• The Bridal Couple shall pay the full amount specified for hire of the venue, facilities, services/food and beverage items reserved and any fees and charges arising from the planned event by the agreed dates. A stipulated non-refundable deposit will be required by a set date.

• The Strand Conferencing & Banqueting Centre expressly reserve the right to revise its fees and charges. However, once a deposit is paid against a quotation or pro-forma invoice, no revision to fees will occur unless the conditions of the planned event is altered. Any deposit and/or payments made in respect of any event booking is specific to that event booking and may not be transferred to any other event or new dates.

• The Strand Conferencing & Banqueting Centre shall not be liable in any way for loss or damage incurred due to the exercise of its rights under clause 2 (above). Whilst no compensation is applicable, the Strand Conferencing & Banqueting Centre may at its own discretion refund any portion of amounts paid on account of fees.

• The bridal couple agrees to comply with all requirements of the Local Government Act and any other relevant act, bylaws, rules or regulations made hereunder and shall be liable for any breach of any such acts, by-laws, rules or regulations.

• The bridal couple shall be responsible for the cost of making good any damage or loss caused to the objects, buildings, furniture, fittings and equipment arising out of and/or in the course of the Client’s function.

• The wedding party shall vacate the premises by the agreed time set out in our written confirmation.

• Specific arrangements to extend must be confirmed in advance to the Banqueting Co-ordinator. Any extension of time or failure to vacate the premises at the agreed time shall incur an additional fee (based on an hourly rate).

• The Strand Conferencing & Banqueting Centre is responsible for the exclusive catering including all items of food and beverage for all functions held in their venues.

• The Client must leave the premises in clean condition. Failure to do so will incur additional cleaning charges.

• A sound restriction of 70 decibels is applicable and must at all times be adhered to by the Client and/or any of the Client’ssuppliers

• The Hotel reserves the right to assign alternate function space, should a specified room be unavailable or inappropriate in the Hotel’s sole opinion. Terms and Conditions

GUARANTEES

• In arranging private food and beverage functions, the final attendance numbers must be received no later than fourteen (14) business days prior to said function. Partial guest counts are not accepted. Once guaranteed number of guests is submitted and/or confirmed – fourteen (14) business days prior, the count cannot be reduced. The hotel may make an average allowance above this guaranteed number for up to 10 persons. In the event of overage in the guarantee, all remaining food and beverage is the sole property of the hotel and no credits are given. If no verbal or written guarantee is received, the contracted number will be considered your guaranteed number. Billable guarantees/per person pricing are subject to the number of table settings, replenishments, guest count given and count recorded at time of event(s).

CANCELLATION POLICY

• Events cancelled in the following time frames will be charged as follows: - 31 to 45 days prior to the day of the event = 25% Cancellation fee. - 15 to 30 days prior to the day of the event = 50% Cancellation fee. - 7 to 14 days prior to the day of the event = 75% Cancellation fee. - Less than 7 days prior to the day of the event = 100% Cancellation fee.

• All above cancellation fees will be based on the applicable Event Quotation.

• Any “no-shows” = 100% “no-show” charge including full meal plan and all requirements quoted.

PAYMENT POLICY

• Reservations must be paid in full (All requirements reserved – Accommodation/Additional) 45 days prior to arrival.

• If reservation is made within 30 -45 days, the above outlined “full” payment must be received by O&L Leisure within 5 days of reservation being made/confirmed. Failing this, O&L Leisure reserves the right to automatically release the aforesaid reservation without notice and reinstatement is subject to availability.

• Should reservation lead-time be shorter than 7 days, payments must be processed within 24 hours.

• All payments made as outlined above are then subject to the Cancellation Policy.

MENUS

• Your menu selections should be submitted two weeks in advance to assist with planning and preparation. Menus and ingredients are subject to change. Terms and Conditions

PROVISION OF FOOD AND BEVERAGES

• No food or beverages may be brought into the Hotel from outside sources. Consequently, neither the bridal couple, nor any of the invitees may bring food and alcoholic beverages of any kind onto Hotel premises.

• No take-away’s are allowed.

SHIPPING AND RECEIVING

• All incoming packages should be addressed to the Strand Hotel Swakopmund Banqueting, Groups and Events Co-ordinator and marked with the name and date of your wedding. Due to limited storage space available items can be accepted no more than three (3) working days prior to your wedding. Items left on premises for longer than three (3) weeks after departure without shipping instructions will be discarded. Any items stored prior, during or after an event, are done so entirely at the risk of the client. The Strand Conferencing & Banqueting Centre will not be liable for any loss, damage or breakage that may occur.

DISPLAYS AND DECORATION

• All displays and/or decorations proposed by the bridal couple will be subject to the approval of The Strand Hotel Swakopmund Banqueting, Groups and Events Co-ordinator. Under no circumstances should anything be nailed, screwed or otherwise affixed to the walls or fixtures of the hotel. Any banner displays, additional displays, signage are subject to restrictions requiring prior approval from The Strand Hotel Swakopmund Banqueting, Groups and Events Co-ordinator.

MOVE IN AND MOVE OUT

• Florists, Decorators and/or Entertainers must schedule their move-in and move-out times with the Banqueting Co-ordinator. Florists and Decorators are responsible for removing all their items promptly at the conclusion of the wedding. The hotel cannot be held responsible for items left behind.

PARKING

• The Strand Hotel Swakopmund is able to provide free ample parking for guests of The Strand Conferencing & Banqueting Centre on The Mole and/or tennis court public parking area subject to availability. Guests can also be dropped off directly at the entrance to the Centre. Coach parking is available on the Tennis Court public parking. All vehicles are parked on a public parking area therefore subject to local municipal laws and regulations.

WAITERS

• Waiters are based on 1 x waiter per table of 20 guests and barmen as required. Terms and Conditions

• Our exclusive and very special Namibian bed and breakfast accommodation rates (up to 50% savings) will be made available to you and all your guests irrespective of their nationality.

• Rates quoted and individual reservations made are secured and guaranteed once guest names and full payment is received within 5 days of reservation being processed.

• Payments not received on the due date will result in reservation being automatically cancelled without prior notice.

• Once payment is received it will be subject to the Cancellation Policy outlined (see Namibian Rate T&C’s).

• Payments by Credit Card (Visa|MasterCard), Electronic Bank Transfer or direct Bank Deposit will be accepted. Kindly quote Reservation Number as reference.

• Check in time is from 14h00 and departure time by 10h00.

• All Wedding Accommodation prices are subject to change at any time and without prior notice. Wedding accommodation reservations processed and secured by a deposit payment are guaranteed and will not change.
