welcome to provide your own tables/chairs or rent tables, chairs, or electric from the fairgrounds if needed. Their order form is attached. Please order before opening day of the event to allow for delivery of the rental item. • Severe weather (winds that are blowing tents around and lightening within 5 miles) will require we vacate the premises. This will be considered a weather delay, not a refundable cancellation. • Unlike the Carlson Center, we will not have staff on hand for assistance with move-in or move-out. We will not have access to a forklift. • Please check in at the KO Productions table in front of the Summer Fair Office log cabin. We will give you your vendor envelope and direct you to your space. • We have included a vendor list with booth numbers with this packet. The gates for vehicle access during move-in will be closed 30 minutes prior to opening so have your vehicle out before this time. • Move your vehicle to the back lot (directions below) prior to show opening each day. Please do not take up precious customer parking during show hours! This will hurt you and other vendors if the parking lot fills up and people turn away. • Please have a 2.5 lb. ABC rated fire extinguisher at your booth.

THEME: Typically, the Home Show has a theme and this year’s is Star Wars. However, due to many booths being outdoors, some vendors not able to participate this year, and the Outdoor Show vendors not typically having themed events, we are going to roll the theme to 2022. You are still more than welcome to decorate this year, just save your decorations for next year too!

BOOTH SPACE: Booth spaces are 10’ wide by 10’ deep (unless you have purchased extra). Indoor spaces will have an 8’ tall curtain back wall. Sides of booths will be marked on the floor in chalk. Indoor booth coverings of any kind will require a smoke detector.

All merchandise must be confined within your booth space. All aisles must be kept clear and free of any trip hazards. Booth carpet or flooring of any type must be taped down to eliminate trip hazards. Please do not put any adhesive other than duct tape of the floor of the Borealis Pavilion.

Exhibitors will be able to restock their booths one hour prior to show opening on Sat and Sun.

CLEANING OF EXHIBITS: Exhibitors will be responsible for their own trash removal during move-in and set up. All packing materials and boxes must be broken down and removed to the dumpster prior to the show opening. Exhibitors must keep their spaces in good order. All walkways must remain clear.

EXHIBITOR ENTRANCE AND PASSES: Exhibitors will park in the back lot and enter through the back gate. At check-in, single space exhibitors will be provided with 4 exhibitor passes and multi-space vendors will receive 8. These passes will be needed if you must exit/enter one of the front gates during show hours. Please do not park in the front lot during show hours. Day passes for your customers and friends may be purchased for $2 (full price is $5). If you’re interested in purchasing passes, please email [email protected].

SECURITY: We will have security guards overnight both Friday and Saturday patrolling the outdoor spaces. However, this is a large outdoor area, and we cannot guarantee that the area will be 100% secure. Please keep this in mind when deciding what you will leave in your outdoor booth when you leave. There will be plenty of time for stocking both Saturday and Sunday morning. The indoor spaces (Borealis Pavilion) will be locked each night. The , the Fairbanks North Star Borough, The IABA, KO Productions, nor our insurance companies are financially liable for losses or disappearances of any kind. It is recommended that all exhibitors contact their insurance agents to confirm proper coverage of exhibit materials at the show.

FOOD & BEVERAGE SAMPLES: The reserves the right for all concessions on the grounds. If you will be handing out food or beverage samples at the show you must contact the Environmental Health Officer at 451-2111 to confirm current regulations regarding food.

VEHICLE GUIDELINES: During move-in, you may park in the front lot or pull into the show area. During show hours, we ask that all vendors park in the back parking lot (Vendor Lot) and enter through the back entrance. I know this is a bit of a walk but please save the front parking lot for customers. If you need to unload items each morning before the show opens, please unload then move your vehicle to the back lot. To access the Vendor Lot, turn off College Rd at the sign that says “Red Gate Rd” (the road passes by Aurora Motel). Follow Red Gate Rd and signage to Red Gate Lot. There is a ticket booth at the back of the lot. Go past the ticket booth to the Vendor Lot. There will be signage to direct you.

MISCELLANEOUS: • Exhibitors using sound equipment will limit the volume to their own booth area. • All decorations (cut trees, branches, artificial garland, etc.) must be fire retardant or sprayed with a fire retardant. • No open flames may be used at any time in a vendor booth. • Propane and compressed gas tanks are prohibited. • Vehicles must have ¼ tank of gas and batteries disconnected during show hours.

ACCOMODATIONS: Tanana Valley State Fair Campground is open and available. Reservations can be made at http://www.tananavalleycampgroundandrv.com $20 per night for tent sites with no electricity $30 per night for tent sites with electricity and RV sites with 30 amp electricity $35 per night for RV sites with 50 amp electricity

BUSINESS LICENSE: Remember you must have a current state and city Business License and any other licenses/endorsements your business requires. If you do not currently have an State Business License you will need to apply for one before the show. If you have other licensing, bonding, or insurance for your business, please make sure it is in place and up to date by the show deadline.

SHIPPING INFORMATION: If you are having your goods shipped to the show by a freight forwarder please remember to do the following:

1. Address pallets to: Tanana Valley Fairgrounds at 1800 College Rd., Fairbanks, AK. 99709. 2. Put your business name and my name (Kourtney Shannon) on your shipping form. 3. Schedule delivery for Thursday, May 13. 4. Schedule pick up of any unsold merchandise for Monday, May 17. 5. Bring a roll of plastic wrap to secure your goods on the pallet for the shipment home and make sure your name and the freight forwarders name is clearly labeled on your return shipment.

ADVERTISING: This year, the IABA will spend approximately $7,000 to advertise the IABA Home Show. We will be using newspaper, radio, social media, and sign placement throughout town. Media co-sponsorships bring our advertising value up to nearly $10,000!

All utility hook-ups or extension of service must be done by a licensed electrician approved or designated by TVSFA. Noncompliance with electrical guidelines could result in booth closure. All Vendors both indoor and outdoor will be charged for plugging in any electrical cords (e.g., hair straighter, lights, fridges). • Vendors will use the receptacles provided by TVSFA. Do not touch panel boxes. Contact the Facilities and Grounds Manager for assistance if needed. • Extension cords and relocatable power taps shall be rated for heavy-duty use, a minimum 14 gauge, polarized, grounded type, 3-prong plug. Extension cord must be provided by vendor. • All cords & prongs must be in good, safe condition. • Cords must be labeled with the booth name at the end that it plugs into TVSFA receptacle. • All electric cords and wiring must be covered by rubber mat (or comparable product). • Generators are allowed if sound does not exceed 70 decibels. • All electric powered equipment must be in good working order and free of damage or deterioration. • Heaters are strictly prohibited in booths as they are a fire hazard. Violators will be charged a $100 fine for each heater found. • Maximum capacity for each booth is 20 amps.
