IUCN Regional Conservation Forum for Europe, North & Central Asia 14–16 December 2015, Helsinki University, Helsinki, Finland INFORMATION NOTE TO PARTICIPANTS GENERAL INFORMATION 1. Date and venue The IUCN Regional Conservation Forum for Europe, North & Central Asia will be held in Helsinki, Finland from Monday 14 December to Wednesday 16 December 2015. The Regional Conservation Forum (RCF) will be held at the University of Helsinki, Finland's oldest and largest university. Registration Online registration for the Regional Conservation Forum is now open. To register, please follow this link. Registration at the venue will start at 9:30 a.m. on Monday 14 December 2015 before the opening ceremonies. 1 MEETING SERVICES 3. Working language of the meeting The meeting will be held in English. 4. Meeting documents Meeting documents will become available on the Regional Conservation Forum website at: www.iucn.org/about/union/secretariat/offices/europe/regional_conservation_forum/ 5. Meals Morning and afternoon coffee will be provided during the Forum. Lunch is available at the UniCafe restaurants at the University of Helsinki near the venue and will cost between €7.50 and €10. Lunch will be covered by participants themselves. Receptions will be held on Monday and Tuesday evenings. 6. Flights If planning to travel to Helsinki by air, it is advisable to book flights as early as possible. Helsinki is serviced by the Helsinki Airport which is located in Vantaa about 20 km from the centre of Helsinki. To reach the Helsinki city centre, participants may use the public transport (train or bus), the Finnair City Bus or taxi. Information on the connections to and from the Helsinki Airport is presented below. More information can be found at www.finavia.fi/en/helsinki-airport/to-and-from/train-buses-and-taxis/. Train from and to the Helsinki Airport The train connection called the Ring Rail Line between Helsinki city centre and Helsinki Airport was opened in July 2015. More information and schedules are available on HSL website at www.hsl.fi/en/ringrailline. Trains run every 10-20 minutes between 4 a.m. and midnight on weekdays and 5 a.m. and midnight on weekends. The journey takes about 30 min to the Central Railway Station. Single ticket from the Helsinki Airport to the Helsinki City Centre costs €5 (regional ticket). Single tickets can be bought at the ticket machines (only chip cards accepted) on the train platform at the further end of the station as well as from the ticket vending compartments in the train (cash, debit and credit cards are accepted). If using cash, please note that banknotes larger than EUR 20 are not accepted. 2 All the schedules and routes of the public transport buses and trains in the Helsinki Metropolitan Region are available in the HSL Journey Planner at www.reittiopas.fi/en/. Buses from and to the Helsinki Airport At the Airport, the bus stops for both arriving and departing buses are located in front of the terminals. • Airport Bus 615 (620 during night time) operate to and from Helsinki city centre (bus stop at the east entrance of the Central Railway Station). All the schedules and routes of public transport buses and trains in the Helsinki region are available in the HSL Journey Planner at www.reittiopas.fi/en/. The journey on the bus takes about 40 min. A single ticket from the Helsinki Airport to the Helsinki city centre costs €5 (regional ticket). Single tickets are available from ticket vending machines at the bus stop as well as from the drivers, but please note that debit and credit cards or banknotes larger than €20 are not accepted on buses. • Finnair City Buses depart from the Helsinki Airport and Helsinki city centre every 20 minutes (bus stop at the west side of the Central Railway Station). The one-way fare is €6.30 and the journey takes about 30 minutes. More information is available at: http://www.finnair.com/INT/GB/information-services/at-the-airport/transportation Taxi from and to the Airport A journey by taxi from the Airport to the centre of Helsinki takes about 30 minutes and costs around €45– 50. The taxi stands are located right outside the arrival areas of the terminals. There are also three taxi companies at the Helsinki Airport that offer special taxi services, fixed-fare shared taxi rides, tours and charter rides. 8. Ferry from Stockholm or Tallinn Travelling by ferry (which looks like a luxury liner) from Stockholm to Helsinki across the archipelago of the Baltic Sea is an experience. Ferries leave Stockholm late afternoon and arrive in Helsinki in the morning. Return ferry tickets are available from €70 upwards depending on the class of the cabin and date of travel. The ferry also operates between Stockholm and Turku, Finland, from where a train is available from the Port of Turku to Helsinki (also daytime ferry schedules available). You can also travel by ferry from Tallinn, Estonia to Helsinki across the Gulf of Finland with a travel time of approximately 3 hours and a one-way ticket from €20 upwards. Getting around in Helsinki The recommended hotels (Annex A) are located within walking distance from the venue. Visa information Participants from countries appearing on the list are strongly advised to contact the nearest Finnish diplomatic or consular mission as soon as possible in order to secure the required entry visa in a timely manner, prior to departure. Information on visa procedures, including the list travel documents needed from each country, where to apply for the visa, and visa application forms to download are available on the website of the Ministry of Foreign Affairs of Finland at: http://formin.finland.fi/public/default.aspx?contentid=324099&nodeid=49459&contentlan=2&culture=en- US. In order to facilitate the issuance of visas, IUCN will provide upon request invitation letters to be presented along with the visa applications. To request an invitation letter, kindly contact Mr. Constantine Makris, Membership Officer, for Europe, & Central Asia. Please attach a scanned passport copy to your request. For confirmed participants requiring a visa the Ministry for Foreign Affairs of Finland will inform well in advance the details of those participants to the respective Finnish Embassies to ensure a smooth visa processing. 11. Insurance All participants will be responsible for having their own travel insurance for the duration of the IUCN Regional Conservation Forum. ACCOMMODATION 12. Hotel information Participants are kindly reminded to make hotel reservations of their own as soon as possible. A list of hotels offering special rates located in the vicinity of the venue is presented in Annex A. Please note that the availability of the special rates depend on the booking situation. It is also advisable to check the current offers on the hotel websites at the time of booking. Suomenlinna Sea Fortress - UNESCO World Heritage Site www.suomenlinna.fi/en/ A ferry ride to Suomenlinna takes about 15–20 minutes from the Market Square in Helsinki city centre. A return ticket of €5 is available at the ticket sales kiosk in the Market Square. Official languages The official languages in Finland are Finnish and Swedish. 16. Weather and time zone information Winter in Helsinki begins in November or December depending on the year. The temperature fluctuates on both sides of 0 °C. The average temperature between December and February is around -4 °C. Please bring warm clothing and shoes as well as an umbrella. Time zone In December, Finland observes the Eastern European Time (EET, Standard Time) UTC/GMT + 2 hours. 5 18. Electricity The electrical currents are 230 volts, 50 Hertz. 19.
