Wine To Water Filter Build Logistics for Community & Private Party Builds

Choose a Venue Make sure the venue has enough space for an assembly line style build with multiple tables to hold the filter parts. See the sample diagram on the next page for reference. Keep in mind that you could use your own home! The important thing is to get the space donated to cut down on overhead costs of the event.

Start Fundraising *A 50% deposit is needed for the filters 30 days prior to your event date. *Full payment is needed 30 days after your event date.

➢ Create a Campaign to track your progress and start fundraising by following this link. ​ ​ Make sure you check out the Guidebook linked HERE for more step by step instructions ​ ​ on how to create your campaign. ➢ Your campaign is where you can submit your deposit online or you can send in a check to PO Box 2567, Boone NC 28067. For more questions about your campaign, email Madi Barker at [email protected]. ​ ​ ➢ Consider charging an entry fee to minimize the amount of fundraising up front. You can create a ticketing feature on your campaign if necessary. ➢ Get sponsors who will donate, provide event space or food for your event using the ​ ​ handout linked HERE. ​ ​

Enlist Help ➢ Find a group of passionate people willing to help you in your event and strategize a plan for invitations, social media, fundraising, etc. ➢ Have your leadership team help you with inviting their contacts and networks to the event, soliciting sponsorships, and sharing the event on social media channels. ➢ The key is to find people who can get the job done and put their skill set to work!

RSVP & Marketing ➢ A good way to know how many people are coming to your event ahead of time is to have them RSVP or sign up. You can use an outside service like Evite, create a ticketing campaign where tickets need to be purchased beforehand, or you can simply tell people to participate in your campaign. ➢ Spread the word by posting your campaign on your social media channels, creating posters and flyers to pass out, and sending an email out that includes marketing materials to your contacts.

Filter Shipping Filters will not be shipped until 50% deposit is received.

WTW coordinates shipping of the filter components to the event using FedEx. You provide: Event Contact Name with the Shipping Address We provide: Shipping Payment and Tracking Information

It is your responsibility to repack completed filters and coordinate shipping of assembled filters from the event to the WTW office at 747 West King Street, Suite 200, Boone NC 28607. ​ Shipping labels will be supplied to you for return shipping.

Wine To Water Introduction: (3-10 minutes) Host can tell their story of how they came to ​ WTW, why people are here, and why they chose to do a filter build event. Show a WTW Video ​ to tell Doc Hendley’s Story, the Mission and Impact of Wine To Water. Consider using one of our base Powerpoint presentations linked HERE. ​ ​

Filter Build (30+ minutes, pending timeframe and desired outcomes) ​ ● WTW Filter Intro: Clean water & filters are touching lives, transforming communities Power of every individual to make an impact, to serve in community

● Filter Impact & Where it is used

● Filter Demonstration: show filtration of contaminated water through a filter

● Teams work to build filters using minimal instruction and guidelines. Teams work collectively to assure quality and uniformity in building their filters.

Participants move to assemble filters at tables in the same room or move to an adjacent room where filter components are at tables arranged “buffet” style ready for people to put together as they move through the assembly line.

● Individuals sign or write a personal message on the filters to the recipient families, place completed filter in a bag and place in the shipping box ready for delivery to a global destination, a family on another side of the world.

Notes: ● WTW will get you a summary report on where filters are being used in the global field to share with your participants 4 - 9 months after the filter build. ● WTW can organize a supply of Doc Hendley’s book, Wine To Water. ​ ● WTW can connect you with our wine distributor to have WTW wine at your event.

Room Set-Up Options Contact Table: Providing a contact table where people can sign in, pay entry fee, pick up ​ additional information about WTW, and get connected further is strongly prefered by WTW.

Photo Slides: WTW will provide a series of photos that can run as a slide show on event ​ screens. The link to this photo slideshow is HERE. ​ ​

Music: This is a fun and interactive experience, we encourage background music to help ​ people relax and enjoy the Team Impact Event.

Add-On options to extend time: Consider: Incorporating a wine tasting with WTW wine. ​ ​ Showing the CNN Documentary of Doc Hendley ​ ​ Constructing the build in a Relay Race style (this is a fun & creative option for kids!)

Tables: ​ WTW prefers rectangular tables arranged in groups of 2 as Filter Stations where people make filters in an assembly line style. It is up to the event host to supply trays and bowls for staging filter. Please refer to the picture below for a table setup example! Participants can walk down both sides of the tables, just as they would for a buffet style meal to complete the filter and drop the completed filter in a box. Setup Suggestions: 1) Determine the ideal # of tables and filter stations needed 2) Cover tables with solid color tablecloths 3) Gather baskets, bowls or trays to place your filter parts in (parts vary in size)
